How to write a really good query letter, part VII: differentiating yourself from the rest of the crowd intent upon storming the castle

Still hanging in there, everyone? Or are you getting a trifle impatient to pop those query letters into the mail?

Actually, I wouldn’t be at all surprised if some of you had the opposite reaction: visiting the site, glancing at the title, exclaiming, “Oh, I don’t want to think about that!” and clicking hastily away to another, less challenging writerly forum. Who could blame the hasty retreaters? For the past few posts, I have been urging you to take a long, hard look at your query letter, to make sure that you are projecting the impression that you are an impressively qualified, impeccably professional writer waiting to be discovered.

As opposed to the other kind, who in agents’ minds swarm in legions like the mobs in Frankenstein movies, wielding pitchforks, pitch-soaked flaming torches, and unbound manuscripts, chanting endlessly, “Represent my book! Represent my book!” It’s like a bad horror film: no matter how many of those manuscripts Millicent the agency screener rejects, they just keep coming, relentlessly, pouring into the agency seemingly through every crack and crevice, appearing magically from some ever-renewing source.

You hadn’t been thinking of your query letter as part of an implacable daily onslaught, had you? Today, I’m going to talk a bit about the inevitability of a query letter’s being part of that perpetually angry mob — and how to avoid sounding in your query letter as if you are wielding the third pitchfork from the left.

Why might that be to your advantage, you ask? Novelty, among other things: you wouldn’t believe how many query letters read virtually identically. (If you don’t know why a query letter’s sounding generic is a bad idea, please see my earlier post in this series on the dreaded cloning effect.)

The other reason is — wait for it — professionalism. Too many aspiring writers mistakenly believe that a generic query filled either with overly-broad summary statements (my protagonist is Everyman struggling with quotidian life), promotional copy (this is the most exciting book featuring childbirth since GONE WITH THE WIND!”), or just plain one-size-fits-all rhetoric (Dear Agent: please read my book) makes their work seem professional. If the query reads just like what they’ve seen online, they reason, it has to be good, right?

Not necessarily. Typically, if it reads that way, it’s just like a good half of the query letters Millicent’s seen that week, and thus hardly likely to stand out amongst the forest of torches storming the castle. Next!

But when a query is unique and yet professional, the result can be semi-miraculous. For a talented querier, the ubiquity of poorly-constructed queries is actually helpful.

Why? Call up that angry mob in your mind, the one that’s casually dropping by en masse to ask Dr. Frankenstein if that undead thing lurching about Geneva belongs to him. Now picture yourself pushing through that crowd, impeccably dressed, to knock on that castle door. For Dr. F to open the door, she’s going to have to believe that you’re not merely a cleverly-disguised villager intent upon destroying her secret laboratory where he dabbles in revivifying the dead.

So, too, with Millicent: a politely-worded, grammatically impeccable, well-written query is going to catch her eye, simply because such a low percentage of what crosses her desk meets those criteria. And frankly, that fact is very useful to her, because she can quickly reject the angry mob’s attempts to get her attention.

Okay, so that analogy was a trifle forced; very few of the screeners of my acquaintance actually make a habit of prying open those well-known doors that mankind is not meant to open, and not all rejections are that knee-jerk. But you can’t deny that picturing Millicent triple-bolting the castle door made a change from imagining her burning her lip on yet another too-hot latte, right?

My point is, in the face of a constant barrage of queries, even the most prose-loving Millicent is going to have to reject the vast majority that cross her desk, if only in self-defense. Our goal in this series is to rid your letter of the most common rejection-provokers.

And before anyone says it: yes, yes, I know that it seems impossibly nit-picky to concentrate this hard upon a page of text that isn’t even in your manuscript. I’m just trying to save you some time, and some misery — and a whole lot of rejection.

So print up your latest query letter draft, please, and let’s ask ourselves a few more probing questions before we pop that puppy in the mail.

To pull out my broken record again: please, before you ask yourself the following questions, read the entire letter aloud, so it is clear in your mind — and to catch any lapses in logic or grammar, of course. I don’t care if you did it yesterday: do it again, because now you’re doing it in hard copy, where — long-time readers, chant it with me now — you’re significantly more likely to catch itty-bitty errors like missed periods.

Why aloud? Because it’s the best way to catch a left-out word or logic problem.

Don’t feel bad if you find a few: believe me, every successful author has a story about the time that she realized only after a query or a manuscript was in the mailbox that it was missing a necessary pronoun or possessive. Or misspelled something really basic, like the book category.

Yes, it happens. All the time.

And if you don’t read it aloud IN HARD COPY one final time between when you are happy with it on your computer screen and when you apply your soon-to-be-famous signature to it…well, all I can do is rend my garments and wonder where I went wrong in bringing you up.

All right, I’ll hop off the guilt wagon now and back onto the checklist trail. Let’s recap what we’ve covered so far:

(1) Is my query letter longer than a single page in standard correspondence format?

(2) If my query letter just refuses to be shorter, am I trying to do too much in it?

(3) If my query letter is too long, am I spending too many lines of text describing the plot?

(4) Is my query letter polite?

(5) Is it clear from the first paragraph on what precisely I am asking the agent to represent?

(6) Does my letter sound as though I am excited about this book, or as if I have little confidence in the work? Or does it read as though I’m apologizing for querying at all?

(7) Does my book come across as genuinely marketable, or does the letter read as though I’m boasting?

(8) Have I addressed this letter to a specific person, rather than an entire agency or any agent currently walking the face of the earth? Does it read like a form letter?

(9) Do I make it clear in the first paragraph of the letter SPECIFICALLY why I am writing to THIS particular agent — or does it read as though I could be addressing any agent in North America?

(10) If I met this agent or editor at a conference, or am querying because I heard him/her speak at one, or picked him/her because s/he represents a particular author, do I make that obvious immediately?

(11) Am I sending this query in the form that the recipient prefers to receive it? If I intend to send it via e-mail, have I double-checked that the agency accepts e-mailed queries?

(12) Am I absolutely positive that I have spelled the agent’s name correctly, as well as the agency’s? Am I positive that the letter I have addressed to Dear Mr. Smith shouldn’t actually read Dear Ms. Smith? Heck, am I even sure that I’m placing the right letter in the right envelope?

Everyone clear on those? Now would be an excellent time to speak up, if not. While you’re formulating questions, let’s move on.

(13) Is the first paragraph of my query compelling? Does it get to the point immediately? If I were an agency screener, would I keep reading into the next paragraph?
This may seem like a draconian question, but think about it from Millicent’s perspective: if you had to get through 200 queries before the end of the afternoon, would you keep reading the one in front of you if the first paragraph rambled? Or, heaven forefend, contained a typo or two?

Oh, yes, you SAY you would. But honestly, would you?

I have been dwelling upon the first paragraph of the query letter because — oh, it pains me to be the one to tell you this, if you did not already know — countless query letters are discarded by agents and their screeners every day based upon the first paragraph alone. (Yet another reason I advise against e-mail queries, incidentally, except in the case of agents who specifically state they prefer them over the paper version: it’s too easy to delete an e-mail after reading only a line or two of it.)

Take a good, hard look at your first paragraph, and make sure it is one that will make the agent want keep reading. Does it present the relevant information — why you are querying this particular agent, book category, title, etc. — in a professional, compelling manner?

Cut to the chase. All too often, when writers do not make their intentions clear up front — say, by neglecting to mention the book category — the letter simply gets tossed aside after the first paragraph.

All right, on to paragraph two:

(14) Is my brief summary of the book short, clear, and exciting? Have I actually said what the book is ABOUT?

Frequently, authors get so carried away with conveying the premise of the book that they forget to mention the theme at all. Or they try to cram the entire synopsis into the query letter. Given that the entire query letter should never be longer than a page, your summary needs to be very short and sweet, just like your hallway pitch.

Here’s a quick way to tell if your letter is hitting the mark: unearth that book keynote you came up with earlier in this series for a pitch, and compare it with your summary paragraph in the query. Do they read as though they are describing the same book?

If you’re worried about leaving out salient points, here’s an idea: include the synopsis in your query packet. While you have an agency screener’s attention, why not have a fuller explanation of the book ready to hand? That’s 1-5 entire, glorious pages to impress an agent with your sparkling wit, jaw-dropping plot, and/or utterly convincing argument.

Did I hear a few gasps out there? “But Anne,” I hear those timorous about storming the castle cry, “the agency’s listing in the standard agency guide and/or website does not mention sending a synopsis with my query. I thought I was supposed to send only EXACTLY what the agent requested?”

Well caught, oh anonymous voices: sending only what is requested is indeed the rule for SUBMISSIONS. And obviously, you should check what the particular agency wants to see. If an agency asks for something special in its querying guidelines, such as the first 5 pages of your manuscript (the agency that represents yours truly encourages writers to send a first chapter, but that’s rare), you should send precisely that.

However, most agencies do not spell out so clearly what they want to see stuffed in that query envelope: even the most cursory flip through the Writer’s Digest Guide to Literary Agents will produce many repetitions of the minimal phrase query with SASE that it becomes slightly hypnotic.

In my experience, the Millicents at such agencies may not always read an included synopsis, but they don’t go around automatically rejecting queries that include them, either. With one exception: if a synopsis is sent as an attachment with an e-mail query.

Actually, it’s pretty much always a mistake to send an attachment with either a query or a submission; unless the agent specifically requests it, it will almost always go unread. Most agencies have policies against opening unrequested attachments, so if you include a synopsis with your e-query, add it in the body of the message, after the letter itself.

In a paper query, I think a good synopsis is usually worth including, provided that it is brief, well-written, and professional. (If the very idea of producing such a synopsis makes you wince, I would urge you to consult the HOW TO WRITE A SYNOPSIS category on the list at right.) Including it will free you to concentrate on the point of the query letter, which is to capture the reader’s attention, not to summarize the entire book.

Within the query letter itself, you honestly do have only — chant it with me now, long-time readers — 3-5 sentences to grab an agent’s interest, so generally speaking, you are usually better off emphasizing how interesting your characters are and how unusual your premise is, rather than trying to outline the plot.

(15) Does my description use unusual details and surprising juxtapositions to make my story come across as unique or my argument as original? Or is the descriptive paragraph a collection of generalities that might apply to many different books within my chosen category?
This is a tough one for most queriers — as we discussed in my recent Pitching 101 series, the overwhelming majority of queriers and pitchers resort to vague generalities in order to cram as much plot into that short descriptive paragraph as humanly possible.

The result: a whole lot of summaries that sound pretty generic. One of those torches waving in the night might be pretty, but when everyone in the village is brandishing one, it gets old fast.

Not the best strategy when one is trying to convince an agent that the book in question is DIFFERENT from what’s already on the market. As in a pitch, the first commandment is thou shalt not bore, and believe me, nothing is more boring to someone who reads for a living than seeing the same kind of descriptions over and over again.

So why not spice things up with details that only you could devise?

Remember, too, that a query letter, like everything else an aspiring writer submits to an agency, is a writing sample; you’re going to want your summary to show off your well-honed storytelling skills (for fiction or creative NF) and/or argumentative acumen (for NF). In addition, you’re going to want to make your story concept or argument sound fresh.

Hark! Do I hear an angry mob beating on my battlements, chanting, “How may we pull all that off in a brief paragraph? In a word: juicy details.

Okay, so that was two words. It’s still a great strategy.

As I argued in an earlier post on pitch construction, what makes a book summary memorable, whether it is fiction or nonfiction, is not usually its overall arc but its vividly-rendered details. Especially to a reader like Millicent who reads 50 such descriptions in a sitting, the difference between a ho-hum descriptive paragraph and one that makes her sit up and say, “Hey, I’d like to read this book!” tends to lie in the minutiae.

Not in a superabundance of minutiae, mind you: just a few careful-selected details. Remember, your goal in the query letter is not to tell the book’s entire plot or reproduce its primary argument, but to present its premise in a way that invites further scrutiny.

Unsure where the line between too many generalities and too much detail lies, flaming torch-bearers? When in doubt, stick to the central conflict.

Why, you ask? Okay, let’s step into an agency screener’s shoes for a minute. Read these three summaries: which would make you ask to see the first fifty pages of the book and why?

<>Basil Q. Zink, a color-blind clarinetist who fills his hours away from his music stand with pinball and romance novels, has never fallen in love — until he meets Gisèle, the baton-wielding conductor with a will of steel and a temper of fire. But what chance does a man who cannot reliably make his socks match have with a Paris-trained beauty? Ever since Gisèle was dumped by the world’s greatest bassoonist, she has never had a kind word for anyone in the woodwind section. Can Basil win the heart of his secret love without compromising his reputation as he navigates the take-no-prisoners world of the symphony orchestra?

Quite a few unique and unexpected quirks packed in there, aren’t there? I’d ask to read that book. Contrast this description with the far more common style of entry #2:

Clarinetist Basil Zink has fallen hopelessly in love with his conductor, temperamental and beautiful Gisèle. On the rebound from a ten-year marriage with Parisian bassoonist Serge, Gisèle scarcely casts a glance in Basil’s direction; she hardly seems to be aware that he’s alive. Menaced by an ultra-competitive co-worker, Basil must overcome his fears to capture the woman he loves and save his orchestra.

Interesting how different it is from the first, isn’t it, considering that both describe the same story? Yet since #2 relies so heavily on generalities and is so light on unusual details, it comes across as a tad generic, not to say cliché-ridden.

Let’s take a gander at version #3, where a love of detail has apparently run amok:

BATON OF MY HEART is a love story that follows protagonist Basil Q. Zink, whose congenital color-blindness was exacerbated (as the reader learns through an extended flashback) by a freak toaster-meets-tuning-fork accident when he was six. Ever since, Basil has hated and feared English muffins, which causes him to avoid the other boys’ games: even a carelessly-flung Frisbee can bring on a flashback. This circle metaphor continues into his adult life, as his job as a clarinetist for a major symphony orchestra requires him to spend his days and most of his nights starting at little dots printed on paper.

Life isn’t easy for Basil. Eventually, he gets a job with a new symphony, where he doesn’t know anybody; he’s always been shy. Sure, he can make friends in the woodwind section, but in this orchestra, they are the geeks of the school, hated by the sexy woman conductor and taunted by the Sousaphonist, an antagonist who is exactly the type of Frisbee-tossing lunkhead Basil has spent a lifetime loathing. The conductor poses a problem for Basil: he has never been conducted by a woman before. This brings up his issues with his long-dead mother, Yvonne, who had an affair with little Basil’s first music teacher in a raucous backstage incident that sent music stands crashing to the ground. Basil’s father never got over the incident, and Basil…

Okay, ersatz agency screener: how much longer would you keep reading? We’re all the way through a lengthy paragraph, and we still don’t know what the essential conflict is!

