Author bios, part VII: a picture is allegedly worth a thousand words, but in a bio, you seldom get to use that many

All throughout my lovely long weekend (hey, even bloggers occasionally like a day off), I could have sworn I heard the muffled cries of my readers from afar, small as the mews of freshly-born kittens. “But Anne,” these wee voices called after me, “you didn’t tell us how to format an author bio…and you ALWAYS tell us how to format things…”

At least, I think that’s what they were saying; it’s also possible that they were merely reading a particularly bad translation of Antoine de Saint Exupéry’s Le Petit Prince very, very slowly. Wafting ghostly voices are notoriously inarticulate.

Assuming that my first interpretation was indeed correct, let’s talk format.

The bio is always the last page in a submission packet, but unless a bio is part of a book proposal, it should neither be numbered nor include a slug line. In a novel submission, it should be placed at the end of the pages you’re submitting, regardless of whether you have been asked to send a full or a partial manuscript.

It should always be in the same typeface and font as the rest of the manuscript or book proposal. No exceptions. (And if you’re unfamiliar with the typefaces the publishing industry tends to prefer, or even that such preferences exist, you might want to consider consulting the STANDARD FORMAT ILLUSTRATED category on the list at right with all deliberate speed.)

Beyond those limitations, there are two standard formats for an author bio. The first is very straightforward: a single page, double-spaced, in standard manuscript format. (If that last term was a mystery to you, I can only reiterate my suggestion that you visit the STANDARD FORMAT ILLUSTRATED category on the list at right. Improperly-formatted manuscripts are far, far more likely to be rejected than ones that look professional.)

The author’s name should be centered on the top of the page, resulting in a document that looks little something like this:

Some would argue (including me, if memory serves, the last time I tackled this topic here) that the text should be additionally decorated by either the first line of the page or the first line under the author’s name reading, “Author bio.” Not a startlingly original title, it’s true, but you must admit that it’s descriptive.

I no longer advise this, for the simple reason that a significant and apparently growing segment of the agent population now seems to prefer that their clients dispense with this little piece of self-evident labeling. Most of the bio-writers I know are only too glad to omit it, as it permits an extra line of text in what is, let’s face it, a rather brief space into which to cram one’s charms.

Personally, I use the other type of bio format, the kind that includes a photo: half a page, single-spaced, with a 4×6 photograph centered 1 inch from the top of the page, above the text. In between the photo and the text, the author’s name appears, also centered.

The end result looks a little something like this:

Admittedly, the LP’s picture is a trifle larger in this example than I would advise using — ideally, the photo should take up only the top third of the page, and here, LP has opted to allow the visuals to extend considerably lower, as some less animated authors also choose to do. It’s a legitimate choice, certainly, but anybody out there notice the down side?

If you said, “By gum, that looks a whole lot like 157 words, rather than the 250 or so I was hoping to include on my bio,” give yourself a gold star for the day. Heck, give yourself two; they’re small.

The easiest way to get that photo onto the page — and the only way, if you intend to e-mail your bio without first running the hard copy through a scanner — is to get a friend with a digital camera take a picture that you like, then use the image as clip art to be inserted on your author bio page.

If this sounds like far, far too close an intimacy with technology for you, take the photo to a copy center and ask the nice folks behind the counter to arrange a color copy so that the picture and the text are on the same page. For a small fee, they will probably be delighted to produce a stack of snail mail-able hard copies for you.

I can tell you from experience, though: do NOT wait until you need an author photo to have your picture taken. Many, many aspiring writers hold off, assuming (usually wrongly) that their future publishing houses will take care of — and pay for — this detail for them.

These well-meaning souls almost invariably end up unhappy with the author photos on their respective dust jackets.

Why, the camera-shy gasp? Well, it often takes many tries to obtain a photograph that you like enough to want to see mass-produced — or one that will look good in the school photo-size viable for most book jackets. It’s a bit easier now than it was prior to digital photography, of course; now, even an amateur can take 500 snapshots in an endeavor to find the perfect pose.

Yet when dear self is making the decision — and when a poor choice is going to haunt one for the rest of one’s literary life, smirking back at one from jackets, websites, the publishers’ catalogue, and, if you’re lucky, next to you at a packed signing in a major bookstore — believe me, dear self is going to want some time to equivocate.

Seriously, published authors wrestle with this one all the time.

That’s one reason that you don’t always recognize your favorite authors at book signings, incidentally; established authors’ photos are often a decade or more out of date. It’s not merely out of vanity, in order to appear more youthful to their readers (although I could name some names here), but because the photo-selecting process can be tedious and expensive.

Another excellent reason not to leave the construction of your author bio to the last minute, eh?

I’ve been sensing some tentative hand-raising for several paragraphs now. “Um, Anne,” some of you pipe up, “could you explain a bit more about why the reasoning about the publisher’s taking care of the photo is wrong? I always thought they just kept a bunch of professional photographers on staff to handle this sort of thing.”

Um, no. Posed, professional studio-taken photographs used to be more common on book jackets than they are today, but those photos were not in-house. At best, a publisher in the bad old days might cough up the dosh to have a pro snap some pictures, which made perfect sense: since this photo is usually also reproduced in the publisher’s catalogue, too, they were the clear beneficiaries.

But in recent years, that practice has become rare, especially for first-time authors. So guess who usually ends up paying for the professional photos you DO see?

Uh-huh.

I speak with aspiring writers all the time who are shocked — shocked! — to learn that the author is responsible for obtaining the photograph that graces the dust jacket. Now, the author’s photo is often posted on his website as well, but chances are that that the publisher is still not going to pay anyone to take a picture of you until you are very well established indeed.

Yes, you’re right: this is yet another expense that the publishing world has shifted onto writers. Sorry. But if you get your talented friends snapping now, you might just end up with a stellar photo you love at a fraction of the cost of a professional shoot by the time you need it.

I just mention.

All of this, of course, begs the question: even that it can be expensive in terms of both time and money to come up with a photo to accompany your author bio, is it really worth your while to use format #2?

As is so often the case with strategic decisions, be they literary, military, or just plain office politics, the answer is: it depends.

If you happen to be outstandingly attractive, yes, it is pretty much always going to be worth your while, and not just because Millicent is shallow. (She isn’t, typically.) These days, the marketing departments at publishing houses actually do want to know if an author is photogenic — and telegenic — if a book is expected to be a big seller.

If you tend to find potential agents and editors by accosting them at conferences and/or classes, it is worth your while to shell out for the small additional expense of producing an author bio with a photo of you on it. The reason for this is simple: it makes it easier for agents and editors to remember having spoken to you.

Not in a “My, but that’s an attractive writer!” sort of way, but in a “Hey, I have a distinct recollection of having had a rather pleasant conversation a month ago with that person” manner.

PLEASE do not take the fact that a nudge to the memory is sometimes necessary as a reflection upon either your book’s market chances, the quality of your writing, or your inherent memorability as a human being. As I mentioned earlier in this series, the average agent speaks to somewhere between 50 and 200 eager writers at a conference. The chances of his remembering your name in retrospect are rather low, even if you and your book are genuinely scintillating.

This can be true, perversely, even if the agent in question appeared to be foaming at the mouth with greed when you pitched your project. Post-pitch enthusiasm has a nasty habit of fading on the way back to NYC; it must have something to do with the coffee served on the flight back.

Again, sorry. Let’s get back to practicalities.

It is less important to look pretty in your author photo than to look interesting, generally speaking — and here, the standard posed, gently-smiling-under-indirect-light professional shot may actually work against you. So unless your book’s subject matter is very serious indeed, try not to make your bio picture look like a standard, posed publicity shot.

Why? For the same reason that when you flip back through your yearbook, half of the senior pictures seem more or less interchangeable: just looking nice tends not to be memorable.

You may laugh, but it is amazing how many author photos look like senior class pictures, devoid of personality. Try to not to look as though you were voted Most Likely to Write a Book.

But unless you are writing something pretty sizzling, you might not want to look as though you were voted Most Likely to Grace a Street Corner, either, if you catch my drift. Glamour shots became kind of popular in the mid-1990s, especially for female authors, but at this point, lenses that seem to have been bedewed with Vaseline make a picture seem dated.

And yes, Virginia, you SHOULD worry about what your author photo says about you — and not just because you don’t want your dear old white-headed mother to pick up your novel years from now in Barnes & Noble, clutch her chest, and keel over, crying over your boudoir shot, “I can’t believe my baby let someone PHOTOGRAPH her like that!”

The author photo is another opportunity to express your personality – which, lest we forget, is part of what you are selling when you pitch a book, like it or not, especially if you are marketing a memoir.

Here’s a radical idea: why not strive to make the tone of the picture match the tone of the book, or have the environment echo the subject matter? You might want to surround yourself with objects associated with your book’s topic for the photo, but avoid making the picture too busy. You want the viewer to focus on your charming face, after all.

One of the best author photos I ever saw was of an arson investigator. Far from being airbrushed and neat, his face was barely visible: he was covered in soot, crouched in front of the ashes of a burned-down building out of which he had apparently recently crawled.

Did it make him look attractive? No, unless the observer happened to be turned on by smoke stains. Did I believe instantly and absolutely that he knew his subject upside-down and backwards? You bet.

I know that pulling this all together seems daunting, but trust me, the more successful you become, the more you will bless my name for urging you to put together a killer bio, with or without photo, in advance. Once you start getting published, even articles in relatively small venues or on websites, people in the industry will start asking for your author bio and photo.

At that point, when editors are clamoring to hear your — yes, YOUR — magical words, I can absolutely guarantee that the last thing you will want to be doing is sitting hunched over your keyboard, trying to summarize your entire life in 250 words.

Okay, not the very last thing: the very last thing you will want to be doing is scrambling through your bottom desk drawer, searching for a picture of yourself that would not make you cringe ten years hence.

Now that I’ve thoroughly terrified you, I shall sign off for the day. Next time, I shall tie up a few last loose ends regarding bios, photos, and their production. In the meantime, keep up the good work!

I need to produce an author bio by WHEN?

I’m in a terrible, terrible mood today, my friends — and to make it worse, the source of my grumpiness would make a perfectly marvelous blog post so directly related to the issues we habitually confront here at Author! Author! that the Recording Angel himself would take one look at it and say, “Darn, that’s apt. Couldn’t have categorized that one any better myself.”

