Book marketing 101: but what happens if they LIKE it?

Congratulations to reader Kari Diehl, who took third place in the Pacific Northwest Writers’ Association’s literary contest’s romance genre division! Well done, Kari!

That’s the second placer amongst the 8 blog readers that I now know were nominated (reader Amy Fisher won the memoir/NF book category, as I announced over the weekend. Wahoo!), but as I did not go to the ceremony and the results are not yet posted online, I do not know how the rest did.

But please join me in a big round of applause to everyone who was nominated, and I’ll keep reporting good news as it rolls in. Or not, as the case may be. But I’m proud of all the finalists, and everyone who was brave enough to enter.

Okay, back to serious business:

I feel as though I have been engaging in hypnosis for the last couple of weeks: you are relaxing, I tell you, RELAXING in the face of your upcoming pitching appointment… your only goal is to get these people to ask to see your work… you are buttonholing agents in at conference events and successfully giving your hallway pitch… you are calmly going through your 2-minute pitch to an agent who is delighted to hear it… your only goal is to get these people to ask to see your work, and you are thrilled when they do…

And you will read Sinclair Lewis (whose picture that is, incidentally: I love the intensity of those early 20th-century author photos; they always look as if they’re about to take a big bite out of the photographer)… and not think his work is dated… not dated, I tell you…

So let’s assume for the moment that the mantras I’ve been chanting at you for all these weeks have worked, and an agent or editor has asked to see the first chapter, the first 50 pages, or even the entirety of your manuscript. What do you do next?

In the first place, you send your submissions simultaneously to everyone who asked for them, for reasons I explained on Saturday. Your heart may tell you to give that dreamy agent who was so nice to you an unrequested exclusive, but believe me, your brain should be telling you to play the field.

Don’t tell me that love is blind. Follow Sinclair’s example and wear your glasses, for heaven’s sake.

Second, you send precisely what each agent asked you to send. No slipping in an extra five pages because there’s nifty writing in it, no adding a videotape of you accepting the Congressional Medal of Honor, no cookies or crisp $20 bills as bribes.

Need I say that I know writers who have done all these things, and now know better?

The first 50 means just that: the first 50 pages in standard format, even if that means stopping the submission in mid-sentence. (And if you aren’t absolutely positive that your manuscript IS in standard format or if you were not aware that manuscripts are NOT formatted like published books, please run, do not walk, to the FORMATTING MANUSCRIPTS category at right.)

If you’re asked for a specific number of pages, don’t count the title page as one of them — but no matter how long an excerpt you have been asked to send, include a title page. (If you don’t know how to format a professional title page, or even that there is a professional format for one, please wend your way to the YOUR TITLE PAGE category at right. You see, I really have been preparing my readers for this moment.)

Under no circumstances should you round up or down, even if pp. 49 or 51 is the last of the chapter: part of the point of this exercise is to show that you can follow directions, a rather desirable attribute in a potential client who might be expected to meet sudden deadlines or make surprise revisions down the line.

If asked for a synopsis, send one; do not enclose one otherwise. Ditto for an author bio (don’t worry; I’ll be talking about how to build one next week), table of contents (unless you’ve been asked to submit a book proposal), illustrations, letters of recommendation from your favorite writing teacher, and the aforementioned cookies.

Just send what you’ve been asked to send: no more, no less. With two exceptions: first, you should include a SASE. industry-speak for a stamped (not metered), self-addressed envelope for the manuscript’s safe return. Second, you should include a cover letter.

Why the cover letter? Well, in the first place, render it as easy as humanly possible to contact you — the last thing you want is to make it hard for them to ask for more pages, right? But also, you should do it for the same good, practical reason that I’m going to advise you to write

(Conference name) — REQUESTED MATERIALS

in 3-inch letters on the outside of the envelope: so your work doesn’t end up languishing in the slush pile of unsolicited manuscripts (which are, incidentally, almost invariably rejected). Agents and editors hear a LOT of pitches in the course of the average conference; no matter how terrific your book is, it’s just not reasonable to expect them to remember yours weeks after the fact (which it almost certainly will be, by the time they get around to reading it) simply by its title and your name.

Thus, it is in your best interests to remind them that they did, indeed, ask to see your manuscript.

Be subtle about the reminder — no need to state outright that you are worried that they’ve confused you with the other 150 people they met that day — but it is a good idea to provide some context. Simply inform the agent or editor him/her where you met and that s/he asked to see what you’re sending. As in,

Dear Mr. White,

I very much enjoyed our meeting at the recent Conference X. Thank you for requesting my fantasy novel, WHAT I DID TO SAVE THE PLANET.

I enclose a SASE for your convenience, and look forward to hearing from you soon. I may be reached at the address and phone number below, or via email at…

A. Writer

That’s it. No need to recap your plot or re-pitch your concept. Just simple, clean, businesslike. (But NOT, I beg you, in block-indented business format; many folks in the industry regard business format as only marginally literate, at best. I don’t care what you do in the multi-million dollar factory you run: indent those paragraphs whenever you are dealing with anyone in publishing.)

Oh, and if other agents or editors requested it, say so. Considered good manners, and often gets your submission read a bit faster.

The other reason that mentioning where you met is a good idea is — and I tremble to tell you this, but it does happen — there are some unscrupulous souls who, aware that pitch fatigue may well cause memory blurring, send submissions that they CLAIM are requested, but in fact were not.

“Oh, like he’s going to remember ANY pitcher’s name,” these ruthless climbers scoff, stuffing first chapters into the envelopes of everyone who attended a particular conference.

Such scoffers occasionally receive a comeuppance redolent with poetic justice: VERY frequently, the roster of agents and editors scheduled to attend a particular conference changes at the last minute. How well received do you think a, “I enjoyed our conversation at last weekend’s Conference That Shall Not Be Named,” letter goes over with an agent who missed a plane and didn’t show up at that particular conference?

Tee hee.

Do remember, though, for the sake of your blood pressure, you do NOT need to drop everything and mail off requested materials within hours of a conference’s end. The standard writers’ conference wisdom advises getting it out within three weeks of the conference, but actually, that’s not necessary. The publishing industry pretty much shuts down from early August until after Labor Day, anyway.

As I believe I said half a dozen times in the week leading up to the Conference That Shall Not Be Named, a nice conversation with an agent or editor at a conference is just a nice conversation at a conference, not a blood pact.

Nothing has yet been promised — and it can’t have been. As I have mentioned several dozen times throughout this series, no agent is going to sign you on a pitch alone; no matter how good your book concept is, they are going to want to see actual pages before committing.

Why? That old industry truism: “It all depends upon the writing.”

By the same token, you are not bound to honor the request for materials instantaneously. And no, the fact that you said you would send it the moment you got home from the conference does NOT mean that you should send it off without proofing and performing any necessary revisions; unless they asked for an exclusive, they do not expect you to send it within a day or two, or to overnight it.

Besides, it is very much to your advantage that they see your work at its absolute best, after all, not as our work tends to be before a hard-copy proofing.

Long-time readers, chant it with me now: take the time to read EVERY page you intend to submit to ANYONE in the industry in hard copy, out loud, every time.

