Partials, part III: “Wait — what do you mean, they wanted 50 CONSECUTIVE pages?” and other cris de coeur of submitters and contest entrants

No, I shan’t be writing about tulip trees today — I just wanted to share my favorite of my latest batch of yard-in-bloom photos, for the benefit of those of you in stormier climes. While I was setting up this shot, I did invest a few moments’ thought to how I could possibly work these outrageous blooms into this post as a metaphor.

That’s the problem with metaphors: they actually have to relate to something.

In non-floral news, I’m feeling especially virtuous this evening: my excuse for running outside with my camera on this beautiful day (other than searching for images to divert you fine people, of course) was that I finally finished incorporating my first readers’ EXTENSIVE feedback into my recently-completed novel. Yes, even writers who edit for a living solicit opinion, technical and otherwise, from readers before showing their work to their agents.

The smart ones do, anyway; professional critique is so cut-and-dried that emotionally, it just doesn’t make sense to have an agent be the first soul on earth to read your work. (Hear that, aspiring writers planning to submit before showing those pages to anyone local?) Not to mention the practical pluses of good feedback — contrary to popular opinion amongst the shy, even the most battle-hardened pro can benefit from objective critique.

Emphasis upon objective, of course. Long-time readers, whip out your hymnals and sing along, please: no matter how extensively your kith and kin happen to read in your book category, by definition, people who love you cannot give you completely objective feedback on your writing. Even if your significant other is a published author, your best friend a Pulitzer Prize recipient, and your father the chief librarian of an archive devoted exclusively to your type of book, it is in your — and your manuscript’s — best interest to hear the unvarnished opinions of people who do not love you.

Trust me on this one. The sterling soul who gave birth to me has been editing great writers for fifty years, and even she doesn’t clap eyes upon my manuscripts until I’ve incorporated the first round of feedback. (Not that she hasn’t asked.)

I’m bringing this up at the end of our mini-series on partials not merely to celebrate polishing off that always rather taxing job — if any writer actually enjoys working critique into a manuscript, line by line, I’ve never met her — but also to remind those of you planning to rush those requested materials off to the post office that it’s an excellent idea to have another set of eyes scan those pages first.

Ditto with contest entries and residency applications; it’s just too easy to miss a crucial typo yourself. Particularly if you’re really in a hurry to meet a deadline — and what entrant or applicant isn’t? — and neglect to read your submission IN ITS ENTIRETY, IN HARD COPY, and OUT LOUD.

Oh, as if I would let an opportunity to slip that golden piece of editorial advice into yet another post. Why repeat it so often? Because I can already feel some of you gearing up to blow it off, that’s why?

Specifically, those of you who huffed impatiently at that last paragraph. “But Anne,” those of you who pride yourself on your attention to detail point out, “I must have read those pages 75 times while I was revising them. I’ve read them so many times that two-thirds of my brain cells think they’re already published. What could I possibly learn by reading them again, much less IN THEIR ENTIRETY, IN HARD COPY, and OUT LOUD?”

Quite a lot, actually. Like, for instance, if when you changed your protagonist’s sister’s name from Mona to Maura, you changed every reference. Or if every line of the requested synopsis printed out legibly. Or — brace yourselves; this may be a hard one for some of you – if the minor changes you made in the course of the 71rst read are consistent with the ones from read 72.

Shall I rephrase that, to drive home the point a little harder? Okay, how’s this: had you re-read every syllable of your partial, contest entry, or writing sample tucked into a residency application between the time you made those final few changes and when you popped your last submission into the mail? Or since you popped your last submission into the mail?

Wow, the crowd’s gone so quiet all of a sudden.

And for those of you who were not suddenly flung into retrospective panic about what kind of typo or printing snafu you might have inadvertently passed under Millicent the agency screener or Mehitabel the contest judge’s weary eyes, you needn’t take my word for how often writers realize only after something’s out the door that it wasn’t quite right. Many members of the Author! Author! community have already shared their horror stories on the subject; it makes for some enlightening reading.

Feel free to add stories of your own on that list; sharing them honestly will help other aspiring writers. But do not, I beg you, set yourself up for a spectacularly instructive anecdote by failing to read the very latest version of your partial, contest entry, or writing sample IN ITS ENTIRETY, IN HARD COPY, and OUT LOUD.

While I’m hovering over you like a mother hen, here’s a post-submission regret I hope I can wipe from the face of the earth forever: including a business-size (#10) envelope as the SASE for a partial or a contest that returns materials, rather than an envelope (and appropriate postage) large enough to send back everything in the submission or entry packet.

That made some of you do a double-take, didn’t it? “But Anne!” half of those with submissions currently languishing at agencies across the U.S. cry. “I thought the point of the SASE — that stands for Self-Addressed Stamped Envelope, right? — was so the agent who requested the partial could mail me a letter, asking me to send the rest of the manuscript — or, heaven forfend, a rejection letter!”

Well, the agent (or, more likely, the agent’s Millicent-in-residence) usually does include at least a form-letter rejection in a homeward-bound SASE, but that’s not the SASE’s primary purpose, from the agency’s point of view. Its primary use is to get all of those pages out of its office and back to the aspiring writers who sent them.

That’s not just because if they didn’t, the average agency’s halls would be so filled with rejected pages by the end of the first month that Millicent wouldn’t be able to fight her way to the coffeemaker through the chest-high stacks of pages. (She would have had to give up her traditional lattes by the end of the first week, since she couldn’t find the front door during her lunch break.) They also return the pages because it’s in the writer’s copyright interest to know precisely where his pages are at any given time — and if that seems paranoid to you, you might want to take a gander at the SHOULD I WORRY ABOUT MY WORK BEING STOLEN? category on the archive list at right.

If, on the other hand, the idea of a submission’s tumbling into unscrupulous hands doesn’t strike you as particularly outrageous, but the logic behind the writer’s providing the postage to convey her own rejection to her does, I would recommend a quick read through the posts under the SASE GUIDELINES category.

And for those of you reading this post in a tearing hurry because you’re frantically trying to get a partial out the door and into the mail, or whose fingers are itching to hit the SEND key for electronic submissions, let me just go ahead and state it as a boldfaced aphorism: with any submission, always include a SASE sufficiently large for the agent to send the entire submission back to you, with enough stamps attached to get it there safely.

Yes, I said stamps. Attaching metered postage to a SASE is another fairly common mistake in submitting a partial. Generally speaking, agencies will not use a stamp-free SASE. (If you’re interested in the rather convoluted logic behind that one, I would refer you again to the SASE GUIDELINES category. Otherwise, moving swiftly on…)

A third common mistake submitters of partials often make comes not when they are packing up the partial, but later, after the agent has approved the partial and asked to see the entire manuscript. That’s the agency parlance for the request, anyway; in writer-speak, it’s usually called asking to see the rest of the book.

Therein lies the root of the mistake: the semantic difference is crucial here. All too often, successful partial submitters think that a request for the entire manuscript equals a request for only the part of the manuscript the agent has not yet seen.

The agent asked to see the rest of the book, right?

Actually, she didn’t — what asking to see the rest of the book means in agent-speak is that the agent is expecting the ENTIRE manuscript to show up in her office, neatly boxed and accompanied by a return mailing label and enough postage to get the whole shebang back to the sender, if it’s rejected. (If that last bit came as any sort of a surprise to you, I would strongly urge you to peruse the posts under the MAILING REQUESTED MATERIALS category at right before you comply with any request for your manuscript.)

Starting to see a pattern here?

I do — and have for years: when aspiring writers just assume that they know what a request for materials entails, submissions often go awry; when they take the time to do their homework, irritating Millicent by such mistakes is 99.999% avoidable. (Hey, there’s no accounting for how moody she might get when she burns her lip on that too-hot latte for the fiftieth time this year.) Much of the time, the difference isn’t even the result of conscious step-skipping: first-time submitters frequently don’t know that there are rules to be followed.

Want to know what half the Millicents currently screening would say in response to that last sentence? It’s illuminating about the harshness of professional evaluation: “So I’m supposed to make allowances because these writers didn’t do their homework, effectively penalizing all of those conscientious writers out there who take the time to learn the ropes? I’ll bet that most of these mistaken submitters didn’t even bother to check if my agency’s website has submission guidelines.”

To which Mehitabel would add: “And virtually every contest on earth includes very specific submission guidelines in its rules, yet I’m continually astonished by how few entrants seem to read them. I’ll seldom actually disqualify an entry because it violates a presentation rule, but how can I justify penalizing all of those nice entrants who did follow the rules by allowing a violator to proceed to the finalist round of judging?”

Okay, so maybe they wouldn’t be quite that forthcoming. Or prolix. If I’m going to be completely honest, I would have to admit that this is what either of them is most likely to say when such a submission crossed their line of vision: “Next!”

Please, do your homework about the recipient’s stated preferences before you submit any requested materials. Not every agency is kind enough to writers to post specific guidelines, but if you happen to be dealing with one that has, you absolutely must follow them, or risk the wrath of Millicent.

It’s not pretty. Neither is Mehitabel’s, or the as-yet-to-be-named individual screening applications for that writers’ retreat you would give your eyeteeth to attend.

I’m taking christening suggestions for the application screener, by the way. I’d originally dubbed her Petunia, but that doesn’t exactly inspire awe and fear, does it?

Another major mistake that dogs contest entries involves confusing a partial with a writing sample. What’s the difference, you ask? Well, chant it with me now, followers of this series:

A partial is the first X number of pages of a manuscript assumed already to be complete, numbered consecutively and stopping at the bottom of the exact page the requester specified as the maximum. A writing sample is a selection of a book’s best writing, regardless of where it falls in the book.

In a pitching situation — the place an agent-seeking writer is most likely to be asked to produce a writing sample — 5 pages is usually the maximum length. However, a lengthy writing sample might include more than one scene, and those scenes might not run consecutively.

Everybody clear on all that? Now would be a marvelous time to ask a question, if not — I want to make absolutely, positively sure that every single member of the Author! Author! community not only understands these two separate concepts to be separate concepts, but can explain the difference to any confused fellow writers he might encounter.

Are you wondering why am I being so very adamant about this one? A deep and abiding dislike for seeing good writers waste their time and money: being unaware of this distinction trips up a simply phenomenal number of contest entrants every year.

How, you ask? Sadly, they misinterpret the rules’ call for X number of pages from, say, a novel, as permission to send X number of pages from anywhere in the novel. Sometimes, these hapless souls take the misunderstanding one step further, sending in a few pages from Chapter 1, a few from Ch. 8, perhaps a couple of paragraphs from Ch. 17…in short, they submit a bouquet of writing samples.

Understandable mistake, right? And extremely common, particularly in entries for contests that simply ask entrants to send a specified number of pages of a novel, without mentioning that those pages should be consecutive — oh, and if the entrant might by some odd chance want to win the contest, those pages had better begin on page 1 of Chapter 1 of the book.

Shall I take that gigantic collective gasp of indignation as an indication that some of you past contest entrants wish you had heard one or more of those tidbits before you entered?

Again, let’s state it as an aphorism, for the benefit of last-minute skimmers: unless a literary contest’s rules specifically state otherwise, assume that the entry should begin on page 1 and proceed consecutively. Part of what entrants in any prose contest are being judged upon is the ability to construct a strong narrative and story arc.

In answer to the question that most of you are probably screaming mentally, I have no idea why so few contests’ rules don’t just state this point-blank. It’s not as though it’s a rare problem — every contest judge I’ve ever met tells a sad story about the well-written entry that knocked itself out of finalist consideration via this error. And I’ve judged in a heck of a lot of literary contests, so I’ve met a whole lot of judges over the years.

I could spend a few more minutes of my life shaking my head over this, but over the years, my neck has gotten sore. I’m going to take the warning as heard — it was, wasn’t it? — and move on.

Writers asked to submit partials occasionally fall into the writing sample trap as well, but frankly, it’s less common. Perhaps writers marketing books harbor an inherent desire to have their stories read from beginning to end, just as a reader would encounter their work in a published book. Perhaps, too, agents’ requests for materials tend to be for much heftier portions of a manuscript than many contest entries would tolerate: 50 or 100 pages for a partial is fairly normal, but many contests for even book-length works call for as few as 10, 20, or 30 pages, sometimes including a synopsis.

But just to head any problems off at the pass, as well as to illustrate why a nonconsecutive partial made up of even superlative writing would not be a good marketing packet for any manuscript, from an agency perspective, let’s close out this short series by going over the expectations for a partial one more time. Come on; it’ll be fun.

When an agent or editor requests a partial, she’s not asking for a writing sample consisting of 50 or 100 pages of the writer’s favorite parts of the book, a sort of greatest hits compilation — if that’s what she wants, she (or her submission guidelines; check) will tell you so point-blank. She is unlikely to prefer a writing sample as a submission, however, because part of what her Millicent is looking for in submissions is storytelling acumen.

Think about it: in an unconnected series of scenes gleaned from across your manuscript, how good a case could you make for your talent at arranging plot believably? How well could you possibly show off your book’s structure, or character development, or even ability to hold a reader’s interest, compared to the same story as you present it in your manuscript, beginning on page 1?

If you have any doubt whatsoever about the answer to that last question, run, don’t walk, to an objective first reader to help you figure out whether the current running order of events tells your story effectively. (Didn’t think I’d be able to work in another plug for feedback from an independent-minded first reader, did you?)

What an agent or editor does expect to see in a partial, then, is the opening of the manuscript as you plan to market it to, well, agents and editors: it’s precisely the same as the full manuscript, except it doesn’t include the pages after, say, page 50.

And if Millicent loves that partial and asks for the rest of the book, what will you do? Send the entire manuscript, right? Right?

I couldn’t resist tossing in the pop quiz, to see if you’d been paying attention. I wouldn’t want any of you to end the post still confused about any of this. (And if you are: please, I implore you, leave a question in the comments.)

And remember, read any submission guidelines very thoroughly before you invest your heart, hopes, energy, and/or precious time in preparing a partial packet or contest entry. This is no time to be skimming; make a list and check it twice, like Santa Claus.

Yes, even if the request consisted of a grand total of three lines of text in an e-mail. In fact, I always advise my editing clients to read the guidelines once — then, on the second read, make a checklist of everything you are being asked to do. Wait a day before going back to triple-check that the list is accurate.

Then, and only then, put together the submission or entry, checking off each item as you place it in the envelope. Re-read the original guidelines or letter before you even think of sealing the envelope. If you’re not much of a detail person, you might also want to hand your list to at least one person who happens to love you, ask him/her/that ungainly mob to check it against the guidelines or contest rules, then to verify that what’s in your envelope is in fact what you have been asked to send.

You didn’t think I was going to leave the kith and kin I’d disqualified from giving you objective feedback from helping you altogether, did you? Everyone has a task here at Author! Author!

Partials, part II: slicing the pie attractively and stuffing it in a box. Or envelope.

We open today with two pieces of bittersweet news from the embattled world of brick-and-mortar bookstores. First, a local tidbit: this weekend would be a phenomenal time to hurry on in to Seattle indie stalwart Elliott Bay Books, because in preparation for their relocation, all used books are 80% off though Monday, March 22; EBB’s last day of business in its beloved Pioneer Square location will be March 31. Booklovers need not despair, however: EBB plans to reopen in its new (smaller?) Capitol Hill location by April 14th.

In other creative-response-to-a-wildly-changing-market news, the Borders chain has just instituted a policy of offering free meeting space to book groups — and no, they’re not going to dictate what books the groups so housed will read. (A policy they tried out last year, I’m told.) I think this is a stupendously smart idea: hang a medal on the marketing executive who stood up in a meeting in the best Judy Garland/Mickey Rooney tradition and cried, “Wait! We’ve got a bookstore…and they love books…let’s put on a show!”

So now would be a great time for those of you currently congregating in an overstuffed living room to relocate. It’s unclear whether the megastores would be equally open to hosting, say, a weekly or monthly writers’ group, but it couldn’t hurt to track down a manager to ask the next time you’re in your local Borders, could it?

And to any indie bookstore owners who happen to be reading this: if you would willing to match this offer — or, better yet for the Author! Okay, that’s enough matchmaking for one day. Back to the business at hand, talking about how a savvy writer should respond to a request for a partial manuscript.

REQUESTED MATERIALS — and well, everything else
To be absolutely clear, I’m not talking about sending pages to an agency whose guidelines specify that queriers should include the first chapter, a few pages, or a synopsis with a query — all of these would, in the industry’s eyes, be unsolicited manuscript pages. Yes, yes, I know: it’s a bit counter-intuitive that a blanket statement that the agent would like to see these materials from all queriers doesn’t constitute solicitation, but it doesn’t.

Why am I raining on the partials parade by bringing this up right now, you ask? Because the consequences of confusing solicited and unsolicited manuscripts tend to be very, very high for the submitter. So let’s run over the difference in a touch more detail, shall we?

A solicited submission consists of manuscript pages that an agent is waiting to see, usually following a successful pitch or query. An unsolicited submission consists of a stack of manuscript pages from a writer who has not yet been personally asked to send anything.

