The submission packet, part III: making yours the Easter egg that everyone wants to find, or, the race is not always to the swiftest

The age of miracles has not yet vanished, my friends. Remember that yard renovation we started way back in, oh, March? Or was it in April, or 2003, or the era of the Visigoths? Today, after what felt like an entire Bronze Age of delays, the landscapers showed up (in itself something of a miracle), cleared away the debris that they had left artistically dotting our neighborhood, waved their hands over the heaping piles of sod that have housed a mole-and-squirrel theme park for months now — and violà, we abruptly have a very lush lawn.

I’m not talking just healthy, mind you — this is downright bourgeois. I haven’t seen greenery this decadent since I was a student at Harvard, when the grand old school would banish the students from the trampled lawns a few weeks before graduation and roll out new ones, so the Yard would look nice for the soon-to-be-visiting alumni.

Oh, as if Harvard’s the only university that does it.

Our new, croquet-worthy lawn seems like an apt metaphor for today, when I shall be wrapping up this week’s micro-series on SASEs and other things an aspiring writer might conceivably ship to an agent or editor. You could always go the Rolls Royce route, overnighting every scrap of requested paper or even having a bike messenger deliver it, but why shell out the dosh?

In the end, whether the yard boasts a pelt-thick lawn or the most modest rock garden, you will want to impress the recipient with the house, if you catch my drift.

On the off chance that anyone out there didn’t, allow me to make it plainer: too many aspiring writers waste scads of money speeding up the delivery time between their houses and a requesting agency. Overnighting a submission is utterly unnecessary; it won’t win you any Brownie points whatsoever with Millicent the agency screener, and it most assuredly will not get her boss to read your manuscript any faster.

Save your money for something else — nice paper upon which to print the submission, for instance.

With an eye to helping submitting writers figure out what is and isn’t a necessary expense, I have spent the last couple of posts talking (in part) about ways to save money when shipping requested materials to an agent or editor. We writers don’t talk about this very much amongst ourselves, but the fact is, the process of finding an agent can be pretty expensive.

Did a few of you new to the process just choke on your cornflakes? “Wait just a minute, Anne,” a sputtering few still working up to the marketing stage cry. “Surely, you’re talking about the entire agent-finding process being expensive, right, not just the shipping-off part? I mean, really, I’ve just shelled out hundreds of dollars to attend a writers’ conference so I could meet agents to query — I hadn’t thought at all about the the next step, mailing off requested materials, taxing my piggie bank.”

I hate to be the one to break it to you, but it might.

At minimum, the costs of producing a professional-looking submission packet include shipping (both there and back), boxes, paper, ink cartridges, wear and tear on your computer, and a ton of your time that could be used for, well, anything else. While individually these may not seem as potentially scarifying to your checking account as the even greater optional costs of attending conferences, entering contests, and hiring freelance editors like me to help pull your submission into tip-top shape, it all adds up.

So much so that if you’re a US citizen and marketing a book, it’s worth looking into the possibility of filing a Schedule C for your writing as a business, so you can deduct these expenses. Talk to a tax professional about it (I am not a tax professional, so I cannot legally give you advice on the subject), but do try to find one who is familiar with artists’ returns: ones who are not will almost invariably say that a writer must sell work in a given year to claim associated expenses, but that’s not necessarily true.

Yesterday, as part of my ongoing quest to save you a few sous, I brought up the case of Antoinette, the writer who rushed out and overnighted her manuscript, then waited seemingly endlessly by the phone for the agent of her dreams to respond. I went into her possible reasons for doing this — rather than sending the book regular mail or the more affordable 2-3 day Priority Mail rate.

Today, I want to talk a bit about the other two primary motivators for jumping the proverbial gun: fear and eagerness.

To let one of the most poorly-hidden cats out of one of the most hole-ridden bags in the business, new souls walking the planet are in a greater hurry than a writer who has just received a request for materials. Especially if that request comes at the end of a long period of querying or after a particularly intense conference, it’s far from uncommon for the lucky writer to decide, wrongly, that the only possible response is to drop everything else in her life — calling in sick to work, if necessary — to throw together the requested materials and get them out the door as close to instantly as possible.

One of two rationales typically underlies this approach. In the first, the writer says, “Oh, my God, this request to see all or part of my manuscript must be a fluke. I’d better get these materials under the agent or editor’s nose within the next few hours, before either (a) s/he changes her/his mind, (b) the malignant forces that rule the universe cause the wall of indifference to art to rise again, this temporary fissure mended, or (c) both.

Whichever thunderbolt the hostile gods of publishing are planning to send his way, the fearful writer wants to make absolutely sure that his submission is out of his hands well before it strikes.

Who cares that he hasn’t had time to double-check his submission for easily-overlooked gaffes, or that overnighting that package will cost four times as much as sending it via regular mail? He’s trying to submit before the agent of his dreams comes to his/her senses.

In reality, of course, it just doesn’t work like that: a request to submit materials will be every bit as good two weeks from the day it was made as it was in the moment. Or two months.

Also, as I MAY have hinted gently above, the writer’s speed in getting the submission to the agent will not make one scintilla of difference in how quickly a manuscript is read — or even the probability of its moldering on an agent’s desk for months. Certainly, whether the agent’s receiving the manuscript the next day or in the 2-3 days offered by the more reasonably priced Priority Mail will make no appreciable difference to response time.

Especially during summer conference season, since most of the industry goes on vacation from early August through Labor Day. Or around Christmastime, when the biz more or less shuts down.

The other, more common rationale for too-swift submission is eagerness. “Whew!” the writer who has just received a request to submit says. “The hard part is over now: my premise has been recognized as a good one by an agent who handles this sort of material. From this point on, naturally, everything is going to happen in a minute: reading, acceptance, book sale, chatting on Oprah.”

You know, the average trajectory for any garden-variety blockbuster. Who wouldn’t want to cut a week, or even a few days, out of tackling that bright future?

I sincerely hope that yours is the one in eight million submissions that experiences this second trajectory — and that’s the probability in a good year for publishing — but writerly hopes to the contrary, a request for submission is the beginning of the game, not the end. The fact is, as small a percentage of queries receive a positive response (and it’s unusually under 5%), even fewer submissions pass the initial read test.

Or, to put it the terms we typically use on this blog, it takes even less provocation to cause Millicent shout “Next!” over the first page of a manuscript than over a query.

There’s a reason that I grill you on the details, you know: I want yours to be in that top few percentiles. Which is why I would rather see your resources and energy going toward perfecting the submission itself, rather than getting it there with a rapidity that would make Superman do a double-take.

This is true, incidentally, even when the agent has ASKED a writer to overnight a project. Consider the plight of poor Gilberto:

Submission scenario 2: Gilberto has just won a major category in a writing contest with his thriller, DON’T PAY ANY ATTENTION TO THE MAN BEHIND THE CURTAIN; HE’S NOT REALLY CARRYING AN AXE. During the very full pitching day that follows his win, five agents ask him to send submissions. Seeing that he was garnering a lot of interest, Maxine, the most enthusiastic of the agents, requests that he overnight the manuscript to her, so she can respond to it right away.

Gilberto says yes. He actually does overnight the packet.

However, being a savvy submitter, he submits simultaneously to the other five via regular mail right away. He does not tell Maxine — or any of the others — that he is letting many agents read his manuscript at the same time. He writes REQUESTED MATERIALS — FIRST PLACE, CONTEST NAME on the outside of every submission and mentions the request in the first line of his cover letter, to minimize the possibility of his work being lost in amongst the many submissions these agencies receive.

Within three weeks, he’s heard back from all but one of them; puzzlingly, Maxine is the last to respond. And when she finally does, six weeks after he overnighted her the manuscript, it’s with form letter. This most enthusiastic of agents has rejected him without even telling him why.

What did Gilberto do wrong? Not much, really, except for saying yes to an unreasonable request — and not telling the agents that they were competing over his work. That not made his submission process more expensive than it needed to be, but also more or less eliminated any benefit he might have derived from the contest-generated buzz about his book.

Let’s take his missteps one at a time. Why was Maxine’s request that he overnight the manuscript unreasonable?

In essence, the situation was no different than if Maxine had asked him to leave the conference, jump in his car, drive three hours home to print up a copy of his manuscript for her, drive three hours back, and hand it to her. In both cases, the agent would have been asking the writer to go to unnecessary effort and expense for no reason other than her convenience.

Yet as Maxine’s subsequent behavior showed, she had no more intention of reading Gilberto’s manuscript within the next couple of days than she did of reading it on the airplane home.

Okay, here is a pop quiz to see how much those of you who followed this summer’s series on conference pitching have learned: why did she ask him to overnight it at all?

Give yourself full marks if you said it was to get a jump on other interested agents. As I mentioned in the pitching series, agents tend to be competitive people — to many of them, a book project’s value will increase in direct proportion to how many other agents are interested in it.

The give-me-first-peek request is one way it manifests — yet another reason that it is ALWAYS in a writer’s best interest to make simultaneous submissions and queries, rather than approaching them one at a time.

Not clear why? For the same reason not telling all of the agents concerned that they were in potential competition over his work was a mistake: because they would probably have been a bit more interested had they known that.

What makes me suspect that not using his manuscript’s being in demand as a selling point harmed Gilberto’s chances of landing an agent. Okay, let’s think about it for a minute: why didn’t Maxine get back to him sooner?

In practice, of course, she could have had a lot of reasons — a death in the family, a problem with an existing client’s relationship with her editor, a particularly exciting negotiation, rehab…the list goes on and on. But any other possible factors aside, Maxine knew that if any of those other agents at the conference had made an offer, Gilberto would have contacted her — and when he didn’t, she could treat his might-have-been-hot property just like any other submitted manuscript.

In other words, jumping in and asking for a first peek cost Maxine nothing — it obviously affected her subsequent treatment of Gilberto’s work not at all — but guaranteed that she would be first to know about how his other submissions fared. And once she could safely assume that he had not been picked up by anyone else, the shiny gleam of being sought-after faded from his manuscript.

Now pause and consider the ramifications of Maxine’s attitude toward other agents’ interest levels for a moment. Picture them spread thickly across the industry. Let the possible effects ripple across your mind, like the concentric circles moving gently outward after you throw a stone into a limpid pool, rolling outward until…OH, MY GOD, WHAT DOES THIS MEAN FOR THE AVERAGE QUERY-GENERATED SUBMISSION?

Uh-huh. Not high on the average Maxine’s to-do list.

Explains quite a bit about why the agent who requested your first 50 pages doesn’t get back to you for two months, doesn’t it? While an agent expects that the writer querying her will be simultaneously querying elsewhere, the converse is also true: she will assume, unless you tell her otherwise, that the packet you send her is the only submission currently under any agent’s eyes.

This is why it is ALWAYS a good idea to mention in your submission cover letter that other agents are reading it, if they are. No need to name names: just say that other agents have requested it, and are reading it even as she holds your pages in her hot little hand.

I heard that thought go through some of your minds: I would have to scold you if you lied about this, just to speed up the agent’s sense of urgency. Ooh, that would be too strategic, clever, and unscrupulous. Sneaky writer; no cookie.

Okay, here’s the extra credit question: in the scenario above, Maxine already knows that other agents are interested in Gilberto’s work; she is hoping to snap him up first. So why didn’t she read it right away?

Give up? Well, Maxine’s goal was to get the manuscript before the other agents made offers to Gilberto, not necessarily to make an offer before they did.

Is that a vast cloud of confusion I feel wafting from my readers’ general direction? Was that loud, guttural sound a collective “Wha–?”

It honestly does make sense, when you consider the competition amongst agents. Maxine is aware that she has not sufficiently charmed Gilberto to induce him to submit to her exclusively; since he won the contest, she also has a pretty good reason to believe he can write up a storm. So she definitely wants to read his pages, but she will not know whether she wants to sign him until she reads his writing.

Because, as agents like to say, it all depends upon the writing.

Maxine’s met enough writers to be aware that it is distinctly possible that Gilberto’s response to his big win will be to spend the next eight months going over his manuscript with the proverbial fine-toothed comb, perfecting it before showing it to anyone at all. She would like to see it before he does that, if at all possible.

To beat the Christmas rush, as it were.