There is no better way to weed out the mistakes that will strike you a week later as boneheaded (for a sample of these, see the archived Let’s Talk About This on the subject), and the extra couple of weeks fixing any problems might take will not harm your chances one iota.

Trust me, agents and editors meet too many writers at conferences to sit around thinking, “Darn it, where is that Jane Doe’s manuscript? I asked for it two weeks ago! Well, I guess I’m just going to reject it now, sight unseen.”

A common writers’ negative fantasy, but it just doesn’t happen. These people are simply too busy for that. If you wait 6 months to send it, they may wonder a little, but 6 days or 6 weeks? Please.

So unless you already have the manuscript in apple-pie order (which includes having read it — take a deep breath now, so you can say it along with me — in its ENTIRETY, IN HARD COPY, and ALOUD), it’s worth your while to take the time for a final polish. You want your book to be pretty for its big date, right?

Don’t worry: I’ll be talking about that final polish in the days to come, and a bit more about timing your submissions tomorrow. In the meantime, heaps of congratulatory applause to Kari, Amy, and everyone else whose bravery in pitching resulted in requests for material. Way to get out there and market your work!

You are relaxing about getting those requested materials out the door, I tell you… relaxing…

Entr’acte: expectation vs. reality

Last Sunday, I took a break from my ongoing series on marketing to re-run a conference-related older post on industry etiquette, on the theory that most of the faux pas writers tend to make at conferences are simple matters of not being aware of the rules of the game. Better that my fictional exemplars make these mistakes than my readers, I say.

Think of it as educational soap opera.

Today’s little dramas are excerpted from two of my earlier posts, combined because both deal with the differential between what writers often expect to happen at a literary conference (meet the perfect agent instantly, get signed within the hour, sell the book within the week, Oprah and literary luncheons within the year), and what actually occurs.

The moral, if you’ll forgive my springing it in advance: it is ALWAYS in a writer’s best interest to pitch or query to more than one agent at a time. Always, always, always.

I’ve been writing for the last couple of weeks about the ways in which writers often overstep the bounds of what the publishing industry considers courtesy, and for the most part, I’ve been concentrating on simple differentials of expectation: the pro expects one standard of behavior, and the hopeful petitioner another. Sometimes, though, the depth of the writer’s desire to be published leads to a total disregard of boundaries – which, in turn, leads the industry professional the writer is pursuing to back away quickly.

Much of the time, the boundary-blurred writer does not overstep; she merely assumes that her project is of greater importance to the pro than is actually the case. If she doesn’t transgress the expected norms of behavior, this mistaken belief will harm the writer only emotionally, not professionally, as in the case of Lauren:

Blurry boundary scenario 1: After working tirelessly on her novel to make sure it was ready for conference season, Lauren lugs it to a conference. During the agents’ forum, she is delighted to hear Loretta, the agent to whom she has been assigned for a pitch appointment, wax poetic about her great love of writers and good writing. In fact, of the agents on the panel, she sounds like the only one who regards her job as the promotion of art, rather than finding marketable work and selling it.

This, Lauren decides, is the perfect agent for her book. What luck!

Since she has pitched only a couple of times before, Lauren takes advantage of the Pitch Practicing Palace, where she works on her pitch with someone who looks suspiciously like yours truly. After having worked the major kinks out of her pitch, my doppelganger asks to whom Lauren intends to pitch it.

“Oh,” Lauren says happily, “I have an appointment with Loretta.”

My apparent twin frowns briefly. “Are you planning to pitch to anyone else? As far as I know, she has not picked up any clients at this conference in years, and she very seldom represents first-time writers. She writes really supportive rejection letters, though.”

Lauren shrugs and walks off to her appointment with Loretta. Her pitch goes well; the agent seems genuinely interested in her work, saying many encouraging things about the novel. Even better, she seems genuinely interested in Lauren as a writer and as a person; they seem to click and are soon chatting away like old friends. Loretta asks to see the first 50 pages of the novel.

Walking on air, Lauren decides that since she’s made such a good personal connection with Loretta, she does not need to pitch to anyone else. Obviously, she thinks, the agent would not have been so encouraging unless she were already more or less decided to take on the book.

The second she returns home, Lauren prints up and ships off her first 50, along with an effusively thankful cover letter. Three weeks later, her SASE returns in the mail, accompanied by a very supportive rejection letter from Loretta.

What did Lauren do wrong?

Actually, not much: she merely responded to her meeting with Loretta based upon her hopes, not upon solid research. Lauren should have checked before making the appointment (or asked Loretta during the agents’ forum) how many debut novels she had sold lately (in this case, none), and how recently she had picked up a new writer at a conference (about a decade). Even if she did not have the time to do the necessary background research, since the Pitch Practicing Palace lady had raised the issue, Lauren should have asked around at the conference.

If she had, she might have learned that Loretta had been attending the conference for years without picking up any new clients at all. Unfortunately, there are agents – and prominent ones — who attend conferences regularly, being charming and supportive to every writer they meet, but without seriously intending to sign anyone at all.

Unless, of course, the next DA VINCI CODE falls into their laps. Then, they might make an exception.

While this attitude is not in itself an actionable offense —- I would be the last to decry any agent’s being nice to any aspiring writer –- it has roughly the same effect on the hooking-up expectations of conference attendees as a mysterious young man’s walking into a Jane Austen novel without mentioning that he is secretly engaged: the local maidens may well fall in love with him without knowing that he is attached.

And who can blame Lauren for falling in love with Loretta? The absolute demands of the industry can be so overwhelming at the agent-seeking stage that when that slammed door opens even a chink, it is tempting to fling oneself bodily at it, clinging to any agent, editor, or author who so much as tosses a kindly smile in the direction of the struggling.

That being said, though, a nice conversation at a conference does NOT a commitment make. A writer is a free agent until a representation contract is signed, and there are agents out there who feel it’s their duty to be nice to aspiring writers. It’s very, very common for writers to interpret this as something more than it is.

So what should Lauren have done differently? Even if she hadn’t done her background research, she should have kept on pitching her book to others. Even if Loretta HAD actually wanted to sign her on the spot, no reputable agent is going to made a decision about representation without reading the manuscript in question. Lauren should not have relied so heavily upon her – as it turned out, false – first impressions of her. Nice interpersonal contact may help nudge an agent toward offering a likeable writer a contract, but ultimately, no experienced agent would make such an offer upon a conversation, or even a verbal pitch, alone.

I’ve said it before, and I’ll no doubt say it again: no matter what pitching experts, including myself, tell you, a pitch alone is NEVER enough to sell a book to an agent or editor, no matter how good it is. The writing always needs to fulfill the promise of the pitch; the pitch merely opens the door to a favorable reading.

And, realistically, Loretta did not expect exclusivity from Lauren, so there is no chance whatsoever that she would have been offended had Lauren pitched to every agent at the conference. Long-time readers, chant with me now: if an agent wants an exclusive, she will ask for it.

Learn from Lauren’s example: it should take more than a few kind words to make you lose your heart – and your valuable pitching opportunities – to an agent. Don’t act as if you are going steady until your signature has dried upon a representation contract.