Ne’er the twain shall meet, my friends. If an agency or small publishing house’s submission guidelines do not SPECIFICALLY state that it wants to see pages, sending unsolicited materials almost universally results in those pages being rejected immediately, unread.

Everyone clear on the distinction? Okay, here’s a pop quiz, just to be sure: why is a partial invariably a solicited submission? For bonus points, work into your answer the magic words a savvy submitter always writes on the outside of an envelope or places in the subject line of an e-mail bearing the partial to an agent.

If you immediately leapt to your feet and shouted, “By jingo, a partial in the sense we’ve been discussing it for the past two days is a solicited submission by definition, because a partial is the precise number of pages the agent in question asked to see,” pat yourself on the back three times. If you took a deep breath and added, “And I would never dream of sending any manuscript, partial or otherwise, that an agent or editor had asked to see without whipping out my trusty black marker and writing REQUESTED MATERIALS in 3-inch-high letters on the front of the envelope and/or in the subject line of the e-mail,” award yourself another couple of hearty congratulatory slaps.

Then fling yourself onto the nearest chaise longue and take a few nice, deep breaths. That lulu of a second answer must have used up every square millimeter of oxygen in your lungs.

Now that you’ve caught your breath, shall we enlighten the rest of the class about why a savvy writer always scrawls those particular words on a requested submission? The answer to this one’s as easy as pie: so the requested materials can’t possibly be mistaken for an unsolicited submission.

That, and so those pages the agent asked to see will end up on the right end of Millicent’s desk — or, at a large agency, on the right Millicent’s desk, period. As painful as it may be for aspiring writers to contemplate, submissions can and sometimes do get misplaced; good labeling renders that dreadful eventuality less likely.

(It’s less painful for agented writers to contemplate, typically; most of us have already lived through having a manuscript go astray. A certain agency that shall remain nameless as long as I remain signed with them not only lost one of my manuscripts once; it sent me another writer’s rejected manuscript in my SASE. They were quite apologetic when I returned it to them, along with a note suggesting that the author might be a better recipient for it.)

Oh, did the implication that submitting electronically might require some different steps catch you off-guard? Let’s rectify that with all deliberate speed.

Submitting your partial via e-mail
When submitting via e-mail — a route a savvy writer takes only when an agent specifically requests it; even at this late date, many are the agencies that do not accept electronic submissions at all, even if they accept e-mailed queries — include your partial as a Word attachment. (As much as some writers may prefer other word processing programs, Word is the industry standard.) If you work on a Mac, make sure to check the Send Windows-friendly attachments box; most agencies operate on PCs, and not particularly new ones at that.

You want the agent of your dreams to be able to open your document, don’t you? Millicent tends to be very, very cranky when she can’t open an attachment — and the sooner any writer gets used to the idea that any computer compatibility problems are considered the writer’s problem, not the agent’s, the happier your working life will be.

Speaking of difficulties opening files — or, as Millicent likes to call them, “what happens when writers don’t know what they’re doing” — it’s also an excellent idea for those working on the newest generation of Word to send the document in an older version. Specifically, send it as .doc file (Word 97-2004), not as a .docx file (anything more recent). The Save As… option under the FILE menu will allow you to make this switch easily.

Yes, I know it’s 2010. Try explaining that to a Millicent who’s stuck working on a decade-old PC that’s running a 2003 operating system.

If you are submitting requested materials via e-mail, use the body of the e-mail for your cover letter, but include any additional requested materials as separate attachments. In other words, unless the agent actually asked you to combine elements or place the whole shebang into the body of an e-mail (rare, but it happens; agents are as reluctant to download viruses as anybody else), the author bio should not be in the same document as the partial, and Millicent should be able to open your synopsis without having to scroll through the first 50 pages of your manuscript.

The sole exception: include your title page in the partial’s file, not as a separate document. Or, to put it another way, the title page should be the first page in the partial document, followed by the first page of text. Remember, though, that the title page should neither be numbered nor carry a slug line:

Unlike the first page of text — or any other page of text, for that matter:

Is that wheezing sound an indicator that those of you who meticulously constructed your title pages as separate documents have begun to hyperventilate? Not to worry — adding your title page to your partial file is as easy as copying it, pasting it into the beginning of the partial, and adding a page break. No fuss, no muss, and very little bother.

And yet the wheezing continues. “But Anne,” a few of you gasp, “if I send the title and the body of the partial in the same Word document, won’t the title page automatically have a slug line — and be numbered, too?”

Not necessarily — but there is a trick to it. Under the FORMAT menu, select Document, then Layout. Here, select the Different First Page option, then click OK. That, as the option’s name implies, will give your first page a different header and footer than the rest of the partial. After that, it’s simply a matter of placing the slug line in the header for the first page of text.

Before you have to waste breath asking, allow me to add: in order to prevent Word from counting the title page as page 1 and the first page of text as page 2, use the Format Page Number option under VIEW/Header and Footer to set the Start at… number to zero. Voilà! The first page of text is now page 1!

Hey, what did you mean, any additional requested materials?
As I mentioned last time, just as some agencies’ guidelines call for pages to be included in a query packet and some do not, some partial-requesting agents ask writers to slip additional materials into a submission packet. Obviously (and I do hope that it is indeed obvious to you by this point in our discussion), you should not include any extra materials unless the agent asks for them — but it never hurts to have any or all of the following on hand at querying time, just in case somebody requests one of them.

To continue the lengthy tradition that I started yesterday — ah, those were good times, were they not? — let’s run through the most popular additions in the order they should appear in a hard-copy submission packet:

1. Cover letter

2. Title page

3. The requested pages in standard format.

4. Synopsis, if one was requested, clearly labeled AS a synopsis.
Here again, terminology may not be the writer’s friend: with fiction or memoir, when an outline is requested, they usually mean a synopsis, not an annotated table of contents. For nonfiction, an outline means an annotated table of contents.

Most of the time, though, what an agent will ask to see for any types of book is a synopsis: a 1-5 page (double-spaced) overview of the basic plot or argument of the book. If you don’t already have one handy, you’ll find a step-by-step guide to writing one in the HOW TO WRITE A REALLY GOOD SYNOPSIS category at right. (How do I come up with these category titles?)

5. Marketing plan, if one was requested.
These were all the rage a few years ago for fiction and memoir, but since the economy slowed down, they seem to have fallen out of favor as a submission-packet request, especially for partials. But just in case you get asked to produce one, a marketing plan is a brief (2-5 pages, double-spaced) explanation of who the target audience is for a particular book, why this book will appeal to those readers, and what you — not the publishing house’s marketing department, but YOU, the author — will do in order to alert potential readers to that appeal.

Sound familiar? It should –there’s an entire section of the book proposal devoted to this very subject. That’s where fiction agents got the idea. And if a first-time novelist happens to have a terrific platform for the book she’s writing — if she’s the world’s leading authority on drive-in movie theatres, for instance, and her novel happens to be set in one — an agent may well wish to tuck a marketing plan that talks about all the lectures on drive-ins (and in drive-ins) the author is going to be giving over the next couple of years.

As I said, though, it’s largely fallen out of fashion. But let me turn it around to you: have any of you novelists been asked to provide marketing plans with your submissions lately? If so, let me know, and I’ll run a brief series on how a novelist might go about pulling one together.

6. Author bio, if one was requested.
An author bio is a one-page (double-spaced) or half-page (single-spaced) plus photo account of the submitting writer’s professional credentials. Typically, when an agent submits a manuscript or book proposal to editors, the author Since these are far from easy to write, I always recommend that aspiring writers construct them well in advance, so they have a great one on hand to tuck into the submission packet.

I suspect that I’m going to yield to those nagging voices in the ether and revisit how to write an author bio soon — but dag nab it, I really want to get back to craft. For those of you who need to toss one together while this internal debate rages, you can find a step-by-step guide to writing one under the AUTHOR BIO category on the list at right.

7. A SASE big enough that everything you’re sending the agent can be returned to you
That’s a self-addressed, stamped envelope, for those of you new to the game. Always use stamps, not metered postage, for the SASE.

Why? Because since 9/11, someone who wants to mail a pre-metered package that weighs over two pounds via USPS has to tote it to a post office. Due to the paper-consumptive rigors of standard format, one rarely, if ever, meets a full-length manuscript that weighs less than two pounds.

“But Anne,” my formerly-wheezing readers point out, and rightly so, “isn’t the whole point of this mini-series to address the specific challenges of the aspiring writer who hasn’t been asked to send the entire manuscript? Correct me if I’m wrong, but wouldn’t the first three chapters of most manuscripts fit into a 10″ x 17″ Manila envelope?”

You are far from wrong, ex-wheezers: a nice, crisp Manila envelope is just the thing for submitting a partial. Fold a second envelope in half and poke it into the first for the SASE.

8. Optional extras.
If you want to send a second, business-size envelope SASE as well, to make it easy for them to request the rest of the manuscript, place it at the bottom of the packet (and mention it in your cover letter.)

Since the vast majority of agencies are congenitally allergic to submitters calling, e-mailing, or even writing to find out if a manuscript actually arrived — check the agency’s website or guide listing to be sure — it’s also a fair-to-middling idea to include a self-addressed, stamped postcard for the agency to mail to you to acknowledge receipt of the manuscript. To generate a chuckle in a hard-worked Millicent, I always liked to send a SASP that looked like this — although with a stamp attached, of course:

Don’t worry about this causing trouble; it doesn’t, provided you do it courteously, and you will have proof that they received it. This is important, because as I MAY have mentioned, manuscripts do go astray from time to time.

Want to get the same information without running the risk that a witty postcard won’t elicit a chuckle? Pay a little more at the post office for the Delivery Confirmation service; they’ll give you a tracking number, so you may follow your submission’s progress through the mail.

What you should most emphatically not do is send your submission via a delivery service that will require someone at the agency end to sign for the packet. This is one of Millicent’s most notorious pet peeves — why, she reasons, should she (or the guy in the mail room) have to take time out of her (or his) busy day just because a writer’s nervous?

9. Pack it all in your Manila envelope and write REQUESTED MATERIALS on the front.
Straightening up the stack of paper will minimize the possibility of in-transit mutilation, incidentally. If the envelope you have selected is a tight fit — snug enough, say, that the pages might get wrinkled in the stuffing-in process — for heaven’s sake, find yourself a larger envelope. It’s in your interest for it to arrive pretty.

Oh, and no matter how many pages or extra materials you were asked to send, do remember to read your submission packet IN ITS ENTIRETY, IN HARD COPY, and OUT LOUD before you seal that envelope. Lest we forget, everything you send to an agency is a writing sample: impeccable grammar, punctuation, and printing, please.

The skinny on partials — at least the ones that are skinnier than entire manuscripts

Okay, so I didn’t actually set out to bring a skeletons’ disco extravaganza to you today, even if it is St. Patrick’s Day. You’d be surprised at what comes up in a web search of skinny; it was either this or models, interestingly enough. (All of these fabulous animated bones appear courtesy of Feebleminds, by the way.)

No, I have a much nobler goal for today: answering a good question from a reader. Quoth the intrepid Kim a few posts back:

An agent recently requested a partial of ms. and not being able to find much on how to format that I just included the title page, and the requested pages of the ms. Is there a correct format or protocol for partials?

I’m very glad you brought this up, Kim. Although a partial always refers to a manuscript by definition — the term is shorthand for partial manuscript — this is yet another one of those situations where aspiring writers often get confused by publishing industry terminology.

Yes, I said yet another, because as so often seems to happen in the rumor echo chamber in which those trying to break into the biz must operate, many are the terms that mean more than one thing, or which would mean one thing to an agent and another to, say, a submitting writer. Here we have a prime example of the former: a partial can refer to two different kinds of manuscript, depending upon the context.

So let’s start this discussion by defining our terms before we really give the skeletons something to cavort about, shall we?

The two distinctly different flavors of partial: the first pages
The first kind of partial, the kind to which Kim refers here, is the a specified number of pages an agent may request from a successfully querying or pitching writer who is not yet a client. Emphasis on specified: no agent is simply going to tell an aspiring writer, “Send me a partial,” leaving the writer to guess how many pages and from what part of the book.

Instead, she will typically say, “Send me the first chapter/first 50 pages/first three chapters/first 100 pages.” In this context, then, a partial is precisely the number of pages an agent has requested to see.

Again, emphasis on precisely: if an agent asks to see the first 50 pages, don’t make the mistake of sending 52, even if page 50 ends in mid-sentence or the chapter ends on page 56. From an agent’s point of view, an ability to follow directions well is a very, very desirable trait in a potential client.

Basically, this type of partial is a writing sample, similar in function to the pages agents sometimes list in their submission requirements as addenda to the query packet or the 5-page writing sample agents sometimes ask pitchers to produce: the agent is asking for these pages primarily in order to see whether this aspiring writer can write; judging whether the book would be a good fit for the agency comes a close second, but if the agency’s screener (our old pal, Millicent, naturally) isn’t caught by the style, even a perfect plotline for that agent’s interests is likely to be rejected.

Oh, should I have warned you not to take that great big sip of coffee just before you read that rather disturbing paragraph? Go ahead and clean up; I don’t mind waiting.

I understand your shock at hearing it so bluntly put, oh spit-takers, but as we have discussed throughout our recent series on standard format, ruling out 90% of submissions as quickly as humanly possible is a big part of Millicent’s job. Her boss can only take on a handful of new clients in any given year, right? In order to save the agent time, she makes sure that the only requested materials to reach his desk are well-written, properly formatted, and the kind of story or argument the agent is actively looking to represent.

When an agency requests a partial rather than the entire manuscript, it’s essentially a means of streamlining this winnowing-down process even further. Not to mention saving her from having to shuffle, and thus lift, a ton of paper: instead of Millicent’s desk being piled up to her chin at any given moment with boxes of full manuscripts, the monthly influx of requested partials may reach only up to her sternum. Once she has screened those, her boss can decide which of the surviving partials have piqued their interest sufficiently to request the entire manuscript.

A process known, both colloquially and within the industry, as asking to see the entire manuscript.

So asking for a partial adds an intervening step between the initial query or pitch and the request for the full manuscript — but before those of you who would prefer your work to be judged in its entirety invest too much energy in glowering in Millicent and her boss’ general direction for sending writers jumping through this additional hoop, let me hasten to add that until fairly recently, most agencies almost always asked for a partial first; requesting the entire manuscript right off the bat used to be a sign that an agent was really, really excited about a book project and wanted to get the jump on any other agent who might have merely requested a partial.

Nowadays, the decision whether to request a partial or entire manuscript is less often an indicator of enthusiasm than a matter of agency policy. In fact, contrary to pervasive writerly opinion, being asked for a partial rather than a full can sometimes be an advantage: at some agencies, having the entire manuscript on hand earlier can enable even speedier rejection of a near-miss project. Think about it: instead of having to ask for pages 51-372 and wait for them to arrive in order to pass a final judgment on a book, Millicent can simply read to page 60.

If the verdict is yes, this can lop quite a bit of time off the agent-seeking process, from the writer’s perspective. Unfortunately, if the verdict is no, and the agency is one of the vast majority that utilize form-letter rejections, the submitter ends up with no idea whether the impetus to reject came on page 1 or page 371.

Renders it rather hard to improve the manuscript prior to the next submission, doesn’t it?

Before that rhetorical question depresses anybody too much, let’s return to defining our partials. 99% of the time, the kind of partial an aspiring writer will be asked to provide is this first kind: a requested number of pages, beginning on p. 1 of the manuscript, for submission to an agent. There is, however, another kind.

The two distinctly different flavors of partial: the taste of what is to come
After a novelist is already established, it is not unheard-of for her agent to be able to pull off a conjuring trick known as selling the next book on a partial. This is pretty much what it says on the box: the author produces the first X number of pages of a not-yet-completed novel, and the agent convinces an editor that it will be to the publishing house’s advantage to snap the book up before the author has polished it off.

This can be a good deal for the publisher: buying a book on a partial prevents other publishers from bidding on the finished work. Also, earlier involvement in the writing process often enables the editor to help shape the book more, in much the same way as an editor on a nonfiction book (typically sold on a book proposal, not the full manuscript, lest we forget) is able to dictate which of the proposed chapters will and will not be in the finished manuscript.

Not to mention the fact that if the book happens to be written by a famous author or celebrity in another field, the bidding could potentially get quite high. This is why, in case you’d been wondering, we all occasionally hear of a publisher’s acquiring a half-written novel at a cocktail party, because some celebrity simply handed ten pages to him along with his seventh martini: the publisher recognizes the potential marketing value of the name.

For your garden-variety serious novelist, however, such a situation is unlikely to arise. If her agent manages to sell her next book on a partial, it’s generally to the editor who acquired her last. Since so many first-book publishing contracts grant the publisher right of first refusal over the author’s next book, anyway — meaning that the publisher gets an exclusive peek at the book before anyone else can place a bid on it — selling on a partial is mostly a means to speed up the approval process.