Even if she doesn’t get an advance peek, Maxine is setting up a situation where Gilberto will automatically tell her if any other agent makes an offer: he’s probably going to call or e-mail her to see if she’s still interested before he signs with anyone else. By asking him to go to the extraordinary effort and expense of overnighting the manuscript to her, she has, she hoped, conveyed her enthusiasm about the book sufficiently that he will regard her as a top prospect.

If she gets such a call, Maxine’s path will be clear: if she hasn’t yet read his pages, she will ask for a few days to do so before he commits to the other agent. If she doesn’t, she will assume that there hasn’t been another offer. She can take her time and read the pages when she gets around to it.

What’s the rush, from her perspective?

From the agent’s POV, asking a writer to overnight a manuscript is a compliment, not a directive: it’s the agent’s way of saying she’s really, really interested, not that she is going to clear her schedule tomorrow night in order to read it. And even if so, the tantalization will only be greater if she has to live through another couple of days before cloistering herself to read it.

So what should Gilberto have done instead? The polite way to handle such a request is to say, “Wow, I’m flattered, but I’m booked up for the next few days, and several other agents have already asked to see it. I can get a copy to you by the end of the week, though, when I send out the others.”

And then he should have sat down, read it IN HARD COPY and OUT LOUD to catch any glaring mistakes, and Priority Mailed it a few days later, accompanied by a cover letter reiterating that other agents are also reading it.

Tick, tick.

Sound daring? Well, let me let you in on a little secret: in the industry, the party who wants a manuscript overnighted is generally the one who pays for it. After a publisher acquires your book, the house will generally be paying for you to ship your pages overnight if they need them that quickly, not you. So by asking the writer to pay the costs, the agent is actually stepping outside the norms of the biz.

You need some time to wrap your brain around that last point, don’t you? Fine; I shall sign off for the day to go and run barefoot across that decadent lawn. Whee!

The submission packet, part II: “So many manuscripts, so little time.” — Millicent

Well, when I digress, no one can say that I don’t do it thoroughly: having begun thinking about the problems that typically assail a first-time submitter, I realized that I have at least a few days’ worth of ostensibly wise, potentially helpful, and possibly witty things to say on the subject. As is true of so many of the hills dotting the long and curvy road to publication, knowing what the way ahead holds can help the aspiring writer avoid taking any of the multitude of wrong turns.

Since I doubt I can milk that metaphor any further, let’s move on to pastures new — or at any rate nearby.

To put it another way: isn’t it amazing just how much there is to know about the ostensibly straightforward task of printing out requested materials, placing them in an appropriate mailing container, and sending them off to an agent or editor?

Underscore presents itself: you all know NEVER to submit unrequested pages, right?

Why? Because almost universally, unsolicited manuscripts are rejected unread. Even at the rare agency or publishing house that accepts unrequested manuscripts, it’s going to end up in what’s known as the slush pile, the stack of submissions that stretches, Dr. Seuss-style, skyward, awaiting the day when someone will have the time to review them.

It can take a LONG time just to go through the manuscripts they asked to see. Care to guess how tempting that fact renders tossing aside those they didn’t request?

Long-time readers, pull out your hymnals and sing along: because agencies and publishing houses get so many submissions that their PRIMARY goal is to weed out the one they are reading at the moment. The faster they can do that, the better for them.

Yet despite the ubiquity of the reject-the-unsolicited-on-sight policy, amazingly few of the writers rejected for doing so are even aware that jumping the gun caused it. Like aspiring writers who submit without a SASE, with too much material, or without following the strictures of standard format, gun-jumpers usually receive exactly the same form-letter rejection as writers whose work was rejected for writing-related reasons.

So they keep submitting incorrectly time after time, never understanding that a few relatively simple changes could get the pros to take their manuscripts more seriously. It saddens me.

Do I see a raised hand or two out here? “Um, Anne?” I hear a few quick-reasoning readers pipe up. “Since submitting via e-mail would obviate the lack-of-SASE problem entirely, and since if I send my materials as an attachment to an e-mail, Millicent the screener won’t know how many pages I’ve submitted unless she reads through them all, wouldn’t I pretty much always be better off submitting my work electronically?”

Well, you could make a good argument for that, computer-huggers. While an unsolicited e-submission will, admittedly, tend to meet the same fate as an unsolicited paper submission — a quick and quiet rejection — e-submission does undoubtedly have many perqs. It’s substantially cheaper than printing up and mailing a submission, for one thing, especially so for writers submitting to US agents from outside the country, not to mention less wasteful of paper. Agencies often respond to e-queries more rapidly than paper queries, and an electronic submission may easily be e-mailed around the office.

So if I were in the market for an agent (which, thank the gods, I’m not), would I be querying and submitting electronically? No, I can’t say I would.

Why are paper submissions are worth all the effort and expense? Well, for starters, they are typically read more closely then e-mailed submissions, for the extremely simple reason that people read faster on a screen. Electronic rejection is as easy as Millicent’s hitting a button a nanosecond after a sentence displeases her — far, far less energy- and time-consuming than having to dig out the SASE, reach for the form rejection letter to stuff inside it, insert the rejected manuscript, and eventually carry the whole shebang to the mail room.

Yes, you read that correctly: Millicent;s begrudging, mercurial attention to your first printed page is the BETTER option. The world is a strange place.

Also, a writer can control more factors in hard copy. As much as a pain as pulling a physical submission packet together may be, at least you know that the formatting will show up on the other end as you want it.

“Wha–?” I hear the more computer-reliant of you out there exclaiming.

I hate to be the one to break it to you (although that’s never stopped me yet, I notice), but if you e-mail a submission, you have absolutely no way of knowing that all of your precious formatting arrived intact. Copying and pasting a writing sample into the body of an e-mail (or one of those little comment boxes on agencies’ websites) will, naturally, eliminate most of the formatting, but even if you have included the pages as a Word attachment, different operating systems and versions of Word can play havoc with the cosmetic attributes of a page.

Given the choice, I would advise opting for paper submission.

While I’m on the subject of stuffing your submission into a box, let me bring up a rather important piece of advice I forgot to mention yesterday: as desirable as it might be for your pocketbook, your schedule, and the planet, do NOT send your manuscript in a box that has already been used for another purpose.

You know what I mean, don’t you? We’ve all received (or sent) that box that began life as an mail-order shipping container, but now is covered with thick black ink, crossing out the original emporium’s name. My mother takes this process even farther, turning the obfuscating lines into little drawings of small creatures cavorting on a cardboard landscape.

As dandy as this recycling is for birthday presents and the like, it’s considered a bit tacky in shipping a submission. Which is unfortunate, as the ones from Amazon tend to be a perfect footprint for manuscripts. Don’t yield to the temptation, though.

“But wait!” I hear the box-savvy cry, “those Amazon boxes are about 4 inches high, and my manuscript is about 2 inches high. Wouldn’t a box that size be too big?”

In a word, no.

In general, it’s better to get a box that is a little too big than one that’s a little too small. To keep the manuscript from sliding around and getting crumpled, insert wads of bubble wrap around it. (This technique will also make a larger-sized Priority Mail box work.)

If you’ve been asked to send more than one copy of a manuscript — not all that uncommon after you’ve been picked up by an agent — insert a piece of brightly-colored paper between each copy. Just make sure it’s not construction paper, or the color will rub off on your lovely manuscripts.

I can feel some of you getting restive under the onslaught of so many dos and don’ts, so instead of throwing any more at you today, I’m going to give you the opportunity to put some of what we’ve learned into practice.

That’s right; it’s example time again. Hold your applause, please, until we’re done.

Submission scenario 1: After months on end querying her short story collection, WHAT I DID FOR LOVE AND OTHER DRY-CLEANING ANECDOTES, Antoinette receives an e-mail from Clara, the agent of her dreams, asking to see the whole manuscript. Alternately overjoyed and petrified (a very common twin mental state at this juncture, incidentally, although even amongst ourselves, we writers tend to talk only about the joy), she prints up her manuscript that very day and rushes it into the nearest cardboard container.

She makes it to the post office five minutes before it closes. When she plunks down the hefty box and asks to overnight it, she turns pale at the price, but pays it anyway. Exhausted but happy, she rushes home to plan what she’s going to wear for her appearance on Oprah.

Afraid to miss Clara’s response — which, naturally, she begins to expect within a day of learning that Clara has received it through the magic of delivery confirmation — Antoinette cancels her gym membership, turns down Eugene’s seven requests to have dinner with him, and gives up reading my blog in order to pursue the more rewarding activities of staring at her e-mail inbox and repeatedly checking to see that her phone is working.

Clearly, madness has taken hold of her.

A couple of weeks later, another agent asks to see the first 50 pages. Before Clara’s request, this prospect would have thrilled Antoinette beyond words, but now, she does not even respond. “I’ve already committed to Clara,” she tells kith, kin, and the neighbor who comes over to complain about Antoinette’s having turned her phone’s ringer up to glass-shattering levels, so she won’t miss calls when she’s in the shower. Or a coma.

An anxious three months pass before Clara returns the manuscript to her, its rejection explained only by a boilerplate: we regret that your manuscript does not meet our needs at this time.

Okay, what did Antoinette do wrong here? (Hint: what she did wrong here probably didn’t have any impact whatsoever on whether the manuscript got rejected or not. But it was still a faux pas.)

Antoinette’s first error was to overnight the manuscript. It was hugely expensive — and completely unnecessary. It would have gotten exactly the same read had she sent it via the much cheaper Priority Mail, or even regular mail. (Book rate is very, very slow, so I wouldn’t recommend it.)

Also, one suspects, in her rush to get it out the door and into an agent’s hands, she neglected to sit down and give it a final once-over, reading it IN ITS ENTIRETY, IN HARD COPY, and OUT LOUD. It’s also not a bad idea to flip through the manuscript as it prints out to make sure that no pages are smudged or missing.

Since we are talking about Antoinette here, I’ll spare you the story about the time I forgot to check, and page 47 of my master’s thesis was nowhere to be found. My defense turned a mite ugly as a result.

The more interesting question here is why would Antoinette, or any other aspiring writer, spend money unnecessarily on postage? One of two reasons, typically.

First, many writers assume — wrongly — that an overnighted package is taken more seriously in an agency’s mailroom. In their minds, the mail sorter says takes one look at that FedEx package and cries, “My God! This must be urgent!” and runs it directly into the agent’s office, where it is ripped open immediately and perused that very day.

Just doesn’t happen anymore, although it may have 20 years ago, at the dawn of overnight cross-country shipping. At this point in human history, though, writers have done this too often for an overnighted package to generate any enthusiasm at all at the average agency. Now, overnight packaging is just another box.

Save yourself some dosh.

Antoinette’s other mistake was to put the rest of her submissions on hold, effectively granting the agent of her dreams an unrequested and totally unnecessary exclusive look at the manuscript.

Oh, you can see her reasoning easily enough: if her top pick offered representation, she wouldn’t need to query or submit anymore. But since Clara didn’t — and took her own sweet time saying so — Antoinette just took 8 weeks of potential submission (and querying) time and threw it out the window.

Sometime later in her writing career, she may wish she had that time back. The most probable first expression of that wish: about 35 seconds after she reads Clara’s form-letter rejection.

I can think of couple of reasons — and good ones — to keep submitting and querying right up to the moment an agent makes you an offer. First, finding and landing the right agent for your work can take some serious time — if your book is genuinely ready to send out, why wait a month (or more) to hear back from each?

Second, few agents assume that a good writer will be submitting to only one agency at a time; if there isn’t competition over you, they tend to conclude that no one else is interested.

Long-time readers, chant it with me now: unless an agency SPECIFICALLY says that it will accept only exclusive submissions, it does not expect them. The writers’ conference rumors that say otherwise are just not true.

Third — and I’m sorry to have to say this, Antoinette, but it’s true — for the sake of your long-term happiness, it’s never a good idea to hang all of your hopes on a single submission. This is a tough business; being realistic about that can help take some of the sting out of rejection. Keep plowing forward.

While I’m at it, let’s go ahead and talk about how to put together a submission packet

After I signed off yesterday, I began to experience a qualm or two: yes, I had gone over how to use a SASE (that pesky self-addressed, stamped envelope queriers and submitters are expected to tuck into their queries and submissions), but had I really said enough about what should and should not go into a submission packet? Had I, in fact, explained it all clearly enough that a reader wrapped up in the dizzying excitement of receiving her first request to submit pages could skim it (when trying to get a manuscript out the door, who has time for deep reading?), comprehend it, and slap together a bang-up submission packet on the spot, without digging into the archives?