So why don’t I just let loose and spill all of the juicy details? Off the top of my head, I can think of two genuinely excellent reasons: first, as an agented and/or published writer could tell you, the slings and arrows of life after impressing Millicent are legion — and so different than the challenges that face the pre-agented writer that sometimes even mentioning them seems kind of mean. Every stage of the road to publication has its own potholes, and even if I find myself eyeballing one of the deeper ones at the moment, my describing it before I figure out how to traipse around it with my petticoats unmuddied would merely be scary to those treading earlier parts of the path.

Second — and this, too, anyone who has ever inked a representation contract could tell you — since publishing is a pretty fast-paced industry (except when it is being slow), what strikes everyone concerned as an insurmountable problem this week might not even be an issue a month hence. So what I wrote on this (jolly interesting) subject today would almost certainly not be even my final word on the subject, much less THE final word.

Realizing that, I’m going to limit myself to pointing out that developing a Zen-like calm in the face of continual change is a really, really valuable skill in a professional writer. Here’s hoping I get better at it soon.

I’m also going to go ahead and change the subject utterly, to something that I have been wanting to talk about for weeks: creating a great author bio.

Soothingly (at least to my present mood), author bios are one of the few marketing materials in the writer’s promotional kit that tends not change much throughout the agent-finding-through-publication process. Nor, even more comforting, have the basics of writing one changed much in the last 30 years.

Refreshing, huh? I feel calmer already.

Don’t go sinking into that lavender-scented bath too quickly, though, because one thing about the author bio HAS changed in recent years: the author is now expected to write it, and increasingly early in the publication process.

How early, you ask? Um, do you have time to start work on yours right now?

I’m not kidding about this: agents and editors routinely ask for bios routinely when they request pages. Even if the agent of your dreams does not, any novelist will need to have one to tuck at the bottom of her manuscript before AOYD sends it to an editor, and every NF writer will need it to form the last page of a book proposal.

So on a purely practical level, it’s a good idea to have one handy.

I sense some glancing at the clock out there, don’t I? “Um, Anne?” I hear the time-pressed pipe up. “Weren’t we talking as recently as last week about how bloody difficult it is for so many of us to carve out time in our schedules to write, much less to market our work to agents? I’m in the middle of my tenth revision of Chapter 3, and I’m trying to get a dozen queries in the mail before Thanksgiving. I also have a life. May I be excused, please, from dropping all that in order to sit down and compose something I only MIGHT need if one of those agents asks to see the book?”

Well, first off, clock-watchers, congratulations for having the foresight to send off a flotilla of queries before the onset of the holiday season. As long-term readers of this blog are already aware (I hope, given how frequently I mention it), the publishing industry is notorious for slowing W-A-Y down between Thanksgiving and the end of the year.

Best to get your query letters in before the proverbial Christmas rush, I always say. Because, really, if you don’t, you’re probably going to want to hold off on sending the next batch until after the new president is inaugurated.

Yes, in response to all of those shouted mental questions: I do mean after January 20th. 2009.

Why wait so long, you howl? Several reasons. First, as we discussed before, during, and after the traditional mid-August-through-Labor-Day publishing vacation period, Millicent’s desk is going to be piled pretty high with envelopes when she returns after her winter holidays. Place yourself in her snow boots for a moment: if you were the one going through all of that backlog of unopened queries, would you be more eager to reject any given one, or less?

I’m going to leave the answer to that between you and your conscience.

Second, in the US, agencies are required by law to produce tax documents for their clients by the end of January, documenting the royalties of the previous year. Yes, everyone knows it’s coming, but common sense will tell you that the vast majority of the inmates of agencies were English majors.

Have you ever watched an English major try to pull together her tax information? ‘Nuff said.

Third — and to my mind, the best reason by far — do you REALLY want your query (or submission) to get lost amongst similar documents from every unpublished writer in North America who made the not-uncommon New Year’s resolution, “By gum, I’m going to send out 20 queries a month, beginning January 1!”

Fortunately for Millicent’s sanity, the average New Year’s resolution lasts a grand total of three weeks — which, this coming January, lands quite nicely near Inauguration Day.

All that being said (and I had a surprising amount to say on the subject, didn’t I, considering that it could easily have been summarized as, “Get those queries out now!”), I would encourage all of you who are at the querying stage of your careers to set aside anywhere from a few hours to a couple of days to sit down and hammer out a great author bio for yourself.

Ideally, sometime really, really soon. Again, how does now sound?

Why I am I pressing you on this? For very, very practical reasons: often, the request for a bio comes when your mind is on other things, like doing a lightning-fast revision on your book proposal so you can send it to that nice editor who listened so attentively to your pitch at a conference or just before you start dancing around your living room in your underwear because your before-bed e-mail check revealed a response to a query.

Agents and editors tend to toss it out casually, as if it’s an afterthought: “Oh, and send me a bio.” The informality of the request can be a bit misleading, however: your one-page author bio is actually a very important tool in your marketing kit.

Yeah, I know: over the years (and definitely over this last summer, when I devoted a whole lot of our time together to querying, pitching, and submission issues), I have told you that many, many things were important tools in your marketing kit. Your synopsis, for instance. Your query letter. Your pitch. Your first 50 pages. Your first page.

And you know something? I wasn’t lying to you any of those times. They’re all important.

So just how important is the author bio, you ask? Well, it’s not unheard-of for editors, in particular, to decide to pass on the book they’re being offered, but ask the agent to see other work by the author, if the bio is intriguing enough.

Yes, really: it’s happened to me more than once.

Admittedly, I come from a pretty wacky background (detailed in my bio, if you’re interested), but I think a general axiom may be derived from the fact that attracting interest in this manner has happened to any writer, ever: it is not a tremendously good idea just to throw a few autobiographical paragraphs together in the last few minutes before a requested manuscript, proposal, or synopsis heads out the door.

Which is, I am sorry to report, precisely what most aspiring writers do. In the extra minute and a half they have left between dashing off a 20-minute synopsis and when the post office door locks for the night.

Big, big mistake: if the bio reads as dull, disorganized, or unprofessional, agents and editors may leap to the unwarranted conclusion that the writer is also dull, disorganized, and/or unprofessional. After all, they are likely to reason, the author’s life is the material that he should know best; if he can’t write about that well, how can he write well about anything else?

I know; wacky. But remember, these folks usually don’t know the writers who submit; Millicent and her ilk have to draw conclusions based upon the evidence on paper in front of them.

A good bio is especially important if you write any flavor of nonfiction, because the bio is where you establish your platform in its most tightly-summarized form.

In answer to the exasperated gasp that just arose in the ether: all of you nonfiction writers out there know what a platform is, don’t you?

You should: it is practically the first thing any agent or editor will ask you when you pitch a NF book. Your platform is the background that renders you — yes, YOU — the best person on earth to write the book you are pitching. This background can include, but is not limited to, educational credentials, relevant work experience, awards, and significant research time.

You know, the stuff we discussed in the selling points posts, back in the summer. (For those of you who missed it, a crash course in marketing a book to agents may be found under the BOOK MARKETING 101 category on the list at right; those of you looking for tips on how to figure out what your book’s selling points are might try looking under the YOUR BOOK’S SELLING POINTS category on that list. Really, how DO I come up with these category titles?)

For a NF writer, the author bio is a compressed résumé, with a twist: unlike the cold, linear presentation of the résumé format, the author bio must also demonstrate that the author can put together an array of facts in a readable, compelling fashion.

Lest you fiction writers out there think that you are exempt from this daunting challenge, think again. “A bio?” novelists say nervously when agents and editors toss out the seemingly casual request. “You mean that thing on the back cover? Won’t my publisher’s marketing department write that for me?”

In a word, no. They might punch it up a little down the line, but in the manuscript-marketing stages, you’re on your own.

Here’s a bit of my authorial experience that I can share today: that tendency to assume that someone else will take care of your bio is practically universal amongst writers — until they have been through the book publication process. Unfortunately, despite the ubiquity of this misconception, hemming and/or hawing about the production of one’s bio is NOT the way to win friends and influence people in an agency.

Or a publishing house, for that matter. You think the marketing department isn’t eager to get to work reorganizing your bio?

So if you take nothing else from today’s blog, take this enduring truth and clutch it to your respective bosoms forevermore: whenever you are asked to provide extra material whilst marketing your work, train yourself not to equivocate.

Instead, learn to chirp happily, like the can-do sort of person you are: “A bio? You bet!”

Yes, even if the agent or editor in question has just asked you to produce some marketing data that strikes you as irrelevant or downright stupid. Even if what you’re being asked for will require you to take a week off work to deliver. Even in you have to dash to the nearest dictionary the second your meeting with an agent or editor is over to find out what you’ve just promised to send within a week IS.

Why is appearing eager to comply and competent so important, I hear you ask? Because professionalism is one of the few selling points a writer CAN’T list in an author bio — and to most people in positions to bring your work to publication, it’s regarded as a sure indicator of how much extra time they will have to spend holding a new author’s hand on the way to publication, explaining how the industry works.

How much extra time will they want to spend on you and your book, I hear you ask, over and above the time required to sell it? (My readers are so smart; I can always rely on them to ask the perfect questions at the perfect times.) It varies from agent to agent, of course, but I believe I can give you a general ballpark estimate without going too far out on a limb: none.

Yes, I know — all the agency guides will tell the previously unpublished writer to seek out agencies with track records of taking on inexperienced writers. It’s good advice, but not because such agencies are habitually eager to expend their resources teaching newbies the ropes.

It’s good advice because such agencies have demonstrated that they are braver than many others: they are willing to take a chance on a new writer from time to time, provided that writer’s professionalism positively oozes off the page and from her manner.

I’ll bet you a nickel that the writers these agencies have signed did not respond evasively when asked for their bios.

Professionalism, as I believe I have pointed out several hundred times before, is demonstrated in many ways. Manuscripts that conform to standard format, for instance, or knowing not to call an agency unless there’s some question of requested materials actually having been lost. It is also, unfortunately for those new to the game, demonstrated through familiarity with the basic terms and expectations of the industry.

This is what is known colloquially as a Catch-22: you get into the biz by showing that you know how people in the biz act — which you learn by being in the biz.