Everyone clear on the difference between that kind of partial and the first kind? Excellent. Now let’s assume for a moment that, like Kim, you have just been asked to submit a partial to the agent of your dreams. What specifically are you being asked to do?

Let’s further assume that your manuscript (or whatever portion of it an agent or editor has requested that you send to be perused by Millicent, the Platonic agency screener) is already in tip-top formatting shape, all typos and logic problems removed, and thus what the industry calls clean — and if you’re not absolutely positive that your pages meet ALL of those conditions, stop right here and make a plan for tidying up your pages.

Trust me, this is a situation where spelling counts. As does grammar, punctuation, and everything else your 9th grade English teacher begged you to take seriously.

But once your work is in apple-pie order, as Louisa May Alcott used to say so frequently, what next?

What should a partial submission packet include, and in what order?
In part, this is a trick question, because — chant it with me now, readers — any submission packet should include precisely what the agent asked you to include, no more, no less. In the words of the immortal Fats Waller, find out what they like and how they like it, and let ‘em have it just that way.

Okay, so he wasn’t talking about literature when he sang that. Roll with me here.

As I mentioned above, agents are usually quite specific about what they want in a submission, up to and including how many pages they want to see. If you doubt this, check out an agency’s website or one of the standard agency guides, then attend a conference where agents are scheduled to speak. Raise your hand and ask whether it’s okay to send, say, the 55 pages it would take to round out a chapter when an agent has asked to see the first 50. You will be astonished at how people who say their preferences in clients are as vague as writers who produce “good writing in any genre” will suddenly transform into rule-hugging lovers of draconian efficiency, appalled at the very notion of extending the length of the partial.

To save you the trouble of asking, let me tell you what they will say: never, ever, EVER send what you THINK they want to see instead of what they have ASKED to see. Of course, you may offer in your cover letter to send more, but that is all.

So pull out your hymnals and sing along, campers: if you’ve been asked for the first 50, and the chapter ends in a blow-your-socks-off cliffhanger on p. 51, you should still only send the first 50, exclusive of the title page. (Since the title page is not numbered, it is not included in the page count, either.)

Of course, if you wanted to be Machiavellian about it, you could always perform a little strategic snipping prior to that, so said cliffhanger topples just on the bottom of p. 50. No one would fault you for that, for the very simple reason that it’s extremely unlikely that Millicent will ever sit down with your partial and full manuscript simultaneously. Partially, this is due to the fact that if an agency approves enough of a partial submission to want to see the rest of the novel, they’re going to ask for the entire manuscript, not, say, pages 51 through 373.

Oh, you thought Millicent was going to invest time in digging out your partial, unpacking your second submission, and fitting the two together like a jigsaw puzzle? Does that really sound like reasonable behavior to expect from the person too impatient to allow her latte to cool before taking her first sip?

Again, send precisely what you are asked to send. However — and this should sound familiar on the secret handshake front — any agent is going to assume that a writer of your caliber is already aware that certain requests imply certain inclusions. Here are the extra bits, in the order in which they are generally expected to appear in a packet containing a partial:

1. Cover letter
An astonishingly high percentage of submissions arrive without a cover letter, and often without a title page as well, begging the question: what makes these writers so positive that the requesting agent will still remember their queries or pitches well enough to render page one of chapter one instantly recognizable?

I hate to burst anyone’s bubble, but it’s not going to be — in fact, in many agencies, the person who heard the pitch or read the query won’t even be the first person to screen the submission. There may even be several Millicents who need to approve it before it gets anywhere near the agent of your dreams. So it doesn’t honestly make sense to assume that everyone who sets eyes on your manuscript will already be familiar with your work.

Besides, including a cover letter is polite. No need for a long-winded missive — a simple thank-you to the agent for having asked to see the materials enclosed will do. Something, perhaps, along the lines of this little gem:

A miracle of professional blandness, is it not? That’s all right — the cover letter isn’t where you’re going to wow Millicent with your sparkling prose and trenchant insight, anyway. All you have to be here is polite.

If you met the agent at a conference, mention that in the first paragraph of the letter, to help place your submission in context. (As crushing as it may be to the writerly ego to contemplate, an agent who spent days on end listening to hundreds of pitches probably is not going to remember each one. No need to re-pitch, but a gentle reminder never hurts.

If another agent is already reading all or part of the manuscript you’re sending — or has asked to see it — mention this in your cover letter. No need to say who it is or how long s/he has had it; just tell the recipient that s/he’s not the only one considering representing this book. Unless the agency has a policy forbidding simultaneous submissions, withholding this information will only generate resentment down the line if more than one agent wants to represent your book.

Yes, even if that agent to whom you submitted 9 months ago has just never responded. Actually, it’s in your strategic interest to contact that non-responder to let her know that another agent is interested; it often speeds up the evaluation process. Most importantly, make sure all of your contact information is on the letter, either in the header (letterhead-style, as in the example above) or just under your signature, and do be absolutely certain that the letter includes the title of your book, just in case the letter and the manuscript end up on different desks.

Yes, it does happen. You want them to be able to get ahold of you to tell you how much they love your writing, don’t you?

2. Title page
Always include this, if any manuscript pages have been requested — yes, even if you have already sent the first 50 pages, and are now sending the rest of the book.

No need to state on the title page that it’s a partial, either — Millicent will be able to figure that out from your cover letter and the thickness of the stack of paper. Just use the same title page that you would have used if the agent of your dreams had requested the entire manuscript, and you’ll be fine:

Again, not precisely a thrill-fest, but undoubtedly professional-looking. Just make sure that it’s in the same typeface as the rest of the attached manuscript. (If this all sounds completely cryptic to you, or if you have never formatted a professional manuscript before, don’t panic — you’ll find a step-by-step explanation of what to do under the HOW TO FORMAT A TITLE PAGE category at right.)

Why is it so very important to include the title page? Long-time readers, chant it with me now: because the submission looks more professional that way. Also, like the cover letter, the title page renders it easy for an agent to track you down. Believe me, if the agent of your dreams falls in love with your manuscript, you’re going to want to hear about it right away.

3. The requested pages in standard format.
Again: only the pages they’ve asked to see, beginning on page 1, professionally formatted. No substitutions, unless the agency website specifically asks for something else. For the benefit of those of you who are going to blow off that last piece of advice because you’re in a hurry — oh, I know that you’re out there — allow me to add something you would have learned from those posts on formatting, had you been paying attention: a manuscript intended for submission should not be bound in any way.

Oh, and do use at least 20-lb, bright white paper when you print it out. Cheaper paper can begin to wilt after the first screener has riffled through it. Yes, it does increase the already quite substantial cost of submission, but this is one situation where being penny-wise can cost you serious presentation points.

“So basically what you’re saying, in your patented lengthy and meticulously-explained manner,” those of you who have been paying close attention point out, and rightly, “is that Kim did everything right. Aren’t you?”

Why, yes, I am — kudos for your submitting savvy, Kim! You’re an example to aspiring writers everywhere, all the more so, in my opinion, because you were brave enough to ask the question. Now, everyone who has been wondering about it can benefit.

Sometimes, though, agents ask to see additional materials slipped into a submission packet with a partial. Okay, I’ll admit it: I’m a big fan of artists’ looking at ordinary, everyday things and showing us the beauty of them. Take the photograph above, for instance: that’s perfectly ordinary moss on a perfectly ordinary concrete wall, photographed during a perfectly ordinary Seattle rainstorm. (And while I was clicking away, crunching my body sideways in order to get this particular shot, a perfectly ordinary mother told her perfectly ordinary wee daughter to veer away from the crazy lady. Yet another case of a misunderstood artist — and another a child being warned that if she tries to look at something from an unusual perspective, people are bound to think she’s strange.)

Perhaps not astonishingly, writers tend to find beauty in found words. An overhead scrap of conversation, perhaps, or a favorite phrase in a book. And often — far too often, from Millicent the agency screener’s perspective — aspiring writers celebrate these words lifted from other places by quoting them at the beginning of their manuscripts.

That’s right, campers: today, I’m going to be talking about proper formatting for that extremely common opening-of-text decoration, the epigraph.

You know, those nifty little quotes from other sources that we writers so adore — and it’s not as though the publishing industry doesn’t encourage us to think of them this way: in a published book, the epigraph, if any, is almost always presented in a place of honor, either at the top of each chapter or by itself on the page before the text proper starts. Take, for example, the placement of the well-known epigraph to Alice Walker’s THE COLOR PURPLE, an excerpt from Stevie Wonder’s DO LIKE YOU:

Okay, so that picture didn’t really do the words justice; not all of my photos can be winners, you know. (In case you don’t happen to have a copy of the book handy, the epigraph runs thus: Show me how to do like you/Show me how to do it.) It does, however, show the prominent placement the epigraph affords: even in my cheap, well-worn paperback edition, it scores a page all to itself.

In other words, not only is it allocated space; it’s allocated white space, to set it off from the other text. In an age when acknowledgments pages are routinely omitted, along with the second spaces after periods and colons, in order to save paper, that is quite an honor. Especially since nobody but writers like epigraphs much — of that, more later.

But we writers think they’re great, don’t we? Especially if they’re from obscure sources; they feel so literary, don’t they? Or deep-in-the-national-psyche, know-your-Everyman populist, if they’re from songs. By evoking the echo of another writer’s words, be it an author’s or a songwriter’s, we use them to set the tone for the story to come.

I don’t think conceptual aptness is all there is to the appeal, though. There is something powerfully ritualistic about typing the words of a favorite author at the beginning of our manuscripts; it’s a way that we can not only show that we are literate, but that by writing a book, we are joining some pretty exalted company.

Feeling that way about the little dears, I truly hate to mention this, but here goes: it’s a waste of ink to include them in a submission. 99.9998% of the time, they will not be read at all.

Stop glaring at me; it’s not my fault. I don’t stand over Millicent with a bullhorn, admonishing her to treat every syllable of every submission with respect. (Although admittedly, it’s an interesting idea.)

The sad fact is, most Millicents are specifically trained not to read epigraphs in manuscripts; it’s widely considered a waste of time. I’ve literally never met a professional reader who doesn’t simply skip epigraphs in a first read — or (brace yourselves, italics-lovers) any other italicized paragraph or two at the very beginning of a manuscript, even if it was .

Oh, dear — I told you to brace yourselves. “Why on earth,” italics-lovers the world over gasp in aghast unison, “would any literature-loving human do such a thing? Published books open all the time with italicized bits!”

A fair question — but actually, there’s a pretty fair answer. Most Millicents just assume, often not entirely without justification, that if it’s in italics, it doesn’t really have much to do with the story at hand, which (they conclude, not always wrongly) begins with the first line of plain text.

Of course, there’s another reason that they tend to skip ‘em, a lot less fair: at the submission stage of the game, no one cares who a writer’s favorite authors are. A writer’s reading habits, while undoubtedly influential in developing his personal voice, are properly the subject of post-publication interviews, not manuscript pre-screening time. After all, it’s not as though Millicent can walk into her boss’ office and say, “Look, I think you should read this submission, rather than that one, because Writer A has really terrific literary taste,” can she?

Whichever reason most appeals to the Millicent who happens to have your submission lingering on her desk (just under that too-hot latte she’s always sipping, no doubt), she’s just not going to be reading your carefully-chosen epigraph. She feels good about this choice, too.

Why? Well, the official justification for this practice — yes, there is one to which Millicents will admit in public — is not only reasonable, but even noble-sounding: even the busiest person at an agency or publishing house picks up a submission in order to read its author’s writing, not somebody else’s.

Kinda hard to fault them for feeling that way, isn’t it, since we all want them to notice the individual brilliance of our respective work?

Sentiment aside, let’s look at what including an epigraph achieves on a practical level, as well as its strategic liabilities. Assume for a moment that you have selected the perfect quotation to open your story. Even better than that, it’s gleaned from an author that readers in your chosen book category already know and respect. By picking that quote, you’re announcing from page 1 — or before page 1, if you allocate it its own page in your manuscript — you’re telling Millicent that not only are you well-read in your book category, but you’re ready and able to take your place amongst its best authors.

Sounds plausible from a writerly perspective, doesn’t it? That’s one hard-working little quote.

But what happens when Millicent first claps eyes on your epigraph? Instead of startling her with your erudition in picking such a great quote, the epigraph will to prompt her to start skimming before she gets to the first line of your text — AND you will have made her wonder if you realized that manuscript format and book format are not the same.

So you tell me: was including it a good idea? Or the worst marketing notion since New Coke?

If that all that hasn’t convinced you, try this on for size: while individual readers are free to transcribe extracts to their hearts’ contents, the issue of reproducing words published elsewhere is significantly more problematic for a publishing house. While imitation may be the sincerest form of flattery, reproduction of published text without the author’s permission is known in the biz by another, less flattering name: copyright infringement.

What does that mean in practice? Well, if the epigraph is from a book that is not in the public domain, the publisher will need to obtain explicit permission to use any quote longer than fifty words. Ditto for any quote from a song that isn’t in the public domain, even if it is just a line or two.

So effectively, most epigraphs in manuscripts might as well be signposts shouting to an editor: “Here is extra work for you, buddy, if you buy this book! You’re welcome!”

I’m sensing some disgruntlement out there, amn’t I? “But Anne,” I hear some epigraph-huggers cry,
“the material I’m quoting at the opening of the book is absolutely vital! The book simply isn’t comprehensible without it!”

Before I respond, let me ask a follow-up question: do you mean that it is crucial to the reader’s understanding the story, or that you have your heart set on that particular quote’s opening this book when it’s published?

If it’s the latter, including the epigraph in your manuscript is absolutely the wrong way to go about making that dream come true. Like any other book formatting issue, whether to include an epigraph — or acknowledgements, or a dedication — is up to the editor, not the author. And besides, a submission manuscript should not look like a published book.

Consequently, the right time to place your desired epigraph under professional eyes is after the publisher has acquired the book, not before. You may well be able to argue successfully for including that magically appropriate quote, if you broach the subject at the right time.

And just to set my trouble-borrowing mind at ease: you do know better than to include either acknowledgements or a dedication in your manuscript submissions, right? It’s for precisely the same reason: whether they’ll end up in the published book is the editor’s call. (I wouldn’t advise getting your hopes up, though: in these paper-conserving days, the answer is usually no on both counts, at least for a first book.)

Quite a few of you were beaming virtuously throughout those last three paragraphs, though, weren’t you? “I know better than to second-guess an editor,” you stalwart souls announce proudly. “I honestly meant what I said: my opening quote is 100% essential to any reader, including Millicent and her cohorts, understanding my work.”

Okay, if you insist, I’ll run through the right and wrong ways to slip an epigraph into a manuscript — but bear in mind that I can’t promise that even the snazziest presentation will cajole Millicent into doing anything but skipping that quote you love so much. Agreed?

For starters, do not, under any circumstances, include a quote on the title page as an epigraph — which is what submitters are most likely to do, alas. Let’s take a gander at what their title pages tend to look like:

Does that leave you wondering Millicent will notice the quote at all, much less find it obnoxious? I’m guessing she will, because this is was what she was expecting to see:

Actually, that was sort of a red herring — that wasn’t precisely what she expected. Pop quiz: did you catch the vital piece of information he left off his title page?

If you said that Eeyore neglected to include the book category on the second example, award yourself a pile of thistles. (Hey, that’s what he would have given you.) His title page should have looked like this:

And yes, I am going to keep showing you properly-formatted title pages until you start seeing them in your sleep; why do you ask? Take a moment to compare the third example with the first: the quote in the first example is going to stand out to Millicent like the nail in a certain critter’s tail, isn’t it?

Other submitters choose to eschew the title page route in order to place an epigraph on the first page of text. The result is immensely cluttered, by anyone’s standards — especially if the submitter has made the very common mistake I mentioned in my discussion of title pages last time, omitting the title page altogether and cramming all of its information onto page 1:

The last popular but ill-advised way to include an introductory epigraph is to place it on a page all by itself in the manuscript, between the title page and the first page of text. In other words, as it might appear in a published book:

What’s wrong with this, other than the fact that Poe died before our boy D.H. wrote Sons and Lovers? Chant it with me now, everyone: a manuscript is not supposed to look just like a published book; it has its own proper format.

At best, Millicent is likely to huffily turn past this page unread. At worst, she’s going to think, “Oh, no, not another writer who doesn’t know how to format a manuscript properly. I’ll bet that when I turn to page one, it’s going to be rife with terrible errors.” Does either outcome sound especially desirable to you?

I thought not. So what should an epigraph-insistent submitter do?

Leave it out, of course — weren’t you listening before?

But if it is absolutely artistically necessary to include it, our pal Mssr. Poe actually wasn’t all that far off: all he really did wrong here was include a slug line. The best way to include an introductory epigraph is on an unnumbered page PRIOR to page 1. On that unnumbered page, it should begin 12 lines down and be centered. But I’m not going to show you an example of that.

Why? Because I really, truly would advise against including an epigraph at all at the submission stage. Just in case I hadn’t made that clear.