Worn out from that extensive compare-and-contrast exercise? Let’s take a break with a simple yes or no question.

(16) If I am querying anything but a memoir, is my summary paragraph in the present tense?
This is one of those industry weirdnesses: one-paragraph summaries, like pitches and synopses, are ALWAYS written in the present tense. Even when the author is describing events that happened before the fall of the Roman Empire. Go figure.

And apparently, writers are supposed to know this because the synopsis fairy descends from the heavens when one reaches a certain level of craft and bops one on the head with her magic wand. Or because they have attended an expensive class or conference that told them so.

I’m not a big fan of keeping expectations like this secret, so let’s shout it to the rooftops: THE SUMMARY SHOULD BE IN THE PRESENT TENSE.

The only major exception is, interestingly enough, memoir, probably because it simply doesn’t make sense for an adult to say: “Now I am six, and my father tells me to take out the garbage. But I don’t want to take out the garbage, and in a decision that will come back to haunt me in high school, I choose to bury it in the back yard.”

It’s confusing to a sane person’s sense of time. But then, so are the querying and submission processes, frequently.

Oh, and before it slips my mind: all too often, memoirists refer to themselves in the third person in query letters, pitches, and synopses of their books, puzzling Millicents exceedingly. If your memoir is about you, say so; go ahead and use the perpendicular pronoun.

That was restful, wasn’t it? I could shift back to the knottier questions, but I think that’s enough for you to think about for the nonce.

As long as you remember this: what makes a manuscript or book proposal great is not how similar it is to already-published books, but rather how it is different.

Oh, I don’t mean that a querier is likely to get anywhere with Millicent by claiming that his manuscript is like nothing she has ever seen before — that, too, has been said so often in queries that it has become a cliché — or that it’s a good idea to ignore the current literary market. You won’t, and it isn’t. In order to sell any first book, however, a writer needs to be able to demonstrate that (a) it fits into an existing book category but (b) offers readers who already buy books in that category something they can’t already get by just walking into a bookstore.

Or, to cast it in grander terms: what will your book add to the literary world that it hasn’t already got? Why will the reading world be a better place if your book is published?

Deep questions, eh? I leave you to ponder them.

But as you do, never forget that part of what a writer is marketing is her unique voice. How could a query letter that sounds just like everyone else’s possibly do justice to that?

Book marketing 101: what’s that I see across the bookstore? Could it be my agent’s next dream client?

In yesterday’s post, I suggested a surprisingly underused method for finding new agents to query — the straightforward expedient of going to readings of books in your book category and asking the authors who represents them. Immediately thereafter, though, I may have dashed some hopes out there by pointing out several ways in which aspiring writers tend to bungle such approaches, in the hope of helping you avoid them.

How do I know about these faux pas? Because agents, editors, and established authors just LOVE to trade stories about outrageous approaches, that’s how. Believe me, you don’t want to become famous that way.

So to minimize the chances of that happening, I have resurrected a post languishing in my archives and punched it up a bit for current use. (I know, I know: I am really looking forward to the day that I have the physical oomph to write new posts from scratch again, too.)

Unfortunately, open-handed friendliness to aspiring writers is rare; in approaching most contests, as well as most agencies and presses, it helps to be aware that, to put it mildly, an overwhelming desire to smooth the path of the aspiring is most emphatically not the norm. It is usually in the writer’s best interest, then, to assume that contest readers will be uncharitably nit-picky, agents will be in a rush, and editors will want to be wowed by the end of line 2.

Or, to put it another way: it behooves you to make it as easy as humanly possible for people in the industry to help you. And to make that apparent from your very first interaction.

This seems a bit self-evident in theory, but it’s not often put into practice. Especially in the cases I was discussing at the end of last week, where, from the established authors’ perspectives, the writers requesting help might almost have been working overtime to make it difficult to help them.

That, my friends, is not the best way to get someone to help you. Minimizing the effort required to do you a good turn is.

(Hey, you didn’t think that I was talking at such length about the blandishment of established authors because I was advising you never to try it at all, did you? Heck, go for it — but when you do it, I want you to SUCCEED.)

Putting a little advance thought not only into how to ask for help gracefully, but how to render it as simple as possible for your designated helper to give you a leg up. Here are a couple of ways that writers often fumble the approach.

Misguided approach 1: Pablo has approached established writer Pauline a sensible way: he read her work first, was able to give her a sensible, well thought-out compliment on her latest book, and established a cordial relationship before asking for any favors at all. Eventually, Pauline asks to read some of Pablo’s work, and, enthused, sends him an e-mail saying that she is willing to recommend him to her agent, Percy.

“That’s marvelous,” Pablo writes back immediately. “Send Percy the manuscript I gave you, and let me know what he says.”

He is astonished never to hear from Pauline again. Nor, to his shock, does he ever hear from Percy at all.

Okay, what did Pablo do wrong – or, to put it another way, what did he do to render Pauline unlikely to follow through, and Percy doomed never to see his work at all?

Pablo violated the golden rule: he made it apparent that it would be difficult to help him. To be precise, he assumed that because Pauline was willing to help him at all, she would automatically be eager to put in a great deal of leg work on his behalf, too. Suddenly finding herself expected to do a massive favor when she had offered to do a smallish one, Pauline froze and backed off.

Why? Well, what Pauline was offering Pablo was actually a great big helping hand: a personal recommendation to her agent, something few previously unpublished writers ever get. In her mind, this would entail Pablo’s beginning his query letter to Percy with, “Pauline recommended that I contact you about my book…”

That’s it. It may not sound like an immense favor, but as it would place Pablo’s work in a different pile than every other query that came into Percy’s agency, it could potentially have made an enormous difference to Pablo’s querying success. If Pauline felt very enthusiastic indeed, she might also have called or e-mailed Percy, to let him know that Pablo’s work was coming.

But that would be the absolute limit to what an established writer like Pauline would do for a new acquaintance. She could potentially OFFER to do more down the line, but realistically, Pablo should have accepted this much with gratitude and, taking the initiative to promote his own work, followed through himself.

Instead – and herein lay his biggest mistake– he misunderstood what Pauline was offering. Brushing aside her actual offer in a way that inadvertently came across as dismissive, he pushed 100% of the follow-up responsibility onto Pauline, essentially expecting her to be his unpaid agent, pitching his work to her agent.

Think about this from Pauline’s point of view: why on earth would she do this? Even if Pablo is a brilliant writer, the utmost personal benefit she could possibly derive from the transaction is the glow of having done a good deed and Pablo’s gratitude. Perhaps a line on a future acknowledgement page. But if Pablo begins the process by appearing ungrateful, why should she lift single well-manicured finger to help him at all, much less put herself on the line to promote his work?

It’s hard to know how seriously to judge Pablo, isn’t it? He botched an opportunity for which many another aspiring writer would gladly have given his pinkie toes. On the other hand, from a writer’s point of view, he really made only one small slip, and that inadvertent.

While we could debate from now until Doomsday whether the punishment fit the crime here, the overall message is clear: when you want someone to do you a favor, your best strategy is to minimize, not maximize, the amount of effort your patron will need to invest to assist you. Don’t simply assume it’s understood – ask questions about how you can make it easier to help you.

When in doubt, you can always fall back on the most basic, most welcome question of all: “What can I do to make helping me easier for you?”

That’s a bit counter-intuitive, I know: ostensibly, this process is about others helping you, not you helping others. But trust me on this one: the easier you make it to help you, the more likely you are to receive help. Pablo’s response to Pauline’s offer should have been all about her, not him: “That’s fabulous, Pauline; thank you so much. What do you want me to do?”

Adopting that attitude toward helping hands, I promise you, will make you more welcome in virtually any industry gathering, both now and in years to come. Why? Because it will make you a better addition to the professional writers’ community.

When I dealt with this topic before, I gave many, many examples, since I was in the midst of an extensive series on common faux pas those new to the industry tend to make. For our purposes now, however, I think it’s safe to skip a few. (But if you’re interested, they’re all under the INDUSTRY ETIQUETTE category at right.)

So let’s just indulge in one last example, then let the subject drop for the time being.

Misguided approach 2: Tanya met agented author Tremaine through networking; he’s the friend of a friend. Because she seemed to be nice and was complimentary about his work, Tremaine was happy to answer a few of Tanya’s questions via e-mail. Lately, however, he’s been deliberately slowing his responses, because she’s starting to e-mail him every day.

Clearly, he thinks, Tanya is thinking of this as a friendship, rather than what it actually is, an author being nice to a reader.

One sunny Tuesday, Tremaine sees yet another e-mail from Tanya in his inbox. Sighing, he leaves it to answer another day. On Friday, he opens it, and is startled to find a cheerful missive from Tanya, telling him she has already sent a query to his agent, Trevor, using Tremaine’s name as a reference. Would Tremaine mind following up with Trevor, to confirm the recommendation and try to speed up the process?

Oh, dear.

Tanya’s put Tremaine in a tough situation here, hasn’t she? On one level, she has used his name without his permission, and he would be well within his rights to pick up the phone and tell Trevor so, killing her submission’s chances.

On the other hand, doing so would make him look bad in the eyes of his agent: if he confesses to having been used, the next time Tremaine actually does want to recommend an aspiring writer, he will have to pass the manuscript along to Trevor personally, to avoid the possibility of another misappropriation of his name.

Which, as we have seen, will be a whole lot of work for him.

It was Tanya’s responsibility to ASK Tremaine for permission to use his name, not tell him about it afterward. And while it is possible that she DID ask, but Tremaine overlooked her question because of the sheer volume of her e-mails, it is never legitimate to assume that silence equals consent.

A good rule of thumb in any context, actually.

What happened to Tremaine happens to famous writers ALL the time, incidentally: unfortunately, there are plenty of aspiring writers out there who have mistaken professional kindness to a fan for the beginning of a lifetime friendship. And friends help one another, right?

Before you use a recommender’s name, make ABSOLUTELY sure that you have the recommender’s permission to do so; you may make an honest mistake, but because some unscrupulous folks have used this leg-up technique on purpose, the knee-jerk assumption on the agent’s end is almost certainly going to be that there was no misunderstanding at all. Just misappropriation.

It’s just not worth the risk.

A graceful way to confirm: if you are meeting in person, ask the recommender to write the agent’s name on a handy piece of paper for you. Then ask, “And it’s really okay for me to say that you sent me?” If said in a pleased, wondering tone, this will be perceived as a compliment — “Wow — YOU’re willing to recommend me?” — rather than doubting the author’s word.

Via e-mail, it’s even easier: if the language of the offer has been at all ambiguous, e-mail the recommender, saying that you are going to contact the agent. But make sure, unlike Tanya, you do it BEFORE you, well, contact the agent in question.

The overarching moral of all of the examples from the last few days: it is ALWAYS better to ask a follow-up question or two than to assume that someone intends to help you more than his words have stated specifically. If the recommender is indeed offering to help, the question is merely considerate; if not, it’s far better you know about it before you act, right?

And regardless of the outcome: remember to express gratitude for the help you did get. As well as, of course, keeping up the good work!

Reading this post again — or rather, these posts, as the above is a composite of a couple — I feel compelled to add that quite apart from the reasons I gave here, there is a very good strategic reason that you will want to bend over backwards to be easy to help: the publishing world is, as some of you may have already noticed, an arena where a poor reputation gets one talked about far more than a good one. As I mentioned above, you really, really do not want to be the subject of the hilarious story an established writer — or, still worse, an agent — is telling at cocktail parties this month.

But that does not mean you should be shaking in your boots, terrified that you will inadvertently say the wrong thing. The truly good stories tend not to be about aspiring writers who breach minor points of etiquette unawares, but those who come up with real whoppers.

Like the person who told a certain male agent of my acquaintance during a pitch meeting that he couldn’t possibly understand women’s fiction well enough to represent it. When he tried to tell her that he does, in fact, sell women’s fiction all the time, she implied that he was lying. And then she was astonished when he said, “Then maybe you should not be pitching to me.”

Now that’s a good cocktail party story.

Seriously, when an author recommends a writer to her agent, she isn’t just recommending the writing, but the person as well. As with any recommendation, the recommendee’s poor behavior tends to reflect poorly upon the recommender. And even if it didn’t, no one wants to be the client of whom the agent says at parties, “Oh, you would not believe what the writer she sent me did!”

Building a reputation for being easy to work with — the standard euphemism for being cooperative, following directions well, not prone to gratuitous temper tantrums, and knowing a bit about how the industry works going into a relationship with an agent or editor — carries legitimate commercial value in this industry. Cultivate it. You really do want your agent to be able to say with a clear conscience, “Oh, she’s a peach. You’ll love working with her.”

Book marketing 101: but what if I just walk up and ask?

While I was on the subject of tracking down who represents whom, so that you may query agents who represent books similar to yours, I thought I would make a slight detour to an agent-finding strategy favored by the bold: walking up to a published writer (or a pre-published but agented one) and simply saying, “Do you mind if I ask who represents you?”

Writers tend to be nice people; they’re often very happy to give a spot of advice and encouragement to someone new to the game.

Given how VERY useful responses to this question can be for aspiring writers, it’s kind of astonishing how infrequently one hears it at author readings. But really, “Who represents you, and how did you land your agent?” almost always elicits a response that’s interesting enough to entertain the non-writers in the audience, too.

Kinda changes the way you think of author readings, doesn’t it?

If you live in or near a big city with some good bookstores, chances are very good that there are readings going on somewhere in town practically every day of the week. And trust me, if you walk into the best bookstore in town, saunter up to the register or information desk, and ask for a calendar of readings, the staff will be OVERJOYED to direct you to one. Or put you on a mailing list.

Here in Seattle, we’re pretty lucky: not only do we have several very good independent bookstores that regularly host readings and signings, but we also have the Stranger, a free newspaper that routinely lists all of the author readings for any given week, along with brief summaries of their books. (Possibly because the editor won the PEN West award for a memoir a few years back.)

When you’re agent-hunting, it’s usually more worth your while to go to readings by first-time authors than people whose names have graced the bestseller lists for quite some time. Often, new authors are downright grateful to anyone who shows up, and doubly so to anyone who asks an interesting question. They’re usually pretty grateful to their agents, too, and thus like to talk about them.

As a fringe benefit, they will often blandish their local writer friends — publishers’ publicity departments generally ask authors for lists of cities where they have lots of friends, and set up readings accordingly — into attending their readings, just so someone shows up. Sometimes, these helpful friends are willing to tell you who their agents are, and what they represent.