So, as you have probably already figured out, “Bio? What’s that?” is not the most advisable response to an agent or editor’s request for one. Nor is hesitating, or saying that you’ll need some time to write one. (You’re perfectly free to take time to write one, of course; just don’t say so up front.)

Why is even hesitation problematic, I hear you ask? (Another terrific question; you really are on the ball today.)

Well, let me put it this way: have you ever walked into a deli on the isle of Manhattan unsure of what kind of sandwich you want to get? When you took the requisite few seconds to collect your thoughts on the crucial subjects of onions and mayo, did the guy behind the counter wait politely for you to state your well-considered preferences, or did he roll his eyes and move on to the next customer?

And did that next customer ruminate at length on the competing joys of ham on rye and pastrami on pumpernickel, soliciting the opinions of other customers with the open-mindedness of Socrates conducting a symposium, or did he just shout over your shoulder, “Reuben with a dill pickle!” with the ultra-imperative diction of an emergency room surgeon calling for a scalpel to perform a tracheotomy with seconds to spare before the patient sustains permanent brain damage from lack of oxygen?

If you frequent the same delis I do when I’m in town, the answers in both cases are emphatically the latter. Perhaps with some profanity thrown in for local color.

NYC-based agents and editors eat in those delis, my friends. They go there to RELAX.

This regional tendency to mistake thoughtful consideration or momentary hesitation, for malingering or even slow-wittedness often comes as an unpleasant shock to those of us who are West Coast bred and born, I must admit. Here in the Pacific Northwest, we like to encourage meditation in daily life; there are retail emporia in the greater Seattle metropolitan area where the Buddha himself could happily hold a full-time job with no significant loss of contemplative time.

Even in retail. “I’m here if you need anything,” the Buddha would say, melting into the background to think. “Just let me know if you have questions about those socks. There’s no rush.”

This is why, in case you have been wondering, NYC-based agents and editors sometimes treat those of us out here like flakes. In certain minds, we’re all wandering around stoned in bellbottoms, offering flowers to strangers at airports, reusing and recycling paper, and spreading pinko propaganda like, “Have a nice day.”

That is, when we’re not writing our books in moss-covered lean-tos, surrounded by yeti in Birkenstocks.

Oh, you laugh, but I’m not entirely sure that my agent understands that I’m not composing my current novel in a yurt. But I’m getting a bit far afield, amn’t I?

My point is, it would behoove you to have an author bio already written by the time you are asked for it, so you will not hesitate for even one Buddha-like, yeti-consulting moment when the crucial request comes.

Take it from the writer who said last winter, “Write a different denouement? Two weeks? Sure — I’ll get right on that.” Make mine tempeh, avocado, and sprouts on sourdough, please, with a side of smoked salmon for my yeti friend here. We’ve got some revision to do.

Or any of the other grump-inducing tasks that are the career writer’s lot. Keep up the good work!

Synopsis-writing 101, part III, or, when brevity isn’t the soul of wit

The universe is full of unanswered questions lately, I notice. What is the origin of evil, for instance? Why didn’t I follow up on Tuesday’s rather exciting (I thought) post on 1-page synopsis-writing with an equally thrilling one yesterday — or indeed, post yesterday at all? And why oh why do I seem to associate synopses with mushrooms?

Some doors man was not meant to open.

Last time, I let the cat out of the bag, all right: I divulged the secret that just because many different people — agents, editors, contest rule-writers, fellowship committees, etc. — use the term synopsis, it does not mean that they are necessarily all talking about an identical document. Different individuals, agencies, and institutions want different lengths, so it always behooves an aspiring writer to double-check the requirements.

Being an intrepid soul, I jumped right in and tackled the most feared of such requests, the single-page synopsis. Unlike a longer synopsis, where the writer actually is expected to provide an overview of the book in question’s plot or argument, a 1-page synopsis is essentially a teaser for the book, intended only to perform a limited number of functions.

What functions, you ask? Well may you ask, because now that I cast my eye back over Tuesday’s post, I notice that I might have presented them in a slightly clearer fashion. As in, for example, list format:

(1) introduce the major characters and premise,

(2) demonstrate the primary conflict(s),

(3) show what’s at stake for the protagonist, and

(4) ideally, give some indication of the tone and voice of the book.

This goal should sound very, very familiar to those of you who made the hard trek through my recent series on verbal pitches. In both cases, the purpose is not to tell everything there is to tell about the book — these formats are simply too short to permit that — but to give the reader/hearer enough of a taste to whet his or her appetite.

In case I’m being too subtle here, you’re trying to get the agent reading it to ask to see the manuscript, not provide so much information that reading it would be redundant. Everybody clear on that?

Actually, this isn’t a bad list of goals for any length synopsis — certainly, it’s more than most that cross our pal Millicent’s desk actually achieve. However, for a longer synopsis — say, the 5-page version most frequently requested by agents, or a slightly shorter one intended for contest submission — I would add to the list:

(5) show the primary story arc through BRIEF descriptions of the most important scenes. (For NF that isn’t story-based, present the planks of the overarching argument in logical order, along with some indication of how you intend to prove each point), and

(6) show how the plot’s primary conflict is resolved or what the result of adopting the book’s argument would be.

Does that sound like an overwhelming set of tasks to pull off in a few short pages? I can see how it might feel that way, but to continue my newfound tradition of bluntness, the vast majority of synopsis-writers attempt to do far, far more.

How so? Well, the first time you tried to write a synopsis, didn’t you try to tell the entire story of the book?

I shall take that giant-sized sigh of disgusted recognition as a yes — and if I had to guess (do I? Do I? Apparently, I do), I would wager that those of you who DIDN’T answer that question in the affirmative have not yet tried to write a synopsis.

At least, not since you learned what they were for; I’m not talking about those oh-so-common soi-disant synopses that don’t summarize the book so much as promote it. (This is the best novel since MIDDLEMARCH, only less depressing!) But of that pitfall, more follows anon.

If you find the necessity for brevity intimidating, you are hardly alone; I am perpetually meeting aspiring writers agonizing over it. Case in point: about five years ago, I met a marvelous writer at a conference; naturally, as conference etiquette demands, I asked her over crawfish etouffée what her first novel was about.

Forty-three minutes and two excellently-becreamed courses later, she came to the last scene.

“That sounds like a great novel,” I said, waving away a waiter bent upon stuffing me until I burst. “And I really like that it’s an easy one to pitch: two women, misfits by personality and disability within their own families and communities, use their unlikely friendship to forge new bonds of identity in a lonely world.”

The author stared at me, as round-eyed as if I had just sprouted a second head. “How did you do that? I’ve been trying to come up with a one-sentence summary for two years!”

Of course, it was easier for me than for her: I have years of experience crafting pitches; it’s a learned skill. Still more importantly, because I had not yet read the book, I did not know the subtle character nuances that filled her pages. I could have no knowledge of how she had woven perspective with perspective in order to tease the reader into coming to know the situation fully. I was not yet aware of the complex ways in which she made language dance. All I knew was the premise and the plot – which put me in an ideal position to come up with a pithy, ready-for-the-conference-floor pitch.

Or — and I can feel that some of you have already jumped ahead to the next logical step here — a synopsis.

This is why, I explained to her, I always write the pitch before I write the piece. Less distracting that way. You can always tweak it down the road, but why not get the basic constituent parts on paper first, while the plot elements are still painted in broad strokes in your head?

Ditto for synopses. Naturally, they will evolve as the book develops and the plot thickens in writing, but I’ve never known a writer who could not easily give a one-page synopsis of her book when she was two weeks into writing it — and have seldom known the same author to be able to do so without agony a year later.

Those of you locked in mid-novel can feel what I’m about to suggest coming, can’t you?

That lump in the pit of your stomach is not lying to you: I am seriously suggesting that you sit down and write at least a concise summary of the major themes of the book — if not actually a provisional 1-page synopsis (and, to be on the safe side, a 5-page one as well) — BEFORE you finish writing it.

At least a rough draft: you’ll have more time to tweak later on, and in the long run, if you multi-task throughout the creation process, your work will hit the agent market faster.

How so? Well, think how much happier you will be on the blessed day that an agent asks you for one. Wouldn’t you rather be able to say, “Sure; I’ll get that out to you right away,” instead of piping through mounting terror, “Wow, um, I guess I could pull one together and send it with the chapter you requested…”

Synopses, like pitches, are often easier to write for a book that has not yet come to life. At the beginning of the writing process, it is easy to be succinct: there are not yet myriad plot details and marvelous twists to get in the way of talking about the premise.

Everyone who has ever sighed in response to the ubiquitous question, “Gee, what is your book about?” knows this to be true, right?

As I mentioned earlier in this series, too many aspiring writers seem to forget that the synopsis is a writing sample, too — and will be judged accordingly. A panicked state is not, I have noticed, the most conducive to smooth summarization.

One common mistake is to overload the synopsis with detail, instead of sticking to the major plot points. The result, in case you were wondering, tends to look a little something like this:

Contrast that, if you please, with the solid 1-page synopsis for the same book we discussed yesterday:

The difference is pretty stark, isn’t it? At the rate that the first example is crawling, it would almost be quicker to read the manuscript itself.

I heard you think that: no, Millicent will NOT immediately turn to a manuscript if she finds a synopsis unsatisfying. In the rather unlikely circumstance that she reads the synopsis first (screeners tend to pounce upon the first page of text right away, to see if they like the writing, then move on to a requested synopsis later), all a poorly-constructed synopsis is likely to impel her to do is reach for her already-prepared stack of form-letter rejections.

Sorry.

The other common panic response to the demand for brevity, particularly in a 1-page synopsis, is to turn it into a projected back jacket blurb for the book. Contest judges see this all the time: the requested synopsis is, after all, not all that much longer than a standard back jacket blurb, many contest entrants apparently think, so why not use it as an opportunity for promotional copy?

The result, alas, tends to be a series of vague generalities and unsupported boasts, looking a little something like this:

Yes, I know that there’s a typo in the last paragraph, smarty pants — and I sincerely hope that you caught some of the many standard format violations as well. For the moment, though, let’s set cosmetic matters on the back burner and look at the content. Setting aside the most important writing distinction between these three examples — the third TELLS that the book is good, whereas the the second and third SHOW that why it might be appealing through specifics — let’s stick to basics here.