To give Lauren her props: she was awfully well-behaved about it all, and thus did not offend agent Loretta with her misconceptions. For the sake of argument, let’s meet another of Loretta’s pitch appointments, Lauren’s twin brother Lorenzo, to see how someone less knowledgeable about industry norms might have responded to the same situation:

Blurry boundary scenario 2: Lorenzo attends the same conference as his sister, and like Lauren, has an almost unbelievably positive pitch meeting with agent Loretta. Pleased, he too stops pitching, boasting in the bar that is inevitably located no more than 100 yards from ground zero at any writers’ conference that he has found the agent of his dreams. From here on in, he has it made.

So, naturally, Lorenzo goes home, spends the usual panicked week or two frantically revising his novel, and sends it off to Loretta. Like Lauren, he too receives a beautifully sympathetic rejection letter a few weeks later, detailing what Loretta feels are the weaknesses of the manuscript.

Unlike Lauren, however, Lorenzo unwisely picked conference week in order to go off his anti-anxiety medication. His self-confidence suffers a serious meltdown, and, in order to save his ego from sinking altogether, he is inspired to fight back. So he sits down and writes Loretta a lengthy e-mail, arguing with her about the merits of his manuscript.

Much to his surprise, she does not respond.

He sends it again, suitably embellished with reproaches for not having replied to his last, and attaching an article about how the publishing industry rejected some major bestseller 27 times before it was picked up.

Still no answer.

Perplexed and angry, Lorenzo alters his first 50 pages as Loretta advised, scrawls REQUESTED MATERIALS on the outside of the envelope, as he had the first time, and sends it off.

Within days, the manuscript is returned to him, accompanied by a curt note from an agency intern stating that it is the practice of Loretta’s agency not to accept unrequested submissions from previously unpublished authors. If Lorenzo would like to query…

Okay, what did Lorenzo do wrong? Where do we even start?

Let’s run through this chronologically, shall we? First, he made all of the same mistakes as Lauren did: he did not check Loretta’s track record for taking on previously unpublished writers, assumed that a nice conference conversation automatically meant a lasting connection, and did not keep pitching. Had he stopped there, he would have been a much happier camper.

But no, our Lorenzo pressed ahead: he decided to contest Loretta’s decision, adopting the always people-pleasing strategy of questioning her literary judgment. In order to insult her knowledge of the book-buying public more thoroughly, his follow-up included an article implying that no one in the industry knows a book from the proverbial hole in the ground.

Bad move, L. Arguing with an agent’s decision, unless you are already signed with that agent, is always a bad idea. Even if you’re right. Perhaps even especially if you’re right, because agents’ egos tend to get bruised easily.

More to the point, arguing with rejection is not going to turn it into acceptance. Ever. At the agent-seeking stage, this strategy has literally never worked. All it does is impress the agent (or, more likely, her screeners) with the fact that the writer in question is not professional enough to handle rejection well.

And that, my friends, is not an impression at all likely to engender a sympathetic re-read.

I’m sure, however, that you’re all too savvy to follow in Lorenzo’s footsteps, aren’t you? You would never be so blunt, I’m sure, nor would you ever be so dishonest as to write REQUESTED MATERIALS on materials that had not, in fact, been requested. (Since Loretta had not asked Lorenzo to revise and resubmit, her request ended when she stuffed his initial 50 pages into his SASE.)

However, a writer does not necessarily need to go over the top right away to bug an agent with over-persistence. Tomorrow, I shall show you how.

Reader’s success — and an unrelated faux pas

Before I launch for today, I have some good news: long-time reader and lyrical writer Barbara Brink has just had a delightful article in the current issue of the Minnesota Star Tribune. Congratulations, Barbara, and keep up the good work!

I’m a great believer in keeping the ol’ writing résumé fresh by adding gems like this to it from time to time — articles; contest semi-finalist, and places; writing residencies. It takes time, of course, to write and submit these résumé-builders, but they do look lovely in the credentials section of a query letter, don’t they, and in an author bio? Not to mention building one’s potential readership in the long term.

Oh, come on — you’ve never picked up a book in a bookstore because the author’s name looked vaguely familiar?

I am hoping to wrap up my series on industry etiquette (phew!) within the next couple of days, so I can move on to researching the agents and editors scheduled to attend PNWA this year who did not attend last year. (Thanks for the feedback on that, those of you who posted comments on the subject; I like this compromise.) Submission faux pas, continued: it’s all about ME

I love my readers: eagle-eyed Serenissima wrote in to point out that in my eagerness to tell you yesterday that our exemplar Daphne should have followed Digory’s instructions, I forgot to add HOW she should have followed them. (I’d fill those of you who missed yesterday’s post in on what I’m talking about, but that would make it too easy, wouldn’t it?) Yes, since agent Digory asked for 50 pages, Daphne should have sent exactly 50 pages – no more, no less, even if that meant cutting off the story mid-sentence.

But should she try not to have page 50 end mid-sentence? Should she try to arrange her plot so there is a section break there? Or, even more strategic, so there is a cliffhanger there?

Agents are quite, quite used to their requested page limits’ causing odd breaks, so do not worry about leaving ‘em hanging. (The ones who are truly married to closure will ask for entire chapters, not specific numbers of pages.) For this reason, it can appear a bit contrived if page 50 just happens to be the end of a chapter or section – although arranging the end of a section to fall on the last page is often a good idea for a contest entry, where it would be impossible for the judge to request more pages.

Never forget: the primary goal of those first 50 pages — or whatever part of the manuscript the agent has requested – is not to satisfy the agent’s sense of dramatic closure, but to get him to request the rest of the manuscript. Tying up ends too neatly might actually work against your aims here.

It’s nice if the agent finishes page 50 wondering what happens next – but as it’s not necessary to induce him to lie awake nights wondering what happens on page 51, rearranging your writing so a cliffhanger falls on page 50 (or whatever the last page of the submission may be) should not keep YOU awake nights. Leaving him wondering what happens in the rest of the book is sufficient – which, if you’ve established a sense of tension and conflict in the first 49 pages, he should already be doing.

In other words: you don’t need a murder to occur on page 50, necessarily, and it may well come across as heavy-handed if the last line on that page reads, “’I’ve been poisoned!’ Angelica cried. “And the culprit is”

Got it? Good. All right, on to the meat of today’s post.

Over the past few months, I have noticed an ailment cropping up with astonishing frequency amongst writers of my acquaintance. It’s a syndrome that, in its mild form, can drive writers to lose confidence in their work after only a few queries, and in its most virulent form, can alienate agents and editors before they’ve even read a word that the writer has penned.

And, to make it harder to head off at the pass, or to diagnose before symptoms develop, this syndrome leads to behavior that a professional writer, one who was actually making a living at it, would never even consider doing. So, naturally, it had never occurred to me that writers I know, good ones with probably quite bright futures, were engaging in it – and it might be hurting their publication prospects. So today I’m going to flag it, so none of my dear readers get caught in this quite common trap.

I refer, of course, to the notion that ANY book by a first-time author – be it absolutely the latest word in literary fiction, the mystery that even Perry Mason couldn’t solve before page 355, or the next DA VINCI CODE – would be so exciting to agents and editors that they would drop everything else to pay attention to it.