Seriously, it’s worth a try. To be blunt about it, you’re far more likely to garner an actual recommendation to query a new author’s agent than from an established author, especially if you listen politely, laugh at the jokes in the reading, and hang out to talk afterward.

Why do the established tend to be more stand-offish about it, you ask? Contrary to popular opinion, it’s not usually because they’re mean. Just experienced.

Let’s revisit some of the characters from my long-ago Industry Faux Pas series who gamely walked up to published authors and asked for their help. The etiquette in this situation can be a little murky — after all, these authors need to regard anyone who approaches them at a reading as a potential book buyer, and thus may come across as friendlier than they intend — but these examples should help you steer around potential road blocks.

Because the road to recognition is usually so very long and winding, many savvy writers seek to speed things up a trifle by enlisting the help of already established – or already agented – writers on their behalf. This is not a bad idea – but, like everything else, there’s a right way to do it and a wrong way.

Come with me now to the land of hypotheticals, to explore the latter.

Writer-approaching scenario 1: Isabelle notices in her local paper that Ignatz, a writer whose work is similar to hers and is aimed at the same target market will be giving a reading at a local bookstore. She makes a point of attending the reading, and during question time, stands up and asks point-blank who represents him – couching the question within a request for permission to use him as a query reference. Ignatz laughs uncomfortably, tells an agent-related anecdote, and when she presses for a name, tells her to see him afterward.

Isabelle waits patiently until all those who have bought books have presented them to Ignatz for signing, then repeats her question. “I haven’t read your book,” she tells him, “but from the reviews, our work has a lot in common.”

Ignatz, professional to the toes of his well-polished boots, casts only a fleeting glance at her empty hands before replying. “I’m sorry,” he says, “my agent has asked me not to refer any new writers to him.”

What did Isabelle do wrong? (And, for extra credit, what about Ignatz’s response marks it as a brush-off, rather than a simple statement of his agent’s feelings on the subject?)

Isabelle committed two cardinal sins of author approach. First, she did not evince ANY interest in Ignatz’s work before asking him for a favor – and a fairly hefty favor, at that. She did not even bother to buy his book, which is, after all, how Ignatz pays his rent. But since he is quite aware, as any successful writer must be, that being rude to potential readers may mean lost business down the line, he can hardly tell her so directly.

So he did the next best thing: he lied about his agent’s openness to new clients.

How do I know he lied? Experience, my dears, experience: had his agent actually not been accepting new clients, his easiest way out would have been simply to say so, but he did not. What he said is that his agent asked HIM not to recommend any new writers; a subtle difference.

Most agents rather like it when their clients recommend new writers; it saves the agent trouble, to use the client as a screener. So, generally speaking, if an agented writer says, “Oh, my agent doesn’t like me to recommend,” he really means, “I don’t like being placed in this position, and I wish you would go away.”

How has Isabelle placed Ignatz in a tough position? Because she has committed another approach faux pas: she asked for a reference from someone who has never read her work — and indeed, didn’t know she existed prior to that evening.

From Ignatz’s point of view, this is a no-win situation. He has absolutely no idea if Isabelle can write – and to ask to see her work would be to donate his time gratis to someone who has just been quite rude to him. Yet if he says yes without reading her work, and Isabelle turns out to be a terrible writer (or still worse, a terrible pest), his agent is going to be annoyed with him. And if he just says, “No, I don’t read the work of every yahoo who accosts me at a reading,” he will alienate a potential book buyer.

So lying about his agent’s availability is Ignatz’s least self-destructive way out. Who can blame him for taking it?

Let’s say that Isabelle has learned something from this encounter. Manuscript in hand, she goes to another reading.

Writer-approaching scenario 2: Isabelle spots another reading announcement in her local newspaper. This time, it’s an author whose work she’s read, Juanita; wisely, she digs up her dog-eared copy of Juanita’s first novel and brings it along to be signed, to demonstrate her ongoing willingness to support Juanita’s career. She also brings along a copy of her own manuscript.

After the reading, Isabelle stands in line to have her book signed. While Juanita is graciously chatting with her about the inscription, Isabelle slaps her 500-page manuscript onto the signing table. “Would you read this?” she asks. “And then recommend me to your agent?”

Juanita casts a panicked glance around the room, seeking an escape route. “I’m afraid I don’t have time to read anything new right now,” she says, shrinking away from the pile of papers.

This, believe it or not, happens even more that the first scenario – and with even greater frequency at writers’ conferences. Just as some writers have a hard time remembering that agents have ongoing projects, lives, other clients, etc. whose interests may preclude dropping everything to pay attention to a new writer, so too do established writers – many, if not most, of whom teach writing classes and give lectures in order to supplement their incomes.

So basically, Isabelle has just asked a writing teacher she has never met before to give a private critique of her manuscript for free. Not the best means of winning friends and influencing people, generally speaking.

Yes, the process of finding an agent is frustrating, but do try to bear in mind what you are asking when you request help from another writer. Just as querying and pitching necessarily cuts into your precious writing time, so do requests of this nature cut into established writers’ writing time. Other than your admiration and gratitude, tell me, what does the author who helps you get out of it?

This not to say that some established writers don’t like to offer this kind of help; many do. But even the most generous person tends to be nonplused when total strangers demand immense favors. Establishing some sort of a relationship first – even if that relationship consists of nothing more than the five-minute conversation about the author’s work that precedes the question, “So, what do you write?” – is considered a polite first step.

In other words: whatever happened to foreplay?

This particular set of problems is not discussed much on the conference circuit – or, to be precise, they are not discussed much in front of contest attendees; they are discussed by agents, editors, and authors backstage at conferences all the time, I assure you, and in outraged tones.

Why? Because, alas, for every hundred perfectly polite aspiring writers, there are a handful of overeager souls who routinely overstep the bounds of common courtesy – and, as I can tell you from direct personal experience, it’s not always easy being the first personal contact a writer has with the industry: one tends to be treated less as a person than as a door or a ladder.

And no one, however famous or powerful, likes that. Case in point:

Writer-approaching scenario 3: at a writers’ conference, Karl meets Krishnan, a writer who has recently acquired an agent. The two men genuinely have a great deal in common: they live in the same greater metropolitan area, write for the same target market, and they share a love of the plays of Edward Albee. (Don’t ask me why; they just do.) So after hanging out together in the bar that is never more than 100 yards from any writers’ conference venue, it seems perfectly natural for Karl to e-mail Krishnan and ask him to have coffee the following week.

Within minutes of Krishnan’s arrival at the coffee shop, however, he is dismayed when Karl pulls a hefty manuscript box out of his backpack. “Here,” Karl says. “I want to know what you think before I send it to the agents who requested it at the conference. And after you read it, you can send it on to your agent.”

Krishnan just sits there, open-mouthed. As soon as his cell phone rings, he feigns a forgotten appointment and flees.

Okay, what did Karl do wrong here?

Partially, he echoed Isabelle’s mistake: he just assumed that by being friendly, Krishnan was volunteering to help him land an agent. However, there are a LOT of reasons that industry professionals are nice to aspiring writers at conferences, including the following, listed in descending order of probability:

*Krishnan might have just been being polite.

*Krishnan might have regarded Karl as a potential buyer of his books, and as such, did not want to alienate a future fan.

*Krishnan might have been teaching a class at the conference, or hoping to do so in future, and wanted to make a good impression.

*Krishnan is lonely – writing is a lonely craft, by definition, right? — and is looking for other writers with whom to commune.

*Krishnan is looking for local writers with whom to form a critique group.

*Krishnan’s agent might have asked him to be on the lookout for new writers at the conference (rare, but it does happen occasionally).

Of these possibilities, only the last two would dictate ANY willingness on Krishnan’s part to read Karl’s work – and the next to last one definitely implies that reading would be exchanged, not one-way. However, if either of the last two had been Krishnan’s intent, it would have been polite for Karl to wait to be ASKED.

Ditto with Karl’s request that Krishnan pass the manuscript on to his agent. Even with a super-open agent, an agented author cannot recommend others indiscriminately. At minimum, it could be embarrassing. If Krishnan recommends Karl, and Karl turns out to be a bad writer, a constant nuisance, or just plain nuts, that recommendation will seriously compromise his ability to recommend writers in future.

That’s right: writers like Karl, while usually well-meaning in and of themselves, collectively make it harder for everyone else to get this kind of recommendation.

There’s another reason Krishnan would be inclined to run from such an approach: resentment. Not of Karl’s rather inconsiderate assumptions that he would automatically be willing to help someone he’s just met, but of Karl’s attempt to cut into a line in which Krishnan stood for quite some time.

That’s right: just as it is relatively safe to presume that the more recently a writer landed an agent, the more difficult and time-consuming the agent-finding process was – because, by everyone’s admission, it’s harder than it was ten or even five years ago to wow an agent – it is a fair bet that an agent who has been signed but has not yet sold a book will be lugging around quite a bit of residual resentment about the process, or even about his agent.

If an agented writer’s hauling a monumental chip on his shoulder about his agent seems a little strange to you, I can only conclude that your experience listening to those whose first or second books are currently being marketed by their agents is not vast. {and thus that you have probably not been hanging out after very many new authors’ readings}. Almost universally, a writer’s life gets harder, not easier, in the initial months after of being signed: practically any agent on earth will ask for manuscript revisions of even a manuscript she loves, in order to make it more marketable, and no one, but no one, on the writer’s end of the game is ever happy about the agent’s turn-around time.

{Truth compels me to add: except for me, actually. Among my agent’s many sterling qualities as a human being, he’s also an unusually fast reader, bless him.}

The point is, every second Krishnan’s agent spends reading new work is one second less devoted to reading Krishnan’s latest revision — or marketing it. Some authors are a might touchy about that, so tread carefully.

Even if Krishnan’s agent is a saint and habitually works at a speed that would make John Henry gasp, Karl was unwise to assume that Krishnan would be eager to speed up the agent-finding process for anyone else. For all Karl knows, Krishnan struggled for YEARS to land his agent – and, unhappily, human nature does not always wish to shorten the road for those who come after.

Just ask anyone who has been through a medical residency. Or a Ph.D. program.

Note, please, that all of the above applies EVEN IF Krishnan has time to read the manuscript in question. Which, as the vast majority of agented-but-not-published writers hold full-time jobs and have to struggle to carve out writing time – as, actually, do many of the published writers I know; not a lot of people make a living solely from writing novels – is NOT a foregone conclusion.

The best rule of thumb: establish an honest friendship before you ask for big favors.

Until you know an author well, keep your requests non-intrusive. Krishnan probably would not have minded at all if if Karl had simply asked for his agent’s name after half an hour of pleasant chat — heck, Krishnan would probably have offered the information unsolicited in that time — or even for permission to use his name in the first line of a query letter. As in: Since you so ably represent Krishnan Jones, I hope you will be interested in my novel…

It may well have turned out that Karl had a skill – computer repair, eagle-eyed proofreading, compassionate dog-walking – that Krishnan would be pleased to receive in exchange for feedback on Karl’s book. Krishnan might even have asked Karl to join his critique group, where such feedback would have been routine. But Karl will never know, because he jumped the gun, assuming that because Krishnan had an agent, the normal rules of favor-asking did not apply to him.

The same rule applies, by the way, to any acquaintance whose professional acumen you would like to tap unofficially. If I want to get medical information from my doctor about a condition that is plaguing a character in my novel, I expect to pay for her time. Nor, outside of a formal conference context, would I expect a professional editor to read my work, an agent to give me feedback on my pitch, or an editor to explain the current behind-the-scenes at Random House to me unless we either already had a close friendship or I was paying for their time, either monetarily or by exchange.

Tread lightly, and be very aware that you ARE asking a favor, and a big one, when you ask an author to help you reach his agent. Not only are you asking the author to invest time and energy in helping a relative stranger – you are also expecting him or her to put credibility on the line. And that, dear readers, is something that most authors – and most human beings – do not do very often for relative strangers.

Book marketing 101: just how close does a similarity have to be?

One fringe benefit — if you can call it that — of a lengthy convalescence is having a lot of time on one’s hands to watch news reports of terrifying events, so I have been groggily glued to my TV set, trying to get some sense of what is going on in Southern California. The maps the news producers see fit to provide are maddeningly vague, I notice — I can’t tell whether I should be worrying about that wonderful bookstore in Ventura or not, for instance.

Best wishes to all of the Author! Author! community affected by the fires. May you, your kith and kin, your houses, your pets, and your manuscripts come through the conflagration safely.

Reluctantly, then, back to work. At the risk of repeating myself from yesterday, I have decided that the best way to bring my mono-ravaged brain to bear on the subject at hand is to have my intrepid assistant read me over a post I wrote last year dealing with how to track down agents to query — and then ask him, sweetly, to transcribe my murmured asides and insert them into appropriate points in the post.

The result may be a trifle hard to read, but it does represent my up-to-the-minute thoughts on the subject. Enjoy!

I’ve been writing over the last couple of days about ways to figure out which agents to query — OTHER than simply opening the Herman Guide at random, hammering your finger down on a page, and sending a letter to the one grazed by your fingernail. Yesterday, I was discussing querying the agents who represent writers you like to read.

A word to the wise, however: skip querying the agents of your favorite authors who work in genres other than your own. A query to an agent who does not represent your kind of work is usually not worth the investment in postage, much less your energy.

The “Since you so ably represent Author X…” technique works best, naturally, when the querying writer’s work bears some striking resemblance to that of the cited author. I wouldn’t advise hitting up David Sedaris’ agent (who was, the last time I checked, Don Congdon) with ultra-serious literary fiction, any more than I would send a rollicking comedy to Annie Proulx’s (Liz Darhansoff) or hard-right political analysis to Michael Moore’s (Mort Janklow).

Unless, that is, I had it on rock-solid authority that right now, these fine agents were actively looking to represent any of these kinds of books.

However, if your well-read friends and trusted first readers say, “Hey, has anyone ever told you that you write like Francine Prose?” it’s worth checking to see if Francine Prose’s agent (Denise Shannon) is accepting new clients, right? And mentioning, if at all possible, specific ways in which your work resembles, say, Ms. Prose’s well-respected HUNTERS AND GATHERERS.

Need I repeat here that there are SIGNIFICANT perils attached to drawing parallels to books that you have not read? Never, ever, EVER succumb to the temptation of comparing your book to a book with which you are unfamiliar — especially to the unknown book’s agent, who may well have been the person who purged the book of misspellings and semicolons. The chances of such an analogy backfiring are simply too high.