So let me ask you: how well does each fulfill the criteria for 1-page synopsis success that we established above? To recap:

(1) introduce the major characters and premise,

(2) demonstrate the primary conflict(s),

(3) show what’s at stake for the protagonist, and

(4) ideally, give some indication of the tone and voice of the book.

Obviously, the last example fails in almost every respect. It does (1) introduce a few of the main characters and part of the premise, but dumbs it down: Lizzy seems to be the passive pawn of Mr. Wickham, and not too bright to boot. It mentions (2) one of the conflicts, but neither the most important nor the first of the book, but it entirely misses the book’s assessment of (3) what’s at stake for Lizzy (other than the implied possibility of falling in love with the wrong man).

Most seriously, (4) this blurb pretty actively misrepresents the tone and voice of the book, presenting it as a torrid romance rather than a comedy of manners. Why is this a mistake? Well, think about it: would an agent who represents steamy romances be a good fit for PRIDE AND PREJUDICE? Would s/he be likely to have the editorial connections to place it under the right eyes quickly?

And when you come right down to it, isn’t an agent who gets excited about the book described here likely to be disappointed by the opening pages of PRIDE AND PREJUDICE?

Example #1 — what I like to call the run-on synopsis — performs better, doesn’t it? It presents both (1) the characters and premise fairly well, but in getting sidetracked by a minor conflict, its writer rapidly runs out of room to present the (2) primary conflict of the book. By focusing so exclusively on what happens, rather than upon establishing, say, the protagonist’s motivations and desires, it underplays (3) what’s at stake for her.

Isn’t it interesting, though, how little actual quotation from the book (as I’ve done several times throughout) helps demonstrate the tone and voice of the book? It’s one of the great comedies of the English language — shouldn’t this synopsis be FUNNY?

The middle example — the one that, if you will recall, is little more than a reformatted and slightly expanded version of the summary portion of a 2-minute pitch — succeeds in fulfilling each of our goals. Or perhaps it would be more productive if I asked that as a question: DOES it? Can you think of ways to improve upon it without extending it beyond a single page?

Quick, now: Aunt Jane needs to know immediately, because the agent of her dreams asked her today to send the first 50 pages and a synopsis, and she’s just about to finish printing up the former. Can you pick up the pace of revision, please?

See how much harder it is when you’re trying to do it in a hurry? Wouldn’t it be nice if Aunt Jane already had a synopsis on hand to send?

I know, I know: it’s exceedingly tempting to procrastinate for as long as you possibly can about embarking upon a task as difficult and as potentially annoying as this, but working on the synopsis well before anyone in the industry might reasonably ask to see it guarantees that yours will have a significant advantage over the vast majority that cross Millicent’s desk: it won’t have been tossed together at the last possible nanosecond before sealing the submission packet.

The results, as Millie herself would be the first to tell you, are not always pretty. Your manuscript deserves better treatment than that, doesn’t it?

I’ll leave you chewing on all of these big issues for the nonce. Next time, we’re going to be returning to these same examples with a more technical eye, to see how the smaller structural and presentation issues play into a synopsis’ success.

Referral-seeking, part II: et tu, Brute? You want me to recommend you to my agent, too? But I referred Cassius last week!

Yes, yes, I know: I had implied — okay, said that I was going to start running through the rigors of constructing a professional-reading synopsis this weekend. Honestly, I have been thinking about it endlessly, trying to rack my already-taxed brain to come up with something new, scintillating, and enlightening to say on what is arguably most writers’, established and aspiring both, least favorite task ever.

How have I been coming along, you ask? Well, does the fact that I’m running a second post on the dos and don’ts of seeking out referrals from authors to their agents give you a clue?

Actually, I have been wanting to revisit the pitfalls associated with approaching established writers to ask for their assistance in landing an agent for quite some time now, because as the literary market tightens, such referrals skyrocket in value. Not because, as many writers seeking such a recommendation apparently believe, it is an automatic entrée into representation — as the agents themselves like to say, it all depends up on the writing – but because being able to say so-and-so sent me is necessary to get your submission read at all at some agencies.

Basically, garnering recommendations from authors can open some doors that are otherwise hermetically sealed to the average querier — and even at agencies where the doors are relatively easy to open, a good word from an established client can often increase the probability of the agent’s requesting pages.

Obviously, this would be beneficial at any time, but the harder it is for agents to sell books to editors at any given moment — as, for instance, when the big publishers are worried about a recession — the more selective your garden-variety agent will probably be in taking on new clients.

Translation: some doors that usually swing pretty freely have been known to stick a bit of late. Thus, introductions are more in demand.

And trust me, aspiring writers have been demanding them, both directly and indirectly. The results tend to look a little something like this.

Referral-farming scenario 3: after years of polishing her craft, seeking out the Larry, the right agent for her work, and producing several books for Larry to market, Laurentina has just signed a publication contract for her first novel. Thrilled, she lets everyone on her Christmas card list know about her success. Before Valentine’s Day, she’s received half a dozen requests from writer friends to be connected with Larry, since HE’s been so successful.

“If you want to read my manuscript first,” the seventh of these requesters generously offers, “I’d be happy to give you a copy.”

Staring at the six manuscripts already piled on her desk, Laurentina is seriously tempted just to say, “Sure — just say in the first line of your query letter that I sent you.” A second later, she reconsiders: obviously, she’s not going to jeopardize Larry’s good opinion of her by sending him a potential client without finding out first whether that person can write. But in the face of the mountain of revisions her new editor has requested, how is she ever going to find time to read a seventh novel?

“I feel like Millicent,” she grumbles, trying to figure out how to tell #7 that if he wants her help, he’s going to need to wait six months to a year. “Who died and made me Larry’s manuscript screener?”

In a way, Laurentina is lucky: at least the referral-seekers who approached her were already her friends. It’s not at all uncommon for a published (or even just agented) writer to receive similar requests from people she’s never even met. A couple of common examples:

Referral-farming scenario 4: Dario’s second novel has just come out; by dint of tireless travel to every bookstore within driving distance and working word of mouth, he managed to sell almost 4.000 copies his first, a sensitive literary fiction depiction of the relationship between a coal miner’s daughter and the crow who loves her. His publisher hopes that the second, a sensitive literary fiction depiction of the relationship between a salmon fisherman’s daughter and the seagull who loves her, will do at least as well.

Suffice it to say that Dario is pretty eager to charm potential book-buyers.

So when he receives a comment on his blog, THE GIRL-FISH ROMANTIC, asking him for a recommendation to his agent, Darlene, Dario doesn’t hesitate to fire back a long e-mail in her praise.

Within an hour, he hears from the requester again: “No, stupid,” it reads. “I wasn’t asking you to recommend Darlene to ME; I was asking you to recommend ME to HER.”

Don’t like that one much? Understandable. Here’s an even more pervasive one:

Referral-farming scenario 5: established writer Tammy has earned the right to some free time: after years of struggle to find an agent and find a publisher for her hyper-realistic novel, YEARS OF STRUGGLE FINDING AN AGENT, and the subsequent success of her follow-up titles, WHEN ALL ELSE FAILS, WRITE WHAT YOU KNOW, and WHAT DO YOU MEAN, I HAVE A THREE-BOOK CONTRACT?, she is now finally making enough in royalties that by teaching half-time, she can quit her day job. Well done, Tammy!

One day, taking a break from working on her fourth novel, MY AGENT SAYS I HAVE IT IN ME, Tammy opens her e-mail and finds a message from Tina, the girlfriend of a former coworker. “Tom said you wouldn’t mind,” the e-mail gushes. “I’ve written a mystery novel, and I want to know how to get it published. Can you help me?”

Tammy glances at the shelf full of books, articles, conference brochures, and weekend workshops she had to plow through in order to figure out how to break into the business. Where, she wonders, could she even start to answer Tina’s overly-broad question? How can she even inquire how much homework Tina has already done on the subject? And what on earth does Tom think that she writes, to have sent her a mystery novelist.

I’ll get you for this, Tom, she thinks, searching her schedule for a day when she can have lunch with Tina.

Yet when she tries to explain the process over lunch, Tina looks at her with the eyes of the proverbial deer caught in the headlights. “Oh, that sounds like a whole lot of work,” she cries, dismayed. “Isn’t there another way? Maybe you could just ask your agent about it?”

What would I say? Tina thinks, reaching for the check. Hey, Teresa, here’s someone who thinks being a professional writer isn’t hard work?

Didn’t like that one any better? Okay, try this on for size:

Referral-farming scenario 6: Editor Pablo’s old college friend Pierre doesn’t keep in touch very much, but when he does, Pablo always enjoys chatting with him. After all, Pierre’s a funny guy: on an ordinary day, Pablo likes to save his e-mails for last, as a treat; on a bad day, he reads them first, as a boost.

Today, however, Pierre’s message proves to be neither: “Hey, Pablo — I’ve just met this guy, Peter, who wants to be a writer. I think he’s been working on a memoir. He wants to find an agent — can you help him?”

Naturally, this places Pablo in a quandary: he spends the next half an hour trying to come up with a funny way to say that he cannot possibly assess his ability to assist someone about whose talent he knows nothing in placing a book about which he knows nothing.

In the end, he gives up. “Gee, I’d love to help out,” he writes hurriedly, “but I’m afraid I’m just swamped.”

Have you flung your hands over your eyes in horror yet? No? Okay, let me reward you for your bravery by showing you an example of how someone who HAS done his homework about the biz might unwittingly push the boundaries of request-reasonableness:

Referral-farming scenario 7: Barry has been querying his memoir, 47 THINGS I DID TO HERONS, for a couple of years now. He’s gotten a couple of nibbles from agents who have asked to see his book proposal (and, in one case, the first 50 pages), but for some reason, the quotidian plight of a boy raised by waterfowl doesn’t seem to strike any of them as particularly marketable.

Worried that he lacks the necessary perspective to revise his work for the 151rst time, Barry joins an already-established writers’ group, one where the participants take the responsibilities of critique very seriously indeed. A few sessions in, a fellow memoir-writer, Barbara, mentions something her agent had said about building the dramatic arc in a memoir. “Just because it actually happened,” she quotes, “doesn’t mean it will necessarily work on the page. Cull, cull, cull.”