Or, potentially even more damaging, that they SHOULD, and that the writer has a right to expect instantaneous responses. Or even very quick ones.

Now, I have mentioned the most common corollary to this belief many times before: the insidious idea that if a book is really good (or, more usually, if its writer is truly talented), that the first query, the first pitch, the first submission will instantly traject it into a cozy lifetime relationship with the perfect agent or editor.

Oh, you laugh, but deep down, most of us would love to believe that our work is so redolent with talent that it will be the exception to the long turn-around time norm. The fantasy is a compelling one: place a stamp on a query on Monday, receive a request for the full manuscript by the end of the week, sign before a fortnight has elapsed, sell to a prominent publisher by Arbor Day. For those who query via e-mail, the expected timeline runs even faster: query tonight, request tomorrow, sign by next Wednesday, sale by April Fool’s Day.

I wish I could tell you it could happen, but as long-time readers of this blog already know, the industry just doesn’t work that way. Occasionally, people strike lucky, but a good writer should EXPECT to have to try many agents before being signed, and to have to wait weeks or even months to hear back from agents and editors.

So, in case any of you have missed the other 147 times I’ve said it in the last few months: it just doesn’t make sense to query or submit to agents one at a time. No matter how much you like a particular agent. Giving in to the notion that good work gets picked up immediately may cause a writer to take years to cover the requisite array of agents to find the right one, or even to stop querying in frustration after only a few tries.

Strategically, either is a bad idea. Competition over who is going to represent you, like competition over who is going to publish your book, can only help you, and unless an agent asks you point-blank for an exclusive look (which you are under no obligation to grant), these days, most agents ASSUME that a writer is sending out simultaneous submissions.

But the larger assumption, the one that dictates an expectation that ANY book is a drop-my-other-hundred-projects occasion for an agent or editor, is even more dangerous, because it can lead to behavior that is not only unlikely to convince industry types of a writer’s professionalism, but might even alienate them permanently. It can – sacre bleu! – lead to a writer’s being pushy.

Why is this a problem? Because as anyone in the industry can tell you, there is no book for which every agent is holding his breath. Naturally, everyone would like to snap up the next bestseller, of course, but since no one really knows what that will be, and they spend their lives surrounded by so much paper that the average agency could use it for insulation, it would simply be too exhausting to leap upon each new submission as though it contained the philosopher’s stone.

Even if that book turns out to be HARRY POTTER AND THE PHILOSOPHER’S STONE. They need time to read, and no matter how much you would like yours to be the only submission on your dream agent’s desk at any given moment, yours is probably going to be one of fifty.

So there can be no legitimate reason, in their minds, for a writer to act as if HER book is THE one. Even if it is.

But try telling that to some writers. As in the most common manifestation of all:

Writer-centered scenario 1: Marcel has been working on his novel for a decade. Finally, after showing it timorously to his lover and a couple of roués claiming to be artistes he met at the corner café, he decides it is ready to submit. Being a careful sort of person, he researches agencies, and finally settles on the one that represents his favorite writer.

He submits his work, fully expecting to hear back within the week. By the end of a month, he is both flabbergasted and furious: why hasn’t that agent gotten back to him? As the sixth week ticks by, he decides that there is no point in hoping anymore. When his SASE and manuscript finally arrive back on his doorstep at the beginning of week 9, he doesn’t even bother to open the packet. He pitches them straight into the recycling bin.

He never submits again. Instead, he hangs out in absinthe bars with his amis, bemoaning the fact that the publishing world has refused to see his genius.

Okay, what did Marcel do wrong? (Other than drinking absinthe, which I’m told is pretty lethal.)

Oh, let me count the ways. Give yourself an A if you said he assumed that a single agent’s reaction was identical to that of everyone’s in the publishing world, as if rejection once means rejection eternally. What does Marcel think, that every agent in the country gets together every night under the cover of dark to share the day’s submissions, so every agent can provide a uniform response?

(Actually, there is a pervasive rumor like this that surfaces on the conference circuit every year or two about a national database where agents log in the names and book titles of every rejection, so that once a manuscript has been seen by a couple of agents, the others will know to avoid it. Piffle.)

Like it or not, the belief that one agent equaled the industry actually stems not from insecurity, but from an extreme case of egoism on Marcel’s part. Rather than considering himself one of the literal millions submitting manuscripts each year, or pondering the notion that he might need to learn a bit more about the industry before he can submit successfully, he prefers to conclude that his IDEAS are too out there for the cowardly market.

At least, he concludes that aloud: in his heart, he may actually believe that no one is interested in what he has to say. In this, he would be far from alone: there are plenty of Marcels out there who never send their books out even once.

Was that great collective “OH!” I just heard indicative of realizing that you know a writer like Marcel? Most of us do. The Marcels of the world are the ones who are all talk, and no query.

It takes real guts to pick yourself up after a rejection and send your work out again. It’s mighty tempting to give up, isn’t it? So give yourself an A+ if you pointed out by giving up so easily, Marcel never has to risk his ego’s being demolished by rejection again.

Extra credit with a cherry on top if you noticed that Marcel sought feedback only from his lover and friends, who could not possibly give him unbiased critique.

But you’re too clever to follow Marcel’s route in any of those three respects, aren’t you, readers? You know that a single rejection cannot logically mean that the book is unmarketable, that your writing is no good, or that you should give up writing altogether. Even a dozen rejections do not necessarily mean that: what an individual rejection means is that the agency in question didn’t like something about the submission.

Try to improve your submissions, by all means, but keep trying. Having to send out your work again and again is not – I repeat, is NOT – necessarily a reflection upon the quality of your writing, although it often is a reflection of how it is presented on the page. (Thus my continual yammering on the joys of standard format.)

Keep your chins up, campers. And keep up the good work.

Avoiding the faux pas, part I, in which I reveal to my readers the astonishing fact that contrary to popular belief, agents tend to be competitive people.

Practically all of the writers I know – and they are legion – have been on edge lately. Including yours truly, a humble scribe who just sent off a NF book proposal to her agent Monday midnight. Considering that I was polishing this inherently annoying project – what writer wants to produce 35 pages of marketing copy on a book that has yet to be written? – during a pre-contest period when, by conservative estimate, I was receiving at least three panic-stricken e-mails per hour, asking for interpretations of contest rules and standard format, it’s perhaps understandable that I would be a little peevish.

My apologies to those of you at whom I snapped. Truth compels me to say, though, that by the last few days of proposal-writing, I was snarling at anything that came near my writing space.

I was under a lot of stress – in addition to the proposal and the contest deadline, I have a novel making its way through a publisher’s committee reading list AND a memoir being held up by another publisher — and it honestly is about equally time-consuming to answer questions one by one and to post each on the blog as comments so everyone can see the answers. Really, it’s better for us all in the long run for the questions to be posted as comments originally, and skip the middleman.

Signed, sincerely, the middleman.

So that’s my reason for being a trifle grumbly these days – but what is everyone else’s excuse? It’s more than just the February blahs. Contest season always leaves tempers a bit frayed; it’s the season, too, where the last of the New Year’s resolution queriers are finding SASEs in their mailboxes.