How high, you ask? Well, ask a writer I know who, while querying a novel filled with scenes of people ripping into rare steaks, succulent veal, etc., happened to spot a copy of Ruth L. Ozeki’s MY YEAR OF MEATS in a bookstore. Without reading anything but the acknowledgments page, the querier shot off a letter full of meat-loving details to Ms. Ozeki’s agent, Molly Friedrich of the Aaron Priest Literary Agency. Need I even say that MY YEAR OF MEATS is an exposé of abuses in the meat-production industry so vivid that it is considered in some circles an excellent argument for vegetarianism?

Just don’t do it.

If you are familiar with the work in question, it’s not at all a bad idea to point out specific ways in which your book is similar to the one you cite. Do be aware, though, that from most agents’ points of view, the mere fact of sharing narrative choices alone (such as multiple first-person narrators or present-tense narration, to name two of the most popular) does not necessarily constitute enough of a similarity to inspire automatic interest.

But if a particular agent has represented a whole lot of books about horses, for instance, and your book is fairly bursting with ‘em, I see no reason to make his screener guess that’s why you picked him to query.

If you are going to be specific, stick to comparisons of important plot, character, or narrative worldview similarities between your book and another. Hedging your bets by vague statements like, “It’s been said that my book reads just like THE DA VINCI CODE” will not win you friends and influence agents.

Trust me: such statements are far more likely to annoy than impress. Just like the oft-used assertion that “This book is a natural for Oprah!” Once Millicent has seen a claim like this more than thrice in a week — and I assure you, if she’s a screener at a major agency, she’s been seeing it at least three times a DAY since she got the job — it loses its efficacy on her. If, indeed, it ever would have worked.

Why? Well, think about it: just how many times per day do you suppose the average chick lit agent was seeing “This is the next BRIDGET JONES’ DIARY!” in the first paragraphs of query letters when it was a bestseller? Do you really want your query letter to sound like a quarter of the ones already in the rejection pile?

Of course not. You need to make your work sound unique, not just marketable.

“But Anne,” I hear some of you cry, “the similarities I have in mind are in the writing, not the subject matter. Shouldn’t I point that out, in case Millicent fails to notice how much my query sounds like the voice of the agency’s most famous client?”

Well, yes and no; it depends upon how you go about it. Generally speaking, opening a query with something like, “Everyone says I write just like David Guterson,” will not play as well as, “Since you represented SNOW FALLING ON CEDARS, you may be interested in my novel…”

This is true, incidentally, even if one of the people who told you that you wrote just like David Guterson was David Guterson’s mother. (A lovely woman, incidentally; the last time I bumped into her, she held me captive in the frozen food section of our local Trader Joe’s until I promised to rush out and buy a copy of OUR LADY OF THE FOREST that very day. That’s the kind of mother ever writer should have!)

It pains me to say it, but the vast majority of agents will simply cast aside a query that quotes someone they have never heard of praising the book being offered. And aspiring writers, unfortunately, quote unfamous opinions of their work all the time — which over time has precisely the same effect on Millicent as the Oprah assertion above.

So you really should avoid saying, “My writing teacher says this is the best book since BLEAK HOUSE,” or “A friend told me that I write just like Audrey Niffenegger.” (Represented by Joe Regal of Regal Literary, I’m told.)

Both of these are quotes from actual query letters, incidentally, presented to me for feedback on why they were not garnering enthusiastic responses. Both of the queriers subsequently revised their letter to omit these phrases, and are now happily represented, I am delighted to report.

Of course, if you can legitimately say, “Colin Powell says my memoir, LUST FOR WAR, is the best war story since ALL QUIET ON THE WESTERN FRONT,” by all means, say it. But make sure that the person you are quoting is well-known (or at least well-known to the agent you are querying) AND that the quote is truthful.

Yes, you heard me correctly: unfortunately, one really does need to say it, apparently. You’d be amazed — at least I hope you would — at how many queriers gratuitously quote the famous without their permission, on the theory that the agent will never check. FIE!!!

But, hey, if you can justifiably say that the late great Kurt Vonnegut wept over your text, place that information in the first line of your query letter — whether you are querying his former agent (Knox Burger of Harold Ober Associates) or not. It’s too valuable a commendation not to use.

Do not give in to the temptation of quoting out of context, however. Years ago, when I was in grad school, I took a seminar with Saul Bellow. I still have the term paper on which he wrote, “You are a very engaging writer.” Oh, how easy it would have been to present that quote as though he had said it about my first novel, especially as by that time, Professor Bellow was no longer among the living! But obviously, I couldn’t legitimately that luscious little blurb out of context.

I know, I know. Sometimes honesty looks an awful lot like stupidity. But at least I am 100% certain that I will never be caught in a self-promoting exaggeration at an industry meeting, where it could cost me serious credibility points. Leave the puffing up of your work to your publisher’s marketing department; let the quality of your writing speak for itself.

Remember, the reference to the agent’s already-established client is intended not so much as a name-dropping power play, meant to stun with importance, than as a bow to the agent’s past professional successes and a preliminary answer to the obvious question in any query-reader’s mind: “Why is THIS author targeting THIS agency with THIS book?”

Just so you know, if any reasonably intelligent English-conversant reader could read more than half of your query letter WITHOUT knowing the answer to that question, the query is almost certainly going to be rejected. Kind of surprising that most querying classes and guidebooks don’t point this out more often, isn’t it?

Book marketing 101: trolling for agent leads

Okay, so I overdid it a bit last week — and yes, unfortunately, in my current state of heath, three dictated posts was overdoing it — and backslid a bit. This week, I have promised doctor, chiropractor, kith and kin, dictation-taker, and a shaman I happen to know that I shall genuinely take it easy.

To that end, I have asked my kind dictation-taker to help me spend the week posting some former blogs on the subject of digging up agent prospects to query. He has very kindly promised to add in any new comments I might feel to add as he reads them to me before posting. My extraneous outbursts, he tells me, will be in italics.

So this will be an interesting experiment in just how strong my urge to comment is. (And that chorus of giggles you hear out there is my clients, who seldom see any white space at all after I’ve finished my marginalia.)

All right, let’s return to our topic, already in progress: just where does a writer find out who represents what, in order to target his queries effectively?

Earlier this week {actually, it was last week; off to a roaring start, aren’t we?}, I talked about the most common advice agents give to aspiring writers: find out who represents your favorite authors, usually through trolling acknowledgments pages, and querying their agents.

{Actually, the MOST common advice agents give to writers is to go away and query someone else — this here is merely the most frequently-given advice about how to FIND an agent. But we digress.}

This can be a dandy way to find a good agent, one with a proven track record in representing a particular kind of book, but do be aware that if the writers whose agents you approach are well-known and/or award winners, their agents may not be altogether keen on picking up the unpublished. This is especially likely to be true if the books you are checking happen to have come out more than a year or two ago — or if the authors in question were not overnight successes whose first books shot to the top of the NYT bestseller lists.

Check the standard agents’ guides before you invest a stamp on a query: chances are, too, that the agent representing a major author NOW is not the same one who first took a wild chance on him as an unknown.

Why? Well-established authors often move up to more important agents as they gain prestige, so by the time that a Pulitzer Prize-winner like Alice Walker ends up at the Wendy Weil agency, she may have traded up two or three times. The exceptionally gifted memoirist Barbara Robinette Moss, for instance, traded up to Ms. Weil; I don’t know if that’s how essayist Sarah Vowell ended up there. But see my point?

Client-poaching, for lack of a nicer term for it, goes on more than most aspiring writers expect. As I believe I have mentioned fifty or sixty times before in this forum, not all agents enjoy an equal ability to sell a particular book. Some have better connections for that kind of book than others: some habitually lunch and cocktail party with editors at larger publishing houses, for instance; some went to college with more fine folks who ended up at imprints devoted to literary fiction than others; it may even be as simple as a particular agent’s having sat next to a particular editor at a writing conference’s rubber chicken dinner, but the fact is, different agents enjoy different levels of access to the people who would need to approve the acquisition of your book.

So after an author has a major success, or even a modest one, with his original agent (a hard-working soul who was willing to take a chance on a first-time author), it’s not all that unusual for him to start looking toward a better-established agency — or for a more prominent agent to begin eyeballing him.

Which sometimes leads to some rather amusing odd head jerkings in restaurants and bars adjacent to writers’ conferences: “What’s Author X doing having brunch with Agent R?” they will hiss, pretending to drop their napkins as a cover for turning around to look. “I nursed X through three novels!”

My point is, don’t automatically assume that the agent whom the author thanks in his acknowledgments is necessarily the one who got him his first break. If the book in question is very successful, or is the follow-up to a success, that name could as easily be Agent R as the guy who dropped his napkin surreptitiously to stare at their clandestine meal.

Checking an established author’s FIRST book’s acknowledgements is usually a better bet. Be aware, though, that a laudable willingness to take a chance on a hot new talent is not always how agents end up representing a particular author. Like John Irving, an author may have married his agent, Janet Turnbull Irving of the Turnbull Agency, a feat you could hardly hope to reproduce between now and Christmas.

Although let me know if you do, and I’ll send a wedding present.

It’s also not unheard-of for an agent to make her reputation on a single well-known client, and want to concentrate most of her efforts on that client, rather than on new ones. (Crystal ball, why do you keep showing me the image of Alice Volpe of the Northwest Literary Agency, who represents JA Jance? Must be a transmission error.)

My point is, these bestselling authors’ prestige was probably the key that opened the door to the top-flight agencies, rather than their beginning-of-the-career raw talent. Generally speaking, you will be better off if you place the agents of writers on the bestseller lists lower on your priority roster, and concentrate on midlist or first-time authors.

If you do decide to go hunting for the big game, bear in mind that that Writers House, for instance, sees a LOT of queries that begin, “Since you represent Ken Follett,” and “Since you sold Nora Roberts’ last book,”

You may not get any points for novelty, to put it mildly.

Recall, too, that an agent who represents a bigwig author necessarily spends quite a bit of time catering to the bigwig’s business — and thus may well have little time to lavish on a new-but-brilliant client. (If you should ever find yourself within shouting distance of Don Maass of the Donald Maass Agency, ask him about how many days per year he devotes to a client like Anne Perry, as opposed to a client he’s just signed. Go ahead, he won’t be offended: he talks about it at conferences.)

In short, setting your heart on your favorite bestseller’s agent may not be the best use of your time and energy.

Where the “Since you so ably represent Author X, I believe you will be interested in my work,”  gambit will serve you best is with lesser-known writers, particularly those who are just starting out. Many agents are nurturing a pet author or two, someone whose books sell only a few thousand copies, but will be breaking into mainstream success any day now.

Where recognition is scant, any praise is trebly welcome, so the clever writer who is the first (or tenth) to identify the up-and-coming writer as THE reason for picking the agent is conveying a subtle compliment to eyes hungry to see it. The agent (or assistant) often thinks, “My, here is a discerning person. Perhaps I should give her writing a chance.”

Good reason to go to public readings of first-time writers, eh? The less famous the writer, the less well-attended the reading usually is. Maybe, if you are very nice (and one of the three people who showed up for the book signing), the brand-new author might even agree to let you begin your query letter, “Your client, Brand-New Author, recommended that I contact you.”

Again, do you think such a letter will get more or less attention than the average query?

A couple of words of warning about using this strategy, however: do NOT imply, even indirectly, that the writer you are citing sent you to her agent UNLESS IT IS TRUE. Aspiring writers do this all the time; it’s a well enough known dodge that agents routinely ask their clients, “Hey, what can you tell me about this writer?”

Trust me, if the response is, “Who?” using the recommendation might actually carry a negative value. If you do indeed have a recommendation, great. If you do not, however, it’s just not wise to tempt fate.

But yes, Virginia, in terms of pure ethics, I think that a famous writer’s telling you at a conference, “Gee, you should talk to my agent,” constitutes a recommendation, and you are entitled to use it accordingly. Since it is not unheard-of for a touring writer not to recall the names and/or book titles of every soul with whom she had a conversation on a 9-state tour or at a 450-attendee conference — I tremble to tell you this, but it’s true — you might want to play it safe by sending off a brief, polite thank-you note to the recommender BEFORE you query his agent. Just as a little reminder.

Also, it’s dangerous to use the names of writers whose work you do NOT like as calling cards, and downright perilous to use the names of writers whose work you do not know. Assume that, at some point, you will be having a conversation with the agent about the author whose work you praised.

The more obscure the author, in my experience, the more likely this conversation is to happen. If you hate the prose stylings of Alan Hollinghurst (whose work I love, personally; the last I checked, he was represented by Emma Parry of Fletcher & Parry), or if you have never read any Dorothy Allison (Frances Goldin Agency), it’s probably not the best idea to present yourself as an enthusiast to their respective agents, or indeed to anyone who knows their work very well.

Your mother was right, you know: honesty IS the best policy. Go give her a call, and keep up the good work!

Book marketing 101: honesty — policy, or just a good idea?

In my last post, I discussed two ways of finding agents to query other than through direct meetings at writers’ conferences (which is still one of the best — and, unfortunately, most expensive — ways to connect with an agent): soliciting agents who spoke at conferences you attended with whom you did NOT speak, and tracking down those who represent your favorite authors.

I have more words of advice about the latter method yet to dispense, but first, I felt ethically obliged to revisit the former briefly, to address some questionable querying practices I have seen in my travels. The prospect of writing a post today, however, made me want to bury my head back under my covers.

Some vague voice in the back of my fevered brain whispered that I had written rather extensively on this subject last year, so I did a spot of digging. “Hooray,” cried I — or rather wheezed I; shouting is a bit beyond my lung capacities at the moment — “I can post the requisite dire warning AND take my hourly nap.”

So here it is, my friends, the proverbial blast from the past. Enjoy!

It has come to my attention that some wily writers out there habitually surf the web, tracking down major writing conferences, and sending “I so enjoyed your talk at Conference X, and I hope you will be interested in my work…” queries to the agents listed as having spoken there. These unscrupulous souls do this for conferences they have never attended, and yet they write “Conference X attendee” in big red letters on the outside of their submission envelopes.

Oh, the shame of it all…

And why do these clever-but-underhand writers do this? Because they have been around the industry long enough to know that

(a) by a couple of weeks after a large conference, the average agent might not remember be able to pick everyone who pitched to her out of a police line-up, much less remember who was or was not in the audience during her how-to-wow-me speech,

(b) even at a small conference, many writers are too shy to approach an agent directly, so chances are, the agent will not have met everyone there, and

(c) at a big agency, a reasonably well-established agent will have a screener going through her queries for her, anyway.

Therefore (these cads reason) the chances of being caught in the lie about attending are next to nil, and since the benefits of being able to claim conference attendance can be fairly significant — as I mentioned earlier, conference-going queriers’ letters usually end up in the closer scrutiny pile — they have no scruples, apparently, about dressing themselves in borrowed clothes.