And the ghostly voices in the ether I choose to attribute to my readers moaned, “No…”

In short, I think it’s worth delaying my promised series on synopsis-writing a day or so in order to round out our discussion of all things mailed, don’t you?

I’m choosing to take all of the silence out there as a yes. Let’s pretend for a moment that like my fantasy reader above, you have just been asked to submit materials to the agent of your dreams.

To be absolutely clear, I’m not talking about sending pages to an agency that asks queriers to include the first chapter, a few pages, or a synopsis with a query — all of these would, in the industry’s eyes, be unsolicited pages. I know; it’s a bit counter-intuitive that a blanket statement that the agent would like to see these materials from all queriers doesn’t constitute solicitation, but it doesn’t.

A solicited submission is one that an agent is WAITING to see, usually following a successful pitch or query.

Let’s further assume that your manuscript (or whatever portion of it an agent or editor has requested that you send to be perused by Millicent, the Platonic agency screener) is already in tip-top formatting shape, all typos and logic problems removed, and thus what the industry calls clean — and if you’re not absolutely positive that your pages meet ALL of those conditions, stop right here and make a plan for tidying up your pages.

Trust me, this is a situation where spelling counts. As does grammar.

But once your work is in apple-pie order, as Louisa May Alcott used to say, what next? What should your submission packet include, and in what order?

In part, this is a trick question, because — long-time readers, chant it with me now — the packet should include precisely what the agent asked you to include, no more, no less. In the words of the immortal Fats Waller, find out what they like and how they like it, and let ‘em have it just that way.

Okay, so he wasn’t talking about literature when he sang that. Roll with me here.

Agents are usually quite specific about what they want in a submission. If you doubt this, check out an agency’s website or one of the standard agency guides, then attend a conference where agents are scheduled to speak. Raise your hand and ask whether it’s okay to send, say, the 55 pages it would take to round out a chapter when an agent has asked to see the first 50. You will be astonished at how people who say their preferences in clients are as vague as writers who produce “good writing in any genre” will suddenly transform into rule-hugging lovers of draconian efficiency.

To save you the trouble of asking, let me tell you what they will say: never, ever, EVER send what you THINK they want to see instead of what they have asked to see. Of course, you may offer in your cover letter to send more, but that is all.

Which means, in practice, that if you’ve been asked for the first 50, and the chapter ends in a blow-your-socks-off cliffhanger on p. 51, you should still only send the first 50. Of course, if you wanted to be Machiavellian about it, you could always perform a little strategic snipping prior to that, so said cliffhanger topples just on the bottom of p. 50. No one would fault you for that.

However — and this should sound familiar on the secret handshake front — any agent is going to assume that a writer of your caliber is already aware that certain requests imply certain inclusions. Here they are, in the order in which they are generally expected to appear in the packet:

1. Cover letter
An astonishingly high percentage of submissions arrive without a cover letter, and often without a title page as well, begging the question: what makes these writers so positive that the requesting agent will still remember their queries or pitches well enough to render page one of chapter one instantly recognizable?

I hate to burst anyone’s bubble, but it’s not going to be — in fact, in many agencies, the person who heard the pitch or read the query won’t even be the first person to screen the submission. So it doesn’t really make sense to assume that everyone who sets eyes on your manuscript will already be familiar with your work.

Besides, including a cover letter is polite. No need for a long-winded missive — a simple thank-you to the agent for having asked to see the materials enclosed will do.

If you met the agent at a conference, mention that in the first paragraph of the letter, to help place your submission in context. (As crushing as it may be to the writerly ego to contemplate, an agent who spent days on end listening to hundreds of pitches probably is not going to remember each one. No need to re-pitch, but a gentle reminder never hurts.

If another agent is already reading all or part of the manuscript you’re sending — or has asked to see it — mention this in your cover letter. No need to say who it is or how long s/he has had it; just tell the recipient that s/he’s not the only one considering representing this book. Unless the agency has a policy forbidding simultaneous submissions, withholding this information will only generate resentment down the line if more than one agent wants to represent your book.

Yes, even if that agent to whom you submitted 9 months ago has just never responded. Actually, it’s in your strategic interest to contact that non-responder to let her know that another agent is interested.

Most importantly, make sure ALL of your contact information is on the letter, either in the header (letterhead-style) or under your signature, and do be absolutely certain that the letter includes the title of your book, just in case the letter and the manuscript end up on different desks.

Yes, it does happen. You want them to be able to get ahold of you to tell you how much they love your writing, don’t you?

2. Title page
ALWAYS include this, if ANY manuscript pages have been requested – yes, even if you have already sent the first 50 pages, and are now sending the rest of the book. (If you have never formatted a professional manuscript before, please see the YOUR TITLE PAGE category at right.)

Why? Long-time readers, chant it with me now: because the submission looks more professional that way.

Also, like the cover letter, the title page renders it easy for an agent to track you down. Believe me, if the agent of your dreams falls in love with your manuscript, you’re going to want to hear about it right away.

3. The requested pages in standard format.
Oh, please, don’t get me started again on the necessity of sending ONLY the pages the agents asked to see…or about the desirability of sending professionally-formatted manuscript pages. This time of year, when I have a lot of clients calling me up all excited because they’ve pitched successfully at a conference, the rules keep running through my head like a nagging tune.

If you’re new to reading this blog, or have somehow avoided my repeated and vehement posts on standard format for manuscripts, please see the HOW TO FORMAT A MANUSCRIPT and STANDARD FORMAT ILLUSTRATED categories on the list at right.

For the benefit of those of you who are going to blow off that last piece of advice because you’re in a hurry — oh, I know that you’re out there — allow me to add something you would have learned from those posts on formatting: a manuscript intended for submission should not be bound in any way.

Oh, and do use at least 20-lb, bright white paper. Cheaper paper can begin to wilt after the first screener has rifled through it. Yes, it does increase the already quite substantial cost of submission, but this is one situation where being penny-wise can cost you serious presentation points.

4. Synopsis, if one was requested, clearly labeled AS a synopsis.
With fiction, when an outline is requested, they usually mean a synopsis, not an annotated table of contents. For nonfiction, an outline means an annotated table of contents.

Most of the time, though, what an agent will ask to see for either is a synopsis.

As I mentioned earlier in this post, I haven’t done a synopsis how-to in a while, so I shall be revisiting it beginning this coming weekend. For those of you in a greater hurry, please check out the HOW TO WRITE A SYNOPSIS category at right. (How do I come up with these category titles?)

5. Author bio, if one was requested.
An author bio is a one-page (double-spaced) or half-page (single-spaced) plus photo account of the submitting writer’s professional credentials. Typically, when an agent submits a manuscript or book proposal to editors, the author Since these are far from easy to write, I always recommend that aspiring writers construct them well in advance, so they have a great one on hand to tuck into the submission packet.

I suspect that I’m going to yield to those nagging voices in the ether and revisit how to write an author bio soon — but dag nab it, I really want to get back to craft. For those of you who need to toss one together while this internal debate rages, you can find a step-by-step guide to writing one under the AUTHOR BIO category on the list at right.

6. A SASE big enough to fit the entire manuscript.
This should be automatic by now, but to recap for those of you who will read this weeks or months from now in the archives: that’s a self-addressed, stamped envelope, for those of you new to the game. Always use stamps, not metered postage, for the SASE.

Why? Because since 9/11, someone who wants to mail a pre-metered package that weighs over two pounds via USPS has to tote it to a post office. Due to the paper-consumptive rigors of standard format, one rarely, if ever, meets a full-length manuscript that weighs less than two pounds.

If you’ve been asked to submit an entire manuscript, rather than a partial, it is, as I mentioned yesterday, completely acceptable to ask the agency to reuse the original shipping box as the SASE. Include a return mailing label, already made out to you, the proper stamps for postage (metered strips will not work here), and add a paragraph to your cover letter explaining that you want them to reuse the box. To be on the safe side, explain HOW you want them to reuse the box: peel the back off the mailing label, stick it over the old label, affix new postage, and seal.

You didn’t hear it from me, of course, but sometimes, they evidently have trouble figuring it out.

7. Optional extras.
If you want to send a second, business-size envelope SASE as well, to make it easy for them to request the rest of the manuscript, place it at the bottom of the packet (and mention it in your cover letter.)

It’s also a good idea to include a self-addressed, stamped postcard for the agency to mail to you to acknowledge receipt of the manuscript. Don’t worry about this causing trouble; it doesn’t, and you will have proof that they received it. This is important, because manuscripts do go astray from time to time.

8. Pack it all in a durable container that will keep your submission from getting damaged en route.
I hear all the time from writers stressing out about what kind of box to use, and not without good reason. In the old days — say, 30+ years ago — the author was expected to provide a box, and a rather nice one, then wrap it in plain brown paper for shipping. These old boxes are beautiful, if you can still find one: dignified black cardboard, held together by shining brass brads.

However, now, if you can get the requested materials there in one piece box-free (say, if it is an excerpt short enough to fit into a Manila folder or Priority Mail cardboard envelope), go ahead. Do bear in mind, though, that you want to have your pages arrive looking fresh and unbent, so make sure that your manuscript fits comfortably in its holder in such a way that the pages are unlikely to wrinkle.

Remember my comment above about its being penny-wise and pound-foolish to use cheap paper for submissions? This is part of the reason why.

Or, to put it another way: if your submission is the next one opened immediately after Millicent has burned her lip on that latté that she never seems to remember to let cool, do you think you’ll be better off if the pages are slightly mangled, or if they are smooth?

Yeah. Appearances count.

For an entire manuscript, find an inexpensive box. You’re going to want a box with the right footprint to ship a manuscript without too much internal shifting. Going a little big and adding peanuts or bubble wrap is usually your best bet. (Avoid the temptation to use newspaper; newsprint stains.)

Most office supply stores carry perfectly serviceable white boxes, but if you live in the greater Seattle area, funky plastic junk store Archie McPhee’s, of all places, routinely carries fabulous red and blue boxes exactly the right size for a 450-page manuscript WITH adorable little black plastic handles for about a buck each. AND you can get a bobble-head Edgar Allan Poe doll that bears an uncomfortably close resemblance to Robert Goulet — and if that’s not one-stop shopping, I should like to know what is.

Your local post office will probably stock manuscript-sized boxes as well. Do be warned, though, that the USPS’ 8 1/2” x 11” boxes only LOOK as though they will fit a manuscript comfortably without bunching the pages. the actual footprint of the bottom of the box is the size of a piece of paper, so there is no wiggle room to, say, insert a stack of paper without wrinkling it.

Trust me, that’s NOT something you want to find out after you’ve already printed out your submission.

Yes, yes, I know: the USPS is purportedly the best postal service in the world, a boon to humanity, and one of the least expensive to boot. Their gallant carriers have been known to push forward through the proverbial sleet, hail, dark of night, and mean dogs. But when faced with an only apparently manuscript-ready box on a last-minute deadline, the thought must occur to even the most flag-proud: do the postal services of other countries confound their citizens in this way? What do they expect us to put in an 8 1/2” x 11” box OTHER than a manuscript?

Okay, that’s out of my system now. But whatever difficulties you may have finding an appropriately-sized box, DO NOT, under any circumstances, reuse a box clearly marked for some other purpose, such as holding dishwashing soap.

Yes, it’s been known to happen.

The most economical box source for US-based writers are those free Priority Mail boxes that the post office provides, the ones that are about 2 inches deep. They’ll actually hold two 400-page manuscripts side-by-side quite comfortably, so add padding to keep the unbound manuscripts from bouncing around too much. I want it to look good when it gets there, after all.

Since it would be impracticable to fold up another Priority Mail box inside, I advise enclosing the label and postage, as I described above, or just nabbing one of those tough little everything-you-can-cram-in-here-is-one-price Priority Mail envelopes, self-addressing it, adding postage, and sticking it into the box.

If you don’t care if your manuscript comes back to you a little bent, this is a wonderfully cash-conscious way to go. Those envelopes are surprisingly tough, in my experience — what are they made out of, kryptonite? — and while the pages don’t look too pretty after a cross-country trip in them, they do tend to arrive safely.

In case you couldn’t tell, I’m not a big fan of writers over-investing in impressive return postage. It’s bad enough that we writers are expected to underwrite the costs of agencies rejecting our work (which is, effectively, what the SASE accomplishes, right?). If you’re getting the manuscript back, it’s because they’ve rejected it. Who cares if the pages show up on your doorstep bent?