I’m not just asking out of idle curiosity, you know. For some reason, this February seems to be spurring a lot of writers out there to test the limits of the usual industry etiquette, or even to disregard it altogether. And in most cases, they seem to be doing it inadvertently.

All month, I’ve been hearing story after story from (and about; the professional writing world isn’t all that big, and notoriously gossipy) writers who have crossed boundaries that make those of us who have been in the biz a long time cross ourselves quickly and murmur, “Mon dieu!” under our breaths.

Because I have been, as I said, preoccupied, it took me a couple of weeks to figure out why. No, not why it should be happening in February – that’s anyone’s guess. I mean why writers, who in all other months of the year bend over backwards to avoid offending agents and editors, would be violating the industry standards for politeness all of a sudden. Care to hear my theory?

It’s because the writers don’t know about these standards.

Those of you who have been reading this blog for a long time might not find this insight all that startling. “Humph,” I hear you mutter, “so what else is new? There are plenty of things a writer learns only through experience or because someone like Anne mentions it.”

Ah, but here’s the recent difference: in years past, writers learned industry etiquette at conferences, through writers’ groups, via the advice in the printed agency guides, by hearing horror stories, etc. Now, more and more writers are gleaning their information online – and thus are not necessarily in a position to have an industry insider take them aside and murmur, “Whatever you do, NEVER phone an agent who hasn’t called you first!” or “A conversation with an agent or editor at a conference is NOT a friendship – don’t e-mail afterward just to chat!” or “Never promise an exclusive for more than three weeks.”

For anybody who landed an agent more than five years ago, not knowing these things seems downright odd. But there you have it, the result of web-based community. Not all progress is progressive.

Which means, I guess, that it’s up to me to fill you in on some of these imperatives. Otherwise, I can’t really complain that you don’t know about them. And this way, you can in turn pass them along to other writers of your acquaintance, just as folks have traditionally done on the conference circuit, and none of my readers will ever end up being the one who insults the agent of his dreams.

I have nightmares about that, you know. I worry about you people.

Rather than just presenting you with a list, though, and to make this more interesting for those of you who have spent some time on the conference circuit, I’m going to spend the next few days running through a number of hypothetical situations. In each, I’m going to ask you what the fictional writer did wrong, and why. And to ease the transition from the contest tips of recent weeks, each of today’s scenarios is going to be about a contest winner.

So happy February, everybody. It’s time to get polite.

Scenario 1: Abigail has just won the Adult Genre Fiction category, and her head is still spinning from all of the congratulations. Agent Ashley, to whom Abigail had pitched earlier in the conference, tugs on her sleeve and reminds her that Ashley’s agency is already interested, upping her request for pages from the first 50 to the entire manuscript.

Flattered, Ashley agrees. But when Agent Andrew from her dream agency buttonholes her next and asks for pages, Abigail says that she can’t send them until after she’s heard back from Ashley. Andrew shrugs and walks away without giving her his business card.

What did Abigail do wrong here?

If you said that Abigail fell into that very common writer’s trap, being so enthralled by an agent’s – any agent’s – attention that she just said yes to everything she was asked without first thinking about her own strategic interests, give yourself partial credit. Ditto if you said that Abby acted as though she already had a firm representation commitment from Ashley before Andrew showed up.

Not every agent is the right fit for every book; Abigail should have been keeping her options as open as possible here. And as those of you who have pitched at conferences already know, agents ask to read hundreds of manuscripts that they don’t end up representing. Ashley’s interest, while flattering, is just that: interest, not a commitment.

If you said that Abigail’s mistake was to act as though SHE had already committed herself to Ashley, give yourself full marks with a cherry on top. This is known in the biz as giving an unrequested exclusive: Ashley does not expect Abby NOT to show the book too anyone else; Abby has just assumed that’s the expectation.

She’s wrong. And it’s certainly not in Abby’s interest for her to grant an exclusive without being asked specifically to do it. Until that agency contract is signed, the writer is a free agent, so to speak: binding commitments are expected from her, and none are implied.

In fact, Abigail’s manuscript probably would have gotten a quicker read from both Ashley and Andrew had she told them both other agents were interested. Why? Well, publishing is a super-competitive game. To a Manhattanite agent, a book over which there is competition is inherently more valuable than one that only he wants.

Yes, regardless of the quality of the writing.

I know: it’s counterintuitive, and assumes that writers are pitching and querying hundreds of times. But accepting that they think this way makes the publishing industry’s logic much less opaque, I promise.

Okay, here’s the extra credit question: what should Abigail have done instead?

Trickier, isn’t it? She should have told both agents that she was collecting as many requests for submissions as possible, and then sent her winning entry out to them all. Amongst agents, this is considered perfectly reasonable, and often even increases any given agent’s interest in the work. (See earlier comment about Manhattanite logic.)

Are you getting the hang of this? Let’s move on to a new case.

Scenario 2: Billy has just won first place in the Mainstream Novel category. Bertold, the hungry young representative of the Bob Baass Agency (Bob’s of Estonian extraction), immediately asks Billy for an exclusive look at his book. Since the Baass Agency has picked up contest winners at this conference in the past, Billy agrees, and does not pitch his work to any other agent.

Two months later, Bertold rejects the manuscript with a form letter saying that he does not represent this type of book, and Billy has to start querying again from scratch.

What did Billy do wrong?

A whole lot, actually. First, he granted an exclusive immediately after a contest win. As a former major category winner myself, I can assure you, the temptation to do this is vast: when you’re getting so much attention, often after so many years of fruitless querying, the notion that you could just hand your manuscript to the first agent who asks for it and never think about querying again is HUGELY appealing.

Yielding to this temptation lead to Billy’s second mistake: not continuing to pitch his work. As those readers who have already been with me through a conference season already know, I think it’s always a mistake to stop pitching after even the ideal agent has asked to see your work. The more requests for material you can garner at a conference, the more likely you are to end conference season with a contract in hand.

Billy’s third mistake was almost inevitable, after he had made the first two: he waited to hear back from Bertold before he followed up on other leads. A poor choice that probably stemmed from his fourth mistake, not having researched Bertold’s sales record prior to the conference, so he would know whether Bertold and/or the Baass Agency was a good fit for his work.

“But wait!” I hear some of you out there wailing. “You’re missing the point. Why on earth did Bertold ask for an exclusive on a book in a category he doesn’t represent? Why ask for it at all?”

Very, very good questions – and while they could both easily be answered by assuming that Bertold is a sadist who likes to make good writers cry, that’s almost certainly not the reason he did it.

Anyone care to take a guess? Anyone? Here’s a hint: does the Baass Agency send a representative every year?

If you know what’s going on here, you’ve probably been to quite a few conferences, or at least know other writers who have. The Baass Agency doesn’t want to miss out on the next bestseller. Bertold’s boss probably told him to nab as many of the major category winners as he could; the request was automatic.

With an exclusive, the Baass Agency can pass the winners’ work around internally amongst its member agents. In Billy’s case, no one bit.

Okay, what should Billy have done instead, other than run screaming from Bertold because he knew the Baass Agency did not represent his kind of book?