Why not, these abandoned types reason: at worst, being caught means the query and/or eventual submission’s being rejected, that’s all.

Fie, fie.

Actually, there are a couple of ways in which such bold souls DO get caught, and since I am here to preach practicality, rather than morality, I feel honor-bound to point them out. First, agent rosters for conferences are NOTORIOUSLY malleable; agency screeners love to tell tales of the query letters they’ve received that extolled the pleasures of meeting an agent who was never in the time zone of the mentioned conference.

Second, since agents routinely talk about their specific book needs of the moment at conferences, what they say there is often substantially different than what they told the fine folks who put together the standard agents’ guides a year before. (Even if their preferences are wildly different, though, the unprincipled conference-claiming writer will only come across as working from an outdated guidebook. Still, fie.)

Brace yourself for #3, because it represents some pretty hardened criminality.

Some dodgy writers are not satisfied with imposing upon a screener with an untrue statement in a query letter: sometimes, they will send the first 50 pages of their manuscripts to an agent who attended a conference, along with a disingenuous letter thanking the agent profusely for requesting the materials at a conference so jam-packed with writers that the agent might well have been pitched to dozens of times in its hallways.

Fie, fie, FIE!!! I find this one particularly offensive — although truth compels me to say (off the record, of course) that I do know several successfully published authors who got their agents this way.

But that doesn’t make it right, my friends; it only makes it common. You’re better than that. I know you are.

Now that we’re all sadder but wiser about the ways in which this wicked, wicked world works, I shall head back next time to how to track down and solicit established writers’ agents. In the meantime, my pillow calls me.

One last thing to get off my chest before I abandon governess mode and court slumber: when is the last time you made a back-up of your writing files? Isn’t it about time to do it again?

Book marketing 101: ah, to be querying, now that the autumn is here!

Okay, I have to say it: mono is no fun. My will to communicate remains strong, but the body is, alas, weak.

Case in point: I began today’s post last Monday, and am only managing to complete it to the point that the more polite among you may consider it useful today, which I believe is the following Sunday (now that I haven’t been blogging my usual every day, I notice that the days of the week have been blurring together), and that only with the assistance of a friend kind enough to take dictation. My eyelids are too droopy to stare at a computer screen for long.

You haven’t been far from my thoughts, though, I assure you. My kith and kin inform me that I’ve been moaning feverishly, “But I had planned to show actual examples of standard format!” for a good week now.

However, I am not, fevered dreams to the contrary, immediately going to launch into the next logical step in Book Marketing 101, showing precisely what standard manuscript looks like on the page. That’s hands-on, nit-picky material, best suited for when my brain is fully back in editor mode.

Instead, my topic du jour is much more basic, as befits my beleaguered mental state: hunting and gathering.

Specifically, hunting down names of agents who might be interested in your work and gathering that information into a list that will carry even the most intrepid querier through the end of the year. Or at least until Thanksgiving — that’s the fourth Thursday in November, for those of you reading this in foreign climes.

Why Thanksgiving, you ask? Well, not a lot goes on in the U.S. publishing industry between Thanksgiving and Christmas; I know many, many agents who, as in August, simply do not bother to send submissions to editors between mid-November and the New Year.

It’s a time for merrymaking — and for catching up on all of that reading that’s been piling up over the preceding 10 1/2 months. Given that the average agent’s office is well enough insultated with as yet unread piles of paper to allow him to survive the next ice age in toasty comfort, the relatively time to read is universally regarded as a boon.

What does that mean from the aspiring writer’s perspective? Chances are good that a query or a manuscript sent during these yearly doldrums will languish unopened for a month — or more.

Why more? A couple of reasons. By law, US-based agencies have to produce tax information for the previous year’s earnings by the end of January: paperwork central. And since agenting tends to attract former English majors, rather than accounting majors, this deadline can result in a few weeks of rather frayed tempers.

Which tend to be exacerbated by the positive avalanche of queries they receive within the first couple of weeks of the new year. It’s not uncommon for Millicent to greet a gray January morning by seeing 4 or 5 times the usual volume of mail dumped upon her desk.

That’s enough to make anyone burn her lip with a too-hasty sip on her latte.

Does Santa Claus bank down the reindeer engines from his Yuletide travels by bringing good little agency screeners buckets of additional queries? No, it’s a phenomenon of group think: virtually all of the aspiring writers of North America make it their New Year’s resolution to query the heck out of their books.

The result: the first few weeks of January finds Millicent the agency screener overwhelmed, her bosses stressed, and everyone concerned in an even more rejection-happy mood than usual.

I know; hard to picture. But true. I always advise my clients to avoid querying, or even submitting requested material, before Martin Luther King, Jr. Day — or, to translate that into European terms, before Federico Fellini’s birthday on January 21.

Hey, if we’re taking nominations for a patron saint of aspiring writers, Fellini isn’t a bad choice. An enhanced appreciation of the surreal, the advent of the miraculous in modern life, and the value of sitting around in cafés, brooding and looking fabulous, is actually very helpful for those of us trudging the long path to publication.

But I digress. The autumn, as I was saying, is a lovely time to be querying, before the industry takes its long winter nap.

But where, as writers everywhere routinely cry to the heavens, does one FIND agents to query? Opening the Manhattan Yellow Pages and sticking a pin randomly on the page? Tracking down the four biggest agencies and querying every name listed in the Herman Guide?

The short answer, of course, is no. (The long answer is NOOOOOOOO.)

Bear with me, long-time readers, while I repeat an underappreciated truth of the industry: not every agent represents EVERY kind of book, or even every stripe of book within a particular genre. They specialize; they nurture connections primarily in their areas of interest.

And they uniformly tell their screeners — our old friend Millicent and her ilk — to reject outright ANY query that falls outside those parameters.

Yes, ANY query about a book category they do not represent, regardless of quality. Even if it’s the most marketable idea for a book since Helen Fielding said, “You know, I think I’m gonna rewrite Pride and Prejudice in a modern setting.” This is the primary reason that agents prefer queries to state the book category in the first paragraph, if not the first line: so they may weed out the kinds of books they have no experience representing.

So it is simply a waste of energy to query an agent who has devoted her life to promoting bodice-ripper romances with a futuristic fantasy where bosoms remain unheaved, and vice versa.

Oh, the misery that would be averted if more aspiring writers were aware of this salient fact! Every year, hundreds of thousands of hours are wasted in both writing misdirected query letters and summarily rejecting them, causing needless depression on one end and habitual chagrin on the other.

To heighten the wails of woe even further, it isn’t even enough for a writer to target an agency that represents his kind of book: he needs to target the right AGENT within it. One of the classic agency screener pet peeves is to see the same query letter sent simultaneously to every agent on staff at a particular agency a query in the hope of hitting the right one.

To all too many queriers, this comes as a gargantuan surprise — and an annoying inconvenience. After all, it just seems efficient to write to every member agent listed under an agency’s listing. “Who’s going to know there’s overlap?” these busy souls mutter to themselves, industriously stuffing envelopes. “The average agency gets 800-1000 queries per week!”

But in practice, it’s actually fairly likely that someone WILL notice: Millicent is often opening the mail for more than one agent. And I hate to be the one to break it to you, but the vast majority multi-member agencies have a policy that they will reject such blanket queries outright.

Not that they’ll usually TELL writers that they’re being rejected for this reason, mind you; blanket queriers almost always get the same form rejection letters as everyone else. Which is why, in case you were wondering, there are invariably so many blankly dismayed faces in the audience after an agent casually mentions from a conference podium that he and his colleagues won’t even consider a project proposed to everyone in the agency simultaneously.

A word to the wise: this pervasive practice of rejecting multiple queries to the same agency is often mistakenly confused with the writers’ conference circuit myth that agents uniformly become incensed if they learn that a particular writer is sending out queries to agents at DIFFERENT agencies simultaneously. The former is common; the latter is not.

At the risk of dragging out my broken record player yet again, unless an agency states SPECIFICALLY in its agency guide listing or on its website that it insists upon an exclusive for any submission it considers, these days, it is assumed that a market-savvy writer will be sending out simultaneous queries.

Why would they assume this? For one very simple, very practical reason: querying agents one at a time, waiting weeks (or even months) to hear back from one before sending out the next, can add YEARS to the agent-finding process.

Trust me, agents understand this. They tend to be impatient people.

So why would they find a writer’s querying every agent in a particular agency simultaneously annoying? To insider eyes, it’s a sign of inexperience, an indicator that the querier has not sufficiently researched who represents books in a given category sufficiently — and is thus unlikely to be a very industry-savvy client.

Why? Well, writers who don’t do their homework, they reason, are likely to need more of the process explained to them, and are thus more time-consuming to represent.

Realistically, there is another, more practical reason for this policy, of course: if 5 of the 150 envelopes Millicent slits open tomorrow morning have the same name on the letterhead, or sport the same title in the first paragraph, she can save many valuable minutes by rejecting #2-#5 as soon as she spots the repetition.

And she may not even get as far as the first paragraph of an e-mailed query that lists half a dozen agents on its recipient list.

Do I hear some disgruntled murmuring out there? “But Anne,” I hear some of you cry, “that isn’t fair! How on earth is a writer new to the industry to learn who represents what?”

Glad you asked, disgruntled mutterers. My project for the week shall be to answer this question — fevered brain and dictation-taker availability permitting, of course. In the meantime, keep up the good work!

Proposing

Okay, back to my saga on the road to publication. Return with me now to those thrilling days of last year…

So there I was at the end of July, 2004, having promised a dozen agents a peek at my book proposal for IS THAT YOU, PUMPKIN? LOVE, LOSS, AND THE FINAL PASSIONS OF PHILIP K. DICK by the end of…well, not to put too fine a point on it, instantly. As in before everyone went on vacation, as in the habit in NYC publishing circles, for the second half of August and September until after Labor Day. (Yes, I’ve been harping on this vacation thing, but I know how writers with manuscripts out to agents tend to worry that any delay in hearing back is a Sign of Something. Trust me: it’s not you.) That meant that if I was going to keep my word, I needed to churn out a book proposal in just under three weeks.

For the record, I do not recommend attempting to write a book proposal that quickly, even with a chapter already written. It’s like trying to compress your entire junior high school experience into, say, a month. Yet since a good two-thirds of the published NF writers I know pulled theirs together that speedily, it is possible, if you know the ropes.

There are many good guides, and many more good agents, who will tell you precisely what they want to see in a book proposal, but what I have gleaned is this: it needs to read not only as though you have already written the book you are proposing, but as though you are the only person in the history of humanity who could possibly have written it.

A tall order, especially considering that literally every sentence in the proposal is a writing sample that you will be showing to people whom you wish to pay you to write the book in question. You’d be amazed at how many writers forget that. Most first-time proposers radically short-change the writing in the marketing sections, as though it were a 15-minute pop quiz where spelling and grammar did not count. As a professional writer, your sentences ALWAYS count.

For those of you not familiar with the constituent parts of the non-fiction book proposal, it should include AT MINIMUM:

(1) An overview of the proposed book, where you set out the topic and your platform. Make sure to include answers to these burning questions: what is the book about? Why are you writing it? Who are you, anyway, and why are you uniquely qualified to write this book?

Yes, these are questions that deserve a year or two of therapy to answer with any degree of reasonable honesty, but you need to deal with them all – in beautifully-crafted sentences, no less – in fifteen to twenty pages of anecdote-rich exposition.

Good luck.

Think of the overview as a distillation of the proposed book, not merely a summary. What are its most important themes? What argument will you be making?

Yes, you will eventually have a few hundred pages to make your argument in print, but the overview should present its essential outlines clearly enough that an editor who had read it only once could reproduce your argument at an editorial meeting. All too often, first-time proposers want to hold back crucial elements of their cases, to retain surprises for the book itself. Trust me on this one: agents and editors don’t like to be surprised in this way. If your book will be saying anything startling or controversial, the overview should make that plain; it’s a potential selling point, in fact.

Make sure every step of the argument is clear – and give some indication how you intend to prove your points. Will you consult experts? Interview witnesses? Perform extensive archival research? This is the place to mention your research methods, to establish you as THE expert to write this book.

(2) A discussion of whom you expect to buy your book. Who is your target reader? How many of these fine people are there out there?

It is very, very common for book proposals to skip this step, moving directly from the overview to the marketing plan. Yes, pretty much any editor who specializes in the type of book you want to produce will have a clearer idea than you do of how many, say, bass fishermen currently buy books. However, part of the point of the book proposal is to demonstrate to potential agents and editors that YOU have taken the time to do your homework – and thus are not going into the book-writing process without some idea of how the industry works.

(And yes, Virginia, part of the way the industry works is that writers tell agents and editors things everyone concerned already know.)

Include statistics, though, just in case your target agent and editor haven’t done a book on your subject recently. Yes, I know: you’re a writer, not a demographer. However, the average agent or editor isn’t a demographer, either; you do not want to run the risk that an uninformed guess at an editorial meeting will underestimate your audience. You’re better off telling stating the facts outright, so your dream editor can say to her colleagues, “Wow! Who knew there were that many people reading books whilst standing thigh-deep in rivers?”

If you can’t find the statistical information you need on the Internet, most large-city public libraries have a research librarian who can tell you where to start looking. Be very polite to this person: she may well help you so much that you will want to name your first child after her.

And please don’t forget to answer the all-important question: why will the targeted readers be interested in your book? What will your book offer these readers that no other book currently on the market provides?

(3) A few pages laying out a marketing plan, explaining how those readers could be reached. It’s largely guesswork, for most first-time proposers, but you need to do it anyway. Will you launch a website? Speak at organizations of bass fisherfolk? Haunt independent bookstores, accosting anyone who smells of fish?

Whatever you do, don’t make the single most common rookie mistake: limiting your marketing plan to pointing out to publishers the astonishing fact that bookstores occasionally allow authors to give readings; I promise you, they are already aware of that phenomenon. Tell them something they don’t already know, such as the fact that you have been a teacher for the past 26 years, so you have a wealth of public speaking experience, or that you belong to an organization where the members lunch together every Thursday nationwide, listening to speakers like you.

Be creative: what do you have to offer as a marketer? This is the place to mention, for instance, if you have given a magnificently successful reading at one of the PNWA’s The Word Is Out events. (Plug, plug.) You’d be astonished at how few prospective authors are bold enough to read their work in public – it’s invaluable experience that will serve you well at book signings down the road.