Unless, of course, you intend to iron those pages and submit them somewhere else.

And that, my friends, is the low-down on the submission packet. Don’t forget that EVERYTHING you send to an agency is a writing sample: impeccable grammar, punctuation, and printing please. No smudges or bent corners, either. Make it all pretty.

Enough of this serious, practical information about pitching — what about the frivolous stuff?

As we head into the final days of prep before the Conference That Shall Not Be Named (which happens to be my local one), I’m feeling pretty good about our collective level of pitch preparedness, aren’t you? We’ve covered acres of ground over the last few weeks: we’ve gone over how to narrow down your book’s category (June 26-27), figured out who your target market is (June 27-28), brainstormed selling points for your book (June 29-July 1) and a platform for you (June 19, July 1, July 6), and constructed a snappy keynote statement (July 1-2). We’ve practiced introducing ourselves and our work with the magic first 100 words (July 2), learned to keep it pithy with the elevator speech (July 3-6), and to be ready for the happy accidents chance may provide with a hallway pitch (July 7-8).

Finally, we’ve spiced up your pitch with great details (July 9, 11), and pulled it all together into an attention-grabbing formal 2-minute pitch (July 10, 12, 13, 14). Not only that, but we’ve talked about forming realistic expectations (June 20-21; July 12-13), dealing with some of the bogeymen that frighten pitchers (June 20, 21, 24; July 6 and 9), including what to do if a pitch session goes hideously awry (June 24);

Since we’ve all been so very good for so very long, I have a fun-but-practical topic for today: what materials should you bring with you to a conference — and, more importantly, to your agent and editor meetings?

Other than good, strong nerves, an iron stomach, and faith that your book is the best literary achievement since MADAME BOVARY, of course.

At minimum, you’re going to want a trusty, comfortable pen and notebook with a backing hard enough to write upon, to take good notes. You’ll also want to bring all of the paperwork the conference organizers sent you, including a copy of your conference registration, information about your agent and/or editor appointments, and tickets to any dinners, luncheons, etc. for which you may have paid extra (as, alas, one almost invariably does now at literary conferences).

Do NOT assume that the conference organizers will have this information on hand — remember, most writers’ conferences are organized by hard-working volunteers; details occasionally fall through the cracks –or even access to their computers to double-check. Few literary conferences are held in the offices or homes of the organizers, after all, and while being able to get into the dinner where you paid $60 to hear the keynote speaker may be vitally important to you, the volunteers on site will probably neither have the time nor the inclination to run home to double-check a misprinted list of attendees.

All of which is to say: if you registered electronically, make sure to bring a hard copy of the confirmation. And if everything goes perfectly when you check in, please remember to thank the volunteer who helped you.

As my grandmother used to say: manners cost nothing.

While you’re printing things out, go ahead and produce a hard-copy confirmation of your hotel reservation as well, if you’re not attending a conference that permits you to sleep in your own bed at night. I hate to be the one to break it to you, but it is not at all unheard-of for a hotel hosting a conference to over-book.

Also, it’s a good idea to bring a shoulder bag sturdy enough to hold all of the handouts you will accumulate and books you will buy at the conference. This is not an occasion for a flimsy purse.

Don’t underestimate how many books you may acquire. It’s rare that a literary conference doesn’t have a room devoted to convincing you to buy the collected works of conference speakers, local writers, and the folks who organized the conference. (At the Conference That Shall Not Be Named, for instance, only organization members’ and conference presenters’ work are typically featured.)

Don’t expect any discounts — because the conference typically gets a cut of sales, offering a members’ discount seldom seems to occur to organizers — but it’s usually child’s play to get ’em signed. Even if the author is not hovering hopefully behind a pile of his literary output, if he’s at the conference at all, he’s going to be more than happy to autograph it. Don’t be shy about walking up to ‘em in hallways and after speeches to ask; this is basic care and feeding of one’s readership.

Do be aware, though, that when major bookstore chains organize these rooms (and at large conferences, it’s often a chain like Barnes & Noble), they often take an additional payment off the top, so a self-published author may well make less per book in such a venue.

This is not to say that you should hesitate to purchase a book from the writer with whom you’ve been chatting in the book room for the last half an hour. You should. However, if the book is self-published, you might want to ask the author if s/he would prefer for you to buy it elsewhere.

Speaking of requests folks in the industry are thrilled to get, if you are struck by a particular agent or editor, you can hardly ask a more flattering question than, “So, are there any books for sale here that you worked upon? I’d like to read a couple, to get a sense of your taste/style/why on earth anyone would want to spend years on end editing books about horses and flamingos.”

By the way, at a conference that offers an agents’ or editors’ panel (and most do), do not even CONSIDER missing it. Attendees are expected to listen to what the agents and editors are seeking at the moment and — brace yourself for this — it does not always match what was said in the conference guide blurb.

There was a reason that I used to post the recent sales of agents and editors scheduled to attend the Conference That Shall Not Be Named: tastes change. So does the market. But blurbs tend to get reused from year to year.

No comment — except to say that you will be a much, much happier camper if you keep an ear cocked during the agents’ and editors’ fora to double-check that the agent to whom you were planning to pitch a vampire romance isn’t going around saying, “Heavens, if I see ONE more vampire romance…”

In addition to noting all such preferences in my notebook, I always like to carry a few sheets of blank printer paper in my bag, so I can draw a diagram of the agents’ forum, and another of the editors’, to keep track of who was sitting where and note a few physical characteristics, along with their expressed preferences in books.

Why do I do this? Well, these fora are typically scheduled at the very beginning of the first full day of the conference — a very, very long day.

By the time people are wandering into their appointments at the end of the second day, dehydrated from convention hall air and overwhelmed with masses of professional information, I’ve found that they’re often too tired to recall WHICH editor had struck them the day before as someone with whom to try to finagle a last-minute appointment.

Being able to whip out the diagrams has jogged many a memory, including mine. It’s also a great help a month or two after the conference, to help you remember which of the dozen agents who spoke struck you as worthwhile to query instead of pitching, and which left you with the impression that they eat books, if not aspiring writers, for breakfast.

On my diagrams, the latter tend to be depicted with horns, pitchfork, and tail. But that’s just me.

I always, always, ALWAYS advise writers to bring bottled water to conferences — even to ones where the organizers tend to be very good about keeping water available. A screw-top bottle in your bag can save both spillage and inconvenience for your neighbors.

Why? Well, when you’re wedged into the middle of a row of eager note-takers in a classroom, it’s not always the easiest thing in the world to make your way to the table with the pitcher on it, nor to step over people’s legs with a full glass in your hand.

If I seem to be harping on the dehydration theme, there’s a good reason: every indoor conference I have ever attended has dried out my contact lenses, and personally, I prefer to meet people when my lenses are not opaque with grime.

I’m wacky that way. If your eyes dry out easily, consider wearing your glasses instead.

Even if you have perfect vision, there’s a good reason to keep on sippin’. If you are even VAGUELY prone to nerves — and who isn’t, while preparing to pitch? — being dehydrated can add substantially to your sense of being slightly off-kilter. You want to be at your best. Lip balm can be helpful in this respect, too.

Both conferences and hotels, like airports, see a lot of foot traffic, so the week leading up to the conference is NOT the time to skip the vitamins. I go one step further: at the conference, I dump packets of Emergen-C into my water bottle, to keep my immune system strong.

If this seems like frou-frou advice, buttonhole me at a conference sometime, and I’ll regale you with stories about nervous pitchers who have passed out in front of agents. Remember, if you find yourself stressed out:

-Take deep breaths.

-Don’t lock your knees when you’re standing.

-If you need to sit down, say so right away, no matter who happens to be standing in front of you.

-Don’t drink too much coffee, tea, or alcohol.

-If you’re feeling nervous or scared, talk about it with some nice person you met in the hallway, rather than keeping it bottled inside.

Trust me, this is a time to be VERY good to yourself. A conference should not be an endurance test. If I had my way, the hallways at any pitching conference would be lined with massage chairs, to reduce people’s stress levels.

While I’m sounding like your mother, I shall add: don’t try to pitch on an empty stomach.

I’m VERY serious about this — no matter how nervous you are, try to eat something an hour or so before your pitch appointment. When I ran the Pitch Practicing Palace (a safe space for those new to the game to run their pitches by agented writers BEFORE trying them out on an agent or editor, to weed out potential problems), I used to keep a bowl of candy on hand, because so few pitchers had remembered to feed themselves.

Trust me, even if your stomach is flipping around like the Flying Wallendas on speed, you’ll feel better if you eat something. If you are anticipating doing a lot of hallway pitching, or dislike the type of rubber chicken and reheated pasta that tends to turn up on conference buffets, you might want to conceal a few munchies in your bag, to keep yourself fueled up.

It’s also not a bad idea to bring along some mints, just in case you start to feel queasy. As a fringe benefit, the generous person with the tin of Altoids tends to be rather popular in the waiting area near the pitching appointments.

Since you will most likely be sitting on folding chairs for many, many hours over the course of the conference, you might want to bring a small pillow. I once attended a conference where instead of tote bags, the organizers distributed portable seat cushions emblazoned with the writers’ organization’s logo.

You should have heard the public rejoicing.

In the spirit of serious frivolity, I’m going to make another suggestion: carry something silly in your bag, a good-luck charm or something that will make you smile when your hand brushes against it. It can work wonders when you’re stressed, to have a concealed secret.

Honest, this works. I used to advise my university students to wear their strangest underwear on final exam day, for that reason — it allowed them to know something that no one else in the room knew.

(It also resulted in several years’ worth of students walking up to me when they turned in their bluebooks and telling me precisely what they were wearing under those athletic department sweats — and, on one memorable occasion, showing me à la Monica Lewinsky. Allegedly. So I say from experience: resist the urge to share; it’s disconcerting to onlookers.)

If you suspect you would be uncomfortable wearing your 20-year-old Underroos or leather garter belt (sorry; you’re going to have to find your own link to that) under your conference attire, a teddy bear in your bag can serve much the same purpose. Anything will do, as long as it is special to you.

So far, my advice has been concerned with your comfort and welfare. From here on out, the rest of today’s tips will be all about networking.

That’s right, I said networking. Conferences are about CONFERRING, people.

Because you will, we hope, be meeting some God-awfully interesting at your next writers’ conference, you will want to bring some easily transferable pieces of paper with your contact information printed on it: a business card, for instance, or comparably sized sheets from your home printer.

I mention this now, so you may prepare in advance. Having to scrabble around in your tote bag for a stray scrap of paper upon which to inscribe your vitals every time you meet someone nice gets old FAST.

Besides, if you file a Schedule C to claim your writing as a business, the cost of having the cards made is usually tax-deductible — and no, in the US, you don’t necessarily have to make money as a writer in every year you file a Schedule C for it. Talk to a tax advisor experienced in working with artists. Heck, all of those books you buy might just be deductible as market research.

Seriously, it is VERY worth your while to have some inexpensive business cards made, or to print some up at home, for two excellent reasons. First, it’s always a good idea to be able to hand your contact info to an agent or editor who expresses interest in your work. They don’t often ask for it, but if they do — in a situation, say, where an editor from a major press who is not allowed to pick up an unagented book REALLY wants to hook you up with an agent — it’s best to be prepared.

Second, unless you make a point of sitting by yourself in a corner for the entire conference, you are probably going to meet other writers that you like — maybe even some with whom you would like to exchange chapters, start a writers’ group, or just keep in contact to remind yourself that we’re all in this together.

The easier you make it for them to contact you, the more likely they are to remain in contact. It’s just that simple.

I would urge you to avoid the extremely common mistake of walking into ANY writers’ gathering thinking that the only people it is important for you to meet are the bigwigs: the agents, the editors, the keynote speakers. It requires less energy to keep to yourself, true, but it is a tad elitist, not to say short-sighted: in the long run, casting a wider acquaintance net will pay off better for you.

For one very, very simple reason: the more writer friends you have, the easier it is to learn from experience.

Why make your own mistakes, when you can learn from your friends’, and they from yours? What better source for finding out which agents are really nice to writers, and which are not? And who do you think is going to come to your book signings five years from now, if not that nice writer with whom you chatted about science fiction at lunch?