First off, Billy should not have granted an exclusive – he should have pitched to as many agents as possible at the conference, and sent submissions out to them all simultaneously. Telling them all that other agents (no need to name them) are looking at it, of course.

Not only does this prevent hard feelings down the line, it also tends to speed up the reading process at the agencies. If I hadn’t mentioned it before, agents tend to be competitive people. As those modern philosophers the Bee Gees informed us: “We can try/to understand/New York time’s effect on man.”

“But wait!” I hear some of you protest, stung to the heart at the audacity of saying no to any agent anywhere, anytime. “Wouldn’t Billy have offended Bertold by saying no?

Well, maybe, but it’s less likely than you might think. There’s only one reason that an agent ever asks for an exclusive: because he’s afraid that another agent will snap up the author before he can. I’ve never even heard of an agent’s changing his mind about wanting to see pages after an author has said no to an exclusive, in fact. But then, it very seldom happens.

If you don’t believe me, eavesdrop sometime on an agent who has just learned that a contest winner has granted an exclusive to ANOTHER agent; it’s not as though they regard it as a sacred covenant. As I said, these folks are a MITE competitive.

If Billy feared that he felt that he would lose Bertold’s interest by saying no, he should have set an end date to the exclusive right away. The polite way of doing this is to say, “I’d be happy to let you have an exclusive look for three weeks.” That’s a perfectly reasonable amount of time, and if Bertold finds he needs more, trust me, he’ll call Billy and ask for an extension.

After establishing the deadline, Billy should have pitched up a storm, to have a stack of business cards ready for his next round of queries. At 12:01 am on the day after the exclusive expired, Billy should have sent out a submission to every other agent to whom he pitched. THEN he could send a polite e-mail or letter to Bertold, telling him other agents were now looking at his work.

As you may see, what is and isn’t considered cricket within the publishing world is not always self-evident. Fortunately for me, by the time I won a major contest, I had attended enough conferences to avoid Abigail’s mistake; even luckier, I had enough friends who had won contests in the past that I knew to say, unlike Billy, to everyone who asked, “I’m not giving any exclusives, but I would be happy to send you the first 50 pages.”

It’s all about socialization, my friends: as a writer entering the world of agents and editors, you are going to need to assimilate to a new culture. Being aware of that can help you avoid giving gratuitous offense – and help you protect your own interests.

Pitching day arrives!

Hello, readers —

I’m packing up my troubles in my old kit bag and heading off to the PNWA conference shortly, but since I won’t be posting again until Monday, after all the pitching dust settles, I wanted to leave you with some final pre-conference thoughts.

First, at risk of repeating myself or sounding like a Lamaze coach, I can’t overemphasize the importance of reminding yourself to take deep breaths throughout the conference. A particularly good time for one is immediately after you sit down in front of an agent or editor. Trust me: your brain could use the oxygen right around then, and it will help you calm down so you can make your most effective pitch.

And please remember, writing almost never sells on pitches alone; you are not going to really know what an agent thinks about your work until she has read some of it. Whatever an agent or editor says to you in a conference situation is just a conversation at a conference, not the Sermon on the Mount or testimony in front of a Congressional committee. Everything is provisional until some paper has changed hands.

This is equally true, incidentally, whether your conference experience includes an agent who actually starts drooling visibly with greed while you were pitching or an editor in a terrible mood who raves for 15 minutes about how the public isn’t buying books anymore. Until you sign a mutually-binding contract, no promises — or condemnation, for that matter — should be inferred or believed absolutely. Try to maintain some perspective.

Admittedly, perspective is genuinely hard to achieve when a real, live agent says, “Sure, send me the first chapter,” especially if you’ve been shopping the book around for awhile. But it IS vital to keep in the back of your mind that eliciting this statement is not the end of your job, because regardless of how much any given agent or editor says she loves your pitch, she’s not going to make an actual decision until she’s read at least part of it. So even if you are over the moon about positive response from the agent of your dreams, please, I beg you, DON’T STOP PITCHING IN THE HALLWAYS. Try to generate as many requests to see your work as you can.

Trust me on this one: you will be much, much happier two months from now if you have a longer requested submissions list. Ultimately, going to a conference to pitch only twice, when there are 20 agents in the building, is just not efficient.

If an agent does fall in love with your work this weekend, you may well hear one or both of the following pieces of industry-speak fall from her lips: “I need you to overnight this to me” and/or “I want an exclusive look at this.” And you, in your giddiness, may be tempted to say yes immediately to one or both.

I wouldn’t advise saying yes to either, because the first will cost you quite a bit of money (manuscripts are heavy, and overnight shipping is expensive), and the second is not in your best interests.

Why? Well, in the New York-based publishing industry, the normal pace is hectic, so writers dealing with it are exposed to an odd rhythm: delay/panic/delay/panic. So when agents and editors say, “I want it now,” it’s not usually a statement of intention, as in, “I am going to read it as soon as it arrives,” but rather an expression of serious interest. Ditto with a request for an exclusive — it’s intended to convey to you that the agent is very, very interested in your work, not that she is going to clear her schedule for an entire day as soon as she gets back home to read your book.

It’s meant as a compliment, not as a time prediction — and thus there is no reason for you to break the bank in order to get your manuscript to New York before the agent has even unpacked from her trip. Besides, it’s pretty generally understood that we have a slower pace of life out here; she may not be sure if we even have clocks on the walls of our vegetarian commune yurts. There’s no reason that misconception shouldn’t work to our advantage from time to time. The fact is, it’s a good bet that the requesting agent already has a million manuscripts on her desk, and a few days will not make any difference at all.

I have a firm policy for myself and my editing clients: NEVER overnight ANYTHING to an agency or publishing house unless the RECEIVER is paying the shipping costs. Packages with overnight stickers on them are NOT attended to more quickly; Priority Mail packages with REQUESTED MATERIALS written on the outside are opened just as fast.

Save yourself the dosh.

Because of the industry’s peculiar sense of time, where having your manuscript be on the top of someone’s to-read list might mean he’ll read it tomorrow and it might mean it will still be propping up fifteen other manuscripts on his desk four months from now, I also always advise writers to refuse to give any agent, even the best in the world, an exclusive look at any book. It is almost never in the writer’s interest to do so — all you are doing by granting it is making sure that no other agent at the conference can beat the one you’re promising to the punch. It’s tying your hands so you can’t send your work out to anyone else, while at the same time depriving the agent of any possible incentive to read it quickly, since he knows that there’s no competition over the book.

Just say no.

If you absolutely must grant an exclusive — or if you read this AFTER you already have — say (and repeat it in your cover letter when you send the book), “I am happy to give you an exclusive look at my book for three weeks. After that, I shall still be eager to hear from you, but please know that I shall also be submitting it elsewhere.” Three weeks is plenty of time for anyone to read any manuscript. And then on Day 22, submit it to another agency. If they really are rushing to read it in time, trust me, they’ll call you to ask for an extension.

Okay, my attitude problem and I are heading off to the conference now. See some of you there, and everybody, keep up the good work!