In tomorrow’s posting, I’ll go through the rest of the required elements of the book proposal: the comparative market analysis, the annotated table of contents, the clippings, and the sample chapter(s). I would finish it today, but I’m having a stress flashback, just from writing about those mad three weeks.

The moral of today’s story: give yourself time to do a good, thorough job, so you won’t end up like me, sweating bullets at the mere mention of the proposal process.

Book marketing 101: an author bio that actually bears some resemblance to the author

Over the last few days, I have been discussing the importance of making your author bio as entertaining as possible. Have it reflect your personality, and the book’s personality as well. It needs to show two things: that you are an authority with a background that makes you the perfect person to write this book, and that you are an interesting, engaging person with whom publishers might like to work — and whom readers would like to know.

Piece o’ proverbial cake, right?

Well, no, but certainly doable. You should mention what you are doing now for a living — unless you feel that your employment is not, shall we say, reflective of who you are. Many good writers supporting their art by delivering pizzas or temping list themselves as freelance writers, which is perfectly legitimate: as long as you write and no one is employing you full-time to do it, you are indeed freelancing.

This is a good place, too, to showcase any background you have that makes you an expert in the area of your book. You need not have been paid for the relevant experience in order to include here. Definitely mention any long-term interests connected to your book, even if they are merely hobbies (as in, for a book about symphonies, “George Clooney has been an avid student of the oboe since the age of three.”)

List any contests you have won or placed in. If you like, you may also include any venues where you have published, paid or not. Even unpaid book reviews in your company’s newsletter are legitimate credentials, if you wrote them.

You need not limit yourself to your professional achievements, either, in your quest to sound interesting. Adding a quirky hobby often works well, as long as it is true; actually, it’s a good idea to include one, because it tells agents and editors that you have broad enough interests to be a good interview subject down the line.

Ditto with wacky family background: my great-grandmother was an infamous Swiss-Italian opera diva, for instance. Was the fact that a relative who died three decades before I was born could wow ’em with a spectacular rendition of Libiamo Ne’ Lieti Calici actually relevant to what I write? Seldom.

But incredibly memorable? Definitely. And have I been known to include it in a bio, along with the highly dubious but nevertheless true distinction that I made my television debut singing Adeste Fideles on a 1978 Christmas special? (Wearing a blaring yellow leotard and equally subtle peasant skirt, no less; hey, it was the ’70s.) You bet.

There are two standard formats for an author bio. The first is very straightforward: a single page, double-spaced, with the author’s name centered on the top of the page. The next line should read: “Author bio.”

Not a startlingly original title, it’s true, but you must admit that it’s descriptive.

Personally, I use the other type of bio format: half a page, single-spaced, with a 4×6 black-and-white photograph of me centered 1 inch from the top of the page, above the text. In between the photo and the text, my name appears, centered.

The easiest way to do accomplish this is to get a friend with a digital camera take a picture that you like, then use the image as clip art to be inserted on your author bio page. Otherwise, take the photo to a copy center and ask them to arrange a color copy so that the picture and the text are on the same page.

I can tell you from experience, though: it will take many tries to obtain a photograph that you like enough to want to see mass-produced. This is one reason that you don’t always recognize your favorite authors at book signings, incidentally; established authors’ photos are often a decade or more out of date. It’s not merely out of vanity, in order to appear more youthful to their readers (although I could name some names here), but because the photo-selecting process can be tedious and expensive.

Another excellent reason not to leave the construction of your author bio to the last minute, eh?

I speak with aspiring writers all the time who are shocked — shocked! — to learn that the author is responsible for obtaining the photograph that graces the dust jacket. In the bad old days, publishers would often pay for the photo session, since this photo is usually also reproduced in the publisher’s catalogue, too. Which made perfect sense: they are the clear beneficiaries.

Now, the author’s photo is often posted on their website as well, but chances are that that the publisher is still not going to pay anyone to take a picture of you until you are very well established indeed.

Yes, you’re right: this is yet another expense that the publishing world has shifted onto writers. Sorry.
If you tend to find potential agents and editors by accosting them at conferences and/or classes, it is worth your while to shell out for the small additional expense of producing an author bio with a photo of you on it. The reason for this is simple: it makes it easier for agents and editors to remember having spoken to you.

Not in a “My, but that’s an attractive writer!” sort of way, but in a “Hey, I have a distinct recollection of having had a rather pleasant conversation a month ago with that person” manner.

Please do not take the fact that a nudge to the memory is sometimes necessary as a reflection upon either your book’s market chances, the quality of your writing, or your inherent memorability as a human being. As I mentioned earlier in this series, the average agent speaks to somewhere between 50 and 200 eager writers at a conference. The chances of his remembering your name in retrospect are rather low, even if you and your book are genuinely scintillating.

This can be true, perversely, even if the agent in question appeared to be foaming at the mouth with greed when you pitched your project. Again, sorry.

It is less important to look pretty in your author photo than to look interesting, generally speaking. Unless your book’s subject matter is very serious, try not to make your bio picture look like a standard, posed publicity shot. It is amazing how many author photos look like senior class pictures, devoid of personality. Try to not to look as though you were voted Most Likely to Write a Book.

But unless you are writing something pretty sizzling, you might not want to look as though you were voted Most Likely to Grace a Street Corner, either, if you catch my drift.

Bear in mind that the photo is another opportunity to express your personality — which, lest we forget, is part of what you are selling when you pitch a book, like it or not, especially if you are marketing a memoir. You might want to surround yourself with objects associated with your book’s topic for the photo, but avoid making the picture too busy. You want the viewer to focus on your charming face.

One of the best author photos I ever saw was of an arson investigator. Far from being airbrushed and neat, his face was barely visible: he was covered in soot, crouched in front of the ashes of a burned-down building out of which he had apparently recently crawled.

Did it make him look attractive? No, unless the observer happened to be turned on by smoke. Did I believe instantly and absolutely that he knew his subject upside-down and backwards? You bet.

I know that pulling this all together seems daunting, but trust me, the more successful you become, the more you will bless my name for urging you to put together a killer bio, with or without photo, in advance. Once you start getting published, even articles in relatively small venues or on websites, people in the industry will start asking for your author bio and photo.

At that point, when editors are clamoring to hear your — yes, YOUR — magical words, I can absolutely guarantee that the last thing you will want to be doing is sitting hunched over your keyboard, trying to summarize your entire life in 250 words.

Book marketing 101: Zen and the art of author bio construction

I’m feeling fairly optimistic — and, as we all know, a tendency toward cockeyed optimism is an invaluable trait in a writer in the biz for the long haul. Today, though, I am optimistic for a darned good reason: I’ve just gotten an agent-requested revision of my current novel out the door to, well, my agent.

Agented writers tend not to talk very much about just how much they are asked to change before a book is submitted to editors (and they say even less about the freelance editors like me whom they recruit to help them make these changes), but in the current ultra-tight fiction market, it’s quite normal. Although this particular novel has, admittedly, been through the wringer a bit more than most, because it has also been through a couple of rounds of editor-specific revisions at a publishing house.

Long-term readers, remember 6 – 9 months ago, when I was really cranky for, oh, a season? That’s what happens when an author is asked to move the metaphorical furniture around the novel cabin a bit too much. Among the minor points I was asked to change at various points: the title, the villain, how the last crisis was resolved, how the first crisis was formed, the ethnicity of five of my characters, and how the medical community thinks about eating disorders.

Oh, and the book category. Little things like that. Because all of this was geared to a specific editor’s tastes, as well as to those of the agent who was handling the book at the time, though, the end result of all that revision was that it took quite a bit of doing to get the book back to my taste, as well as to incorporate the input of the agent who is handling it now.

Had I mentioned that developing a Zen-like calm in the face of continual change is a really, really valuable skill in a professional writer?

Today, I want to speak about one of the few things in the writer’s toolkit that tends not change much throughout the agent-finding-through-publication process: the author bio.

Agents and editors used to ask for bios routinely when they requested pages, but such requests seem to be coming later in the process lately. However, as any novelist will need to have one to tuck at the bottom of her manuscript before her agent sends it to an editor, and every NF writer will need it to form the last page of a book proposal, it’s a good idea to have one handy.

Why? Well, often, the request comes when your mind is on other things, like doing a lightning-fast revision on your book proposal so you can send it to that nice editor who listened so attentively to your pitch at a conference. Agents and editors tend to toss it out casually, as if it’s an afterthought: “Oh, and send me a bio.”

The informality of the request can be a bit misleading: your one-page author bio is actually a very important tool in your marketing kit.

How important, I hear you ask? Well, it’s not unheard-of for editors, in particular, to decide to pass on the book they’re being offered, but ask the agent to see other work by the author, if the bio is intriguing enough. So actually, it is not a tremendously good idea just to throw a few autobiographical paragraphs together in the last few minutes before a requested manuscript, proposal, or synopsis heads out the door.

Which is, I am sorry to report, precisely what most aspiring writers do. In the extra minute and a half they have left between dashing off a 20-minute synopsis and when the post office door locks for the night.

Big, big mistake: if the bio sounds dull, disorganized, or unprofessional, agents and editors may leap to the unwarranted conclusion that the writer is also dull, disorganized, and/or unprofessional. After all, they reason (or so they tell me), the author’s life is the material that he should know best; if he can’t write about that well, how can he write well about anything else?

A good bio is especially important if you write any flavor of nonfiction, because the bio is where you establish your platform in its most tightly-summarized form.

All of you nonfiction writers out there know what a platform is, don’t you? You should: it is practically the first thing any agent or editor will ask you when you pitch a NF book. Your platform is the background that renders you — yes, YOU — the best person on earth to write the book you are pitching. This background can include, but is not limited to, educational credentials, relevant work experience, awards, and significant research time.

You know, the stuff we discussed in the selling points posts, earlier in the Book Marketing 101 series. For a NF writer, the author bio is a compressed résumé, with a twist: unlike the cold, linear presentation of the résumé format, the author bio must also demonstrate that the author can put together an array of facts in a readable, compelling fashion.

Lest you fiction writers out there think that you are exempt from this daunting challenge, think again. “A bio?” novelists say nervously when agents and editors toss out the seemingly casual request. “You mean that thing on the back cover? Won’t the marketing department write that for me?”

In a word, no. They might punch it up a little down the line, but in the early marketing stages for a book, you’re on your own.

And if you take nothing else from today’s blog, take this enduring truth and clutch it to your respective bosoms forevermore: whenever you are asked to provide extra material whilst marketing your work, train yourself not to equivocate.

Instead, learn to chirp happily, like the can-do sort of person you are: “A bio? You bet!” Even if the agent or editor in question has just asked you to produce some marketing data that strikes you as irrelevant or downright stupid. Even if what you’re being asked for will require you to take a week off work to deliver. Even in you have to dash to the nearest dictionary the second your meeting with an agent or editor is over to find out what you’ve just promised to send within a week IS.

Or, perhaps more sensibly, drop me an e-mail and inquire. That’s what my blog is here for, you know: to help writers get their work successfully out the door.

Why is appearing eager to comply and competent so important, I hear you ask? Because professionalism is one of the few selling points a writer CAN’T list in an author bio — and to most people in positions to bring your work to publication, it’s regarded as a sure indicator of how much extra time they will have to spend holding a new author’s hand on the way to publication, explaining how the industry works.

How much extra time will they want to spend on you and your book, I hear you ask, over and above the time required to sell it? (My readers are so smart; I can always rely on them to ask the perfect questions at the perfect times.) It varies from agent to agent, of course, but I believe I can give you a general ballpark estimate without going too far out on a limb: none.

Yes, I know — all the agency guides will tell the previously unpublished writer to seek out agencies with track records of taking on inexperienced writers. It’s good advice, but not because such agencies are habitually eager to expend their resources teaching newbies the ropes.

It’s good advice because such agencies have demonstrated that they are braver than many others: they are willing to take a chance on a new writer from time to time, provided that writer’s professionalism positively oozes off the page and from her manner.

I’ll bet you a nickel that the writers these agencies have signed did not respond evasively when asked for their bios.

Professionalism, as I believe I have pointed out several hundred times before, is demonstrated in many ways. Manuscripts that conform to standard format, for instance, or knowing not to call an agency unless there’s some question of requested materials actually having been lost. It is also, unfortunately for those new to the game, demonstrated through familiarity with the basic terms and expectations of the industry.

This is what is known colloquially as a Catch-22: you get into the biz by showing that you know how people in the biz act — which you learn by being in the biz.

So, as you have probably already figured out, “Bio? What’s that?” is not the most advisable response to an agent or editor’s request for one. Nor is hesitating, or saying that you’ll need some time to write one. (You’re perfectly free to take time to write one, of course; just don’t say so up front.)

Why is even hesitation problematic, I hear you ask? (Another terrific question; you really are on the ball today.)

Well, let me put it this way: have you ever walked into a deli on the isle of Manhattan unsure of what kind of sandwich you want to get? When you took the requisite few seconds to collect your thoughts on the crucial subjects of onions and mayo, did the guy behind the counter wait politely for you to state your well-considered preferences, or did he roll his eyes and move on to the next customer?

And did that next customer ruminate at length on the competing joys of ham on rye and pastrami on pumpernickel, soliciting the opinions of other customers with the open-mindedness of Socrates conducting a symposium, or did he just shout over your shoulder, “Reuben with a dill pickle!” with the ultra-imperative diction of an emergency room surgeon calling for a scalpel to perform a tracheotomy with seconds to spare before the patient sustains permanent brain damage from lack of oxygen?

If you frequent the same delis I do, the answers in both cases are emphatically the latter. Perhaps with some profanity thrown in for local color.

NYC-based agents and editors eat in those delis, my friends. They go there to RELAX.

This regional tendency to mistake thoughtful consideration or momentary hesitation, for malingering or even slow-wittedness often comes as an unpleasant shock to those of us who are West Coast bred and born, I must admit. Here in the Pacific Northwest, we like to encourage meditation in daily life; there are retail emporia in the greater Seattle metropolitan area where the Buddha himself could happily hold a full-time job with no significant loss of contemplative time.

“I’m here if you need anything,” the Buddha would say, melting into the background to think. “Just let me know if you have questions about those socks. There’s no rush.”

This is why, in case you are wondering, NYC-based agents and editors sometimes treat those of us out here like flakes. In certain minds, we’re all wandering around stoned in bellbottoms, offering flowers to strangers at airports, reusing and recycling paper, and spreading pinko propaganda like, “Have a nice day.”

That is, when we’re not writing our books in moss-covered lean-tos, surrounded by yeti in Birkenstocks.

Boy, I went a bit far afield there, didn’t I? My point is, it would behoove you to have an author bio already written by the time you are asked for it, so you will not hesitate for even one Buddha-like, yeti-consulting moment when the crucial request comes.