That doesn’t mean you should abandon the idea of epigraphs altogether, however. Squirrel all of those marvelous quotes away until after you’ve sold the book to a publisher — then wow your editor with your erudition and taste. “My,” the editor will say, “this writer has spent a whole lot of time scribbling down other authors’ words.”

Or, if you can’t wait that long, land an agent first and wow her with your erudition and taste. But don’t be surprised if she strongly advises you to keep those quotation marks to yourself for the time being. After all, she will want the editor of her dreams to be reading your writing, not anyone else’s, right?

If you are submitting directly to a small press, do be aware that most publishing houses now place the responsibility for obtaining the necessary rights squarely upon the author. If you include epigraphs, editors at these houses will simply assume that you have already obtained permission to use them. Ditto with self-publishing presses.

This expectation covers, incidentally, quotes from song lyrics, regardless of length.

I’m quite serious about this. If you want to use a lyric from a song that is not yet in the public domain, it is generally the author’s responsibility to get permission to use it — and while for other writing, a quote of less than 50 consecutive words is considered fair use, ANY excerpt from an owned song usually requires specific permission, at least in North America. Contact the American Society of Composers, Authors, and Publishers (ASCAP) for assistance in making such requests. Have I talked you out of including an epigraph yet — particularly an excerpt from a copyrighted song, like Alice Walker’s? I hope so.

I know that it hurts to cut your favorite quote from your manuscript, but take comfort in the fact that at the submission stage, no cut is permanent. Just because you do not include your cherished quotes in your submission does not mean that they cannot be in the book as it is ultimately published.

Contrary to what 99% of aspiring writers believe, a manuscript is a draft, not a finished work. In actuality, nothing in a manuscript is unchangeable until the book is actually printed — and folks in the industry make editing requests accordingly.

In other words, you can always negotiate with your editor after the book is sold about including epigraphs. After you have worked out the permissions issue, of course.

There’s nothing like a good practical example to clarify things, is there? More follow next time. Keep noticing the beauty in the everyday, everybody, and keep up the good work!

We begin today with a pop quiz, inspired by sharp-eyed reader Jinnayah’s comment on yesterday’s post. Quick, tell me: did I take the photo above while looking down into an abyss, sideways into an alcove, or up at an impossibly high ceiling?

Hard to tell which way is up, isn’t it? (But here’s a hint: the purple stuff is flying dust.) Without some orienting landmarks, it’s difficult even to know for sure what you’re looking at, or from what direction.

That’s more or less the same problem the average aspiring writer faces when looking at her own first manuscript or book proposal with an eye to figuring out whether it is formatted correctly, right? Let’s face it, very, very few as-yet-to-be-published writers have ever seen a professional manuscript up close and personal; still fewer have had the opportunity to glance through a professional book proposal. Oh, there’s plenty of advice out there on how it should be done, of course, but as many of you have no doubt noted with chagrin, sources differ.

So how on earth is someone new to the game supposed to figure out which end of the manuscript is up, figuratively speaking?

The trick lies in remembering that the principles governing manuscript formatting are practical and historical, not aesthetic. Thus, while two-inch margins and a cursive typeface may strike a writer as the perfect expressive extension of the spirit of his novel, to someone who reads manuscripts for a living, they’re just puzzling. And distracting.

Where you stand, in other words, depends on where you sit. From where Millicent is sitting, deviation from standard format demonstrates a lack of knowledge about how the industry works, not creativity. She has good reason to feel that way: because professional manuscripts and book proposals are formatted in a particular way, she knows that her boss, the agent of your dreams, would have a hard time convincing an editor at a major publishing house to read even the first page of an unprofessional formatted manuscript.

Which brings be back to where we left off last time, right? For the past couple of posts, we’ve been engaging in compare-and-contrast exercises, showing common examples of title pages and fine-tuning your binoculars so you might see how our old friend Millie — or her boss, or an editor, or a contest judge — might view them. As I sincerely hope those of you who read the post can attest, it was pretty obvious that the professionally-formatted title page won the beauty contest hands-down. Or, if the bulk of you aren’t yet willing to attest to that, may I at least hope that everyone is now aware that as far as presentation goes, where you stand depends upon where you sit?

Case in point: a choice as small as a typeface can make an astonishingly great difference to how professional your work looks to the pros. That comes as something of a surprise to most aspiring writers — who, not entirely surprisingly, tend to regard that particular decision as a purely aesthetic one. “Why,” they ask, and not unreasonably, “should it even matter to Millicent? Good writing’s good writing, isn’t it?”

Well, yes and no. Yes, good writing is a thing of beauty and a joy forever. No, insofar as good writing tends to have less impact on the average Millicent when it’s presented in an unusual typeface.

Yes, really. To see why, let’s once again start at the top of the submission packet, taking a gander at the same title page in three different typefaces. Here it is in 12-point Times New Roman, one of the two preferred typefaces:

That’s what anyone sitting in Millicent’s seat would expect to see. Now let’s look at exactly the same information, assuming that Aunt Jane favored 12-point Helvetica:

The letters appear quite a bit bigger, don’t they? Not enough so to appear to be, say, 14-point font, but large enough to make Millicent wonder whether the word count is accurate. (Estimated word count does, after all, vary by typeface: Times New Roman is estimated at 250 words/page, Courier at 200. More on that below.) And do you really want her speculating about your credibility before the first page of your manuscript?

So if we seat ourselves in Millicent’s office chair, we can see that Aunt Jane’s choice of Helvetica, while not a deal-breaker, does not necessarily present her manuscript to its best advantage. And now you want to see a typeface that might be a deal-breaker, don’t you? Happy to oblige.

Can’t really blame Millicent for not wanting to turn the page on that one, can we? Despite containing all of the information that a title page should include, in the right places and in the right order, it’s unprofessional-looking. Not to mention hard to read.

Got Millicent’s perspective firmly imbedded in your mind? Excellent. If you want to switch back to the writer’s point of view, all you have to do is remember that the manuscript that follows even this last title page is SENSE AND SENSIBILITY.

The moral: even the best writing may be placed at a competitive disadvantage by unprofessional presentation.

I assume that all of that clanking is a thousand writers’ hackles being raised. “But Anne,” outraged voices thunder “aren’t you assuming that Millicent’s pretty shallow? Whenever I’ve heard agents and editors asked at conferences or on their websites about whether cosmetic issues can get a manuscript rejected, they often disclaim the notion with scorn. I’ve even heard a few of them say that they don’t care about issues like typeface, spaces after periods and colons, or where the chapter title lies — and that strikes me as significant, as I’ve never, ever heard one say it was okay to let a query letter run longer than a single page. Isn’t it the writing that matters in a submission, ultimately?”

Again, yes and no, hackle-raisers. Yes, the writing matters — but it’s not all that matters.

Naturally, the writing matters most in a submission, with freshness, audience-appropriateness, marketability, and fit with the agent or editor reading it jostling for second place. Equally naturally, and something that I often point out here, individual agents, editors, and even contest judges harbor individual preferences as well and have been known to express them at conferences. Or on their blogs, Twitter feeds, and over drinks at that bar that’s never more than 100 yards from any literary conference in North America.

One person’s pet peeve, however, may not be another’s, and since few aspiring writers of my acquaintance either take the trouble or have the information required to find out the preferences of every agent to whom they are submitting, adhering to standard format minimizes the probability of running afoul of unknown annoyance-triggers. Because, honestly, trying to apply every single one of the expressed opinions floating around out there to your manuscript will drive you 100% nuts. The pet peeves are too often mutually contradictory, for one thing.

Which is to say: if an agent to whom you are submitting asks for something different, for heaven’s sake, give it to her; if, as is almost always the case, you just don’t know, keep the presentation unprovocative and professional so that your writing may shine.

In other words, adhere to the strictures of standard format, rather than assuming, as so many aspiring writers do to their cost, that the writing is the only thing that matters.

Remember, where you stand depends on where you sit. And from both Millicent and the aspiring writer’s perspective, taking the time to present writing professionally is honestly worth it.

Yes, admittedly, one does hear of cases where a kind, literature-loving agent has looked past bizarre formatting in order to see a potential client’s, well, potential, one also hears of isolated cases where a manuscript rife with spelling and grammatical errors gets picked up, or one that has relatively little chance of selling well in the current market. The age of miracles has not entirely passed, apparently.

But — and this is a BIG but — these cases get talked about because they are exceptions, and rare ones at that. 9,999 times out of 10,000, any of these problems will result in, if not instantaneous rejection, then rejection upon Millicent’s lighting upon the next problem in the manuscript.

Those hackles are clacking again, aren’t they? “Okay,” the hackled admit, “I can understand how Millicent would be tempted to skip reading a submission like #3 above, where she’s likely to strain her eyes. I can seen see why she might leap to some negative conclusions about #2, since, as you have mentioned before, she knows that it’s going to be more time-consuming, and thus more costly, to take on a client who needs to be trained how to present her work professionally. But if presentation is so darned important, why don’t aspiring writers hear about it more often at conferences, in articles about submission, or even just in discussions amongst ourselves?”

Excellent question, h-raisers. I can’t say for sure, but I suspect that’s not just because a sane, sensible individual with a reputation to protect is unlikely to stand up in front of 500 eager potential submitters and say, “Look, if you’re planning to submit a grimy photocopy of your book, or insist upon presenting it in 10-point type, or not indenting your paragraphs, just don’t bother to query me.”

Having actually seen a well-meaning agent tell an indignant crowd that he really only took seriously query letters from writers he met at conferences (yes, really; there were many, many witnesses), I can tell you precisely what would happen if some honest soul did take this astounding step: instantly, 500 pens would scrawl on 500 programs, DO NOT QUERY THIS ONE; HE’S MEAN.

Which would rather defeat the agent’s purpose in coming to the conference to recruit new clients, wouldn’t it?

As someone who frequently teaches writing and formatting classes, I can think of another reason that a speaker might want to be careful about such pronouncements: an agent or editor doesn’t have to speak at many conferences (or blog for very long) before recognizing that anything she says about submissions is likely to be repeated with the éclat of a proverb for years to come amongst the writing community.

Seriously, it’s true. I’ve heard offhand comments made from the dais, or even jokes, being debated for hours in conference hallways, particularly if those comments happen to relate to the cosmetic aspects of querying and submission. 5-4 Supreme Court decisions are routinely discussed with less vim and vitriol. Some of Miss Snark’s pronouncements have been more commented upon than St. Paul’s second letter to the Corinthians.

Okay, so that last is a slight exaggeration. My point is, the very notion of from-the-horse’s-mouth rightness carries such a luster that such speakers are constantly in extreme danger of having everything they say quoted back to them as an inflexible rule.

Which is why, I must admit, I occasionally experience qualms about presenting the rules of standard format as inflexible rules. On the pro-regulation side, we are talking, after all, about an industry that both values creativity and considers submitting a book proposal in anything but a black folder dangerously radical. (Yes, really.) On the con side, literally nothing else I talk about here consistently raises as much writerly ire.

The very topic of presentation seems to be emotionally trying for a lot of writers — disproportionately so, from where Millicent is sitting. Tell an aspiring writer that his dialogue is turgid, or his pacing drags, or that he’s left a necessary section out of his book proposal, and most of the time, he’ll be at least curious about why you think so. (If a bit defensive.) Yet suggest to the same writer that he might be better off reformatting his manuscript to include such niceties as paragraph indentation or moving his page number to the slug line, and a good quarter of the time, he’ll look at you as though you’d just kicked his grandmother. Thrice.

Go figure, eh?

Presentation issues definitely do matter — which is, again, not to say that the quality of the writing doesn’t. But — and again, this is a BIG but — as we’ve discussed, rejection decisions are often made on page 1 of a manuscript. Sometimes even within the course of the first paragraph. And if the manuscript is hard to read, due to a funky typeface or odd spacing or just plain poor print quality, it may not be read at all.

While these phenomena are, in fact, quite widely recognized as true, the person who announced them this baldly from the dais at a literary conference would be covered head to foot with flung tomatoes in twenty seconds flat. Metaphorically, at least.

Which is why I’m going to keep saying it until I’m blue in the face and you die of boredom: from the perspective of someone who reads manuscripts for a living, professional formatting is simply the least distracting way a book can possibly be presented. Perversely, adhering to the industry’s cosmetic expectations renders it MORE likely that an agent or editor will concentrate upon the beauty of the writing, not less.

Think about it: they can’t fall in love with your good writing until they read it, can they? So don’t you want to do everything within your power to convince them that your manuscript is the one that deserves more than a cursory glance?

Of course you do; if you didn’t, you would have given up on this series a paragraph into it, right? Instead of thinking of the rigors of standard format as a series of unimportant (or even silly) superficial choices, try regarding them as translating your calling card, a means of catching Millicent’s tired eye and informing her that this is a manuscript that should be taken seriously.

Have I got you sufficiently fired up about superficial manuscript prettiness yet? Grand; let’s get back to the incredibly nit-picky issue of typeface.

As I mentioned earlier in this series, I would highly recommend using either Times, Times New Roman, or Courier typefaces, both on the title page and in the manuscript as well. These are the standards of the industry, and thus the least likely to raise Millicent’s ever-knitted eyebrows. But like some of the other strictures of standard format, there’s a pretty good reason for this one: from where she is sitting, word count estimation is always predicated upon one of these typefaces.

Why is the question of estimating relevant on a title page? Again, we must look to Millicent’s perspective: word counts in book manuscripts are generally estimated, not the actual count; for short stories and articles, use the actual count.

Was that giant gust of wind that just knocked my desk over your collective gasp of astonishment? I’m not entirely surprised; a lot of aspiring writers are confused on this point. “But Anne,” they protest, and who can blame them? “My Word program will simply tell me how many words there are in the document. Since it’s so easy to be entirely accurate, why shouldn’t I be as specific as possible? Or, to put it another way, why would an agent or editor ask for the word count, then expect me to guess?”

Would you throw something at me if I said once again that this is a matter of perspective? From Millicent’s seat, the answer is pretty obvious: industry practices dictate how manuscripts are handled, not the whims of the fine folks at Microsoft. I mean, the Microsofties I know are sterling human beings to a man, but hardly experts on the publishing industry’s requirements. And really, why should they be?

Contrary to popular opinion amongst aspiring writers, just because Word is set up to allow certain things — giving you an exact word count, for instance, or access to 200 typefaces — doesn’t mean that the publishing industry wants writers to do things that way. (And if you doubt that, consider the doubled dash vs. the automatic emdash Word favors.) Word processing programs came into use long, long after standard format for manuscripts, after all; why should agents, editors, and Millicents allow computer programmers to dictate what strikes them as professional?

Perspective, people: which makes more sense, assuming that the word count on your title page will be read by Millicent, or Bill Gates?

I cannot, naturally, speak to Mssr. Gates’ point of view on the subject, but here is why Millicent would care on the estimation front. The Times family is estimated at 250 words/page; Courier at 200. So a 400-page manuscript in Times New Roman is estimated to be roughly 100,000 words if it’s in Times — something Millicent should be able to tell as soon as she claps eyes on the submission’s title page, right? — and 80,000 if it’s in Courier. (If the logic behind that is at all confusing, please see the WORD COUNT category on the archive list at right for further explanation.)

Now, in actual fact, a 400-page manuscript in TNR is probably closer to 115,000 words; as any writer who has compared the estimated word count for her book with the total her word processing program so kindly provides, they tend to differ wildly. But word count, like beauty, is in the eye of the beholder: a novelist whose title page reported, accurately, that her 400-page novel was 115,000 words might well see it rejected out of hand on the grounds that it was too long.

Why? Well, math may not have been Millicent’s best subject (as one might expect, the inmates of agencies tend overwhelmingly English majors), but she can do third-grade multiplication in her head: 115,000 words at 250 words/page would equal a 460-page manuscript. That’s quite a bit longer than editors tend to expect first novels in most genres to be these days; at around 450 pages, binding costs rise significantly.

In other words, next!

Boy, those hackles are getting a workout today, aren’t they? “But Anne, why is Millicent estimating at all? If she wants to know how long it is, why doesn’t she just flip to the last page and check the page number, for heaven’s sake?”

I could give you a long song and dance about how much her wrists hurt from opening all those query envelopes all day, or how her secret midnight e-mail orgies have rendered pinching a torture, but in practice, the answer is far less personal than practical: because the word count is right there on the title page.

Tell me, oh submitters: why on earth should she doubt its accuracy? Unless, say, the title page were in a non-standard typeface like Helvetica, she’s going to assume that an aspiring writer familiar enough with standard format to include the word count on the title page would also know how to estimate it accurately.

I know, I know: from a writerly perspective, that’s kind of a wacky assumption. But her chair boasts a different view than ours.

Besides, how exactly could she manage to turn to page 400 of a manuscript, when her boss requested that the writer send only the first 50, without resorting to some pretty impressive maneuvering through time and space?

I’m aware that I’m running quite long today, but in the interest of clarity, let’s invest another few minutes in turning to the first page of the submission, to see how much of a difference font and typeface make at first glance. Here’s a correctly-formatted page 1 in Times New Roman. Just for giggles, I’m going to use that notorious editor’s nightmare, the opening paragraphs of A TALE OF TWO CITIES:

Pretty spiffy, eh? And definitely not how this opening would appear in a published book, right?