Obviously, if you can swing a one-on-one with the keynote speaker, go for it — I once spent several hours stranded in a small airport with Ann Rule, and she is an absolutely delightful conversationalist. Especially if you happen to have an abnormally great interest in blood spatter patterns. But I digress.

But try not to let star-watching distract you from interacting with the less well-known writers teaching the classes — who are there to help YOU, after all — or the writer sitting next to you in class. I have met some of the best writers I know by the simple dint of turning to the person rummaging through the packaged teas on the coffee table and saying, “So, what do you write?”

Don’t tell me that you’re too shy to handle this situation — I happen to know that you have a secret weapon. Remember those magic first hundred words? This is the time to use ’em.

Believe me, it’s worth doing. Someday, some of your fellow conference attendees are going to be bigwigs themselves — realistically, can you rule out the possibility that the person sitting next to you in the session on writer’s block ISN’T the next Stephen King? — and don’t you want to be able to say that you knew them when?

And even if this were not true (but it is), writing is an isolating business — for every hour that even the most commercially successful writer spends interacting with others in the business, she spends hundreds alone, typing away. The more friends you can make who will understand your emotional ups and downs as you work through scenes in a novel, or query agents, or gnaw your fingernails down to the knuckle, waiting for an editor to decide whether to buy your book, the better, I say.

No, but seriously, folks, even the most charmed writer, the one with both the best writing AND the best pure, dumb luck, has days of depression. Not all of us are lucky enough to live and work with people who appreciate the necessity of revising a sentence for the sixth time. Writers’ conferences are the ideal places to find friends to support you, the ones you call when your nearest and dearest think you are insane for sinking your heart and soul into a book that may not see print for a decade.

So stuff some business cards into your conference bag along with a folder containing several copies of your synopsis AND five copies of the first five pages of your book, as a writing sample.

Why five pages, specifically? Well, not all agents do this, but many, when they are seriously taken with a pitch, will ask to see a few pages on the spot, to see if the writing is good enough to justify the serious time commitment of reading the whole book.

Having these pages ready to whip out at a moment’s notice will make you look substantially more professional than if you blush and murmur something about printing it out, or simply hand the agent your entire manuscript.

Don’t, however, bother to bring your entire manuscript with you to the conference, UNLESS you are a finalist in one of the major categories. You will never, ever, EVER miss an opportunity by offering to mail or e-mail it instead.

In fact, agents almost universally prefer it. This is often true, bizarrely, even if they insist that they want to read it on the airplane home.

Why the exception for the contest finalists? Well, agents tend to be pretty competitive people. The primary reason that an agent would ask for the whole thing right away, in my experience, is if he is afraid that another agent at the conference will sign you before he’s had a chance to read it — and the writers who tend to be the objects of such heart-rending scenes of jealousy are almost invariably those sporting blue ribbons.

So while I have known agents to read a chapter or two of the winners’ work in their hotel rooms, the chances of its happening in the normal run of a pitch day are roughly the same as finding the complete skeleton of a dinosaur in your back yard.

It could happen — but it doesn’t really make sense to plan your life around a possibility that remote.

Otherwise, don’t hurt your back lugging the manuscript box around; the sample will do just as well. And no, don’t bother to bring an electronic copy of your book — it’s actually considered rather rude to hand out CD-ROMs willy-nilly.

Why? Well, because not everyone is as polite as my lovely readers. It’s not at all uncommon for a total stranger to come charging up to an agent, editor, or someone like yours truly at a conference, shove a soft copy into our astonished hands, and disappear, calling back over her retreating shoulder, “My contact information’s on there, so you can let me know what you think of it.”

Without exception, electronic media presented in this manner ends up in the trash, unread.

Why? Well, apart from the general impoliteness involved in insisting that just because someone is in the industry, s/he has an obligation to read every stranger’s work, there’s also the very real risk that a stranger’s disk is going to be infected with a computer virus; it would be rather imprudent even to try to check out its contents.

Even if the recipient happened to have a really, really good firewall, this method also conveys a tacit expectation that the recipient is going to go to the trouble and expense of printing the book out — or risk considerable eyestrain by reading an entire book onscreen. Not very likely.

These days, if an agent or editor wants an electronic copy of your book, s/he will ask you to e-mail it. Trust me on this one.

Regardless, your 5-page sample should be in hard copy. If you feel that an excerpt from the end of the book showcases your work better, use that, but if you can at all manage it, choose the first five pages of the book as your sample — it just exudes more confidence in your writing, as these are the first pages a screener would see in a submission.

From the writer’s POV, the sole purpose of the writing sample is to get the agent to ask you to send the rest of the book, so although I hammer on this point about twice a month here, I’m going to say it again: as with everything else you submit to any industry pro, make sure that these pages are impeccably written, totally free of errors, and in standard format.

Seriously, this is not a moment when you want your pages to cry out, “The author’s unfamiliar with the standards of the industry!”

If the fact that there IS a standard format for manuscripts — and that it does NOT resemble the formatting of published books — is news to you, rush into the archives at right immediately, and take a gander at the STANDARD FORMAT BASICS and STANDARD FORMAT ILLUSTRATED categories at right. Or you could simply hold off on showing anything to anyone in the industry for a couple of weeks, until I’ve gone over these topics again.

Stop groaning, long-time readers; we all could use a refresher from time to time. As long as I am writing this blog, no reader of mind is going to have his or her work rejected simply because s/he didn’t know what the rules of submission were.

For the rest of this week, I shall be wrapping up the last loose ends of conference lore and etiquette, before moving on to how to put together a submission packet (you didn’t think I’d let you jump into THAT alligator pit all by yourself, did you?), how to apply the skills you’ve learned in this pitching series to query letters (ditto) — then finally, restfully, coming back to what we all love best, issues of craft, just about the time that the publishing industry will be heading off on its yearly collective vacation.

Picking the right literary contest for you, part III: keeping your eyes on the prize

After yesterday little Enlightenment rhapsody on the inevitability of progress in the face of prejudice, I scoured my picture files for a high-minded photograph to ease us back into the practicalities of my contest-entry series. Almost suspiciously artistic, that cloud arrangement, isn’t it?

As you may perhaps have guessed from the encroaching shadow, I took this photo from inside an airplane. I looked up from the manuscript I was editing (long flights are tremendous for the concentration, I find to find that the sky over the Great Lakes was carrying on like an expressionist exhibition. If you’re going to be dramatic, go for broke, I always say.

Before I went on my sojourn east, I had posted a few tips on how to determine whether to enter any specific contest or not. I intimated, in my long-patented winsome way, that it would behoove you to do a little background research before you invest time and money in entry fees.

Contrary to popular belief amongst writers, there is more to consider before entering a literary contest than whether the piece you’ve chosen to submit is ready for tough judging scrutiny.

Although I must add swiftly, on behalf of every current and former contest judge in North America: NO piece of writing is ready to be submitted to a competition unless it has been thoroughly proofread.

No exceptions.

I’m quite serious about this: it’s rare to see a contest entry that isn’t rife with spelling, grammatical, formatting, or even coherence errors. And that drives your garden-variety conference judge positively mad.

Why, you ask? Well, judges tend to want to find the winning entry in their assigned pile; it’s kind of a thrill. So there are few judging experiences more trying than reading a terrifically creative, well-written entry that absolutely cannot make it to the finals because the writer mistakenly used the wrong form of there, they’re, or their.

I would advise proofing in hard copy, which probably doesn’t come as much of a shock to anybody who has been reading this blog for more than a month. It’s also a good idea to have eyes other than your own search for grammar, spelling, and logic mistakes.

But please, I beg you, do NOT assume that your word processor’s spelling and grammar checker will take care of it for you. As any editor, freelance or otherwise, will rend his garments and tell you, such ostensibly helpful functions often both miss mistakes that would be caught by the naked eye and suggest word substitutions that are either inappropriate or grammatically incorrect.

But I digress. In my last post in this series, I hinted, gently by my standards, that before you plunk down the green, you might want to ask yourself a few pointed questions about the contest you intend to enter. Such as:

– Is the contest credible enough that past winners have gotten published?
– Has the contest been around long enough that agents and editors will have heard of it?
– How good are the benefits for the winners?
– If it’s run by an organization, does it have a track record for awarding outside its membership?
– Do the judges or their students tend to win their own contests?
– Has it historically been plagued by scandals?
– Would winning or placing in this contest give me notoriety or resources that are worth the investment of entering?

In short, you might want to begin to think of entering literary contests as an investment in your future as a writer, rather than as a gamble that may pay off big time. There are good investments, and there are bad investments, so select carefully.

In case you’re new to the contest game, prepping the average entry usually involves quite a bit more effort than merely printing out your first chapter and already-existing synopsis. (Which is usually all that competitions for unpublished book-length works allow a writer to submit, incidentally.)

There’s the time to find the contest in the first place, for instance, which isn’t always easy — contests for unpublished book-length works are actually comparatively rare. Competitions that accept short stories, essays, and/or poetry are much more common, but if you are trying to market a book-length work, entering these can involve embarking upon entirely new writing projects.

Then, too, it can take quite a bit of time and energy to prepare a winning entry — and in case you’re interested, most contests are set up so that it would be impossible to print up one’s existing synopsis and first chapter, pop it into an envelope, and call it good. There are generally formatting restrictions and length requirements that render it advisable to spend some fairly serious time tailoring the pages to the contest’s standards.

All of this is time-consuming, naturally. Potentially, a writer could spend so much time entering contests that she ends up with very little time to write.

Yes, I’ve seen it happen. I once met a very gifted writer at an artists’ colony who had stretched two excellent and atmospheric short stories into eight solid years of contest wins, writer’s residencies, and successful grant applications. Of our four subsidized weeks at the colony, she was writing grants for three.

Not entirely coincidentally, at the point that I first encountered her, she had been working on the same novel for — you guessed it — eight interminable years.

If her initial goal had been to live the life of a writer at minimal expense, I wouldn’t have a serious problem with her strategy. But I suspect that her initial goal had been to use the competitions to finance writing her novel.

To be blunt about it, contest preparation requires time you could be using to write. Or query. Or even have a life, as I’m told that non-writers do. If you choose to spend your time entering a contest instead, make sure that the potential returns are worth the sacrifice.

Then there’s the money.

Entry fees can be quite hefty, especially cumulatively, and not all contests give much in the way of tangible rewards, even to the winners, much less the finalists. A high entry fee may be worth it if, say, the judges provide written feedback or if finalists are given special access to the agents and editors who attend the contest-giving organization’s conference.

Look beyond the contest’s website for confirmation, however; not all contests are created equal, and feedback on entries varies widely. A big hint that a contest may not be all that it’s cracked up to be is a separate fee for feedback — in a credible contest, the judges should be evaluating every entry, not just the ones sent in with extra cash attached.

There is a hidden fringe benefit to shelling out the dosh for entry fees, however: systematic contest entries, like attending conferences and send out rafts of cover letters on a regular basis, are a way that you may prove that you are pursuing your writing as a business venture, rather than as a hobby.

Do I hear some quizzical huffing out there? “But Anne,” I hear some of you protest, “in what context would I possibly need to prove that? Should I be anticipating some great cosmic tribunal on how I spent my time on earth?”

Actually, I was thinking of an inquisition a trifle closer to home: the Internal Revenue Service. If you file a Schedule C as a writer (and if you expend resources on developing your writing career, it’s something to consider, even if your writing is not bringing in any income yet), contest entry fees are potentially both tax-deductible AND evidence that you’re actively trying to land an agent and sell your work.

Hey — contest entry is legitimate promotion for your book; it’s a demonstrably good way to catch an agent’s attention. And contrary to popular belief (it’s rearing its ugly head quite often today, isn’t it?), you don’t necessarily have to make money writing in any given year in order to take tax deductions on writing-related expenses.

Frankly, this sometimes comes as something of a surprise to the average tax preparer. I know many writers who have been told point-blank by their consumer-minded tax guys not to bother filing a Schedule C until the first advance check arrives.

So you might want to bone up on the facts a bit before you enter into that particular discussion with your tax advisor — and you honestly should consult one before you file. (To repeat my standard disclaimer, I am not a tax specialist, nor do I play one on TV. Talk to a pro.) To help prepare for that important conversation, here’s a nice brief summary of how writers’ taxes work.