Take it from the writer who said last winter, “Write a different denouement? Two weeks? Sure — I’ll get right on that.” Make mine tempeh, avocado, and sprouts on sourdough, please, with a side of smoked salmon for my yeti friend here. We’ve got some revision to do.

Book marketing 101: are you really ready to go steady?

Since yesterday’s was SUCH a long post — being giddy over the book sale certainly seems to have made me chatty, doesn’t it? — I’m going to be a bit less garrulous today. And the topic is much more fun: what you should do if you find yourself being wooed by an agent at a conference.

In a professional way, I mean. In the other, more common sense of the word, it’s naturally up to you how to handle it, if you are both consenting adults. (Although for a few insights about how that kind of behavior tends to be regarded at writers’ conferences, please see my post for February 22: Is It Hot in Here, or Is It Just the Guy in the Leather Pants?.)

If an agent does fall deeply in love with your book premise at a conference, you might hear one or both of the following pieces of industry-speak fall from her lips: “I need you to overnight this to me” and/or “I want an exclusive look at this.”

And you, in your giddiness, may be tempted to say yes immediately to one or both.

I wouldn’t advise saying yes to either, because the first will cost you quite a bit of money, and the second is not in your best interests.

Why? Well, manuscripts are heavy, and overnight shipping is expensive. And in the New York-based publishing industry, the normal pace is hectic, so writers dealing with it are exposed to an odd rhythm: delay/panic/delay/panic. Even manuscripts that are of burning interest often sit on desks for a month or two, because other projects are more pressing — after all, acquiring new clients is not how an agent makes a living; commissions come from selling books.

A deal in the hand is worth 128 down the road, I guess.

So when agents and editors say, “I want it now,” or even “I want it NOW!!!” it’s not usually a statement of intention that may be legitimately translated as, ‘I am going to read it as soon as it arrives.” Rather, it’s an expression of serious interest, a way of telling you that they are excited about it — and will read it immediately after the other 17 exciting projects already on their desks.

Ditto with a request for an exclusive — it’s intended to convey to you that the agent is very, very interested in your work, not that she is going to clear her schedule for an entire day as soon as she gets back home to read your book.

It’s meant as a compliment, not as a time prediction – and thus there is no reason for you to break the bank in order to get your manuscript to New York before the agent has even unpacked from her trip. It’s expensive; it will require endless trouble on your part; it will preclude your having time to give the manuscript a last read to catch errors — AND it probably will not get your work read any faster.

Save yourself the dosh.

Besides, it’s pretty generally understood that most of the rest of the country has a slower pace of life than New York. If you are pitching at a conference in the Pacific Northwest, the agent may not be sure if you even have clocks on the walls of your vegetarian commune yurt.

There’s no reason that misconception shouldn’t work to our advantage from time to time. The fact is, it’s a good bet that the requesting agent already has a million manuscripts on her desk — and so does her screener Millicent. A few extra days in the mail will not make any difference at all.

Or, for that matter, a few extra days of proofing it in your vegetarian commune yurt.

I have a firm policy for my editing clients and myself: NEVER overnight ANYTHING to an agency or publishing house unless the RECEIVER is paying the shipping costs; instead, I use the USPS’ Priority Mail, which is infinitely cheaper. Packages with overnight stickers on them are NOT attended to more quickly than those that do not; Priority Mail packages with REQUESTED MATERIALS written on the outside are opened just as fast.

Because of the industry’s peculiar sense of time, where having your manuscript be on the top of someone’s to-read list might mean he’ll read it tomorrow and it might mean it will still be propping up fifteen other manuscripts on his desk four months from now, I also always advise writers to refuse to give any agent, even the best in the world, an exclusive look at any book.

An exclusive, for those of you new to the term, is when a writer agrees not to show a manuscript to anyone else while an agent is trying to make up his mind whether to represent it.

It is almost never in the writer’s interest to agree to this — all you are doing by granting it is making sure that no other agent at the conference can beat the one you’re promising to the punch. It’s tying your hands so you can’t send your work out to anyone else, while at the same time depriving the agent of any possible incentive to read it quickly, since he knows that there’s no competition over the book.

Just say no.

In fact, it’s a VERY good idea to send submissions to every agent and editor who requests them simultaneously — and mention in your cover letter that others are reviewing it as well. This often results in a quicker read on the agency end.

What you should NOT do is submit to your top choice, wait for a reply, then submit to the others who have requested it. Effectively, this is granting an unrequested exclusive, and it’s not to your advantage, no matter how much you liked the agent when you met.

Writers new to pitching grant unrequested exclusives all the time, unfortunately, under the assumption that hooking up with an agent is like making a best friend in junior high school: if you even talk to anyone else, your new BFF might get huffy.

But this is a business. Unless the agent of your dreams has actually ASKED to see the material exclusively, she does not expect to be the only one looking at it.

If you absolutely must grant an exclusive — or if you read this AFTER you already have — say (and repeat it in your cover letter when you send the book), “I am happy to give you an exclusive look at my book for three weeks. After that, I shall still be eager to hear from you, but please know that I shall also be submitting it elsewhere.”

Three weeks is plenty of time for anyone to read any manuscript. And then on Day 22, if you haven’t heard back, bite the bullet and submit it to another agency — and send an e-mail or call the first agency and tell them another agent is now looking at it. If they really are rushing to read it in time, trust me, they’ll call you to ask for an extension.

Author! community’s winning an award that I won a few weeks before I started this blog all the sweeter for me personally, I must admit), so I do not know how our other 6 nominees fared. Please, folks, let me know, so we can all jump up and down for you, too.

Book marketing 101: strategizing your conference time, part II

Still hanging in there? Still breathing at least once an hour?

As a veteran of many, many writers’ conferences all over the country, I can tell you from experience that they can be very, very tiring. Especially if it’s your first conference. Just sitting under fluorescent lights in an air-conditioned room for that many hours would tend to leech the life force out of you all by itself, but here, you will be surrounded by a whole lot of very stressed people while you are trying to learn as much as you possibly can.

As you may have noticed, most of my advice on how to cope with all of this ambient stress gracefully is pretty much what your mother probably said to you when you went to your first party: be polite; be nice to yourself and others; watch your caffeine and alcohol intake, and make sure to drink enough water throughout the day. Eat occasionally.

And you’re not wearing THAT, are you?

Oops, slipped too far into Mom mode. Actually, on the only occasion when my mother actually made that comment upon something I was wearing, she had made the frock in question; she hastened to alter it. For my senior prom: a backless little number in midnight-blue Chinese silk that she liked to call my “Carole Lombard dress,” for an occasion where practically every other girl was going to be wearing something demure and flouncy by Laura Ashley; not what anyone expected the valedictorian to wear. Even with the alterations, most of the male teachers followed me around all night long.

Oh, what a great dress that was. Oh, how inappropriate it would have been for a writers’ conference — or really, for any occasion that did not involve going out for a big night on the town in 1939. But then, so would those prissy Laura Ashley frocks.

Which brings me back to my point (thank goodness).

I wrote on what you should and shouldn’t wear to a conference at some length in my post of July 7, but if you find yourself in perplexity when you are standing in front of your closet, remember this solid rule that will help you wherever you go within the publishing industry: unless you will be attending a black-tie affair, you are almost always safe with what would be appropriate to wear to your first big public reading of your work.

And don’t those of you who have been hanging around the industry for a while wish someone had shared THAT little tidbit with you sooner?

To repeat a bit more motherly advice: do remember to eat something within an hour or two of your pitch meeting. I know that you may feel too nervous to eat. but believe me, if you were going to pick an hour of your life for feeling light-headed, this is not a wise choice. If you are giving a hallway pitch, or standing waiting to go into a meeting, make sure not to lock your knees, so you do not faint. (I’ve seen it happen, believe it or not.)

And practice, practice, practice before you go into your meetings; this is the single best thing you can do in advance to preserve yourself from being overwhelmed. As I pointed out yesterday, you will also be surrounded by hundreds of other writers. Introduce yourself, and practice pitching to them.

Better still, find people who share your interests and get to know them. Share a cookie; talk about your work with someone who will understand. Because, really, is your life, is any writer’s life, already filled with too many people who get what we do? You will be an infinitely happier camper in the long run if you have friends who can understand your successes and sympathize with your setbacks as only another writer can.

I know this from experience, naturally. The first thing I said to many of my dearest friends in the world was, “So, what do you write?”

To which the savvy conference-goer replies — chant it with me now, everyone — the magic first hundred words.

In fact, the first people I told about my recent book deal — after my s.o. and my mother, of course — were people I had met in precisely this manner. Why call them first? Because ordinary people, the kind who don’t spend all of their spare time creating new realities out of whole cloth, honestly, truly, sincerely, often have difficulty understanding the pressures and timelines that rule writers’ lives.

Case in point: the FIRST words by mother-in-law uttered after hearing that my book had sold: “What do you mean, it’s not coming out until the autumn of 2009? Why the delay?”

This kind of response is, unfortunately, common. I don’t think any writer ever gets used to seeing her non-writer friends’ faces fall upon being told that the book won’t be coming out for a year, at least, after the sale that’s just happened, or that signing with an agent does not automatically equal a publication contract, or that not every book is headed for the bestseller list.

Thought I got off track from the question of how to keep from getting stressed out, didn’t you? Actually, I didn’t: finding buddies to go through the conference process with you can help you feel grounded throughout.

Not only are these new buddies great potential first readers for your manuscripts, future writing group members, and people to invite to book readings, they’re also folks to pass notes to during talks. (Minor disobedience, I find, is a terrific way to blow off steam.) You can hear about the high points of classes you don’t attend from them afterward.

And who wouldn’t rather walk into a room with 300 strangers and one keynote speaker with a new-found chum than alone?

Making friends within the hectic conference environment will help you retain a sense of being a valuable, interesting individual far better than keeping to yourself, and the long-term benefits are endless. To paraphrase Goethe, it is not the formal structures that make the world feel warm and friendly; friends make the earth feel like an inhabited garden.

So please, for your own sake: make some friends at the conference, so you will have someone to pick up the phone and call when the agent of your dreams falls in love with your first chapter and asks to see the entire book! And get to enjoy the vicarious thrill when your writing friends leap their hurdles, too.

This can be a very lonely business; I can tell you from experience, nothing brightens your day like opening your e-mail when you’re really discouraged to find a message from a friend who’s just sold a book or landed an agent.

Well, okay, I’ll admit it: getting a call from your agent telling you that YOU’ve just sold a book is rather more of a day-brightener. As is the call saying, “I love your work, and I want to represent you.” But the other is still awfully darned good.

One more little thing that will help keep you from stressing out too much: while it’s always nice if you can be so comfortable with your pitch that you can give it from memory, it’s probably fair to assume that you’re going to be a LITTLE bit nervous during your meetings.

So do yourself a favor — write it all down; give yourself permission to read it when the time comes, if you feel that will help you. Really, it’s considered perfectly acceptable, and it will keep you from forgetting key points.

I would advise writing on the top of the paper, in great big letters: BREATHE!

Do remember to pat yourself on the back occasionally, too, for being brave enough to put yourself on the line for your work. As with querying and submitting, it requires genuine guts to submit your ideas to the pros; I don’t think writers get enough credit for that.

In that spirit, I’m going to confess: I have one other conference-going ritual, something I do just before I walk into any convention center, anywhere, anytime, either to teach or to pitch. It’s not as nice or as public-spirited as the other techniques I have described, but I find it is terrific for the mental health. I go away by myself somewhere and play at top volume Joe Jackson’s song Hit Single and Jill Sobule’s (I Don’t Want to Get) Bitter.

The former, a charming story about dumbing down a song so it will hit big on the pop charts, includes the PERFECT lyric to hum walking into a pitch meeting:

And when I think of all the years of finding out
What I already knew
Now I spread myself around
And you can have 3 minutes, too…

If that doesn’t summarize the difference between pitching your work verbally and being judged on the quality of the writing itself, I should like to know what does. (Sorry, Joe: I would have preferred to link above to your site, but your site mysteriously doesn’t include lyrics.)

The latter, a song about complaining, concludes with a pretty good mantra for any conference-goer:

So I’ll smile with the rest, wishing everyone the best
And know the one who made it made it because she was actually pretty good.
‘Cause I don’t want to get bitter
I don’t want to turn cruel

I hum that one a LOT during conferences, I’ll admit. Helpful, I find, when a bestselling author whose agent is her college roommate’s cousin tells a roomful of people who have been querying for the past five years that good writing always finds a home. Perhaps, but certainly not easily.

What you’re trying to do certainly is not easy, or fun, but you can do it. You’re your book’s best advocate.

And remember, all you’re trying to do is to get these nice people to take a look at your writing. No more, no less. It’s a perfectly reasonable request, and you’re going to be terrific at making it, because you’ve been sensible and brave enough to face your fears and prepare like a professional.

Book marketing 101: strategizing your conference time

Many thanks to all of you who sent in good wishes about my book sale. It’s very nice to feel rooted-for!

A technologically-savvy reader wrote in to ask if it was considered appropriate to take notes on a laptop or Blackberry during conference seminars. It’s still not very common — surprising, given how computer-bound most of us are these days — but yes, it is acceptable, under two conditions.

First, if you do not sit in a very prominent space in the audience — and not solely because of the tap-tap-tap sound you’ll be making. Believe it or not, it’s actually rather demoralizing for a lecturer to look out at a sea of heads that are all staring at their laps: are these people bored, the worried speaker wonders, or just taking notes very intensely?

Don’t believe me? The next time you attend a class of any sort, keep your eyes on the teacher’s face, rather than on your notes. I guarantee that within two minutes, the teacher will be addressing half of her comments directly to you; consistent, animated-faced attention is THAT unusual. The bigger the class, the more quickly s/he will focus upon you.

Back to the Blackberry issue. It’s also considered, well, considerate to ask the speaker before the class if it is all right to use any electronic device during the seminar, be it computer or recording device.

Why? Think about it: if your head happens to be apparently focused upon your screen, how is the speaker to know that you’re not just checking your e-mail?

Enough about the presenters’ problems; let’s move on to yours. Do be aware that attending a conference, particularly your first, can be a bit overwhelming. You’re going to want to pace yourself.

“But Anne!” I hear conference brochure-clutching writers out there crying, “The schedule is jam-packed with offerings! I don’t want to miss a thing!”

Yes, it’s tempting to take every single class and listen to every speaker, but frankly, you’re going to be a better pitcher if you allow yourself to take occasional breaks. Cut yourself some slack; don’t book yourself for the entire time.