Now let’s take a peek at the same page, also correctly formatted, in Courier. Note how many fewer words per page it allows:

Got both of those firmly imbedded in your brainpan? Good. Now format your first pages that way for the rest of your natural life.

Well, my work here is obviously done.

Just kidding — you want to see why it’s a good idea, don’t you? Okay, take a gander at the SAME first page, not in standard manuscript format. See how many differences you can spot:

Fascinating how just a few small formatting changes can alter the presentation, isn’t it? It’s exactly the same WRITING — but it just doesn’t look as professional. To Millicent, who reads hundreds of pages per day, the differences between the last three examples could not be clearer.

And yet, if we’re going to be honest about it, there were really very few deviations from standard format in the last example. For those of you playing at home, the typeface is Georgia; the chapter title is in the wrong place, and there isn’t a slug line. Also, the page is numbered in the wrong place — the default setting, incidentally, in many word processing programs.

Again, in all probability, none of these infractions against the rules of standard format are serious enough to cause Millicent to toss a submission aside as soon as she notices them. But when poor formatting is combined with literary experimentation — like, say, that paragraph-long first sentence ol’ Charles managed to cough up — which do you think she is going to conclude, that Dickens is a writer who took the time to polish his craft, or that he just doesn’t know what he’s doing?

Don’t tempt her to draw the wrong conclusion. Remember, where a manuscript stands depends upon where the reader sits.

Before any hackles start heading skyward again, I hasten to add: where the submitting writer sits often makes a difference to Millicent’s perception, too. Millicent’s reception of that last example is very likely to be different before Dickens became a household name or after, although once he was established. Unless you happen to be famous, I wouldn’t advise taking the risk.

And if you do happen to be famous, could I interest you in writing a back jacket blurb?

In fairness to Millicent, though, it’s highly unlikely that it would even occur to our Charles to deviate this markedly from standard format, if he already had experience working with an agent or editor. The longer you remain in the business, the more those little things will strike you as just, well, matters of right and wrong. As, fortunately or not, they do Millicent and her ilk.

Come to think of it, that sense of fitness may well be the reason that discussions of formatting tend to become so vitriol-stained: we all like to be right, and after all, propriety is in the eye of the beholder. After all, each of us is most familiar with the view from her own chair.

Pulling back from one’s own perspective can be most helpful. There’s a reason that it’s called the bigger picture, people. In that spirit, let’s take a longer view of the photo above, to situate ourselves:

The getting-a-book-published basics, part VI: responding sensibly to that much-anticipated request for pages

No, I’m not devoting today’s post to the resting habits of seagulls. I just thought that after all of the horrifying imagery we’ve all been seeing over the last 24 hours, a nice, soothing image wouldn’t be amiss today. (But if you’re itching to help out: both the Red Cross and Doctors without Borders can put donations to work helping earthquake victims right away.)

For those of you joining us mid-series, I’ve been spending the last few posts on an overview of how books currently get published in the United States. Not the astonishing pervasive fantasy that all a good writer has to do to get published is to write a book, but the actual logistics of what happens. The view from the trenches, as it were. So far, we’ve gone over how US-based publishing has changed over time; how fiction and nonfiction are marketed differently; why a writer needs an agent; the various methods of seeking representation, along with their pros and cons, and last time, what kinds of reactions an aspiring writer may reasonably expect following an attempt to approach an agent.

Is everyone fairly clear on all of those? If not, please feel free to post questions in via the comments functions — or, better yet, to seek out more detailed answers amongst the many and varied categories on the archive list on the lower right-hand side of this page.

Yes, yes, I know: I have been harping on the archives quite a bit over the last few posts, but I assure you, I have my reasons. The current series is intended to give those new to trying to get their work published — and anyone else who feels like reading it — a general view of how the process works, as opposed to my usually favored approach, the let’s-concentrate-on-this-one-small-aspect-for-a-week method of analysis. Both have their benefits, of course, but if you are looking for elucidation on any of the individual points I’m discussing here, chances are that you will find far more discussion than you ever dreamed in the archived posts.

So if delving into the archive list starts to feel like trying to catalogue the contents of Pandora’s box, well, don’t say that I didn’t warn you. Back we go to the general overview.

What a writer should do if an agent requests materials: paper or ether?
If a query or pitch is successful, an agent will typically ask the writer to send either the entire manuscript (rare), a specified number of pages from the beginning of the book (substantially more common), or, for nonfiction, the book proposal. Most of the time, this means that the agent is expecting to receive it as hard copy, sent by regular mail, so if the requesting agent does not specify, start printing.

Yes, even if you queried electronically; reading submissions in soft copy is still far from universal. If an agent prefers e-mailed submissions, he will tell you so when he requests the pages; that information is often included on the agency’s website’s submissions requirements list as well.

If an agent does prefer electronic submissions (and tells you so), send the requested pages as an attachment to an e-mail. Under no circumstances should you ever send a computer disk or CD-R with your book on it — it will be returned without being opened.

If you are planning to submit electronically, please be aware that unless a US-based agent specifically states otherwise, the attachment he has in mind is a document in MS Word. If you work on a Mac, make sure to send it as a Windows-friendly document and as .doc file; many agencies do not run recent enough versions of Word to read .docx files.

Why Word, as opposed to any of the many software programs out there professing to create professional-looking book pages? Word is what the major publishing houses use, that’s why. If the agent of your dreams is going to submit electronically to an editor, that’s how the editor would expect to receive it.

Occasionally, an agent will ask for attachments as rtf (rich text format), a version without the formatting bells and whistles that render documents hard to translate across word processing systems; if you don’t habitually work in Word, but send your document in rtf, a Word user should be able to open it. Some agents accept submissions in PDF format — especially those who choose to read submissions on a Kindle, rather than on a computer screen, as is becoming increasingly common — but it’s seldom preferred, as it’s hard to edit.

Because the human eye reads much more quickly on a backlit screen than on a printed page, it’s usually to the writer’s advantage to submit in hard copy, rather than electronically. It’s also more work for an agent to reject a paper copy, as opposed to the single action of hitting the DELETE key required to remove an e-submission from his life forever; that’s also true of mailed vs. e-mailed queries, incidentally. However an agent has asked you to submit, though, do as he asks. In fact, if there is one inviolable rule to bear in mind while preparing a submission packet, it is surely send the agent precisely what he has asked you to send.

What a writer should do if an agent requests materials: demonstrating you can follow directions
Being hyper-literal often doesn’t serve an aspiring very well along the frequently perilous road to publication, but this is one time where it’s positively a boon. All too often, aspiring writers get so excited over an agent’s request that they forget the quality of the writing is not necessarily the only factor an agent weighs in deciding whether to represent a client. She’s also going to being paying attention to whether the submitter is good at doing what he’s asked to do.

So I reiterate: submit precisely what the agent asks you to send — and only what she asks you to submit.

What might that mean in practice, you ask? Well, if the agent asked to see the first 50 pages, send the first 50 pages — not the first 49, if a chapter happens to end there, or 55 if there’s a really exciting scene after page 50. If page 50 ends mid-sentence, so be it.

Getting the picture?

Why is it so very important to follow submission instructions exactly? The ability to follow directions to the letter tends to be a quality that agents LOVE to see in potential clients, since it implies the writers in question possess two skills absolutely essential to working well with an editor — no, make that three: an ability to listen or read well, a capacity for setting goals and meeting them, and a professional attitude.

So getting the contents of the submission packet right is monumentally important. So if you receive the request in the course of a pitch meeting, take the time to write down a list of what the agent is asking you to send. Read it back to him to make sure you caught everything. (Trust me, if you’re face-to-face with an agent who has just said yes to you, you won’t be thinking with your usual clarity.)

If the agent makes the request in writing, read the missive through several times, then sit down and make a list of what he’s asked you to send. Wait at least 24 hours before re-reading the communication to double-check that every requested item made it onto the list. THEN assemble your submission packet, checking off each element as you place it into the envelope or box.

Clever reader Tad came up with a brilliant extra level of security: after you have assembled the submission packet, hand it, your list, and a copy of the letter from the agent to someone you trust — a parent, a significant other, a best friend, or any other friendly, detail-oriented person you’re relatively certain isn’t harboring a secret desire to see you miserable — and ask that person to check that (a) the letter and the list correspond exactly and (b) you’ve included every necessary element in the packet.

Yes, it’s THAT vital to get it right.

Throughout the last few paragraphs, I’ve been sensing some confusion out there. “But Anne,” a few timid souls pipe up, “am I missing something here? How difficult could it possibly be to print up the number of pages the agent requests, place them in an envelope, and pop it in the mail? Are you saying that he might ask to see something other than the manuscript?”

Often, yes. There are also a couple of elements that any US-based agent will expect to see, whether or not he asks you to include them.

What might an agent ask you to submit — and what should you always send whether she asks for it or not
Since there is no industry-wide standardization of what precisely belongs in a submission packet, any given agent may ask for a different array — and you already know to send precisely what each asks you to send, right? However, the most commonly-requested elements are:

* The requested pages in standard manuscript format, unbound.
The most popular lengths to ask for are the first chapter, the first three chapters, the first 50 pages, the first 100 pages, and the entire manuscript. If you’re unfamiliar with the way a professional manuscript should look (hint: not like a published book, nor is it identical to a short story submission), please see the HOW TO FORMAT A BOOK MANUSCRIPT and STANDARD FORMAT ILLUSTRATED categories at right.

A few cautionary notes, just in case any of you are too eager to get that packet out the door to check the formatting posts: manuscripts absolutely must be double-spaced, in 12-point type (preferably Times, Times New Roman, or Courier), printed on only one side of the page with one-inch margins, and feature indented paragraphs. (No, business format is not proper here — for a full explanation why, please see the BUSINESS FORMAT VS INDENTED PARAGRAPHS category at right.)

* A synopsis.
For fiction, this is a description of the major twists and turns of the plot, told as vividly as possible. Remember what I said last time about every syllable you submit to an agent being a writing sample? Holds true for the synopsis, too. (For tips on how to pull this off in what is often an intimidatingly small number of pages, please see the HOW TO WRITE A REALLY GOOD SYNOPSIS category at right.)

For nonfiction, it’s a summary of the central question the book will address, why the question is important to answer, and a brief indication of what evidence you will use to bolster your arguments. (For an in-depth look at how to pull one of these together, please see HOW TO WRITE A NONFICTION SYNOPSIS category at right.)

* An author bio.
This is an extended version of the 1-paragraph description of your life, with emphasis upon your writing credentials, your education, and any experience that would lead an observer to regard you as an expert on the subject matter of your book. For a crash course on how to write one, please see the HOW TO WRITE AN AUTHOR BIO category. (Hey, I wasn’t kidding about there being a whole lot of elucidation on this site. If an agent asks you for something, chances are that I’ve written a two-week series on how to produce it.)

* The book proposal.
As I mentioned earlier in this series, book proposals are marketing packets used to sell nonfiction. For an explanation of what should go into it and how to put it together, please see the HOW TO WRITE A BOOK PROPOSAL category. (This is starting to read like the back of a greatest hits album, isn’t it?

* A marketing plan.
This request was unheard-of for novels until just a couple of years ago, but recently, the marketing plan has been enjoying a vogue. For fiction, it’s the same document as the similar section in the book proposal (and thus a description of how to write one may be found under the HOW TO WRITE A BOOK PROPOSAL category): a description the target audience for the book and how to reach them.

Bear in mind that what anyone who asks to see a marketing plan has in mind is what the AUTHOR will be doing to promote the book, not the publishing house’s efforts, so just saying, “I will make myself available to go on a book tour,” probably isn’t going to impress anybody. Think creatively: who is your target reader, and where do folks like that congregate?

Those are what an agent will probably ask to see. For tips on how to present these professionally, how to box them up, in what order they should be stacked, etc., please to see the HOW TO PUT TOGETHER A SUBMISSION PACKET category at right.

While I’m at it, here is a list of what she will almost certainly not mention in her request, but your submission will appear substantially more professional if you include:

* A cover letter thanking the agent for asking to see the requested materials and repeating the writer’s contact information.
I’m always astonished at how many aspiring writers just throw a manuscript into an envelope without even attempting any polite preliminaries. It’s rude — and, given how many queries an agency processes in any given week, it’s not a grand idea to assume that the person who opens your submission envelope (almost certainly the screener, Millicent, whom we met yesterday, not the agent herself), will instantly recall who you are. * A title page for your manuscript.
Again, most submitters omit this, but an already-established writer would never dream of submitting a manuscript anywhere without a title page, since a professional title page includes information absolutely vital to marketing the book: the book category, the word count, the title (of course), the author’s contact information. (For an explanation of all of these elements, how to put them together on a page, and illustrations of what a professionally-formatted title page looks like, please see the TITLE PAGES category on the list at right.)

* A stamped, self-addressed envelope (SASE).
As with queries, not including a SASE with a submission is generally considered an instant-rejection offense. While it’s classy to include a letter-sized SASE in case the agent wants to respond in writing, the SASE in a submission is an envelope or box labeled with your address and enough postage (stamps, not metered) to mail it back to you. (If that sounds complicated, don’t fret: you’ll find a complete explanation of how to handle the many permutations of SASE use under the SASE GUIDELINES category at right.)

Why do you need to include a SASE for your manuscript’s return? Well, unless the agent decides to sign you to a representation contract, she’s not going to hang onto your manuscript — and since not all agencies have recycling programs (yes, I know; it’s discouraging), those rejected pages are just going to land in the trash.

Confused? It wouldn’t be altogether surprising if you were: the logistics of submission are much more complex than the vast majority of aspiring writers realize. Packaging the submission so it ends up in the right place
Since agencies receive many, many submissions, both requested and not, with every single mail delivery, it’s an excellent idea to write REQUESTED MATERIALS in great, big letters on the top of the envelope or box containing your submission packet. This will help ensure that your package ends up in the right pile on the right desk. As unsolicited manuscripts are almost universally rejected unread, the last thing in the world you want is for your requested materials to be mistaken for them, right?

For the same reason, if an agent has asked you to submit pages via e-mail, it’s prudent to include the words REQUESTED MATERIALS in the subject line of the e-mail. It’s very, very easy to delete an e-mail accidentally, after all. Better safe than sorry, I always say.

Oh, and before I forget, let me reiterate that grand old piece of traditional writerly advice from the first post in this series: never, ever send an agent — or anybody else, for that matter — your only copy of anything. To that, let me add Anne’s Axiom of Submission: never spend the money to ship anything to an agent overnight unless they specifically ask you to do so.

Contrary to popular opinion amongst aspiring writers, overnight shipping will not get your packet read any quicker than sending it by regular mail, so it’s just a waste of money. Within the US, the significantly less expensive Priority Mail will get it there within 2-3 business days, which is quite fast enough.

Assuming that at least some of you are still with me, I shall now move on to the single most-asked question amongst submitters everywhere:

Okay, now I’ve sent my submission packet. How soon will I hear back?
Well, let me put it this way: I wouldn’t advise holding your breath. Even if you are asked to submit a partial and an agent decides that she’d like to see the rest of the book, you’re probably not going to hear about it right away.

And right away in this context means within the next six weeks. You’ll save yourself a lot of heartache if you understand this: no matter how enthusiastically an agent solicited a manuscript, trust me, she will neither have cleared her schedule in anticipation of receiving your materials nor will drop everything to read it the instant it arrives.

Yes, really. Unless she knows that there are other agents competing to represent you (should you find yourself in that enviable position anytime soon, congratulations, and please see the WHAT IF MORE THAN ONE AGENT ASKS TO SEE MY MANUSCRIPT? category at right), she — or, more likely, her assistant — will place it in a pile along with all of the other submissions awaiting review.

As with query letters, the length of time an agency takes to make a decision on a manuscript varies wildly, but most of the time — are you sitting down? — it’s measured in months, not days or even weeks. Most agencies list their average turn-around times on their websites or in their agency guide listings, to alert aspiring writers to what can be an extended wait, but those estimates tend to be quite optimistic.

Why does it take so long, you wail? Well, as I said, quite a few manuscripts will have arrived before yours. If waiting in a queue seems unfair now, think about it again after an agent has had a manuscript for a month: how would you feel if one that arrived today were read before yours?

Another reason that turn-around times tend to be slow is — again, you might want to brace yourself — the agent who requested the materials is not usually the only, or even the first, person to read a submission.

Remember our pal Millicent from yesterday? Guess what her job entails after she finishes screening all of those query letters? That’s right: she’s usually the one deciding whether a submission makes the first cut; at some agencies, two Millicents have to agree that a manuscript is of publishable quality AND a good fit for the agency before the agent sees it.

I told you to brace yourself. Unfortunately, as long-time readers of this blog are already glumly aware, Millicents are trained to find reasons to reject manuscripts first and foremost, rather than reasons to accept them.