I’m told by thems as know, though, that the IRS has changed its thinking about how quickly to expect artists to make money, recognizing that many talented writers NEVER make a profit on their writing, or even break even, yet still have legitimate business expenses. Printer cartridges, for instance. Reams of paper. The most recent agents’ guide. Conference fees. And so forth. (Poets & Writers online has a good article on recognizing what your writing expenses actually are.)

What they look for, I’m told, to differentiate between the hobbyist writer and the professional, is evidence of a “profit motive” — proof that you are pursuing your writing in a professional manner, with the ultimate goal of selling your work for profit.

Basically, they want to have some reasonable assurance that you WOULD be selling your work if anyone would buy it.

What kind of proof do they like? Well, again, you should ask a tax pro familiar with artists, but high up on the hit parade is evidence that you write on a regular basis and tangible evidence that you are consistently trying to find an agent and/or a publisher for your writing. So they not only don’t begrudge writers’ deducting the cost of stamps and envelopes — they regard buying the makings of SASEs as a mark of serious, potentially taxable effort.

It’s nice that someone does, no? Perhaps the IRS would send a representative to explain your profit motive to your carping coworkers who keep asking when your book is coming out.

Another way to prove that you really are writing with the intent to sell it, honest, is thorough making demonstrable efforts to increase your professional skills — which, for a writer, means not only learning better craft, but learning how to market as well. Continuing education efforts such as going to conferences and promotional efforts like entering contests fit very clearly within the profit-seeking rubric.

I mention this not only so you can make some inquiries in the months between now and tax time, but also to encourage you to apply the concept of the profit motive to any writing-related expense you may be considering.

In the case of a contest, for instance, you might want to ask: how will winning it help me get my book published? In other words, is entering this contest an efficient way to pursue my profit motive as a writer?

And I’m not just talking about contest wins in general here: I’m talking about any PARTICULAR contest you may be considering entering. The adulation and opportunities offered the winners vary so widely from contest to contest that it is almost impossible to generalize about any benefit accruing to all winners.

Other than boasting rights in query letters, of course.

If you do some basic checking in advance, you can save yourself quite a bit in entry fees by avoiding the contests that will not help promote you and your work.

And while I’m at it…

After yesterday’s outburst of eloquence on the subject of backing up your writing files — a subject that would inspire any writer, I think, who has been watching the news this week — I am couch-bound today, so I shall avoid a long lead-in. Suffice to say that after I posted yesterday, I recalled having written on this subject before — and in a way that dealt with the basics of backing up much more explicitly.

I know how much you like it when I’m explicit about technicalities.

While I am re-running old posts, it seemed to make more sense to post this today, rather than waiting until after I have finished my series about tracking down agents to query — of which, more follows soon. Enjoy!

I spent much of last evening chatting with my computer guru friend (who shall remain nameless, as he works for a large, fruit-associated computer company) while he was running diagnostic programs on my poor, injured baby {i.e., my computer, which had gone into the shop a few days before I first posted this}, and he told me the type of horror story that would make any writer’s blood run cold:  recently, a lovely young woman had brought her computer to him, its hard drive utterly fried.  All she cared about retrieving, she told him, was her novel.

My friend’s heart went out to her:  it was fairly obvious that her computer was burnt as bacon.  “Do you have any back-ups?” he asked.

She didn’t. 

“Everyone thinks,” my friend opined, sighing, “‘It can’t happen to me.’  I see it every day.”

After I had stopped hyperventillating in the face of this lurid tale of woe and trauma, I inquired tenderly after the fate of the writer.  Was she in a mental health facility someplace, receiving the best in bereavement care?  Or at least in a nice, white-sheeted convelescent hospital on 24-hour suicide watch?  Or had she returned to her studio space to try to reconstruct her novel, painfully, from her most recent hard copy?

I don’t want to depress you, but put yourself in that writer’s shoes for a moment:  if your hard drive suddenly gave up the ghost right now, would you have ANY version of your book on hand to aid in reconstruction of the wreckage? How recent a draft would it be?

Don’t be ashamed if the answers were any stripe of no, oh, my God, and/or what do you mean, more than one draft?; there are apparently millions of you out there.

Not to induce raging paranoia in anyone, but computer malfuctions CAN happen to you.  It can happen to anyone.  (Yes, even those of us who work on Macs, who are inclined to get a trifle smug because our computers don’t get viruses.)  Computer files are not among the permanent things of this earth, and yet most of us treat the contents of our computers as if we were dealing with something as solid as the Pyramids. 

It’s just not a good idea.

I asked my computer-fixing friend why so few people make back-ups, and he told me something jaw-dropping:  most computer users, he said, don’t understand how easy it is to make a copy of a file on a computer.  They don’t understand the difference between saving a document (which makes the newest version REPLACE the one before it) and copying it (which makes a DUPLICATE of the already-existing file.  Many people, he informed me, have never been told that making a copy for back-up actually doesn’t change the original file at all.

Let me repeat that, because it’s important:  making a copy of the computer files that contain your book does NOT change the original files, any more than making a photocopy of a page of manuscript changes the original page. 

Duplicating a file means just that:  making a clone, and just as one twin does not start hopping down in anguish when the other twin stubs his toe, NOTHING you subsequently do to the copy will affect the original.

It’s true.  You can copy it onto a disk, take that disk to the zoo, and feed it to a crocodile, and all that would happen is that the poor croc might get indigestion.  Your original file will be at home on your computer, safe and sound.

So if you are nervous about making back-ups directly from your documents, why not make a duplicate of your book’s file (from the desktop, just highlight the file and then select COPY or DUPLICATE, depending upon your operating system), and then move the copy onto a back-up disk? 

That way, the original never goes near anything that might conceivably eat it.

The other way to make a duplicate copy in Word is to go to the FILE menu, select SAVE AS…, and follow the directions to make a new file.  (Hint:  it’s a good idea to give it a different name, so the two don’t get mixed up.)  If you save it to the Desktop, it will be apparent where you can find it later. 

Then quit Word, so you don’t inadvertently start working on the wrong one (a rather common mistake).  Then, you can copy the new file onto a disk or e-mail it to yourself as an attachment without fear of losing your original.

Once your back-up file is on a disk or in storage, all you have to do in case of disaster is go back to it, open it up, and copy it onto your newly-wiped computer.

See?  Easy as the proverbial pie. 

Brace yourself, however:  not having a back-up is not the only way writers have been known to lose days, weeks, or months of work on their computers.  A very common cause of loss is transferring files by overwriting. 

This, for those you who have never done it (and be grateful if you haven’t) is when you have worked on a document on one computer, and then move it to another, either on a disk or by electronic transfer.  Once it is on the second computer, many writers then replace the older version on computer #2 with the transferred one from computer #1.  When this is done correctly, the older version vanishes, never to be seen again, only to be replaced by the newer one.

The problems come, typically, when writers try to REPLACE the older version with the newer one:  sometimes, they get mixed up and delete the wrong one.  The result is that all of the changes the writer made on the older version in order to create the newer one.  (In other words, the file on computer #1 was an updated version of the one on computer #2, but the writer accidentally deleted the transferred one from #2, thus losing all the updates.)

There is a rather simple way to prevent this hair-raising problem:  when you import the updated file, DON’T replace the older one with it; just save the newer version onto your hard disk under a different name, something easy to identify, such as “New Chapter 2.”  Then re-name the older file “Old Chapter 2,” or something similarly descriptive.  Move New Chapter 2 into your book’s folder, and move Old Chapter 2 elsewhere — say, into a folder entitled, “Former versions.”

The last step is the crucial one:  don’t delete ANYTHING until you are POSITIVE that the version in your work-in-progress file is the one you DEFINITELY want to keep. 

Or, heck, don’t delete either version; save each subsequent one to gladden the hearts of your biographers and graduate students who will be writing their master’s theses on your writing.

Because, you see, there really isn’t any reason you need to have only one copy of any given Word file on your computer.   If you name your files descriptively (and as a writer, you have no excuse for doing otherwise), you’re not going to mix them up, and you radically reduce the probability of deleting a week’s worth of revisions by mistake.

Why?  Because computer memories are really, really big now. It’s the programs that take up loads of space, usually, not the documents, so most of us can afford to have a dozen different versions of our chapters lingering on our hard disks. 

Heck, if you really got desperate for document storage space, you could copy versions of your novel to your teenage daughter’s iPod.  (It’s true:  nifty, eh?  If you’re interested in doing this, go ask the fine folks at an Apple store how.)

My point is, a very, very small investment of your time can make a world of difference in the event of a computer meltdown.  Don’t make me visit you in that nice, soothing convalescent hospital where writers who have lost entire manuscripts softly moan into their pillowcases.

You can do this.  Just don’t be afraid to ask for help.

If all that I’ve just said sounded to you like the, “Wah-wah wah-wah” speech of the adults in the Charlie Brown cartoons — as I know discussions of computers does to some people — I implore you, find someone computer-savvy to walk you through how to do it ON YOUR OWN COMPUTER.  (Learning on a different system can be very confusing.)  Have someone else show you, and then observe you while you make copies and back-ups by yourself.  Repeat until you feel comfortable.

Trust me, your skateboarding nephew will probably be THRILLED to be giving advice for a change, rather than taking it.  (Especially if you ask for a couple of hours of his time as a holiday present — do you think he LIKES buying you socks?)  And if you feel a little dopey for making him watch you make back-ups 42 times in a row, just to make sure that you’ve got it down cold — well, he probably won’t come away with any dimmer a view of adults than he already has, and you will have given him an ego boost.

If you don’t have anyone answering this description in your immediate circle, consider giving your local junior college a call and asking if you can pay a senior 20 bucks to spend an hour walking you through how to do back-ups.  (Hey, if you file a Schedule C as a writer — and you don’t need to get paid for your writing in any given year in order to do so, usually — it would even potentially be tax-deductable, as a professional service.)

Or call up your local computer store and ask if they would be willing to give you a crash (no pun intended) course in how to make sure you don’t lose your files.  The Apple stores, for instance, have people on staff whose job it is to help people like you (at least the ones who own Macs and/or iPods) use their computers better.  Believe me, they would much rather help you BEFORE there’s a crisis than after.

Even if you feel a trifle silly asking for help at your age (and many people do feel like that, regardless of what their ages actually are), remember:  the momentary twinge will be nothing compared to the AAARGH of losing a chapter of your book permanently.  In the long run, this will decrease the stress in your life, not add to it.

There’s no harm in asking.  Think of it as a way your community can help support your writing career.  And keep up the good work!

Book marketing 101: do they think writers are MADE of money?

Yesterday, I spent a very practical few pages of post talking about ways to save money when shipping requested materials to an agent or editor. We writers don’t talk about this very much amongst ourselves, but the fact is, the process of finding an agent can be pretty expensive.

How expensive, those of you still working up to the marketing stage ask? At minimum, we’re talking about postage, shipping, boxes, paper, ink cartridges, wear and tear on your computer, and a ton of your time that could be used for, well, anything else. Not to mention the even greater optional costs of attending conferences, entering contests, and hiring freelance editors like me to help pull your submission into tip-top shape.

It adds up, so I like to pass along money-saving tips where I can.

If you’re a US citizen and marketing a book, it’s also worth looking into the possibility of filing a Schedule C for your writing as a business, so you can deduct these expenses. Talk to a tax professional about it (I am not a tax professional, so I cannot legally give you advice on the subject), but do try to find one who is familiar with artists’ returns: ones who are not will almost invariably say that a writer must sell work in a given year to claim associated expenses, but that’s not necessarily true.

Yesterday, as part of my ongoing quest to save you a few sous, I brought up the case of Lysette, the writer who rushed out and overnighted her manuscript. I went into her possible reasons for doing this — rather than sending the book regular mail or the more affordable 2-3 day Priority Mail rate. Today, I want to talk a bit about the other primary motivator for jumping the gun: eagerness.

Few souls walking the planet are in a greater hurry than a writer who has just received a request for materials, especially if that request comes at the end of a long period of querying. Whew! the writer thinks, the hard part is over now: my premise has been recognized as a good one by an agent who handles this sort of material.

Now, naturally, everything is going to happen in a minute: reading, acceptance, book sale, chatting on Oprah. You know, the average trajectory for any garden-variety blockbuster. Who wouldn’t want to cut a week, or even a few days, out of tackling that bright future?

I sincerely hope that yours is the one in eight million submissions that experiences this particular trajectory — and that’s the probability in a good year for publishing — but writerly hopes to the contrary, a request for submission is the beginning of the game, not the end. The fact is, as small a percentage of queries receive a positive response (and it’s unusually under 5%), even fewer submissions pass the initial read test.