Barry feels as though he has been hit by the proverbial stroke of lightning: could he have been providing too many details in his memoir? He’s reluctant to believe that his story could be told in under 1,015 pages, but hey, if that’s what the pros want, it’s worth a try.

Two months and 600 pages of cuts later, Barry appears at critique group, beaming. “I took your agent’s advice,” he announces to a startled Barbara. “When can you get him my manuscript?”

See the problem here? Barbara never actually offered to put Barry in touch with her agent; because his request is so abrupt, he has placed her in the awkward position of having to decide on the spot (a) whether she likes Barry’s writing enough to recommend him, (b) whether she thinks Barry will handle himself professionally enough after such a recommendation not to embarrass her, (c) whether, based upon what she knows of her agent’s tastes, he’s at all likely to be interested in Barry’s work, (d) whether Barry is going to hold her responsible if he doesn’t, and thus (e) whether doing this favor may result in her having to find another writers’ group.

Do I hear some huffing out there from those who identify with Barry more than Barbara? “Oh, come on, Anne,” some of you point out, “isn’t Barbara being a little paranoid here? All Barry is asking her to do is put in a good word for him with her agent — after all, it’s up to the agent whether to accept or reject Barry. She may have qualms, but she’s just being a dog in the manger if she says no.”

Actually, Barry gave Barbara a pretty good reason to hesitate: instead of asking for a referral, he assumed that not only would she be willing to help him, but that she would be happy to take on the responsibility of conveying the manuscript as well.

Essentially, he’s making the case that because she was kind enough to give him advice before — actually, in this case, to pass along second-hand advice from her agent — that she should continue to help him. Like many a referral-seeker before him, Barry hasn’t paused to consider the gravity of the favor he’s asking; apparently, he’s only thought about Barbara’s assistance in terms of what it could mean to HIM.

Does this assumption strike you as a wee bit familiar? It should: all of today’s examplars have suffered from it.

This is an oversight to which frustrated agent-seekers are especially prone: the notion that people in the publishing industry OWE assistance to up-and-coming writers — or, if not to all of them equally, at least to oneself.

It’s an understandable feeling, of course. When marketing one’s first book to agents and editors, it is all too easy to forget that EVERY writer with whom they have contact loves his or her book, too, longing for its success with all of the fierce passion that each of us devotes to ours.

In the face of literally millions of similarly passionate hopers, it is perhaps not altogether surprising that agents and editors tend to get a bit jaded by the sight of writerly excitement.

This is why, to pull out one of my favorite broken records again, the tactic of querying or pitching by saying, “This is the best book you’ll ever read!” literally never works. This kind of hyperbolic praise rings in the industry’s ears as hollow, as if they had just asked a group of doting parents watching their third-graders in an aesthetically God-awful elementary school production of THE WIZARD OF OZ which kid currently mangling the choreography is destined for stardom.

The invariable answer: “Why, my child, of course.”

The problem of the overenthusiastic writer who assumes that everyone who stands between himself and publication can (and what’s more, should) drop whatever they’re doing in order to help him (and, one assumes, only him) is not discussed much on the conference circuit — or rather, it’s not discussed much in front of contest attendees. It IS discussed by agents, editors, and authors backstage at conferences all the time, I assure you, and in outraged tones.

Why? Because while the majority of aspiring writers are polite in their approaches, a predictably large minority, bless their warm and impetuous hearts, overstep the bounds of common courtesy pretty regularly. Ss I can tell you from direct personal experience, it’s not easy being the first personal contact a writer has with the industry: one tends to be treated less as a person than as a door or a ladder.

And no one, however famous or powerful, likes that. Case in point — and this time, I warn you, there is going to be a quiz at the end, so do pay attention:

Referral-farming scenario 8: at a writers’ conference, Karl meets Krishnan, a writer who has recently acquired an agent. The two men genuinely have a great deal in common: they live in the same greater metropolitan area, write for the same target market, and they share a love of the plays of Edward Albee. (Don’t ask me why; they just do.) So after hanging out together in the bar that is never more than 100 yards from any writers’ conference venue, it seems perfectly natural for Karl to e-mail Krishnan and ask him to have coffee the following week.

When Krishnan arrives at the coffee shop, however, he is dismayed when Karl pulls a hefty manuscript box out of his backpack. “Here,” Karl says. “I want to know what you think before I send it to the agents who requested it at the conference. And after you read it, you can send it on to your agent.”

Krishnan just sits there, open-mouthed. As soon as his cell phone rings, he feigns a forgotten appointment and flees.

Okay, what did Karl do wrong here?

Partially, he succumbed a more advanced case of the plague of galloping assumption that afflicted our friends above: he just assumed that by merely being friendly, Krishnan was volunteering to help him land an agent.

However, there are a LOT of reasons that industry professionals are nice to aspiring writers at conferences, including the following, listed in descending order of probability:

*Krishnan might have just been being polite — which will no doubt thrill his mother.

*Krishnan might have regarded Karl as a potential buyer of his books, and as such, did not want to alienate a future fan — which will no doubt thrill his future editor.

*Krishnan might have been teaching a class at the conference, or hoping to do so in future, and wanted to make a good impression — which will no doubt thrill…well, probably nobody, but it was intended to thrill Karl.

*Krishnan is lonely — writing is a lonely craft, by definition, right? — and is looking for other writers with whom to commune, which could potentially cause them to thrill one another.

*Krishnan is looking for local writers with whom to form a critique group — which, again, might cause them to thrill one another, but probably will be less than thrilling to everyone concerned’s SOs.

*Krishnan’s agent might have asked him to be on the lookout for new writers at the conference (rare, but it does happen occasionally), which would have been precisely the thrill Karl was seeking, had he played his cards right.

Of these possibilities, only the last two would dictate ANY willingness on Krishnan’s part to read Karl’s work — and the next to last one definitely implies that reading would be exchanged, not one-way. However, if either of the last two had been Krishnan’s intent, it would have been polite for Karl to wait to be ASKED.

Ditto with Karl’s request that Krishnan pass the manuscript on to his agent. Even with a super-open agent, an agented author cannot recommend others indiscriminately. If Krishnan recommends Karl, and Karl turns out to be a bad writer, a constant nuisance, or just plain nuts, that recommendation will seriously compromise his ability to recommend writers in future.

Unpleasant but true: writers like Karl, while usually well-meaning in and of themselves, collectively make it harder for everyone else to get this kind of recommendation.

There’s another reason Krishnan would be inclined to run from such an approach: underlying resentment. Not of Karl’s rather inconsiderate assumptions that he would automatically be willing to help someone he’s just met, but of Karl’s attempt to cut into a line in which Krishnan stood for quite some time.

Just as it is relatively safe to presume that the more recently a writer landed an agent, the more difficult and time-consuming the agent-finding process was — because, by everyone’s admission, in this market, it’s harder than it was ten or even five years ago to wow an agent — it is a fair bet that an agent who has been signed but has not yet sold a book will be lugging around quite a bit of residual resentment about the process, or even about his agent.

If an agented writer’s hauling a monumental chip on his shoulder about his agent seems a little strange to you, I can only conclude that your experience listening to those whose first or second books are currently being marketed by their agents is not vast. Almost universally, a writer’s life gets harder, not easier, in the initial months after being signed: as exemplar Laurentina would be happy to tell you, practically any agent on earth will ask for manuscript revisions of even a manuscript she loves, in order to make it more marketable, and no one, but no one, on the writer’s end of the game is ever happy about the speed of submission.

Even if Krishnan’s agent is a saint and habitually works at a speed that would make John Henry gasp, Karl was unwise to assume that Krishnan would be eager to speed up the agent-finding process for anyone else. For all Karl knows, Krishnan struggled for YEARS to land his agent — and, unhappily, human nature does not always wish to shorten the road for those who come after.

Just ask anyone who has been through a medical residency. Or a Ph.D. program.

Note, please, that all of the above applies EVEN IF Krishnan actually has time to read the manuscript in question. Which, as the vast majority of agented-but-not-published writers hold full-time jobs and have to struggle to carve out writing time — as do many of the published writers I know; not a lot of people make a living solely from writing novels — is NOT a foregone conclusion.

The best rule of thumb: establish an honest-to-goodness friendship before you ask for favors.

It may well have turned out that Karl had a skill — computer repair, eagle-eyed proofreading, compassionate dog-walking — that Krishnan would be pleased to receive in exchange for feedback on Karl’s book. Krishnan might even have asked Karl to join his critique group, where such feedback would have been routine. But Karl will never know, because he jumped the gun, assuming that because Krishnan had an agent, the normal rules of favor-asking did not apply to him.

The same rule applies, by the way, to any acquaintance whose professional acumen you would like to tap unofficially. If I want to get medical information from my doctor about a condition that is plaguing a character in my novel, I expect to pay for her time.

Nor, outside of a formal conference context, would I expect a professional editor to read my work, an agent to give me feedback on my pitch, or an editor to explain the current behind-the-scenes at Random House to me unless we either already had a close friendship or I was paying for their time, either monetarily or by exchange.

Be very aware that you are asking a favor, and a big one, when you ask an author to help you reach his agent. Not only are you asking the author to invest time and energy in helping a relative stranger – you are also expecting him or her to put credibility on the line. And that, dear readers, is something that most authors – and most human beings – do not do very often for relative strangers.

No, not even if Tom or Pierre ask it on someone else’s behalf. Go figure.

Hello, campers –

In keeping with my periodic semi-lazy Sunday break tradition (translation: I’m only working a 8-hour day today, and I’d like to keep it that way), I’ve decided to take advantage of a switch in topics to re-run a post from last year. Actually, now that I’ve finished running through it, it’s not so much a re-run as a rewrite, but the fact remains that it seemed like an apt time to dust off this example — US agents and editors are back from their long summer hiatuses (hiati?), and I know a lot of you are anxiously waiting to hear back from agents met at summer conferences.

So here it is, for the benefit of all of those writers out there who have had one eye on your e-mail in-box and the other on your telephone, not to mention checking the mailbox three times per day, waiting for a response to a submission. Enjoy!