And no, in answer to what half of you just thought, she doesn’t do it just to be mean or because she hates literature. Since her job is to thin the number of submissions her boss will have to read (often in the agent’s spare time, rather than at work, incidentally: yet another reason that turn-around times tend to be slow), a good Millicent may reject as many as 90% of submissions before they get anywhere near the agent. I warn you, however, these posts are not for the faint of heart.)

Even more unfortunately, submitters are seldom given concrete reasons for rejection any more. (For a thoroughly depressing explanation why, please see the FORM-LETTER REJECTIONS category at right.) This means, in practice, that an aspiring writer may not gain any useable revision information from the submission process at all.

I know; it’s awful. If I ran the universe, or even just the publishing industry, it would not be this way. Queriers and submitters alike would receive kindly-worded explanations of why Millicent decided to reject them. Public libraries would also be open 24 hours per day, staffed by magnificently well-read and well-paid staff more than willing to stock good self-published and print-on-demand books (as most US libraries currently will not, as a matter of policy), and hand out ice cream to every child departing with a checked-out book, in order to instill in wee ones the idea that the library is the best place ever.

Under my benevolent régime, schoolteachers would also be paid exceptionally well, every citizen could afford to buy a few books by promising new authors every week, and municipal fountains would flow freely with chocolate milk for all to enjoy. Truman Capote, Dorothy Parker, and Madame de Staël’s birthdays would be international holidays. And earthquakes would be permanently banned.

In case you may not have noticed, none of these delightful things is yet true, so I think it’s safe to assume that I don’t yet run the universe. Sorry about that.

Despite deviating sharply from what I personally would like to see happen at agencies, the submission process is far from impossible to navigate: remember, every year, hundreds of first-time authors impress agents enough to land representation contracts. But there is a reason that acquiring an agent is so often described in fishing terms: she landed a great agent, his agent is a great catch.

Sometimes they’re biting; sometimes they aren’t. Being aware of that going into the process can help a writer keep pushing forward.

Which is precisely what you need to keep doing while an agency is pondering your manuscript: keep your chin up, keep querying and submitting to other agents — and keep writing on your next book.

That’s the sane and sensible way for a savvy writer to make her way through this often intimidating and mysterious process — don’t put all of your proverbial eggs into a single basket, especially not one being toted by someone as professionally touchy as Millicent.

That way lies despair. Trust me on this one.

But it’s been weeks. Can’t I, you know, speed up the process a little?
In a word, no. In more words: whatever you do during what can be an extended wait to hear back about your manuscript, DO NOT pick up the phone and call the agent to demand what on earth could possibly be taking so long.

It will not get your submission read faster, and since it’s considered quite rude in the industry for a writer to try to rush a decision (interesting, considering that writers often have only a week or two to decide whether to accept an agency or publishing offer), it’s unlikely to make you any friends at the agency.

If it’s been more than twice the length of time the agent told you to expect (or twice the average time listed on the agency’s website or guide listing), you may send a POLITE e-mail or letter, asking for confirmation that the agency has received your submission packet and offering to send another — they do occasionally go astray — but that’s it. Submission packet mystery theatre, continued: the race is not always to the swift

Before I launch back into my ongoing spate of darkly illustrative tales of Submitters Gone Wrong (hey, it’s Halloween — what could possibly be scarier to a writer than a submission gone horribly awry?) I have a bit of procedural business: I’m going to be taking a brief hiatus from posting here at Author! Author!, probably about a week, to lock myself in a suitably arty and consumption-inducing attic somewhere to perform a bit of intensive writing. In the interim, please feel free to post questions and comments; I shall be checking in every couple of days. Do talk amongst yourselves.

To provide you with some mental chewing gum to munch while I’m off doing an intensive rewrite, I shall be wrapping up this week’s micro-series on SASEs and other things an aspiring writer might conceivably ship to an agent or editor with a bit more discussion of the submission process — specifically, more cautionary tales where completely well-meaning aspiring writers go wrong in pulling together and sending off requested materials.

Or at the very least, cause themselves some unnecessary chagrin.

Case in point: too many aspiring writers waste scads of money speeding up the delivery time between their houses and a requesting agency. Overnighting a submission is utterly unnecessary; it won’t win you any Brownie points whatsoever with Millicent the agency screener, and it most assuredly will not get her boss to read your manuscript any faster.

Save your money for something else — nice paper upon which to print the submission, for instance. Or a bottle of aspirin for the stress headache induced by waiting for the response.

With an eye to helping submitting writers figure out what is and isn’t a necessary expense, I have spent the last few posts talking (in part) about ways to save money when shipping requested materials to an agent or editor. We writers don’t talk about this very much amongst ourselves, but the fact is, the process of finding an agent can be pretty expensive.

Did a few of you new to the process just choke on your cornflakes? “Wait just a minute, Anne,” a sputtering few still working up to the marketing stage cry. “Surely, you’re talking about the entire agent-finding process being expensive, right, not just the shipping-off part? I mean, really, I’ve just shelled out hundreds of dollars to attend a writers’ conference so I could meet agents to query — I hadn’t thought at all about the next step, mailing off requested materials, taxing my scant savings.”

I hate to be the one to break it to you, but better to shatter your illusions than your piggy bank: the submission process itself can be quite expensive. Especially if you decide, as many a savvy writer does, to submit to several agents simultaneously.

Why might it add up? Well, let’s take a gander at what’s involved. At minimum, the costs of producing a professional-looking submission packet include:

shipping (both there and back),
boxes,
paper,
ink cartridges or photocopying expenses,
wear and tear on your computer, and
a ton of your time that could be used for, well, anything else.

While individually, these may not seem as potentially scarifying to your checking account as the even greater optional costs of attending conferences, entering contests, and hiring freelance editors like me to help pull your submission into tip-top shape, if you’re printing out five different packets, the cumulative cost can be significant.

So much so that if you’re a US citizen and marketing a book, it’s worth looking into the possibility of filing a Schedule C for your writing as a business, so you can deduct these expenses. Talk to a tax professional about it (I am not a tax professional, so I cannot legally give you advice on the subject), but do try to find one who is familiar with artists’ returns in general and writers’ returns specifically: ones who are not will almost invariably say that a writer must actually sell some writing in a given year to claim associated expenses. That’s not necessarily true.

Or so I’m told. Had I mentioned that I’m not a professional tax advisor, and that you absolutely shouldn’t take my word on any of this?

Last time, as part of my ongoing quest to save you a few sous, I brought up the case of Antoinette, the writer who rushed out and overnighted her manuscript, then waited seemingly endlessly by the phone for the agent of her dreams to respond. I went into her possible reasons for doing this — rather than sending the book regular mail or the more affordable 2-3 day Priority Mail rate.

Today, I want to talk a bit about the other two primary motivators for jumping the proverbial gun and springing for swifter-than-normal shipping: clawing, pathological fear and nail-gnawing eagerness.

To let one of the most poorly-hidden cats out of one of the most hole-ridden bags in the business, few souls walking the planet are in a greater hurry than a writer who has just received a request for materials. Especially if that request comes at the end of a long period of querying or after a particularly intense conference, it’s far from uncommon for the lucky writer to decide, wrongly, that the only possible response is to drop everything else in her life — by calling in sick to work, evading kith and kin, pretending to have emigrated to Morocco, that sort of thing — to throw together the requested materials and get them out the door as close to instantly as possible.

One of two rationales may prompt this super-speedy response. In the first, the writer cries, “Oh, my God, this request to see all or part of my manuscript must be a fluke. I’d better get these materials under the agent or editor’s nose within the next few hours, before either (a) s/he changes her/his mind, (b) the malignant forces that rule the universe cause the wall of indifference to art to rise again, this temporary fissure mended, or (c) both!”

Whichever thunderbolt the hostile gods of publishing are planning to send his way, the hyper-fearful writer wants to make absolutely sure that his submission is out of his hands well before it strikes. Who cares that he hasn’t had time to double-check his submission for easily-overlooked gaffes that a few hours invested in proofreading (IN HARD COPY, IN ITS ENTIRETY, and read OUT LOUD, preferably), or that overnighting that package will cost four times as much as sending it via regular mail? He’s trying to submit before the agent of his dreams comes to his/her senses.

In reality, of course, it just doesn’t work like that: a request to submit materials will be every bit as good two weeks from the day it was made as it was in the moment. Or two months hence.

As I MAY have hinted gently above, the writer’s speed in getting the submission to the agent typically does not make one scintilla of difference in how quickly a manuscript is read — or even the probability of its moldering on an agent’s desk for months. Certainly, whether the agent’s receiving the manuscript the next day or in the 2-3 days offered by the much more reasonably priced Priority Mail will make no appreciable difference to response time.

Especially during summer conference season, since most of the industry goes on vacation from early August through Labor Day. Or between Thanksgiving and Christmas, when the NYC-based part of the biz more or less shuts down. Or in January, when half the aspiring writers in North America are trying to live up to their New Year’s resolution to get those queries and submissions out the door, pronto.

The other, more common rationale for too-swift submission is eagerness. “Whew!” the writer who has just received a request to submit exclaims. “The hard part is over now: my premise has been recognized as a good one by an agent who handles this sort of material. From this point on, naturally, everything is going to happen in a minute: reading, acceptance, book sale, chatting on Oprah.”

You know, the average trajectory for any garden-variety blockbuster. Who wouldn’t want to cut a week, or even a few days, out of the delivery time for that brilliantly fabulous future?

I sincerely hope that yours is the one in eight million submissions that experiences this second trajectory — and that’s the probability in a good year for publishing — but writerly hopes to the contrary, a request for submission is the beginning of the game, not the end. The fact is, as small a percentage of queries receive a positive response (and it’s usually under 5%, even in a brisk economy), even fewer submissions pass the initial read test.

Or, to put it the terms we typically use here at Author! Author!, it generally takes even less provocation to cause Millicent shout “Next!” over the first page of a manuscript than over a query. (If that’s news to you and you’re in the mood for a good, old-fashioned Halloween scare, I would strongly urge you to set aside a few hours to run through the posts in the HOW NOT TO WRITE A FIRST PAGE category on the archive list at right. It’s sent many a strong writer running screaming from the room.)

There’s a reason that I grill you on the details, you know: I want your queries and submissions to be in that top few percentiles. Which is why I would rather see your resources and energy going toward perfecting the submission itself, rather than getting it there with a rapidity that would make Superman do a double-take.

This is true, incidentally, even when the agent has ASKED a writer to overnight a project. Consider the plight of poor Gilberto:

Submission scenario 2: Gilberto has just won a major category in a writing contest with his thriller, DON’T PAY ANY ATTENTION TO THE MAN BEHIND THE CURTAIN; HE’S NOT REALLY CARRYING AN AXE. During the very full pitching day that follows his win, five agents ask him to send submissions. Seeing that he was garnering a lot of interest, Maxine, the most enthusiastic of the agents, requests that he overnight the manuscript to her, so she can respond to it right away.

Over the vehement objections of every previous winner of this particular contest (and, incidentally, yours truly), Gilberto says yes. When his local post office opens the next day, he’s already waiting in line, all set to overnight the submission packet he stayed up all night preparing..

However, being a savvy submitter, he submits simultaneously to the other five via regular mail right away. Yet he does not tell Maxine — or any of the others — that he is letting many agents read his manuscript at the same time. He writes REQUESTED MATERIALS — FIRST PLACE, CONTEST NAME on the outside of every submission and mentions the request in the first line of his cover letter, to minimize the possibility of his work being lost in amongst the many submissions these agencies receive.

Within three weeks, he’s heard back from all but one of them; puzzlingly, the super-eager Maxine is the very last to respond. And when she finally does, six weeks after he overnighted her the manuscript, it’s with a form letter. This most enthusiastic of agents has rejected him without even telling him why.

What did Gilberto do wrong? Not much, really, except for saying yes to an unreasonable request — and not telling all of the agents concerned up front that they were competing over his work. That not made his submission process more expensive than it needed to be, but also more or less eliminated any benefit he might have derived from the contest-generated buzz about his book.

Let’s take Gil’s missteps one at a time. Why was Maxine’s request that he overnight the manuscript unreasonable?

In essence, the situation was no different than if Maxine had asked him to leave the conference, jump in his car, drive three hours home to print up a copy of his manuscript for her, drive three hours back, and hand it to her. In both cases, the agent would have been asking the writer to go to unnecessary effort and expense for no reason other than her convenience. Yet as Maxine’s subsequent behavior abundantly demonstrated, she had no more intention of reading Gilberto’s manuscript within the next couple of days than she did of reading it on the airplane home.

So why did she ask him to overnight it at all?

Give yourself full marks if you said it was to get a jump on other interested agents. Lest we forget, agents tend to be competitive people — to many of them, a book project’s value will increase in direct proportion to how many other agents are interested in it. (Also true of many editors, incidentally.) The give-me-first-peek request is one way it manifests.

Yet another reason that — chant it with me now, long-time readers — it is always in an aspiring writer’s best interest to make simultaneous submissions and queries, rather than approaching them one at a time.

Not clear why? For the same reason Gilberto’s not telling all of the agents concerned that they were in potential competition over his work was a mistake: had they known that, they would probably have been a bit more interested. Or at any rate aware that they might miss out if they put off reading his submission for too long. Thus, not using his manuscript’s being in demand as a selling point may actually have harmed Gilberto’s chances of landing an agent.

That out-of-the-blue pop quiz worked so well, I’m going to spring another one upon you: why do you think Maxine didn’t get back to him sooner?

In practice, of course, she could have had a lot of reasons — a death in the family, a problem with an existing client’s relationship with her editor, a particularly exciting negotiation, rehab…the list goes on and on. But any other possible factors aside, Maxine knew that if any of those other agents at the conference had made an offer, Gilberto would have contacted her — and when he didn’t, she could treat his might-have-been-hot property just like any other submitted manuscript.

In other words, jumping in and asking for a first peek cost Maxine nothing — it obviously affected her subsequent treatment of Gilberto’s work not at all — but guaranteed that she would be first to know about how his other submissions fared. And once she could safely assume that he had not been picked up by anyone else, the shiny gleam of being the most sought-after new writer at the conference faded from his manuscript.

Now pause and consider the ramifications of Maxine’s attitude toward other agents’ interest levels for a moment. Picture them spread thickly across the industry. Let the possible effects ripple across your mind, like the concentric circles moving gently outward after you throw a stone into a limpid pool, rolling outward until…OH, MY GOD, WHAT DOES THIS MEAN FOR THE AVERAGE QUERY-GENERATED SUBMISSION?

Uh-huh. Not high on the average Maxine’s to-do list.

Explains quite a bit about why the agent who requested your first 50 pages two months ago hasn’t gotten back to you, doesn’t it? While an agent expects that the writer querying her will be simultaneously querying elsewhere, the converse is also true: she will assume, unless you tell her otherwise, that the packet you send her is the only submission currently under any agent’s eyes.

This is why it is ALWAYS a good idea to mention in your submission cover letter that other agents are reading it, if they are. No need to name names: just say that other agents have requested it, and are reading it even as she holds your pages in her hot little hand.

I heard that thought go through some of your minds: I would have to scold you if you lied about this, just to ramp up the agent’s sense of urgency. Sneaky writer; no cookie.

Okay, here’s the extra credit question: in the scenario above, Maxine already knows that other agents are interested in Gilberto’s work; she is hoping to snap him up first. So why didn’t she read it right away?

Give up? Well, I don’t know her personally, so this is merely an educated guess, but I strongly suspect that Maxine’s goal was to get the manuscript before the other agents made offers to Gilberto, not necessarily to make an offer before they did.

Is that a vast cloud of confusion I feel wafting from my readers’ general direction? Was that loud, guttural sound a collective “Wha–?”

It honestly does make sense, when you consider the necessary level of competition amongst agents. Maxine is aware that she has not sufficiently charmed Gilberto to induce him to submit to her exclusively; since he won the contest, she also has a pretty good reason to believe he can write up a storm. So she definitely wants to read his pages, but she will not know whether she wants to sign him until she reads his writing.

Because, as agents like to say, it all depends upon the writing.

Maxine’s met enough writers to be aware that it is distinctly possible that Gilberto’s response to his big contest win will be to spend the next eight months going over his manuscript with the proverbial fine-toothed comb, perfecting it before showing it to anyone at all. She would like to see it before he does that, if at all possible.

To beat the Christmas rush, as it were, of his submitting to other agents. And to increase the chances of being able to see it at all.

Even if she doesn’t get an advance peek, Maxine is setting up a situation where Gilberto will automatically tell her if any other agent makes an offer: he’s probably going to call or e-mail her to see if she’s still interested before he signs with anyone else. By asking him to go to the extraordinary effort and expense of overnighting the manuscript to her, she has, she hoped, conveyed her enthusiasm about the book sufficiently that he will regard her as a top prospect.

If she gets such a call, Maxine’s path will be clear: if she hasn’t yet read his pages, she will ask for a few days to do so before he commits to the other agent. If she doesn’t, she will assume that there hasn’t been another offer. She can take her time and read the pages when she gets around to it.

What’s the hurry, from her perspective? (Hey, I promised you a serious Halloween scare, didn’t I?)