And make a point of doing something other than lingering in the conference center. Go walk around the block. Sit in the sun. Grab a cup of coffee with that fabulous SF writer you just met. Hang out in the bar that’s never more than 100 yards from any writers’ conference; that tends to be where the already-agented and already-published hang out, anyway.

This is NOT being lax about pursuing professional opportunities: it is smart strategy, to make sure you’re fresh for your pitches. If you can’t tear yourself away, take a few moments to close your eyes and take a few deep breaths, to reset your internal pace from PANIC! to I’m-Doing-Fine.

I know that I sound like an over-eager Lamaze coach on this point, but I can’t overemphasize the importance of reminding yourself to take deep breaths throughout the conference. A particularly good time for one is immediately after you sit down in front of an agent or editor.

Trust me: your brain could use the oxygen right around then, and it will help you calm down so you can make your most effective pitch.

And at the risk of sounding like a broken record, please remember: writing almost never sells on pitches alone. You are not going to really know what an agent thinks about your work until she has read some of it. Your goal here is NOT to be discovered on the spot, but to get the industry pro in front of you to ask to read your writing. Period.

Yes, I know: I’ve said this before. And I’m going to keep saying it as long as there are aspiring writers out there who walk into pitch meetings expecting to hear the agent cry, “My God, that’s the best premise since OLIVER TWIST. Here’s a representation contract — and look, here’s my favorite editor now. Let’s see if he’s interested.”

Then, of course, the editor falls equally in love with it, offers an advance large enough to cover New Hampshire in $20 bills, and the book is out by Christmas. As an Oprah’s Book Club selection, of course.

Long-time readers, sing along with me now: this is not how the publishing industry works. The point of pitching is to skip the querying stage and pass directly to the submission stage. So being asked to send pages is a terrific outcome for this situation, not a distant second place to an imaginary reality.

Admittedly, though, it is SO easy to forget in the throes of a pitch meeting. Almost as easy as forgetting that a request to submit is not a promise to represent or publish.

To reiterate: whatever an agent or editor says to you in a conference situation is just a conversation at a conference, not the Sermon on the Mount or testimony in front of a Congressional committee. Everything is provisional until some paper has changed hands.

This is equally true, incidentally, whether your conference experience includes an agent who actually starts drooling visibly with greed while you were pitching or an editor in a terrible mood who raves for 15 minutes about how the public isn’t buying books anymore. Until you sign a mutually-binding contract, no promises — or condemnation, for that matter — should be inferred or believed absolutely. Try to maintain some perspective.

Admittedly, perspective is genuinely hard to achieve when a real, live agent says, “Sure, send me the first chapter,” especially if you’ve been shopping the book around for eons. But it IS vital to keep in the back of your mind that eliciting this statement is not the end of your job as a marketer, because regardless of how much any given agent or editor says she loves your pitch, she’s not going to make an actual decision until she’s read at least part of it.

So even if you are over the moon about positive response from the agent of your dreams, please, I beg you, DON’T STOP PITCHING IN THE HALLWAYS. Try to generate as many requests to see your work as you can.

I’m serious about this. No matter who says yes to you first, you will be much, much happier two months from now if you have a longer requested submissions list. Ultimately, going to a conference to pitch only twice, when there are 20 agents in the building, is just not efficient.

And there is a fringe benefit to hallway pitching: it tends to be a trifle easier to get to yes than in a formal pitch.

Counter-intuitive, isn’t it? Yet in many ways, casual pitches are easier, for one simple reason: time. In a hallway pitch, agents will often automatically tell you to submit the first chapter, in order to be able to keep on walking down the hall, finish loading salad onto their plates, or be able to move on to the next person in line after the agents’ forum.

If the agent handles your type of work, the premise is interesting, and you are polite, they will usually hand you their business cards and say, “Send me the first 50 pages.”

Okay, pop quiz to see who has been paying attention to this series so far: after the agent says this, do you:

(a) regard this as an invitation to talk about your work at greater length?

(b) say, “Gee, you’re a lot nicer than Agent X. He turned me down flat,” and go on to give details?

(c) launch into a ten-minute diatribe about the two years you’ve spent querying this particular project?

(d) thank her profusely and vanish in a puff of smoke?

If you said anything but (d), go back and reread the whole series again — and the entirety of the INDUSTRY ETIQUETTE category at right as well. You need to learn what’s considered polite in the industry, pronto.

In a face-to-face pitch in a formal meeting, agents tend to be more selective than in a hallway pitch. (I know; counterintuitive, isn’t it?) Again, the reason is time. In a ten-minute meeting, there is actual leisure to consider what you are saying, to weigh the book’s merits — in short, enough time to save themselves time down the line by rejecting your book now.

Why might this seem desirable to them? Well, think about it: if you send it to them at their request, someone in their office is ethically required to spend time reading it, right? By rejecting it on the pitch alone, they’ve just saved Millicent the screener 5 or 10 minutes.

Also, sitting down in front of an agent or editor, looking her in the eye, and beginning to talk about your book can be quite a bit more intimidating than giving a hallway pitch — it helps to be aware of that in advance, I find. In a perverse way, a formal pitch can be significantly harder to give successfully than a hallway one.

So get out there and pitch, pitch, pitch! Think of it this way: every time you buttonhole an agent and say those magic first hundred words is one less query letter you’re going to need to send out.

Take a deep breath on me, everybody, and keep up the good work!

Book marketing 101: the contents of your book bag, part II

Yesterday, I left off talking about what you should SAY at a conference, and moved on to what you should CARRY. While my last post’s advice was concerned with your comfort and welfare, today’s tips are all about networking.

Conferences are about CONFERRING, people: network!

Because you will be meeting some God-awfully interesting people, you will want to bring some easily transferable pieces of paper with your contact information printed on it: a business card, for instance, or comparably sized sheets from your home printer.

I mention this now, so you may prepare in advance. Having to scrabble around in your tote bag for a stray scrap of paper upon which to inscribe your vitals every time you meet someone nice gets old FAST.

Besides, if you file a Schedule C to claim your writing as a business, the cost of having the cards made is usually tax-deductible — and no, you don’t have to make money as a writer in every year you file a Schedule C for it. Talk to a tax advisor experienced in working with artists.

Seriously, it is VERY worth your while to have some inexpensive business cards made, or to print some up at home, for two excellent reasons. First, it’s always a good idea to be able to hand your contact info to an agent or editor who expresses interest in your work. They don’t often ask for it, but if they do — in a situation, say, where an editor from a major press who is not allowed to pick up an unagented book REALLY wants to hook you up with an agent — it’s best to be prepared.

Second, unless you make a point of sitting by yourself in a corner for the entire conference, you are probably going to meet other writers that you like — maybe even some with whom you would like to exchange chapters, start a writers’ group, or just keep in contact to remind yourself that we’re all in this together.

The easier you make it for them to contact you, the more likely they are to remain in contact. It’s just that simple.

I would urge you to avoid the extremely common mistake of walking into ANY writers’ gathering thinking that the only people it is important for you to meet are the bigwigs: the agents, the editors, the keynote speakers. It requires less energy, true, but it is a tad elitist, not to say short-sighted: in the long run, casting a wider acquaintance net will pay off better for you.

For one very, very simple reason: the more writer friends you have, the easier it is to learn from experience. Why make your own mistakes, when you can learn from your friends’, and they from yours? What better source for finding out which agents are really nice to writers, and which are not? And who do you think is going to come to your book signings five years from now?

Obviously, if you can swing a one-on-one with the keynote speaker, go for it — I once spent several hours stranded in a small airport with Ann Rule, and she is an absolutely delightful conversationalist. Especially if you happen to have an abnormally great interest in blood spatter patterns. But I digress.

But try not to let star-watching distract you from interacting with the less well-known writers teaching the classes — who are there to help YOU, after all — or the writer sitting next to you in class. I have met some of the best writers I know by the simple dint of turning to the person rummaging through the packaged teas on the coffee table and saying, “So, what do you write?”

Remember those magic first hundred words? This is the time to use ’em.

Believe me, it’s worth doing. Someday, some of your fellow conference attendees are going to be bigwigs themselves — realistically, can you rule out the possibility that the person sitting next to you in the session on writer’s block ISN’T the next Stephen King? — and don’t you want to be able to say that you knew them when?

And even if this were not true (but it is), writing is an isolating business — for every hour that even the most commercially successful writer spends interacting with others in the business, she spends hundreds alone, typing away. The more friends you can make who will understand your emotional ups and downs as you work through scenes in a novel, or query agents, or gnaw your fingernails down to the knuckle, waiting for an editor to decide whether to buy your book, the better, I say.

Even the most charmed writer, the one with both the best writing AND the best pure, dumb luck, has days of depression. Not all of us are lucky enough to live and work with people who appreciate the necessity of revising a sentence for the sixth time. Writers’ conferences are the ideal places to find friends to support you, the ones you call when your nearest and dearest think you are insane for sinking your heart and soul into a book that may not see print for a decade.

So stuff some business cards into your conference bag along with a folder containing several copies of your synopsis AND five copies of the first five pages of your book, as a writing sample.

Why five pages, specifically? Well, not all agents do this, but many, when they are seriously taken with a pitch, will ask to see a few pages on the spot, to see if the writing is good enough to justify the serious time commitment of reading the whole book.

They don’t like, you see, to buy a pig in a poke.

Having these pages ready to whip out at a moment’s notice will make you look substantially more professional than if you blush and murmur something about printing it out, or simply hand the agent your entire manuscript.

Don’t, however, bother to bring your entire book with you to the conference, UNLESS you are a finalist in one of the major categories. You will never, ever, EVER miss an opportunity by offering to mail it instead.

In fact, agents almost universally prefer it. This is true, even if they insist that they want to read it on the airplane home.

Why the exception for the contest finalists? Well, agents tend to be pretty competitive people. The primary reason that an agent would ask for the whole thing right away, in my experience, is if he is afraid that another agent at the conference will sign you before he’s had a chance to read it — and the writers who tend to be the objects of such heart-rending scenes of jealousy are almost invariably those sporting finalist ribbons.

So while I have known agents to read a chapter or two of the winners’ work in their hotel rooms, the chances of its happening in the normal run of a pitch day are roughly the same as finding the complete skeleton of a dinosaur in your back yard.

It could happen — but it doesn’t  really make sense to plan your life around the possibility.

Otherwise, don’t hurt your back lugging the manuscript box around; the sample will do just as well. If you feel that an excerpt from the end of the book showcases your work better, use that, but if you can at all manage it, choose the first five pages of the book as your sample — it just exudes more confidence in your writing, as these are the first pages a screener would see in a submission.

From the writer’s POV, the sole purpose of the writing sample is to get the agent to ask you to send the rest of the book, so although I hammer on this point about twice a month here, I’m going to say it again: as with everything else you submit to any industry pro, make sure that these pages are impeccably written, totally free of errors, and in standard format.

If the fact that there is a standard format for manuscripts — and that it does NOT resemble the formatting of published books — is news to you, rush into the archives at right immediately, and take a gander at the FORMATTING MANUSCRIPTS. Seriously, this is not a moment when you want your pages to cry out, “The author’s unfamiliar with the standards of the industry!”

Oh, and clever and forward-thinking Dave wrote in yesterday to add another item to your book bag’s must-have list: a printed-out confirmation of your hotel reservation, if you’re not attending a conference that permits you to sleep in your own bed at night. For a fuller explanation of why, please see the comments on yesterday’s post, but for now, suffice it to say: it is not at all unheard-of for a hotel hosting a conference to over-book. Paper confirmation is still a good idea, even in this electronic age.

The minibar of TRUTH

Ah, the bohemian life of the writer: we never really get vacations, do we? Or, to be precise, our definition of a really fabulous vacation tends to be a few days off in the middle of nowhere, where we can shut ourselves off from outside stimuli and write.

Preferably with room service.

What brought on this little soliloquy, you ask? The answer will give you a snapshot into what it’s like to work with an agent and/or an editor: I’ve been asked to make some revisions on a novel of mine, and oh, could they have them by this time next week?

I haven’t been kidding about trying to help you learn to be flexible. The ability to drop everything cheerfully on a dime and revise like the wind is cherished in this business. Heck, it’s more or less expected.

So I have squirreled myself away from the telephone and laundry for the duration. Just me, my computer, and a couple of clients’ manuscripts to edit, by way of recreation. And obviously, with the PNWA conference so close, and me in the midst of giving you pitching tips, I’m going to keep posting here. Call it a working vacation.

The very fact that the term “working vacation” has made its way into our collective vocabulary makes me wonder about how much the computer has actually improved our lives. It used to be that when you traveled for business, you got to read a book on the plane — now, you work on your laptop instead. One of the charms of being on vacation used to be that you were NOT reachable by phone, but we now regularly hear cell phones ringing on beaches.

It makes one think.

Speaking of thinking — and, I must confess, the real reason for this in-between-posts post — I simply must share the fact that my retreat hotel has been kind enough to provide me with the Minibar of Truth. Take a gander:

Yes, you are seeing correctly: the furniture intended to house airplane-sized bottles of cognac, leftover Chinese food, and Funyuns is indeed emblazoned with the images of the giants of Western philosophy. Or at any rate, the DWEMS — Dead White European Males — typically taught in Philosophy 101.

 

Is the heavy emphasis upon 19th and early 20th century Germany intended as a political statement, one wonders? The designer did make Heidegger — top row, second from the left, just above a crazed-looking Schopenhauer — pretty darned glamorous, I notice, and while every other philosopher is repeated many times over, Hegel appears only twice. Accidental oversight, or social commentary?

(It’s amazing what a writer will do to procrastinate mid-revision, isn’t it? But to paraphrase Socrates, the unexamined cabinet is not worth using — or, at any rate, storing your mineral water and apples within.)

Oh, the pageantry of it all! Descartes is depicted as a cross between a Flemish painting and Cardinal Richelieu, Kierkegaard as Andrew Jackson played by a male model, all sucked-in cheeks and sultry eyes. And Wittgenstein (first column next to the ice bucket, second from the top, under an over-exposed and apparently remorseful Socrates) was apparently Rupert Everett’s identical twin, manifesting a smoothness of shave rare amongst your more serious philosophers of yore. But Nietzsche’s moustache would make anyone think twice about pursuing the life of the mind:

Did the interior decorator place this sterling object here as an inducement to deep thought? Or as an invitation to regard alcohol as an addendum to philosophy?

Perhaps it is an incentive to be fashionable. We should all aspire to be as debonair as Sartre appears here:

But frankly, I don’t believe that Kant was ever this suave. The man didn’t notice the French Revolution, for heaven’s sake; you expect me to believe his linen was this kempt?