A faithful reader who, for reasons best known to himself, has requested anonymity, wrote in recently with a couple of questions that I think would be of interest to everybody. So I have changed the identifiable information to preserve the secret identities of both author and agent, and am reproducing the essential questions here:

Agent Abraham Lincoln (note: not his real name, but a clever pseudonym) requested the full manuscript and I sent it three weeks ago. How long should I wait for him to make contact? Is it all right for me to call? I don’t want to pressure him, but I am desperate to move forward with the project. Oh, the anxiousness. Ah, the sleepless nights. I have never wanted anything more than to be a published author…

I know there are no set timelines for responses and such, but roughly how long should I wait before moving on?

Mystery Reader (another cunning substitution), there are short answers and long answers to these questions. The short: don’t even think about following up for 6-8 weeks, and when you do, DON’T CALL; e-mail or write.

In the meantime, Mysterious One, YOU should most definitely be moving on: get back to your writing projects. You might even consider sending out a few more queries, just in case.

On to the long answer. Since badgering an agent interested in your work will definitely NOT get him or her to read faster — in fact, it sometimes produces the opposite effect — so it is not a good course to pursue. In fact, most agents will regard follow-up calls or too-soon e-mails as a sign that the prospective client does not understand how the business works.

Which, as we have been discussing at length recently, is not an impression you want to give an agent you would like to sign you.

Why? Well, it tends to translate, in their minds, into a client who is going to require more attention at every step of the process. While such clients are often rewarding on many levels, they are undoubtedly more expensive for the agency to handle, at least at first.

Think about it: the agent makes his living by selling books to publishing houses. This means a whole lot of phone calls, meetings, and general blandishment, all of which takes a lot of time, in order to make sales.

So which is the more lucrative way to spend his time, hard-selling a current client’s terrific novel to a wavering editor or taking anxious phone calls from a writer he has not yet signed?

Uh-huh. Trust me, agent Abraham Lincoln already knows that you want to be published more than anything else in the world; unfortunately, telling him so will not impress him more.

How does he know? Because he deals with authors all the time — and this is such a tough business to break into that the vast majority of those who make it to the full-manuscript request are writers who want to be published more than anything else in the world.

Mystery Reader, you will be a much, much happier human being if you remember this. I can assure you that an agent who receives 800 or 1000 queries per week from glorious dreamers does not have the luxury of forgetting it.

You’re certainly not alone in thinking of your query or submission as if it emits a glow in the agency’s mail room, however. The average aspiring writer, bless his or her heart, tends to forget that the dream of publication is a fairly common one — thus that huge volume of queries through which Millicent sifts five days per week, each of which is presumably from someone who yearns for publication.

Because, really, querying is FAR too hard on the heart (not to mention the wrists) to keep doing if you don’t want success that much, isn’t it?

The very intensity of the longing can sometimes blur an aspiring writer’s view of the agent-finding process — or indeed, the period when one’s agent is shopping one’s book around to editors. Even the most successful author’s career is stuffed to the gills with periods when s/he can do nothing but wait.

This is precisely Mystery Reader’s dilemma, I’m afraid. All you can do is wait — at least for 6 weeks or so, or (to trot out my favorite rule of thumb) for twice the turn-around time the agency has listed in an agency guide blurb or on its website.

Which is another way of saying that there is no hard-and-fast rule that may be applied to every agent at every agency. Sorry.

The reason that there are no set timelines, except for ones that the agents may tell you themselves, is that a TREMENDOUS amount of paper passes through the average agency’s portals, and yours is almost certainly not the only full manuscript requested by Mr. Lincoln within the last couple of months. Yours goes into the reading pile after the others that are already there — and if that feels a little unfair now, think about it again in a month, when a dozen more have come in after yours.

Most agents read entire manuscripts not at work, but in their off hours. In all probability, yours will not be the only MS sitting next to his couch. Also, in a big agency like Lincoln’s, it’s entirely possible that before it gets to the couch stage, it will need to be read by one or even two preliminary readers. That takes time. Furthermore, the vast majority of the publishing industry goes on vacation from mid-August until after Labor Day, so there is always a big crunch around this time of year, while the agency is working through the summer’s backlog.

He may well read it on vacation, but actually, with an entire manuscript, I would be extremely surprised if you heard back in under a month. But if he didn’t give you a timeframe, 6-8 weeks is generally considered a professional length of time to wait.

In the meantime, though, you are under no obligation not to query or follow up with any other agent. (See earlier comment about the advisability of sending out a few queries now.)

That, too, is SO easy for an excited writer to forget: until you sign an agency contract, you are free to date other people, literarily speaking.

Really. No matter how many magical sparks there were between the two of you at your pitch meeting, even if Mr. Lincoln venerable eyes were sparkling with book lust, it honestly is in your best interest to keep querying other agents until Mr. Lincoln antes up a firm offer.

Until that ring is on your finger, keep playing the field.

And where does that leave you? Waiting by the phone or mooning by the mailbox, of course.

For those of you who have never been a heterosexual teenage girl, this may be a new problem, but for those who have, this probably feels very, very familiar. It’s hard to act cool when you want so much to make a connection. Yes, he SAID he would call after he’s read my manuscript, but will he? If it’s been a week, should I call him at the agency, or assume that he’s lost interest in my book? Has he met another book he likes better? Will I look like a publication-hungry slut if I send an e-mail after three weeks of terrifying silence?

Auntie Anne is here to tell you: honey, don’t just sit by the phone; you are not completely helpless here. Get out there and date other agents, so that when that slow-reading Mr. Lincoln DOES call, you’ll have to check your dance card.

Of course, if another agent asks to see the manuscript, it is perfectly acceptable, even laudable, to drop Mr. Lincoln an e-mail or letter, letting him know that there are now other agents checking out your work. For the average agent, this news is only going to make your work seem all the more attractive.

See? I told you it was just like dating in high school.

Even after 6 weeks, you might want to e-mail, instead of calling. The last thing you want is to give the impression that you would be a client who would be calling three times per week. Calling is considered a bit pushy, and it almost certainly won’t get your work read any faster — unlike, say, an e-mail that mentions politely that there is now another agent reading it.

And yes, Agent #1 WILL want you to tell him that immediately. Over and above that, though, all you can do is (chant it with me now) WAIT.

Another great reason to keep querying and submitting while Agent #1 is taking his own sweet time getting back to you is the increasingly common phenomenon of agents not responding to queries or even submissions at all. Within the last year or so, literally dozens of very talented writers of my acquaintance have had manuscripts out to agents for four, five, or even six months without any response.

Heck, it’s now far from uncommon for agencies that accept e-mailed submissions simply to state on their websites, Please consider not hearing back as an indicator that we’re not interested.

This places the writer in a quandary, of course, because from the other side of the country (or the world), how on earth is it possible to tell the difference between a delay caused by a submission’s sitting on an agent’s coffee table, holding up take-out cartons until she has time to read it, one that springs from an unannounced rejection, and one triggered by the manuscript’s having gotten lost in the mail?

For this reason, I always advise my clients and students to include a self-addressed, stamped postcard with every submission, along with a request in the cover letter (you HAVE been including cover letters with your submissions, haven’t you?) that Millicent would write the date it arrived upon it and pop it in the mail upon opening the packet of requested materials. I find that this works far, far better than asking for e-mail confirmation, since complying requires far less effort on the part of agency personnel.

Hey, they’re busy.

What you SHOULDN’T do whilst waiting for a reply is waste your energy constructing a vivid justification for why the agent of your dreams has not yet gotten back to you — an exercise in creative fantasy in which I’ve seen aspiring writers starting mere hours after dropping the submission into the mail. It won’t help your chances; it will only enervate you.

Let me preemptively take the wind out of the sails of the most common of these middle-of-the-night musings: if you haven’t heard back, it’s not because the agent thinking about it or wants to talk with every other employee in the agency before talking it on; it’s because he hasn’t read it yet.

See why most agents get a bit defensive if a writer calls, demanding to know why it’s taking so long? Much like, if memory serves, teenage boys.

Oh, how I wish we had all outgrown that awkward stage.

Try to think of a slow response in positive terms. At many agencies, a submission has to make it past more than one level of Millicent before making it onto the agent’s desk at all — and yes, Mystery Reader, that’s usually still true even if one has met the agent at a conference. If Millie #1, Millie#2, or the agent had taken a dislike to your manuscript, it would have been stuffed into the SASE right away. (See why it’s fairly safe to assume that if you haven’t yet heard back, it hasn’t been read?) Rejections tend to be quicker than acceptances.

I know that this isn’t exactly the answer you wanted, Mystery Reader, but please, try to chill out for the next few weeks. Get working on your next book, because if this goes through, you will want to have it well in motion. Keep approaching other agents, because it can only be good for you if several are clamoring to represent you.

And be very, very proud of yourself for getting to the point in your writing that an agent as prestigious as Mr. Lincoln WANTS to read the whole manuscript. He doesn’t ask just anybody on a date, you know.

Query letter troubleshooting, part II: more toiling in the literary vineyard

Happy Labor Day, all! I was tickled to find this image from the Book of Hours to gladden our hearts today, because it is such an accurate depiction of how so many aspiring writers view the work of querying these days: a long, toilsome effort aimed toward impressing the powerful folks in the white castle on the hill — who may or may not be paying attention — under a sky that (we hope) conceals at least a few minor deities rooting for the underdog’s eventual success.

Oh, right — I was the only writer who felt that way while I was trying to find the right agent. Thanks for clearing up that little misconception.

But on the off chance that I wasn’t the lone writer who ever shivered in the face of seemingly unalterable industry coldness, I feel an obligation to point out from the other side of the Rubicon that even those newest to querying are not as entirely helpless in the face of it as we writers tend to tell ourselves we are. Although much of a writer’s progress along the road to publication is dependent upon factors outside her control — fads in style, fashions in content, and what kind of memoir has garnered the most scandals recently, to name but three — how she presents her work to the industry is in fact entirely under her own control.

Which is a really, really nice way of saying that from a professional reader’s point of view, scads of query letters traject themselves like lemmings straight from the envelope into the rejection pile with scarcely a pause in between. Sadly, the vast majority are rejected for reasons that don’t necessarily have anything to do with the potential personality fit between the author and agent, the agent’s ability to sell the book in question, or even the quality of the writing.

Why, you cry? Because agents and their screeners read hundreds of the darned things per week: even if only 20 of them share the same basic mistake — and trust me, more of them will — the 21rst query that carries even a shade of similarity is likely to trigger a knee-jerk reaction so strong that even Dr. Pavlov would shake his head and say, “No kidding? Just because the letter was addressed to Dear Agent, instead of an individual?”