Asking a writer to overnight a manuscript is a compliment, not a directive: it’s the agent’s way of saying she’s really, really interested, not that she is going to clear her schedule tomorrow night in order to read it. And even if so, the tantalization will only be greater if she has to live through another couple of days before cloistering herself to read it.

So what should Gilberto have done instead? The polite way to handle such a request is to say, “Wow, I’m flattered, but I’m completely booked up for the next few days, and several other agents have already asked to see it. I can get a copy to you by the end of the week, though, when I send out the others.”

And then he should have sat down, read it IN HARD COPY and OUT LOUD to catch any glaring mistakes, and Priority Mailed it a few days later, accompanied by a cover letter reiterating that other agents are also reading it. (Tick, tick, Maxine.)

Sound daring? Well, let me let you in on a little secret: after a publisher acquires your book, the house will generally be paying for you to ship your pages overnight if they need them that quickly, not you; after you’ve signed with an agent, you’ll probably be asked to e-mail anything s/he needs right away, because it’s cheaper for everyone concerned.

You need some time to wrap your brain around that last point, don’t you? Perfect — I shall slip away into my studio while nobody’s looking. Just keep looking in the other direction…

I’m feeling a bit cryptic today, my friends. I’m writing something in a teenage voice, and I can’t say that I particularly like what it’s done to my emotions. Blame my Method acting training; I’ve even broken out. Here’s hoping that the result is worth my rolling my eyes at the slightest provocation.

But enough about me: back to our ongoing concerns. Isn’t it amazing just how much there is to know about the ostensibly straightforward task of printing out requested materials, placing them in an appropriate mailing container, and sending them off to an agent or editor?

Underscore presents itself: you all know NEVER to submit unrequested pages, right? I mean (roll eyes), who DOES that?

Again, I’m not talking about queries sent to agencies whose guidelines specify that you should tuck the first 50 pages into the packet — I mean the unwise practice of just sending along a manuscript before an agent or editor is even aware that it exists. Almost universally, unsolicited manuscripts are rejected unread. Even at the rare agency or publishing house that accepts unrequested manuscripts, it’s going to end up in what’s known as the slush pile, the stack of submissions that stretches, Dr. Seuss-style, skyward, awaiting the day when someone will have the time to review them.

Normally, I would have dug up a marvelous picture to illustrate that. Unfortunately, I can’t see well enough through my clouds of angst to do that. Or my bangs. (Sigh.)

It can take a LONG time just to go through the manuscripts they asked to see. Care to guess how tempting that fact renders tossing aside those they didn’t request? Long-time readers, pull out your hymnals and sing along: because agencies and publishing houses get so many submissions that their PRIMARY goal is to weed out the one they are reading at the moment. The faster they can do that, the better for them.

Yet despite the ubiquity of the reject-the-unsolicited-on-sight policy, amazingly few of the writers rejected for doing so are even aware that jumping the gun might even have played a role in their rejection. Like aspiring writers who submit without a SASE, with too much material, or without following the strictures of standard format, gun-jumpers usually receive exactly the same form-letter rejection as writers whose work was rejected for writing-related reasons.

So they keep submitting incorrectly time after time, never understanding that a few relatively simple changes could get the pros to take their manuscripts more seriously. It saddens me.

“Um, Anne?” I hear a few quick-reasoning readers pipe up. “Since submitting via e-mail would obviate the lack-of-SASE problem entirely, and since if I send my materials as an attachment to an e-mail, Millicent the screener won’t know how many pages I’ve submitted unless she reads through them all, wouldn’t I pretty much always be better off submitting my work electronically?”

Well, you could make a good argument for that, computer-huggers. While an unsolicited e-submission will, admittedly, tend to meet the same fate as an unsolicited paper submission — a quick and quiet rejection, almost invariably with a form letter — e-submission does undoubtedly have many perqs. It’s substantially cheaper than printing up and mailing a submission, for one thing, especially so for writers submitting to US agents from outside the country, not to mention less wasteful of paper. Agencies often respond to e-queries more rapidly than paper queries, and an electronic submission may easily be e-mailed around the office.

Even taking all of that into consideration, given the choice, I would always opt for submitting in hard copy, rather than electronically. Fortunately, with many agencies, a submitter does in fact have that choice to make.

Why are paper submissions are worth all the additional effort and expense? Well, for starters, it’s more likely to get there — even if your mail system is reliable, not everybody’s is — and less likely to be deleted accidentally. (Also true of e-queries, incidentally: many agencies that accept pages with initial queries specifically ask in their guidelines that queriers not follow up to find out if the e-mail actually arrived.)

Then, too, hard copy manuscripts are typically read more closely then e-mailed submissions, for the extremely simple reason that people read faster on a screen. Electronic rejection is as easy as Millicent the agency screener’s hitting a button a nanosecond after a sentence displeases her — far, far less energy- and time-consuming than having to dig out the SASE, reach for the form rejection letter to stuff inside it, insert the rejected manuscript, and eventually carry the whole shebang to the mail room.

Yes, you read that correctly: Millicent’s begrudging, mercurial attention to your first printed page is the BETTER option. The world is a strange place.

Also, a writer can control more factors in hard copy. As much as a pain as pulling a physical submission packet together may be, at least you know that the formatting will show up on the other end as you want it.

“Wha–?” I hear the more computer-reliant of you out there exclaiming.

I hate to be the one to break it to you (although that’s never stopped me yet, I notice), but if you e-mail a submission, you have absolutely no way of knowing that all of your precious formatting arrived intact. Copying and pasting a writing sample into the body of an e-mail (or one of those little comment boxes on agencies’ websites) will, naturally, eliminate most of the formatting, but even if you have included the pages as a Word attachment, different operating systems and versions of Word can play havoc with the cosmetic attributes of a page.

I can feel some of you getting restive under the onslaught of so much cynicism (bleak is my outlook, people. Bleak!), so instead of throwing any more at you today, I’m going to give you the opportunity to put some of what we’ve learned over the past few weeks into practice.

That’s right; it’s example time again. Hold your applause, please, until we’re done.

Submission scenario 1: After months on end querying her short story collection, WHAT I DID FOR LOVE AND OTHER DRY-CLEANING ANECDOTES, Antoinette receives an e-mail from Clara, the agent of her dreams, asking to see the entire manuscript. Alternately overjoyed and petrified (a very common twin mental state at this juncture, incidentally, although even amongst ourselves, we writers tend to talk only about the joy), she prints up her manuscript that very day and rushes it into the nearest cardboard container.

Specifically, the slightly dented box her mail carrier dumped on her doorstep on a recent rainy afternoon. (Our Antoinette is pinching pennies, you see.)

I already feel some of you blushing. We’ve all received (or sent) that box that began life as an mail-order shipping container, but now is covered with thick black ink, crossing out the original emporium’s name. My mother takes this process even farther, turning the obfuscating lines into little drawings of small creatures cavorting on a cardboard landscape. As dandy as this recycling is for birthday presents and the like, it’s considered a bit tacky in shipping a submission. Which is unfortunate, as the ones from Amazon tend to be a perfect footprint for manuscripts. Don’t yield to the temptation, though.

Back to our fair Antoinette. She makes it to the post office five minutes before it closes. When she plunks down the hefty box and asks to overnight it, she turns pale at the price, but pays it anyway. Exhausted but happy, she rushes home to plan what she’s going to wear for her appearance on Oprah to discuss the book.

Afraid to miss Clara’s response — which, naturally, she begins to expect within a day of learning that Clara has received it through the magic of delivery confirmation — Antoinette cancels her gym membership, turns down Eugene’s seven requests to have dinner with him, and — sacre bleu! — gives up reading my blog in order to pursue the more rewarding activities of staring at her e-mail inbox and repeatedly checking to see that her phone is working.

Clearly, madness has taken hold of her. A very, very common type of madness, unfortunately: it never occurred to her that Clara would not simply drop everything else she’s doing to pay attention to her submission the instant it arrived in the office.

A couple of weeks later, another agent, Bertrand, asks to see the first 50 pages. Before Clara’s request, this prospect would have thrilled Antoinette beyond words, but now, she does not even respond. “I’ve already committed to Clara,” she tells kith, kin, and the neighbor who comes over to complain about Antoinette’s having turned her phone’s ringer up to glass-shattering levels, so she won’t miss calls when she’s in the shower. Or a coma.

An anxious three months pass before Clara returns the manuscript to her, its rejection explained only by a boilerplate: we regret that your manuscript does not meet our needs at this time.

Okay, what did Antoinette do wrong here, other than use a recycled box? (Hint: what she did wrong here probably didn’t have any impact whatsoever on whether the manuscript got rejected or not. But it was still a faux pas.)

Antoinette’s first error was to overnight the manuscript. It was hugely expensive — and completely unnecessary. It would have gotten exactly the same read had she sent it via the much cheaper Priority Mail, or even regular mail. (Book rate is very, very slow, so I wouldn’t recommend it.)

Also, one suspects, in her rush to get it out the door and into an agent’s hands, she neglected to sit down and give it a final once-over, reading it IN ITS ENTIRETY, IN HARD COPY, and OUT LOUD. It’s also not a bad idea to flip through the manuscript as it prints out to make sure that no pages are smudged or missing; I don’t know about your printer, but mine occasionally blithely decides to slip a blank piece of paper into a manuscript when I’m not looking.

Since we are talking about Antoinette here, I’ll spare you the story about the time I forgot to check, and page 47 of my master’s thesis was nowhere to be found. My defense turned a mite ugly as a result.

The more interesting question here is why would Antoinette, or any other aspiring writer, spend money unnecessarily on postage? One of two reasons, typically. First, many writers assume — wrongly — that an overnighted package is taken more seriously in an agency’s mailroom. In their minds, the mail sorter says takes one look at that FedEx package and cries, “My God! This must be urgent!” and runs it directly into the agent’s office, where it is ripped open immediately and perused that very day.

Just doesn’t happen anymore, although it may have 20 years ago, at the dawn of overnight cross-country shipping. At this point in human history, though, writers have done this too often for an overnighted package to generate any enthusiasm at all at the average agency. Now, overnight packaging is just another box.

Save yourself some dosh.

Antoinette’s other mistake was to put the rest of her submissions on hold, effectively granting the agent of her dreams an unrequested and totally unnecessary exclusive look at the manuscript. Oh, you can see her reasoning easily enough: if her top pick offered representation, she wouldn’t need to query or submit anymore. But since Clara didn’t — and took her own sweet time saying so — Antoinette just took 8 weeks of potential submission (and querying) time and threw it out the window.

Sometime later in her writing career, she may wish she had that time back. The most probable first expression of that wish: about 35 seconds after she reads Clara’s form-letter rejection. Shouted at the top of her lungs.

I can think of couple of reasons — and good ones — to keep submitting and querying right up to the moment an agent makes you an offer. First, finding and landing the right agent for your work can take some serious time — if your book is genuinely ready to send out, why wait a month (or more) to hear back from each?

Second, few agents assume that a good writer will be submitting to only one agency at a time. If there isn’t competition over you, they sometimes conclude that no one else is interested.

Long-time readers, chant it with me now: unless an agency SPECIFICALLY says that it will accept only exclusive submissions, it does not expect them. The writers’ conference rumors that say otherwise are just not true. But do double-check each agency’s website and/or agency guide listing, just to be sure; policies do vary.

Third — and I’m sorry to have to say this, Antoinette, but it’s true — for the sake of your long-term happiness, it’s never a good idea to hang all of your hopes on a single submission. This is a tough business; being realistic about that can help take some of the sting out of rejection. Keep plowing forward.

Wrapping up on wrapping up: what precisely should go in that box?

Are you excited to have reached the end of this extended megaseries on everything and anything that should go in a query or submission packet — other than the manuscript, that is? Did that collective “Nyeah” I just heard mean that you’re thrilled to have all of this knowledge under your belt, in preparation for that supercharged, tense day when you’re asked to bundle your pages together and send ‘em off, or that the long-term readers amongst you are just pleased to have this info in consecutive posts, for easy future reference? Or is it merely that you will be awfully glad when I stop yammering on about these less-than-thrilling practicalities and wend my way back to craft?

However it may be, last time, I launched into an extensive discussion of the kind of boxes a writer should (sturdy, clean, size-appropriate) and should not use (grease-stained, mangled, clearly last used to ship books from Amazon) to send a manuscript to an agent, editor, or contest. Today, I’m going to round off our discussion of submission packets with some examination of what a writer might conceivably want to stuff into that box.

Let’s pretend for a moment that you have just been asked to submit materials to the agent of your dreams. To be absolutely clear, I’m talking about REQUESTED materials here, not just sending pages to an agency that asks queriers to include the first chapter, a few pages, or a synopsis with a query — all of these would, in the industry’s eyes, be unsolicited pages crammed into a query packet.

I know, I know: it’s a bit counter-intuitive that a blanket statement on a website, in an agency guide, or from a conference dais that a particular agent would like to receive these materials from all queriers doesn’t constitute solicitation, but it doesn’t. The logic runs thus: guidelines that recommend submitting extra material with a query are generic, aimed at any aspiring writer who might conceivably be considering sending a query.

By contrast, a solicited submission, a.k.a. requested materials, is one that an agent is WAITING to see because she has asked a particular writer to send it following a successful pitch or query. Because the agent expressed positive interest in seeing those pages, the lucky requestee is fully justified in scrawling REQUESTED MATERIALS in letters two inches high in the lower right-hand corner of the envelope or shipping box, just to the left of the address, to assure that the submission lands on the right desk instead of the slush pile made up of, you guessed it, unsolicited manuscripts.

Everyone clear on the difference between solicited and unsolicited materials? Because if you don’t by this point in this megaseries, I can only fling my hands into the air and tearfully inquire of any deities who might happen to be listening just where I went wrong in bringing you up.

Just as generic requests vary in what agents ask queriers to send, so do requests for solicited material. Out comes my favorite broken record again: while every agency and small publishing house seems to have a slightly different idea of what constitutes a standard submission packet (word to the wise: read those requests CAREFULLY), here are the most commonly-requested constituent parts, in the order in which they are generally expected to appear in the packet:

1. Cover letter
You HAVE been sending cover letters with your submissions, right? As I mentioned a few days ago, just sending a manuscript all by itself is considered a bit rude, as well as strategically unwise.

“Oh, please, Anne,” I hear the submission-weary complain. “Rude? What do you call making a successful querier or pitcher write ANOTHER letter to an agent who has already agreed to read my work?”

I sympathize with the submission fatigue, oh weary ones, but don’t get your hackles up. In the first place, there’s no need for a long-winded missive — a simple thank-you to the agent for having asked to see the materials enclosed will do. It’s hardly onerous.

In the second place, the submitter is the one who benefits from including a cover letter — all the more so because so few submitters remember to tuck one into their packets. An astonishingly high percentage of submissions arrive without a cover letter, and often without a title page as well, begging the question: what makes these submitting writers so positive that the requesting agent will still remember their queries or pitches well enough to render page one of chapter one instantly recognizable?

I’m not going to depress you by telling you just how unlikely this is to be the case.

Suffice it to say that it’s in your best interest to assume that the person who heard your pitch or read your query won’t be the first person to screen your submission, for the very simple reason that it is, in fact, often a different person. Thus, it doesn’t really make sense to presume that everyone who sets eyes on your manuscript will already be familiar with who you are and what you write.

And it’s not problematic purely because a Millicent new to your project might get offended by not being addressed politely from the moment she opens the manuscript box. Does anyone out there want to take a guess at the PRACTICAL reason omitting both a cover letter and a title page might render a submitter less likely to get picked up?

If you instantly cried, “Because it renders the agency’s contacting the submitter substantially more difficult!” give yourself a gold star for the day. Like a query letter and a title page, a good cover letter should include all of the sender’s contact information — because the last response you want your submission to generate is a heart-felt, “Oh, it’s too bad we have no idea who sent us this or how to contact him or her; all we have is the author’s last name in the slug line. This saddens me, because I really liked this manuscript!”

Okay, so that little piece of dialogue is pretty lousy, now that you mention it. But you get my point, right?

“Okay, Anne,” the former head-scratchers concede, “I get why I should include a cover letter. What does it need to say?”

Glad you asked. Under most circumstances, all it needs to say is the following. (If you’re having trouble reading this, try either double-clicking on the image or saving it to your hard disk as a PDF.)

Seriously, that’s all there is to it. Like any other thank-you letter, the courtesy lies more in the fact that the sender took the time to write it, rather than in what it actually says.

A couple of caveats:

(a) If you met the agent at a conference, mention that in the first paragraph of the letter, to help place your submission in context. As crushing as it may be for the writerly ego to contemplate, an agent who spent days on end listening to hundreds of pitches probably is not going to remember each one. No need to re-pitch, but a gentle reminder never hurts.

While you’re at it, it’s not a bad idea to write the name of the conference on the outside of the envelope, along with REQUESTED MATERIALS. Heck, it’s a very good idea to write the conference’s name on the outside of a query to an agent one has heard speak at a conference, too, or to include the conference’s name in the subject line of a query e-mail. The point here is to render it pellucidly clear to the agent why you’re contacting her.