The questions to ask about your work before you send it out

Let’s assume for the moment that you have done everything I spoke about in yesterday’s post: found a sterling feedback-giver or two (and actually listened to them!), and you feel that your manuscript is good to go. Then, mirabile dictu, after an admirable query, you have been asked to send a few chapters (or even the whole book!) to your dream agent.

 

First, take few minutes to feel hugely, immensely, magnificently proud of yourself. It is no small achievement to have stood out in the crowd enough to be asked to send material, and don’t let your anxiety over the ultimate goals — in the short run, to get an agent; in the long run, to sell your book — convince you to under-celebrate the fact that you have reached a legitimate milestone. Dance and sing in the streets a little.

 

Then, get down to work. “It is time to smooth the hair,” as Emily Dickinson wrote, “and get the dimples ready.” Read every page that you are sending OUT LOUD and IN HARD COPY, to weed out any lingering errors, then sit down and ask yourself some hard questions:

 

(1) Am I sending what the agent asked to see, no more, no less?

 

A surprisingly high number of aspiring authors blow their chances by failing the first test an agent sets them: demonstrating that they know how to follow directions. I know that it is tempting, when asked to send the first 50 pages, to round it up a little, to round out the chapter.

 

Don’t. Leave ‘em in mid-sentence – your goal here is to make them clamor to see more.

 

(2) Is my manuscript in standard format?

 

See my earlier posting on the rules of standard format, if you’re not sure. If it’s in a fancy typeface, change it to 12-point Times, Times New Roman, or Courier immediately. Make sure that your margins are at least one inch on all sides, and double-check your slug line (the line in the header that reads AUTHOR’S LAST NAME/TITLE OF WORK/#).

 

Yes, these are purely cosmetic matters, and they have nothing to do with the actual quality of your writing. But if you do not use standard format, I assure you, your work will not be taken as seriously — basically, your writing will have to be twice as good to capture an agent’s attention. (The standard rejection-letter euphemism for this is “Consider taking some classes on marketing your work.”)

 

And think about it: would you show up for a job interview at a Fortune 500 company dressed in a clown suit? (Okay, I have to admit, if you actually would, I have a certain fondness for you already. However, you probably would not get the job.)

 

(3) Do I have a great opening line, or is my real killer buried a few pages in?

 

This may seem like an odd question, but it is my editorial experience that most good writers tend to put their zinger first lines somewhere on pages three to six. What comes before tends to be set-up or preamble.

 

Read your submission carefully to see if you have done this. Once you find your killer first line, reconsider what comes before it: could it go? Could the information it gives come more gradually?

 

(4) If I took away everything in my packet except for the first page of my submission, would the agent be desperate to learn what happens on the subsequent pages? What about if I took away everything but the first paragraph?

 

If the answer to both questions is not yes, you should probably perform a few revisions.

 

Writers know their own work so well that it sometimes becomes very hard to see it from a new reader’s perspective. Getting a reader to continue past the first few lines, and definitely past the first page, is an act of seduction, my friends. Those first few bits really have to count.

 

The best way to test for this is to hand the first page to someone who doesn’t know the plot of your book, have him read it, and then ask him to speculate on what comes next. If his guess is too dead-on, you might want to incorporate a bit more quirkiness into your opening.

 

If your reader looks puzzled and says, “I honestly have no idea where this is going,” take a good look at your opening. Does it actually fit your book?

 

(5) Would I buy this book, based upon these short excerpts?

 

This is a tough question for you to answer about your own work, but a necessary one. If your best writing is not in your first chapter or two, consider presenting the parts you deem best AS the first chapter. I know this sounds wacky, but you can always say later that you’ve rethought the running order of the book. Remember, both fiction and nonfiction often changes considerably after an agent takes it on – and often even more after an editor acquires the book. Your first pages as they currently stand will probably be revised at some point in the future.

 

And the sole purpose of your first chapter when you submit it to an agent is to get the agent to want to read more of your writing. Period. It needs to be your very best writing, even if the chapter in question will ultimately be in the middle of the book. If it sings, and you can legitimately present it as a first chapter, consider presenting it as such.

 

If this seems a bit draconian to you, try rearranging the chapter so that your favorite passage appears on page one. Don’t think of this page one as the opening to your long dreamt-of book. Instead, think of it as your very first opportunity to show this agent that you can write up a storm.

 

(6) Is there sufficient action in the first five pages, or is it mostly build-up? (Check this, even if you are writing nonfiction.) If I do not currently begin with action, could I?

 

It is also very common for first novels not to get going for awhile. In Britain, this is actually considered rather stylish: I keep reading acclaimed British novels where almost nothing happens for the first 50 pages! And as much as I enjoy them, I invariably shake my head and think, “This author would never be able to land an agent in the U.S.”

 

Remember how busy I said agents and their assistants were in my earlier postings about query letters? Guess what: they’ll still be extraordinarily busy when the time comes to read your chapters. In fact, it’s not at all uncommon for agents to reserve a new author’s manuscript to read at home, in their spare time: I think the theory here is that if they like your style enough to keep reading when they could be doing something else, you must be really talented! It means, however, that your chapters may well be competing with the agent’s children, spouse, aikido class, rottweiler, favorite TV show, and many other claims upon her attention.

 

So keep it exciting. In a submission, even the most literary of literary novels has to keep moving.

 

(7) Does the material I am sending stand alone, or would I be happier if I could be standing over the agent’s shoulder, explaining?

 

This is no joke: it is a serious question. If your answer was the latter, read through again: if there is so much as a parenthetical aside that you feel will not be utterly clear from what is actually said on paper, go back and clarify it.

 

(8) Read every syllable of your submission out loud, preferably to another person. Does it make sense? Have you left out a word here or there? (A very common mistake that computer screens render difficult to catch.) Are there logical leaps?

 

Aha, you thought you could get away with ignoring this sterling piece of advice when I suggested it above, didn’t you? There is no excuse for not doing this, even if the agent asked you to send your materials right away. Don’t blow your big chance on a simple error or two.

 

Tinker accordingly. Once you are happy with your responses to all of these questions, send it out — and see if you don’t get better responses.

 

Oh, and for heaven’s sake, don’t forget to take a great big marker and write REQUESTED MATERIALS on the outside of your envelope, so your marvelous submission doesn’t get tossed into the unsolicited manuscript pile for a few months. It’s a good idea, too, to mention that these are requested materials in your HUGELY POLITE cover letter that you enclose with the manuscript: “Thank you for asking to see the first three chapters of my novel…”

 

Always, always include a SASE — a stamped, self-addressed envelope – with enough postage (stamps, not metered) for your manuscript’s safe return, and MENTION the SASE in your cover letter. This marks you as a polite writer who will be easy to work with and a joy to help. If you want to move your reputation up into the “peachy” range, include a business-size SASE as well, to render it a snap to ask you to see the rest of the manuscript. Make it as easy as possible for them to get ahold of you to tell you that they love your book.

 

One last thing, another golden oldie from my broken-record collection: do not overnight your manuscript, unless you have specifically been asked to do so; priority mail, or even regular mail, is fine. You may be the next John Grisham, but honey, it is unlikely that the agent’s office is holding its collective breath, doing nothing until it receives your manuscript. Hurrying on your end will not speed their reaction time.