Oh, yes, Dr. Pavlov, there are few epistolary errors that engender a stronger — or quicker — negative response than a Dear Agent letter. But that’s merely the best-known of the notorious query-reader pet peeves…and I’m getting ahead of myself.

Call me zany, but if a query elicits a rejection for any reason other than that the storyline or argument in the proposed book didn’t grab Millicent or her boss, my first question is not, “Oh, how could the screener have made such a mistake?” but “May I have a look at that letter, so see how the writer may improve it?”

Why do I tend to leap straight to that conclusion, you ask? Experience, mostly. If there is a single rule of thumb that may be applied at every stage of any successful author’s career, it’s that it ALWAYS behooves us to look critically at our own writing before assuming that the only possible explanation for frowned-upon writing lies in the eye of the predisposition of the reader to frown.

My, that was a convoluted sentence, wasn’t it? Let me put it more simply: Millicent may indeed be a bit rejection-happy at times, but any writer can learn how to avoid provoking her. As with a manuscript, the writer of a query will virtually always be better off taking steps to improve what she can control than blaming the rejection upon other factors.

It is possible, in other words, to learn from one’s own mistakes, even in the current agency environment, where the vast majority of queriers are never told precisely what made Millicent slide their letters directly into their SASEs with a copy of the agency’s prefab one-size-fits-all rejection note.

In the spirit of trying to avoid that dismal fate, I began running through a checklist of some of the most common query letter mistakes yesterday. Let’s recap, shall we?

(1) Is my query letter longer than a single page in standard correspondence format?

(2) If my query letter just refuses to be shorter, am I trying to do too much here?

(3) If my query letter is too long, am I spending too many lines of text describing the plot?

(4) Is my query letter polite?

(5) Is it clear from the first paragraph on what precisely I am asking the agent to represent?

(6) Does my letter sound as though I am excited about this book, or as if I have little confidence in the work? Or does it read as though I’m apologizing for querying at all?

(7) Does my book come across as genuinely marketable, or does the letter read as though I’m boasting?

Please do take the time to re-read your query before you answer these questions or the ones to come. Yes, even if some of these points sound a trifle redundant to those of you who have been reading my blog for a while: you would be well within your rights to think, honestly, don’t all of us know by now to avoid sounding bitter in a query letter? Or to be polite while doing it?

Well, probably so — but humor me here, because queriers often do not change anything but the first paragraph, address, and salutation between each time they sent out their letters, more or less insuring that a mistake made once will be replicated a dozen times. It’s quite easy to fall into the habit of pumping out those queries without really pondering their content — or whether this particular letter is the best means of marketing to that particular agent.

In short, it’s worth reviewing what’s going out every once in a while. Which, coincidentally, brings me to the next question on the checklist:

(8) Have I addressed this letter to a specific person, rather than an entire agency or any agent currently walking the face of the earth? Does it read like a form letter?

Many aspiring writers approach quite a few agents simultaneously — and with good reason. At this point in publishing history, when many agencies don’t even respond to e-mailed queries if the answer is no, waiting to hear back from one agent before approaching the next is poor strategy. One-by-one queries can add years to the agent-finding process.

Do I hear some restless murmuring out there? “But Anne,” I hear some of you conference veterans protest, “I heard that some agents will become furious if they find out that a writer is sending out many queries simultaneously. I don’t want to scare them away from my book by breaking their rules right off the bat!”

I’m not sure why this rumor remains so pervasive, because exclusivity requests almost invariably refer to submissions, not queries — and without exception, agencies that prefer to have exclusive looks at either make that fact PERFECTLY OBVIOUS in their listings in the standard agency guides, on their websites, and at conferences. So if you have checked to ascertain that the agent of your dreams — or at least the next on your list — does not have an exclusivity policy, you should assume that s/he doesn’t.

Trust me, if an agent who does prefer an exclusive peek doesn’t want other agents seeing it, s/he will let you know. Until then, it’s a waste of your valuable time to grant a de facto exclusive to someone who hasn’t asked for it. (For some tips on dealing with an actual request for an exclusive, if and when it comes up, please see the EXCLUSIVES TO AGENTS category on the list at right.)

I suspect that the astonishing persistence of the rumor that most agents secretly crave exclusives (and thus penalize queriers who don’t read their minds and act accordingly) is a direct result of agents’ standing up at writers’ conferences and saying, “For heaven’s sake, don’t send out mass queries — if I see a query that’s clearly been sent to every agent in the book, I send straight it into the rejection pile.”

Since everyone in the room will nod sagely in response, the agent will not unnaturally assume that the entire audience knows that s/he is referring not to the practice of querying several agents simultaneously, but to the astonishing common feat of sending (often via e-mail) an IDENTICAL query letter to, say, a hundred agents all at once. (And if you don’t know why that’s a bad idea, you might want to check out this archived post before you launch a flotilla of your own.)

As we have discussed, a letter designed to please all is unlikely to be geared to the specific quirks and literary tastes of any particular agent — one of the many reasons that this shotgun approach seldom works. The other, believe it or not, is that mass submitters often render the fact that they don’t know one agent on their lists from another by sending out what is known in the biz as a Dear Agent letter. As in one that begins:

Dear Agent,

I haven’t the vaguest idea who you are or what you represent, but since the big publishing houses don’t accept submissions from unagented authors, I come to you, hat in hand, to beg you to represent my fiction novel…

Why, when there is so much to resent in this (probably quite honest) little missive, would the salutation alone be enough to get this query rejected without reading farther? Well, to folks who work in agencies, such an opening means only one thing: the writer who sent it is sending an identical letter to every agent listed on the Internet or in one of the standard agency guides.

Willy-nilly, with no regard to who represents what and consequently who is likely to be interested in the book at hand.

Which means, they reason, that it is unlikely to the point of laughability that the book being proposed is going to fit the specific requirements and tastes of any of the agents currently domiciled at the agency. And, most will additionally conclude, the writer hasn’t bothered to learn much about how the publishing industry works.

Since virtually any Millicent will simply pitch a Dear Agent letter into the reject pile, if not actually the trash (Dear Agent letter-writers seldom know to include SASEs), it’s in your best interest to make it quite, quite obvious to whom you are addressing your missive. In fact, the query most likely to succeed is one that is specialized not only in the salutation, but in the first paragraph as well.

How, you ask? Good question.

(9) Do I make it clear in the first paragraph of the letter SPECIFICALLY why I am writing to THIS particular agent — or does it read as though I could be addressing any agent in North America?

This is a corollary of the last, of course — to put it another way, writers aren’t the the only ones screaming at the heavens, “Why me? Why me?” Agents scream it, too, albeit with a slightly different meaning.

No, but seriously, agents (and their screeners) wonder about this. Given half a chance and a martini or two, many agents will complain vociferously about queries that read as though the writer simply used a mail merge to address letters to every agent listed on a particular website or in a given guide.

Those of you who have been following this blog for a while may find this question SLIGHTLY familiar, and for good reason: this is a NOTORIOUS agents’ pet peeve.

So it’s worth taking a look at your query letter and asking yourself if it answers the question: there are hundreds and hundreds of literary agents in the United States alone — why did you choose this one, out of all others, to query? What specifically about this agent’s track record, literary tastes, and/or bio led you to say, By gum, I would like this person to represent my work?

And no, in this context, because she is an agent and I desperately want to sell my book, is not a reason likely to impress Millicent. She hears it too often.

Remember, agents — like most other people — tend to be proud of their best work: if you want to get on their good side, showing a little appreciation for what they have done in the past is just good strategy. Especially if you can honestly compliment them on a project they really loved, or one that was unusually difficult to sell.

See why I kept urging you earlier this summer to ask those panels of agents at conferences some pointed questions about their favorite projects? I was just looking to help you glean some useful information.

I picked this little trick up not at writers’ conferences, but in academia. When a professor is applying for a job, she is subjected to a form of medieval torture known as a job talk. Not only is she expected to give a lecture in front of the entire faculty that is thinking of hiring here, all of whom are instructed in advance to jump on everything she says with abandon, but she is also expected to have brief private meetings with everyone on the faculty first.

It’s every bit as horrible as it sounds, like going through a series of 20 or 30 interviews with authors who think simply everyone in the universe has read their work. (Everyone smart, anyway.) If you’re the job candidate, you’d better have at least one pithy comment prepared about each and every faculty member’s most recent article, or you’re toast.

Gee, I can’t imagine why I didn’t want to remain in academia. But it did teach me something very valuable indeed: pretty much every human being affiliated with every book ever published likes to be recognized for the fact.

And it’s so very easy to work a compliment into a query letter without sounding cheesy or obsequious! If the agent you are querying has represented something similar to your work in the past, you have a natural beginning: “Since you so ably represented X’s book, I believe you may be interested in my novel…”

I had lunch a while back with a writer who used this method in a pitch with triumphant success. The agent was blown away that the writer had taken the time to find out whom she represented and do a little advance reading.

There are many ways to find out what an agent has represented. Check the acknowledgments of books you like (authors often thank their agents), or check the agency’s website to see whom the agent represents. If all else fails, call the book’s publisher, ask for the publicity department, and ask who the agent of record was; legally, it’s a matter of public record, so they have to tell you.

Actually, with small publishers, this isn’t a bad method for finding out what they are looking to publish. I once had a charming conversation with an editor at a small Midwestern press, who confided to me that when she had acquired the book about which I was inquiring, the author did not yet have an agent. Sensing an opportunity, I promptly pitched my book to her — and she asked me to send her the first fifty pages right away.

Moral: sometimes opportunities are hiding in some unexpected places. As, for instance…

(10) If I met this agent or editor at a conference, or am querying because I heard him/her speak at one, or picked him/her because s/he represents a particular author, do I make that obvious immediately?

I am surprised at how often writers seem reluctant to mention this, but since such a low percentage of the aspiring writers out there attend conferences (under 4%, according to the last estimate I saw), attending a good one that the agent you’re querying also attended is in fact a minor selling point for your book: the prevailing wisdom goes that writers who make the investment in learning how to market their work professionally tend to have more professional work to present.