(b) If another agent is already reading all or part of the manuscript you’re sending — or has asked to see it — be sure to mention this in your cover letter. No need to say who it is or how long s/he has had it; just tell the recipient that s/he’s not the only one considering representing this book. Unless the agency has a policy forbidding simultaneous submissions, withholding this information will only generate resentment down the line if more than one agent wants to represent your book.

Yes, even if that agent to whom you submitted 9 months ago has just never responded. Actually, it’s in your strategic interest to contact that non-responder to let her know that another agent is interested.

(c) Make sure ALL of your contact information is on the letter, either in the header (letterhead-style, as I have shown above) or under your signature. Again, you want to make sure that the agent of your dreams can call you up and rave about how much she loved your submission, right?

(d) Make absolutely certain that the letter includes the title of your book, just in case the letter and the manuscript end up on different desks. (Yes, it happens. Don’t ask; just be prepared for this horrifying contingency.)

2. Title page
ALWAYS include this, if ANY manuscript pages have been requested — yes, even if you have already sent the first 50 pages, and are now sending the rest of the book. (If you have never formatted a professional manuscript before, please see the TITLE PAGE category at right.)

Why? Long-time readers, chant it with me now: because the submission looks more professional that way.

Also, like the cover letter, the title page renders it easy for an agent to track you down. Believe me, if the agent of your dreams falls in love with your manuscript, you’re going to want to hear about it right away.

3. The requested pages in standard format, unbound in any way.

The operative word here is requested. If an agent or editor asked you for a partial, send PRECISELY the requested number of pages. Don’t fudge here — even if your novel features a tremendous cliffhanger on p. 51, if the agent of your dreams asked for the first 50 pages, send only the first 50 pages, period.

Actually, in this instance, you should send only the first 50 pages even if they do not end in a period. Even if the designated last page ends mid-sentence, stop there.

As to sending pages in standard manuscript format, please, don’t get me started again the desirability of sending professionally-formatted submissions. For a month after I run a series on standard format , the rules keep running through my head like a nagging tune.

If you’re brand-new to reading this blog and thus successfully avoided my recent series on the subject, or have somehow avoided my repeated and vehement posts on standard format for manuscripts over the last three years, please see the MANUSCRIPT FORMATTING 101 and STANDARD FORMAT ILLUSTRATED categories on the list at right.

For the benefit of those of you who are going to blow off that last piece of advice because you’re in a hurry — oh, I know that you’re out there; I can hear your shallow, panicked breathing — allow me to add something you might not have picked up from those posts on formatting: a manuscript intended for submission should not be bound in any way.

Oh, and do use at least 20-lb, bright white paper. Cheaper paper can begin to wilt after the first screener has rifled through it. Yes, it does increase the already quite substantial cost of submission, but this is one situation where being penny-wise can cost you serious presentation points.

4. Synopsis, if one was requested, clearly labeled AS a synopsis.
With fiction, when an outline is requested, they usually mean a synopsis, not the annotated table of contents appropriate for nonfiction. For nonfiction, an outline means an annotated table of contents.

Most of the time, though, what an agent will ask to see for either is a synopsis.

As I mentioned earlier in this post, I haven’t done a synopsis how-to in a while, so I shall be revisiting it beginning this coming weekend. For those of you in a greater hurry, please check out the HOW TO WRITE A SYNOPSIS category at right. (Again, how do I come up with these category titles?)

5. Author bio, if one was requested.
Which you already have in your hot little hand, right? Aren’t you pleased with yourself?

For those of you joining us late in this series, an author bio is a one-page (double-spaced) or half-page (single-spaced) plus photo account of the submitting writer’s professional credentials. Typically, when an agent submits a manuscript or book proposal to editors, the author bio is tucked immediately at the end of the manuscript or sample chapter.

6. A SASE big enough to fit the entire manuscript.
This should be automatic by now, but to recap for those of you who will read this weeks or months from now in the archives: that’s a self-addressed, stamped envelope, for those of you new to the game. Always use stamps, not metered postage, for the SASE.

I’m really running through that stack of old records today, but to reiterate: send a SASE large enough for the return of your materials EVERY time, regardless of whether the agency (or publishing house) to whom you are submitting has actually asked for a SASE. If the requested pages fit in a Manila or Priority Mail envelope, it’s perfectly acceptable to fold a second one in half, stamp and address it, and tuck it in the submission package.

How does one handle this when using a box as a SASE? Well, since it would be impracticable to fold up another Priority Mail box inside, if you have been asked to send so many pages that you need to pack ‘em in a box, paper-clip a return mailing label and stamps to your cover letter, along with a polite request that the agent would affix both to the shipping box in the event of rejection.

To be on the safe side, explain HOW you want them to reuse the box: peel the back off the mailing label, stick it over the old label, affix new postage, and seal. You didn’t hear it from me, of course, but sometimes, they evidently have trouble figuring it out.

You can also nab one of those tough little everything-you-can-cram-in-here-is-one-price Priority Mail envelopes, self-address it, add postage, and stick it into the box. If you don’t care if your manuscript comes back to you a little bent, this is a wonderfully cash-conscious way to go. Those envelopes are surprisingly tough, in my experience — what are they made out of, kryptonite? — and while the pages don’t look too pretty after a cross-country trip in them, they do tend to arrive safely.

In case you couldn’t tell, I’m not a big fan of writers over-investing in impressive return postage. It’s bad enough that we writers are expected to underwrite the costs of agencies rejecting our work. (Which is, effectively, what the SASE accomplishes, right?) If you’re getting the manuscript back, it’s because they’ve rejected it. Who cares if the pages show up on your doorstep bent?

“But Anne,” I hear the ecology-minded writers out there murmur, “surely it would be easier, cheaper, and environmentally friendlier to ask the agent or editor to recycle the submission pages if s/he rejects it?”

Yes, it would be all three, but I would strenuously advise against making this request of any agency or publishing house that doesn’t state directly on its website or in its agency guide listing that it will recycle rejected manuscripts. Most won’t, but many, many agencies will instruct their Millicents to reject any submission that arrives without a SASE.

Do you really want to chance it?

7. Optional extras.
If you want to send a second, business-size envelope SASE as well, to make it easy for them to request the rest of the manuscript, place it at the bottom of the packet (and mention it in your cover letter.)

Since the vast majority of agencies are congenitally allergic to submitters calling, e-mailing, or even writing to find out if a manuscript actually arrived — check the agency’s website or guide listing to be sure — it’s also a fair-to-middling idea to include a self-addressed, stamped postcard for the agency to mail to you to acknowledge receipt of the manuscript. To generate a chuckle in a hard-worked Millicent, I always liked to send a SASP that looked like this — although with a stamp attached, of course:

Don’t worry about this causing trouble; it doesn’t, and you will have proof that they received it. This is important, because manuscripts do go astray from time to time.

8. Pack it all in a durable container that will keep your submission from getting damaged en route.

Why, this suggestion seems strangely familiar, somehow…oh, yes, we spent all of yesterday’s post talking about it.

And that, my friends, is the low-down on the submission packet. Don’t forget that EVERYTHING you send to an agency is a writing sample: impeccable grammar, punctuation, and printing please. No smudges or bent corners, either.

In other words, make it all pretty and hope for the best. And, of course, keep up the good work!

Wrapping it all up and tying it with a bow

My, I’ve been getting a lot of great questions in the comments lately! Mostly on long-ago posts, admittedly, but I hope it’s a sign that many of you are getting your work out there, sliding it under agents’, editors’, and contest judges’ noses. Yes, the news from the publishing world, like the news from other sectors of the economy, is rather grim, but that does not mean landing an agent or selling a book is impossible.

As I am undoubtedly not the first person in the writers’ cosmos to say, the only manuscript that has absolutely NO chance of getting published is the one that’s never sent out. Keep plugging away.

As those of you gifted at adding 2 and 2 together without getting 8 might already have figured out, I’ve been rounding out my meandering series on query/ submission packets and the things that go into them by sifting through my archives to find readers’ questions and answering them now. That way, all of the pack it up and ship it out posts are right on top of each other, rather than lying scattered about whenever some bright reader happened to bring it up.

Hey, I know that not everybody is fond of archive-diving. Those who are not should be grateful, then, that insightful long-time reader Jen wrote in to ask:

I can’t help but think that the rules sink into my brain a little deeper with each reading. Still, sending off all those pages with nothing to protect them but the slim embrace of a USPS envelope seems to leave them too exposed. Where does one purchase a manuscript box?

This is an excellent question, Jen: many, many aspiring writers worry that a simple Manila envelope, or even the heavier-duty Priority Mail envelope favored by the US Postal Service, will not preserve their precious pages in pristine condition. Especially, as is all too common, if those pages are crammed into an envelope or container too small to hold them comfortably, or that smashes the SASE into them so hard that it leaves an indelible imprint in the paper.

Do I sense some readers scratching their heads? “But Anne,” some of you ask, “once a submission is tucked into an envelope and mailed, it is completely out of the writer’s control. Aren’t the Millicents who inhabit agencies, as well as the Maurys who screen submissions at publishing houses and their Aunt Mehitabels who judge contest entries, fully aware that pages that arrive bent were probably mangled in transit, not by the writer who sent them?”

Well, yes and no, head-scratchers. Yes, pretty much everyone who has ever received a mauled letter is cognizant of the fact that envelopes do occasionally get caught in sorting machines. Also, mail gets tossed around a fair amount in transit — you think all of those packages in Santa’s sleigh have a smooth ride? — so yes, Virginia, even a beautifully put-together submission packet may arrive a tad crumpled.

Do most professional readers cut the submitter slack for this? Sometimes; if Millicent’s just burned her lip on that latté that she never seems to remember to let cool, it’s not going to take much for the next submission she opens to annoy her. And in the case of contest entries, I don’t know Aunt Mehitabel personally, but I have heard contest judges over the years complain vociferously to one another about the state in which entries have arrived on their reading desks.

All of which is to say: appearances count. You should make an effort to get your submission to its intended recipient in as neat a state as possible. It is, after all, showing up at an agency or publishing house for a job interview.

How does one go about insuring that it arrives looking good? The most straightforward way, as Jen suggests, is to ship it in a box designed for the purpose. Something, perhaps, along the lines of this:

Just kidding; we’re not looking for a medieval Bible box here. What most writers like to use looks a little something like this:

This, my friends, is the very model of a modern manuscript box: sturdy white or brown corrugated cardboard with a lid that is attached along one long side. Usually, a manuscript box designed for the purpose will hold from 250 to 750 pages of text comfortably, without sliding from side to side.

While manuscript boxes are indeed very nice for cradling your precious pages, they aren’t necessary for submission; the attached lid, while undoubtedly aesthetically pleasing, is not required, or even much appreciated at the agency end. Manuscripts are taken out of the boxes for perusal, anyway, so why fret about how the boxes that send them open? In practice, any clean, previously-unused box large enough to hold all of the requested materials (more on that subject in my next post) without crumpling them will work to send a submission.

Emphasis on previously unused. More on that below.

Some of you are resisting the notion of using just any old box, aren’t you, rather than one specially constructed for the purpose? I’m not entirely surprised. I hear all the time from writers stressing out about what kind of box to use — over and above clean, sturdy, and appropriately-sized, that is — and not without good reason. In the old days — say, 30+ years ago — the author was expected to provide a box, and a rather nice one, then wrap it in plain brown paper for shipping. These old boxes are beautiful, if you can still find one: dignified black cardboard, held together by shining brass brads.

Since I couldn’t even find a photograph of one of these gems online, I’m guessing that they’d be pretty hard to dig up to house your submission. At least not outside an unusually literary antique store. (”A first edition of Tropic of Capricorn, sonny? Try that shelf over there, next to the manuscript boxes and Edith Wharton’s secretary’s typewriter ribbons.”)

Happily, when sending a manuscript today, there’s no need to pack it in anything extravagant: no agent is going to look down upon your submission because it arrives in an inexpensive box. If you can get the requested materials there in one piece box-free — say, if it is an excerpt short enough to fit into a Manila folder or Priority Mail cardboard envelope without much wrinkling — go ahead. Do bear in mind, though, that you want to have your pages arrive looking fresh and unbent, so make sure that your manuscript fits comfortably in its holder in such a way that the pages are unlikely to wrinkle.

Out comes our old friend the broken record again: it’s penny-wise and pound-foolish to use cheap paper for submissions; a savvy submitter uses 20 lb or heavier paper. This is part of the reason why.

Look for a box with the right footprint to ship a manuscript without too much internal shifting. In general, it’s better to get a box that is a little too big than one that’s a little too small. To keep the manuscript from sliding around and getting crumpled, insert wads of bubble wrap or handfuls of peanuts around it, not wadded-up paper. Yes, the latter is more environmentally-friendly, but we’re talking about presentation here.

Avoid the temptation to use newspaper, too; newsprint tends to stain.

Most office supply stores carry perfectly serviceable white boxes — Office Depot, for instance, stocks a recycled cardboard variety — but if you live in the greater Seattle area, funky plastic junk store Archie McPhee’s, of all places, routinely carries fabulous red and blue boxes exactly the right size for a 450-page manuscript WITH adorable little black plastic handles for about a buck each. My agent gets a kick out of ‘em, reportedly, and while you’re picking one up, you can also snag a bobble-head Edgar Allan Poe doll that bears an uncomfortably close resemblance to Robert Goulet:

If that’s not one-stop shopping, I should like to know what is.

Your local post office may stock manuscript-sized boxes as well, as does USPS online. Post offices often conceal some surprisingly inexpensive options behind those capacious counters, so it is worth inquiring if you don’t see what you need on display.

Far and away the most economical box source for US-based writers are those free all-you-can-stuff-in-it Priority Mail boxes that the post office provides:

Quite the ravishing photo, isn’t it, considering that the model is an object made of cardboard? If you don’t happen to mind all of the postal service propaganda printed all over it, these 12″ x 12″ x 5 1/2″ boxes work beautifully, with a little padding, as will the 11 7/8″ x 13 5/8″ x 3 3/8″.

Say away from those wadded-up newspapers, I tell you. Can I interest you in some bubble wrap, inflatable packing material, or bio-degradable peanuts?

Why press the 12″ by 12″ boxes into service, you ask, when the USPS is considerate enough to offer a 8 1/2” x 11” all-you-can-cram-for-a-flat-rate box? Because those tempting little numbers only LOOK as though they will fit a manuscript comfortably without bunching the pages. The actual footprint of the bottom of the box is the size of a piece of paper, so there is no wiggle room to, say, insert a stack of paper without wrinkling it.

Trust me, that’s not something you want to find out after you’ve already printed out your submission.

Yes, yes, I know: the USPS is purportedly the best postal service in the world, a boon to humanity, and one of the least expensive to boot. Their gallant carriers have been known to push forward through the proverbial sleet, hail, dark of night, and mean dogs. But when faced with an only apparently manuscript-ready box on a last-minute deadline, the thought must occur to even the most flag-proud: do the postal services of other countries confound their citizens in this way?

Just what do they expect anyone to put in an 8 1/2” x 11” box OTHER than a stack of paper? A beach ball? A pony? A small automobile?

Whatever difficulties you may have finding an appropriately-sized box, DO NOT, under any circumstances, reuse a box clearly marked for some other purpose, such as holding dishwashing soap. As desirable as it might be for your pocketbook, your schedule, and the planet, never send your manuscript in a box that has already been used for another purpose.

You know what I mean, don’t you? We’ve all received (or sent) that box that began life as an mail-order shipping container, but is now covered with thick black marker, crossing out the original emporium’s name. My mother takes this process even farther, turning the lines intended to obfuscating that Amazon logo into little drawings of small creatures cavorting on a cardboard-and-ink landscape.

As dandy as this recycling is for birthday presents and the like, it’s considered a bit tacky in shipping a submission. Which is unfortunate, as the ones from Amazon tend to be a perfect footprint for manuscripts. Don’t yield to the temptation, though.

“But wait!” I hear the box-savvy cry, “those Amazon boxes are about 4 inches high, and my manuscript is about 3 inches high. It just cries out, ‘Stuff your manuscript into me and send me to an agent!’”

A word of advice: don’t take advice from cardboard boxes; they are not noted for their brilliance. Spring for something new.

Oh, and before I forget: If you’ve been asked to send more than one copy of a manuscript — not all that uncommon after you’ve been picked up by an agent — don’t even try to find a box that opens like a book: just use a standard shipping box. Insert a piece of colored paper between each copy, to render the copies easy to separate. Just make sure it’s not construction paper, or the color will rub off on your lovely manuscripts.

And you do know that EVERY time you send requested materials, either before or after signing an agency contract, you should write REQUESTED MATERIALS in great big letters in the lower left-hand corner of the submission envelope, don’t you? (If you have been asked to submit electronically, include the words REQUESTED MATERIALS in the subject line of the e-mail.) This will help your submission to land on the right desk, instead of in the slush pile or recycling bin.