There’s a reason that I grill you on the details, you know. I want yours to be in that top percentile. Which is why I would rather see your resources and energy going toward perfecting the submission itself, rather than getting it there with a rapidity that would make Superman do a double-take.

Also, the writer’s speed in getting the submission to the agent will not make one scintilla of difference in how quickly a manuscript is read — or even the probability of its moldering on an agent’s desk for months. Certainly, whether the agent’s receiving the manuscript the next day or in the 2-3 days offered by the more reasonably priced Priority Mail will make no appreciable difference to response time.

Especially this time of year; most of the industry is on vacation from early August through Labor Day. Or around Christmastime, when the biz more or less shuts down.

This is true, incidentally, even when the agent has ASKED a writer to overnight a project. Consider the plight of poor Gilberto:

Submission scenario 2: Gilberto has just won a major category in a writing contest. During the very full pitching day that followed his win, five agents ask him to send submissions. Seeing that he was garnering a lot of interest, Glenda, the most enthusiastic of the agents, requests that he overnight the manuscript to her, so she can respond to it right away.

Being a savvy submitter, Gilberto says yes, but submits simultaneously to all six, rather than waiting to hear back from Glenda before he sends off his other submission. He writes REQUESTED MATERIALS — FIRST PLACE, CONTEST NAME on the outside of every submission and mentions the request in the first line of his cover letter, to minimize the possibility of his work being lost in amongst the many submissions these agencies receive.

Within three weeks, he’s heard back from all but one of them; puzzlingly, Glenda is the last to respond. And when she finally does, six weeks after he overnighted her the manuscript, it’s with form letter.

What did Gilberto do wrong? He said yes to an unreasonable request.

Why was it unreasonable? In essence, the situation was no different than if Glenda had asked him to leave the conference, jump in his car, drive three hours home to print up a copy of his manuscript for her, drive three hours back, and hand it to her.

In both cases, the agent would have been asking the writer to go to unnecessary effort and expense for no reason other than her convenience. As Glenda’s subsequent behavior showed, she had no more intention of reading Gilberto’s manuscript within the next couple of days than she did of reading it on the airplane home.

Okay, here is a pop quiz to see how much those of you who have been following the Book Marketing 101 series have learned: why did she ask him to overnight it at all?

Give yourself full marks if you said it was to get a jump on other interested agents. As I mentioned earlier in the series, agents tend to be competitive people who value book projects in direct proportion to how many other agents are interested in them? This is one way it manifests — and the primary reason that it is ALWAYS in a writer’s best interest to make simultaneous submissions and queries.

Pause and consider the ramifications of this attitude toward other agents for a moment. Let them ripple across your mind, like the concentric circles moving gently outward after you throw a stone into a limpid pool, rolling outward until… OH, MY GOD, WHAT DOES THIS MEAN FOR THE AVERAGE QUERY-GENERATED SUBMISSION?

Uh-huh.

Explains quite a bit about why the agent who requested your first 50 pages doesn’t get back to you for two months, doesn’t it? While the average agent expects that the writer querying her will be simultaneously querying elsewhere, the converse is also true: she will assume, unless you tell her otherwise, that the packet you send her is the only submission currently under any agent’s eyes.

This is why it is ALWAYS a good idea to mention in your submission cover letter that other agents are reading it, if they are. No need to name names: just say that other agents have requested it, and are reading it even as she holds your pages in her hot little hand.

I heard that thought go through some of your minds: I would have to scold you if you lied about this, just to speed up the agent’s sense of urgency. Ooh, that would be too strategic, clever, and unscrupulous. Sneaky writer; no cookie.

Okay, here’s the extra credit question: in the scenario above, Glenda already knows that other agents are interested in Gilberto’s work; she is hoping to snap him up first. So why didn’t she read it right away?

Give up? Well, Glenda’s goal was to get the manuscript before the other agents made offers to Gilberto, not necessarily to make an offer before they did.

Is that a vast cloud of confusion I feel wafting from my readers’ general direction? Was that loud, guttural sound a collective “Wha–?”

It honestly does make sense, when you consider the competition amongst agents. Glenda is aware that she has not sufficiently charmed Gilberto to induce him to submit to her exclusively; since he won the contest, she also has a pretty good reason to believe he can write up a storm. So she definitely wants to read his pages, but she will not know whether she wants to sign him until she reads his writing.

And she’s met enough writers to be aware that it is distinctly possible that Gilberto’s response to his big win will be to spend the next eight months going over his manuscript with the proverbial fine-toothed comb, perfecting it before showing it to anyone at all. She would like to see it before he does that, if at all possible. To beat the Christmas rush, as it were.

Even if she doesn’t get an advance peek, Glenda is setting up a situation where Gilberto will automatically tell her if any other agent makes an offer. By asking him to go to the extraordinary effort and expense of overnighting the manuscript to her, she has, she hoped, conveyed her enthusiasm about the book sufficiently that he will regard her as a top prospect. Even if he gets an offer from another agent, he’s probably going to call or e-mail her to see if she’s still interested before he signs with anyone else.

If she gets such a call, Glenda’s path will be clear: if she hasn’t yet read his pages, she will ask for a few days to do so before he commits to the other agent. If she doesn’t, she will assume that there hasn’t been another offer. She can take her time and read the pages when she gets around to it.

What’s the rush, from her perspective?

From the agent’s POV, asking a writer to overnight a manuscript is a compliment, not a directive: it’s the agent’s way of saying she’s really, really interested, not that she is going to clear her schedule tomorrow night in order to read it. And even if so, the tantalization will only be greater if she has to live through another couple of days before cloistering herself to read it.

So what should Gilberto have done instead? The polite way to handle such a request is to say, “Wow, I’m flattered, but I’m booked up for the next few days. I can get it to you by the end of the week, though.”

And then he should have sat down, read it IN HARD COPY and OUT LOUD to catch any glaring mistakes, and Priority Mailed it a few days later.

Sound daring? Well, let me let you in on a little secret: in the industry, the party who wants a manuscript overnighted is generally the one who pays for it. After a publisher acquires your book, the house will be paying for you to ship your pages overnight if they need them that quickly, not you. So by asking the writer to pay the costs, the agent is actually stepping outside the norms of the biz.

Picking the right contest, part VI: hanging with the disreputable

I’m shifting gears today, from the slow and steady pace appropriate to successful querying to the adrenaline-pumping deadline panics and nail-biting award-announcement waits endemic to contest entry. To ease the transition, today I am going to talk about the widely differing time commitments necessary to meet contest criteria.

It often comes as something of a shock to those new to entering contests just how time-consuming many of them are. Some allow you just to pop your work in the mail in pretty much the same form as you would use to send it to an agent; some require you to fill out extensive forms to accompany the work; some specify such stringent formatting requirements that you cannot use the work submitted to them for any other purpose.

Today, I’m going to give you some tips on navigating the waters of these requirements without eating too deeply into your hard-won writing and marketing time.

The time criterion (see earlier posts in this series for other criteria) is perhaps the most important factor to consider in evaluating a contest — other than whether your writing is ready to face competition, of course. Unlike the other criteria, which mostly focused upon the contest itself, this consideration is about you and your resources.

Parenthetically – because I am constitutionally incapable of not following an interesting line of thought when it comes up, apparently — isn’t it amazing, given how much uncompensated time we all invest into our art, just how often time has been coming up in this blog as the single most common decision-making determinant? You should sent out simultaneous queries because your time is too valuable to expend the extra years single-shot querying can take; agents don’t give rejection reasons because they don’t have the time to give substantive feedback to everyone (I like to call this the Did You Bring Enough Gum for the Whole Class? defense); your queries need to be pithy from the get-go because agency screeners only spend seconds upon each.

And now, as you’ve probably figured out, I’m about to advise you to look very carefully at the requirements of any contest you are considering entering and asking yourself – before you invest ANY time in prepping the entry – “Is this honestly going to be worth my time?”

Why do I keep harping on the importance of valuing your time, in the face of a publishing industry which, to put it very gently indeed, doesn’t?

Precisely because the industry doesn’t. While dealing with agents who take three months to respond to queries, and editors who take a year to pass judgment on a submission, if you don’t treat your time as a precious commodity, it’s all too easy to conclude that the industry is right: writers’ time is as vast as the sea, and as easily replenished as a tidal pool adjacent to a beach.

I don’t think so.

I measure time by the standards of a professional writer: every waking minute spent away from my current writing project, or from editing my clients’ writing projects, is expensive. More expensive, I think, than the equivalent minutes in the average agent’s or editor’s quotidian lives, because they are not typically creating new beauty and truth in every spare nanosecond they can steal. What writers do is important, not only to the writers themselves, but to humanity.

So there.

Since we writers control so little else along our paths to publication, I’m a great advocate of controlling what we can. Unfortunately, there are few contests out there, especially for longer works, that simply require entrants to print up an already-existing piece, slide it into an envelope, write a check for the entry fee, and slap a stamp upon it.

How few, you ask? Well, off the top of my head, thinking back over the last dozen years or so, I would estimate that the grand total would be roughly…none.

At minimum, any blind-judged contest is going to require that you prepare a special rendition of your manuscript devoid of your usual slug line – because your slug line, of course, includes your name. Translation: you can’t just photocopy or print your current MS and mail it to a contest. And anything beyond that is, alas, time-consuming.

Pretty much every contest requires the entrant to fill out an entry form – which can range from requests for ultra-simple contact information to outright demands that you answer actual essay questions. (Applications for fellowships and residencies virtually always include essay questions, FYI.) And yes, Virginia, misreading or skipping even one of these questions on the entry form generally results in disqualification.

I hate to be pedantic here, but it does need to be said: do be aware that every time you fill out one of these forms, you are giving tacit consent to being placed upon the sponsoring organization’s mailing list. As with any information you submit to people you do not know, be careful not to provide any data that is not already public knowledge. Every piece of information you share here is subject to resale to marketing firms, unless the contest sponsor states outright on the form that it will not do so.

Oh, come on — did you think those offers from Writers Digest and The Advocate just found their way into your mailbox magically?

How do you know if what is being asked of you is de trop? Well, a one- or at most two-page application form is ample for a literary contest; a three- or four-page application is fair for a fellowship or residency. Anything more than that, and you should start to wonder what they’re doing with all of this information.

A contest that gives out monetary awards will need your Social Security number eventually, for tax purposes (yes, contest winnings are taxable), for instance, but they really need this information only for the winners. I would balk about giving it up front.

I have seen contest entry forms that ask writers to list character references, especially those contests aimed at writers still in school. It’s an odd request, isn’t it, given that the history of our art form is riddled with notorious rakes, ne’er-do-wells, and other social undesirables who happened to write like angels? Some awfully good poetry and prose has been written in jail cells over the centuries, after all. I don’t believe that a contest should throw out the work of a William Makepeace Thackeray or an H.G. Wells because they kept mistresses…or to toss Oscar Wilde’s because he didn’t.

Or, for that matter, close its entry rolls to a shy kid whose high school English teacher doesn’t happen to like her.

In practice, reference requests are seldom followed up upon, and even less frequently used to disqualify entries before they are read, but they are occasionally used as tie-breakers. A good literary contest is not going to refuse to read Percy Bysshe Shelley’s entry because of that bottle of laudanum he was fond of carrying in his pocket, or disqualify Emily Dickenson’s poetry submission because her neighbors noticed that she didn’t much like to go outside.

No, they’d wait until the finalist round to do that.

I have questioned contest organizers why they ask for references, and they claim they do it solely so they can rule out people whose wins might embarrass the organization giving the award – basically, so they do not wake up one day and read in the newspaper that they gave their highest accolade to Ted Bundy. So they might well gently shove aside an entry whose return address was a state or federal prison, to minimize the possibility of handing their top honor to someone wearing manacles and accompanied by a guard.

Call me zany, but personally, I would prefer to see potential and former felons turn their entries to the gentle arts of the sonnet or the essay over other, less socially-useful pursuits like murdering people with axes, embezzlement, or arson of public buildings, but evidently, not every contest organizer agrees with me. Again, I’m not sure that they have an ethical right to limit entries this way but as I believe I have made clear in the past, I do not run the universe.

The moral: if you don’t have friends as disreputable as you are to vouch for you in a reference-requiring contest, you need to get out more – or at least graduate from high school. Join a writers’ group.