 

And since turn-around times tend to be long (a safe bet is to double what the agent tells you; call or e-mail after that, for they may have genuinely lost your manuscript), do not stop sending out queries just because you have an agent looking at your chapters or your book proposal. If the agent turns you down (perish the thought!), you will be much, much happier if you have other options already in motion.

 

The only circumstance under which you should NOT continue querying is if the agent has asked for an exclusive – which, incidentally, you are under no obligation to grant. However, politeness generally dictates agreement. If you do agree to an exclusive (here comes another golden oldie), specify for how long. Three weeks is ample. Then, if the agent does not get back to you within the stated time, you will be well within your rights to keep searching while she tries to free enough time from her kids, her spouse, her Rottweiler, etc. to read your submission.

Post-conference etiquette

Many of you are no doubt busy prepping your work to send out to agents and editors that you met at PNWA, or perhaps are gearing up for a second round, or working up nerve to send out queries before the end of the summer, so I thought it would be a good time to pass along some do’s and don’ts for presenting requested material. This may be old hat to some of you, but this is precisely the sort of wisdom that tends to be passed only by word of mouth amongst writers.

DO write REQUESTED MATERIALS — PNWA in big, thick pen strokes on the outside of the envelope. As you probably know, agents and editors receive literally hundreds of missives from aspiring writers per week. If they asked for your work, it belongs in a different pile from the 500 unsolicited manuscripts and 1500 query letters.

DON’T write REQUESTED MATERIALS if they did not actually request your work. Instead, write PNWA with the same big, fat pen on the outside of the envelope, so they know you’ve been professional enough to attend a conference and have heard them speak.

DO write PNWA – FINALIST/PLACE WINNER (CATEGORY) on the outside of the envelope if you did get honored in the contest. Both the fiction winner and I (the NF winner) did this in 2004, and every single agent thanked us for it. It kept our work from getting lost in the piles.

DON’T send more material than the agent/editor asked to see. (A big pet peeve for a lot of ‘em.) This is not like a college application, where sending brownies, an accompanying video, or a purple envelope could get you noticed amongst the multitudes: to NYC-based agents and editors, wacky tends to equal unprofessional —- the last label you want affixed to your work. And don’t spend the money to overnight it; it will not get your work read any faster.

DO send a polite cover letter with your submission. It’s a good chance to show that you can maintain appropriate boundaries, and that you are professionally seasoned enough to realize that even a very enthusiastic conversation at a conference does not mean you’ve established an intimate personal relationship with an agent or editor.

DON’T quote other people’s opinions about your work in the query letter, unless those people happen to be well-known writers. If David Sedaris has said in writing that you’re the funniest writer since, well, him, feel free to mention that, but if your best friend from work called your novel “the funniest book since CATCH-22,” trust me, it will not impress the agent.

DO mention in the FIRST LINE of your cover letter either (a) that the agent/editor asked at PNWA to see your work (adding a thank-you here is a nice touch) or (b) that you heard the agent/editor speak at PNWA. Again, this helps separate your work from the unsolicited stuff.

DON’T assume that the agent will recall the conversation you had with her about your work. Remember, they meet scores of writers at each conference: you may not spring to mind immediately. If you had met 468 people who all wanted you to read their work over the course of three days, names and titles might start to blur for you, too.

DO mention in your cover letter if the agent/editor asked for an exclusive look at your work. If an agent or editor asked for an exclusive, politely set a time limit, say, three weeks or a month. Don’t worry that setting limits will offend them: this is a standard, professional thing to do. That way, if you haven’t heard back by your stated deadline, you can perfectly legitimately send out simultaneous submissions.

DON’T give any agent or editor an exclusive if they didn’t ask for it – and DON’T feel that you have to limit yourself to querying only one agent at a time. I’ve heard rumors at every conference that I have ever attended that agents always get angry about multiple submissions, but truthfully, I’ve only ever heard ONE story about an agent’s throwing a tantrum about it – and that only because she hadn’t realized she was competing with another agent for this particular book.

Your time is valuable. Check a reliable agents’ guide to make sure that none of the folks you are dealing with demand exclusives (it’s actually pretty rare), and if not, go ahead and send out your work to as many agents and editors who asked to see it.

DO consider querying agents and editors with whom you did not have a meeting at the conference – and tell them that you heard them speak at PNWA. Just because you couldn’t get an appointment with the perfect person at the conference doesn’t mean that the writing gods have decreed that s/he should never see your work.

DON’T call to make sure the agent received your work. This is another common agenting pet peeve: writers who do it tend to get labeled as difficult almost immediately, whereas you want to impress everyone at the agency as a clean-cut, hard-working kid ready to hit the big time.

If you are very nervous about your work going astray, send your submission with delivery confirmation or enclosed a stamped, self-addressed postcard that they can mail when they receive your package. Don’t call.

DO send an appropriate SASE for the return of your manuscript – with stamps, not metered postage. I always like to include an additional business-size envelope as well, so they can request further pages with ease. Again, you’re trying to demonstrate that you are going to be a breeze to work with if they sign you.

DON’T just ask them to recycle the manuscript if they don’t want it. There are many NYC offices where this will seem like a bizarre request, bordering on Druidism.

DO make sure that your manuscript is in standard format: at least 1-inch margins, double-spaced, every page numbered, everything in the same 12-point typeface. (Most writing professionals use Times, Times New Roman, or Courier; screenwriters use exclusively Courier. And yes, there ARE agents and editors who will not read non-standard typefaces. Don’t tempt them to toss your work aside.)

If you are submitting a nonfiction book proposal, send it in a nice black or dark blue file folder. This is not the time to bring out your hot pink polka-dotted stationary and tuck it into a folder that looks like something that flew out of out of Jerry Garcia’s closet. Think of it as a job interview: a black or blue suit is not going to offend anyone; make your work look as professional as you are.

DON’T forget to spell-check AND proofread in hard copy, not only the manuscript, but also your cover letter. Computerized spelling and grammar checkers are notoriously unreliable, so do double-check. When in doubt, have a writing buddy or a professional proof it all for you.

DO give them time to read your work – and invest that time in getting your next flight of queries ready, not in calling them every day.

DON’T panic if you don’t hear back right away, especially if you sent out your work in late July or August. A HUGE percentage of the publishing industry goes on vacation between August 1 and Labor Day, so the few who stick around are overworked. Cut them some slack, and be patient.

DO remember to be pleased that a real, live agent or editor liked your pitch well enough to ask for your work! Well done!

DON’T be too upset if your dream agent or editor turns out not to be interested in your project, and don’t write that person off permanently; s/he may be wild about your next. Keep your work moving, rather than letting it sit in a drawer. Yes, it’s hard emotional work to keep sending out queries, but you can’t get discovered if you don’t try.

DO take seriously any thoughtful feedback you receive. As you may already know, boilerplate rejection letters are now the norm. If an agent or editor has taken the time to hand-write a note on a form letter or to write you a personalized rejection, you should take this as a positive sign – they don’t do that for everybody. Treasure your rave rejections, and learn from them.

Yes, waiting to be discovered is hard – but in the meantime, keep up the good work!