I must admit, though, that my suspicious nature rears its paranoid head whenever I see requests for references; back in my contest-entry days, I tended to avoid these contests. If an entrant lists one of the contest judges as a reference, is the entry handled differently? If I can list a famous name as a reference, are my chances of winning better?

Only the conference organizers know for sure.

Contest entry forms frequently ask you to list your writing credentials, which I find bizarre in contests where the judging is supposed to be blind. Again, perhaps I am suspicious, but I always wonder if entries from authors with previous contest wins or publication credentials go into a different pile than the rest. They shouldn’t, if the judging is genuinely blind.

But to quote the late great Fats Waller, “One never knows, do one?”

I’m not saying that you should rule out contests that make such requests – but I do think that the more personal information the organization asks for, the more careful your background check on the contest should be. When I see a request for references, for instance, I automatically look to see if the listed judges and/or their students have won previous competitions. A lot of the requesters are indeed on the up-and-up, but there is no surer waste of an honest writer’s time, talent, and resources than entering a rigged contest – or one with a demonstrable bias.

But do not despair, dear readers: there are plenty of literary contests – and fellowships, too — out there that are absolutely beyond reproach. By keeping your eye out for warning signs before you sink your valuable time into filling out extensive applications, you will be keeping your work – and your entry fees – out of the hands of the greedy.

And hey, any of you out there who may be considering committing a felony in the days to come: take my advice, and take up short story writing instead. I assure you, everyone will be happier in the long run.

Ready, set: QUERY!

I’m completely exhausted today, dear readers, but extremely happy: two days ago I finished my novel revision for the excellent editor at major-publisher-who-shall-remain-nameless-until-there’s-a-contract-on-the-table. Printing and proofing always takes longer than any reasonable creature would guess it would, so it was not boxed up until well into yesterday evening, and not mailed until this morning. But it is done, done, done.

I shall now collapse into a little puddle of gratified endeavor until my next project starts poking at me. I estimate I have until Friday.

Now that Martin Luther King, Jr. Day is past, it is once again safe to send queries to agents: true, they still need to get tax information out to their clients by the end of the month (the IRS keeps an eagle eye on royalty payments), but by now, the New Year’s Resolution rush of queries has died down a bit. Translation: they are a WHOLE lot less grumpy today than two weeks ago.

I have been concentrating for the past couple of weeks on helping you prep for contest entries, since PNWA’s contest deadline is in February, but talented and insightful reader Janet gently reminded me of something last week: I haven’t actually written a blog on how to put together a query letter since…could it have been as long ago as September of 2005? Yet here I was, blithely sending those of you who have never done it before out into the tiger-filled woods with no guidance.

So I’m going to take a brief detour from contest prep issues to run through query basics again. Because, although I know that my readers are too savvy to fall into the pitfalls of the average writer, the vast majority of query letters agents receive are either uncommunicative, petulant in tone, or just poor marketing.

We can do better than that, I think.

For those of you absolutely new to the process, a query letter is a 1-page (single-spaced) polite, formal inquiry sent out to an agent or editor in the hope of exciting professional interest. Businesslike without being in business format (I hate to be the one to break it to those of you who just love the non-indented paragraphs common to business letters, but that style appears illiterate to folks in the publishing industry), a good query introduces the book and the author to a prospective agent in precisely the terms the industry would use to describe them.

There are a zillion guides out there, each giving ostensibly foolproof guidelines for how to construct a positively stellar query letter, but in my experience, simple works better than gimmicky. (Possibly because the former is rarer.) Typically, a query letter consists of five basic parts:

1. The opening paragraph, which includes the following information:
* A brief statement about why the writer is approaching this particular agent (Hint: be specific. “I enjoyed hearing you speak at Conference X,” “Since you so ably represent Author Q,” and “Since you are interested in (book category), I hope you will be intrigued by my book” all work better than not mentioning how you picked the agent in the first place.)

*The book’s title

*The book’s category (i.e., where your book would sit in Barnes & Noble. Most queries leave this off, but it’s essential. If you don’t know what this is, or are not sure where your book will fall, please see the BOOK CATEGORIES section at right).

*Word count. (Actually, I have never included this, because it makes many novels easier to reject right off the bat, but many agents to have it up front. Because, you see, it makes it easier to reject so many queries off the bat. If your work falls within the normal word count for your genre – for most works of fiction, between 80,000 and 100,000 words – go ahead and include it. And if you don’t know how to figure word count, please see the WORD COUNT category at right.)

2. A paragraph pitching the book. (If you already have a 3-4 sentence elevator speech prepared, feel free to use this as your second paragraph.)

3. A BRIEF paragraph explaining who the target market for this book is (over and above the book category) and why this book might appeal to that demographic in a way that no other book currently on the market does. If the demographic is not especially well-known (or even if it is; agents tend to underestimate the size of potential groups of readers), go ahead and include numbers.

Don’t make the very common mistake, though, of having your book sound like a carbon copy of a current bestseller: you want to show here that your work is unique. If you can compare your book to another within the same genre that has sold well within the last five years, this is the place to do it, but make sure to make clear how your book serves the target market differently and better.

4. An optional paragraph giving your writing credentials and/or expertise that renders you the ideal person to have written this book — or, indeed, absolutely the only sentient being in the universe who could have. Include any past publications (paid or unpaid) in descending order of impressiveness, as well as any contest wins, places, shows, semi-finalist lists, etc., and academic degrees (yes, even if they are not relevant to your book).

If you have no credentials that may legitimately be listed here, omit this paragraph. However, give the matter some serious, creative thought first. If you have real-life experience that gives you a unique insight into your book’s topic, include it. (Again, it need not have been paid experience.) Or any public speaking experience – that’s actually a selling point for a writer, since so few have ever read in public before their first books have come out. Or ongoing membership in a writers’ group.

Anything can count, as long as it makes you look like a writer who is approaching the industry like a professional. Or like a person who would be interesting to know, read, and represent.

5. An EXTREMELY brief closing paragraph, thanking the agent for her time, mentioning any enclosed materials (synopsis, first five pages, whatever the agent lists as desired elements), calling the agent’s attention to the fact that you’ve sent a SASE, and giving your contact information, if it is not already listed at the top of the letter. (If you can’t afford to have letterhead printed up, just include your contact information, centered, in the header.) Say you look forward to hearing from her soon, and sign off.

There, that’s not so impossible in a single page, is it?

Okay, so it IS difficult. Even more so if you play fair: 1-inch margins, 12-point type (yes, they WILL notice if you shrink it; the average agency receives in excess of 800 queries per week), and avoid flashy paper and typeface choices that might make your query stand out from the crowd.

Yes, these probably will make your letter visible in the midst of a great big stack, but probably not in a way that it going to help you.

Remember, this is an industry where standardization is regarded as a sign of professionalism. So bright white paper –20-lb or better, please – actually tends to make the best impression, as does using the preferred typefaces of the industry in query letter and submission alike: Times, Times New Roman, Courier, or Courier New.

Yes, I know it’s silly to be judged so purely on presentation, but trust me on this one: 99% of the time, a query letter in Times New Roman printed on nice white paper will be taken more seriously than EXACTLY the same set of words typed in Helvetica on floppy copy paper. Or on even on classy off-white stationary.

Go figure.

Do keep in mind that the SOLE purpose of the query is to engender enough excitement in the reader that she will ask to see a representative chunk of the book itself, not to reproduce what you would like to see on the book’s back jacket or to complain about having to work through an agent at all.

Believe it or not, I’ve seen both turn up many, many times in unsuccessful query letters. I didn’t mention petulance above by accident.

Yes, querying is a chore, and an intimidating one at that; yes, ultimately it will be the agent’s job, not yours, to market your work to publishers, and an agent or editor probably would have a far better idea of how to spin your book than you would. Agents and their screeners (it is rare for agents at the larger agencies to screen query letters themselves) are in fact aware of all of these things. And your query letter needs to market your book impeccably anyway, in a tone that makes you sound like an author who LOVES his work and is eager to give agent and editor alike huge amounts of his time to promote it.

As I said: not a walk in the park, definitely, but certainly doable by a smart, talented writer who approaches it in the right spirit. Sound like anyone you know?

Picking the right contest, part III: making the tax man happy

I have been writing for the last couple of days on how to determine whether to enter any specific contest or not. I intimated, in my patented winsome way, that it would behoove you to do a little background research before you invest time and money in entry fees.

I hinted gently that before you plunk down the green, you might want to ask yourself a few pointed questions. Is the contest credible, for instance? If it’s run by an organization, does it have a track record for awarding outside its membership? Do the judges win their own contests? Is it plagued by scandals? How good are the benefits for the winners? Would winning or placing in this contest give you notoriety or resources that are worth the investment of entering?

In short, I suggested yesterday that you begin to think of entering literary contests as an investment in your future as a writer, rather than as a gamble that may pay off big time. There are good investments, and there are bad investments, so select carefully.

What are the practical advantages of thinking of it as an investment? Well, prepping the average entry usually involves quite a bit more effort than merely printing out your first chapter and already-existing synopsis. There are generally formatting restrictions and length requirements that render it advisable to spend some fairly serious time tailoring the pages to the contest’s standards.

That’s time you could be using writing. Or querying. Or even having a life, as I’m told that non-writers do. If you choose to spend it entering a contest instead, make sure that the potential returns are worth the sacrifice.

Then there’s the money. Entry fees can be quite hefty, especially cumulatively, and not all contests give much in the way of tangible rewards, even to the winners. A high entry fee may be worth it if, say, the judges provide written feedback (as is the case with PNWA) or contest winners are If you enter many contests (or attend many conferences, or send out rafts of cover letters…), you might want to have a chat with your tax advisor about establishing your writing as a small business, so you can claim all of those entry fees as deductions.

Hey — contest entry is legitimate promotion for your work. Contrary to popular belief, you don’t necessarily have to make money writing in any given year in order to take tax deductions on writing-related expenses.

And this sometimes comes as something of a surprise to the average tax preparer; I know many writers who have been told point-blank by their consumer-minded tax guys not to bother filing a Schedule C until the first advance check arrives. So you might want to bone up on the facts a bit before you enter into that particular discussion with your tax advisor; here’s a nice brief summary.

I’m told by thems as know, though, that the IRS has changed its thinking about how quickly to expect artists to make money, recognizing that many talented writers NEVER make a profit on their writing, or even break even, yet still have legitimate business expenses. Printer cartridges, for instance. Reams of paper. The most recent agents’ guide. Conference fees. And so forth. (Poets & Writers online has a good article on recognizing what your writing expenses actually are.)

What they look for, I’m told, to differentiate between the hobbist writer and the professional, is evidence of a “profit motive” — proof that you are pursuing your writing in a professional manner, with the ultimate goal of selling your work for profit. Basically, they want to have some reasonable assurance that you WOULD be selling your work if anyone would buy it.

What kind of proof do they like? Well, again, you should ask a tax pro familiar with artists, but high up on the hit parade is evidence that you write on a regular basis and tangible evidence that you are consistently trying to find an agent and/or a publisher for your writing. So they not only don’t begrudge writers’ deducting the cost of stamps and envelopes – they regard buying the makings of SASEs as a mark of serious, potentially taxable effort.

It’s nice that someone does, no? Perhaps the IRS would send a representative to explain your profit motive to your carping coworkers who keep asking when your book is coming out.

Another way to prove that you really are writing with the intent to sell it, honest, is thorough making demonstrable efforts to increase your professional skills – which, for a writer, means not only learning better craft, but learning how to market as well. Continuing education efforts such as going to conferences and promotional efforts like entering contests fit very clearly within the profit-seeking rubric.

I mention this not only so you can make some inquiries in the months between now and tax time, but also to encourage you to apply the concept of the profit motive to any writing-related expense you may be considering. In the case of a contest, for instance, you might want to ask: how will winning it help you get my book published?

In other words, is entering this contest an efficient way to pursue my profit motive as a writer?

And I’m not just talking about ANY contest win here: I’m talking about any PARTICULAR contest you may be considering entering. The adulation and opportunities offered the winners vary so widely from contest to contest that it is almost impossible to generalize about any benefit accruing to all winners OTHER than boasting rights in query letters. If you do some basic checking in advance, you can save yourself quite a bit in entry fees by avoiding the contests that will not help promote you and your work.