A kind of old-fashioned notion, true, but if you’re a conference-goer, one you should be riding for all it is worth.

If you have heard the agent speak at a conference, read an article she has written in a writer’s magazine or online, or even just noticed that your favorite author thanked her in the acknowledgments of a book you liked, mention that in the first line of your query letter. If you have no such personal reason, be polite enough to invent a general one: “Since you represent literary fiction, I hope you will be interested in my novel…”

I would suggest being even more upfront than this, if the conference in question was a reputable one and you did in fact attend it. Why not write the name of the conference on the outside of the envelope, in approximately the same place where you would have written REQUESTED MATERIALS had you pitched to the agent successfully there? And if you are an e-querying type, why not mention it in the subject line of the e-mail?

Oh, and lest I forget to mention it later in this series:

(11) Am I sending this query in the form that the recipient prefers to receive it? If I intend to send it via e-mail, have I double-checked that the agency accepts e-mailed queries?

Stop laughing, hard-core web fiends. The publishing world runs on paper — it’s far from unusual for a prestigious agency not to accept e-submissions at all. Even agencies with websites (which not all of them maintain, even today) that accept submissions directly through the website often employ agents who prefer paper queries, even from writers residing in foreign countries for whom getting the right stamps for the SASE is problematic. (Don’t worry, those of you reading this abroad: I’m going to be talking next week about how to deal with the stamp problem.)

Double-check the agency’s policy before you e-query. This information will be in any of the standard agency guides, and usually on the website as well.

If you’re in any doubt, query via regular mail — strategically, it’s a better idea, anyway.

Yes, you read that correctly. Generally speaking, I’m not a fan of querying via e-mail, for the exceedingly simple reason that it’s far, far less work to reject someone by the press of a single button than by stuffing a response into a SASE. A truly swift-fingered Millicent can reject 50 writers online in the time that it would take her to reject 10 on paper.

Not to mention the fact that the average reader scans words on a screen 70% faster than the same words on paper. (Or at least she did the last time I checked the statistics.) I can’t conceive of any writer who has thought about it actively longing to have Millicent spend less time reading his letter than she already does, can you?

The relative speed of scanning e-queries is why, in case you’re wondering, quite a few of the agencies that actively solicit online queries tend to respond more quickly than those that don’t. Or not at all — which means that it’s also worth your while to check an agency’s policy on responding to e-queries before you approach them; many have policies that preclude responding to a querier if the answer is no.

I sense an unspoken question hanging in the air right now. Go ahead; ask.

“But Anne,” I hear many of you shout, “what happens if I accidentally send an e-query to an agent who doesn’t like them, or a paper query to one who prefers to be approached electronically? That won’t result in an automatic rejection, will it?”

Not necessarily, no. But let me ask you this: who would you prefer to read your letter, an agent calmly going through a stack (or list) of queries, or an agent whose first thought upon seeing your epistle is, “Oh, God, not another one! Can’t any of these writers READ? I’ve said in the last ten years’ worth of Herman’s Guides that I don’t want to be queried via e-mail!”

I don’t know about you, but given my druthers, I would select the former.

Call me old-fashioned, but I believe that just as it’s polite to address a person the way he prefers to be addressed, rather than by a hated nickname, a courteous writer should approach an agent in the manner she prefers to be approached. Those with strong preferences either way seldom make a secret of it; double-check before you send.

And before anyone out there asks: yes, most agents will assume that a writer worth having as a client will have gone to the trouble of learning something about their personal preferences. If they have expressed a pet peeve in one of the standard agency guides, they will assume that you are aware of it.

While we’re on the subject of double-checking, allow me to sneak in one more quick question before I sign off for the evening:

(12) Am I absolutely positive that I have spelled the agent’s name correctly, as well as the agency’s? Am I positive that the letter I have addressed to Dear Mr. Smith shouldn’t actually read Dear Ms. Smith? Heck, am I even sure that I’m placing the right letter in the right envelope?

I hear some titters out there, but you wouldn’t BELIEVE how common all of these gaffes are. The last is usually just the result of a writer’s being in a hurry to get the next set of queries in the mail, and tend to be treated accordingly, but the first two constitute major breaches of etiquette.

And yes, an agent with a first name that leaves gender a tad ambiguous is every bit as likely to resent an incorrect salutation as a Rebecca or Stephen would. Often more, because a Cricket, Chris, or Leslie would constantly be receiving queries apparently addressed to someone of the opposite sex.

If you’re in serious doubt, call the agency and ask point-blank whether the agent is a Mr. or Ms. (Quick note for those querying US agents from other parts of the world: currently, Mr. or Ms. are the only two options; unless a woman makes a point of identifying herself as a Miss or Mrs., Ms. is the proper salutation.)

I know, I know: you’ve heard 4500 times that a writer should NEVER call an agency until after he has a signed representation contract in hand or the agent has left a message asking him to call back, whichever comes first. While it is quite true that allowing the agent to set the level of familiarity in the early stages of exchange is good strategy, most offices are set up to allow a caller to ask a quick, anonymous question, if he’s polite about it. As long as you don’t ask to speak to the agent personally and/or use the occasion to pitch your book, you should be fine.

Have you noticed how many of these tips boil down to some flavor of be clear, do your homework, and be courteous? That’s not entirely accidental: as odd as it may seem in an industry that rejects so many so brusquely, manners honestly do count in this business.

As my grandmother was fond of saying, manners cost nothing. But as I am prone to tell my clients and students, not exhibiting courtesy can cost an aspiring writer quite a lot.

So sit up straight, brush your teeth, and help little old ladies across the street; it will be great practice for working with an agent or editor.

What does standard format look like, anyway? Part V: God bless the Millicents, every one

Hello, campers –

I’m still under the weather (which, in a Seattle summer, could mean being oppressed by either sunny heat or chilly grayness, sometimes within the same day), but since my sniffles have been providing me with a dandy excuse to re-run some extremely practical posts on how to format a manuscript professionally. Even if you are a long-time Author! Author! reader, and thus have seen me run over these points before or do not anticipate being ready to submit anytime this year, PLEASE do not just skip these posts — everyone could use a refresher from time to time.

Trust me, your future agent will be really, really glad that you did, because literally every page s/he will be submitting to the editor of your dreams — be it manuscript, book proposal, or synopsis — will need to be in standard format.

Or, to put it another way: of the pieces of paper you might be conceivably be sending an agent or editor, only query letters and e-mails AREN’T expected to be in standard format. (Don’t worry; I’ll be showing you how to format a query letter next week.) So it really will save you time in the long run if you just write everything from first draft to final revision in standard format.

As you may gather from the Yuletide references throughout, I originally wrote this as Christmastime, but actually, the Cratchit family analogy works surprisingly well for this time of year, too: since most of the NYC-based publishing industry goes on vacation about this time of year (basically, from now through Labor Day), the Millicent who gets left behind to mind the store in muggy midtown might well feel Scrooge-oppressed just now.

Think she’s grumpy to be left alone with all of those piles of paper? Or, if she’s one of the lucky most scurrying out of the office right about now, imagine her state of mind upon returning September 2 to find her desk buried in enough submissions to wallpaper her entire floor — and enough piled-up query letters to build a cabin larger than her Brooklyn apartment.

Not a pretty picture, is it?

Even if you aren’t in the habit of empathizing with people who reject writers for a living, there’s a good self-interested reason you should care about her state of mind right about now: even with the best will in the world, grumpy and/or rushed readers tend to be harder to please than cheerful, well-rested ones.

Not a bad excuse to hold off on sending her anything, be it query letter or requested materials, until after Labor Day, is it?

For the last couple of days, I’ve been pursuing the dual goals of trying to show you just how obvious it is to a professional reader when a submission ISN’T in standard manuscript format (as opposed to being set up to ape the format of published books) and to drum up a little holiday sympathy for Millicent, everybody’s favorite agency screener.

She’s the Tiny Tim of the literary world, you know; at least the Bob Cratchits a little higher up on the office totem pole get paid, but our Millie often doesn’t. Even if she’s not an intern, she’s still unlikely to be paid very much. Her hours are typically long, and quite a lot of what she reads in the course of her day is, let’s face it, God-awful.

Yes, that thought that suddenly sprang into your mind is precisely right: rejecting queries and manuscripts by the score IS considered on-the-job training for a fledgling agent, in much the same way as an editorial assistant’s screening manuscripts at a publishing houses is the stepping-stone to becoming an editor.

You didn’t think determining a manuscript’s literary merits after just a few lines of text was a skill that came naturally, did you?

The aspiring writer’s learning curve is often not dissimilar to Millicent’s, actually: no one is born knowing the rules of manuscript formatting. (Okay, so I practically was, growing up around so many writers, but I’ma rare exception.) Like Millicent, most of us learn the ropes only through reading a great deal.

She has the advantage over us, though: she gets to read books in manuscript form, and most aspiring writers, especially at the beginning of their journeys to publication, read mostly books. The format is, as I believe that I have pointed out, oh, several hundred times before in this very forum, quite different.

So what writers tend to produce in their early submissions are essentially imitations of books. The problem is, there are many reasons that a manuscript in book format would be hard for an agent or editor to handle — and not merely because the individual pages would appear unprofessional to Millicent.

For starters, published books are printed on both sides of the page, manuscripts on one. Why the difference, in these days of declining tree populations and editors huffily informing writers at conferences that paper is expensive?

Simple: it’s easier to edit that way.

Believe it or not, even in these days of widely available word processors, most professional editing is still done by hand. Why? Well, it’s hard to give trenchant feedback while traveling in a crowded subway car if you have to maneuver a laptop, and many agencies remain far too virus-fearful to allow their employees solicit attachments from writers who aren’t already clients. (Those who do generally have a policy that forbids the opening of unsolicited attachments.) Even in agencies that have caved in to new technology sufficiently to send their member agents on long airplane flights to writers’ conferences armed with a Kindle with 17 manuscripts on it, hand-commenting is still the norm, even if it means scanning hand-proofed pages and e-mailing them back to the author.

Ultimately, most editors edit in hard copy because they prefer it. The human eye is, of course, to blame for this: reading comprehension drops by about 70% when the material is presented on a computer screen; the eye tends to skim.

Which is why — you can hear this coming, can’t you? — a wise writer always reads her ENTIRE manuscript IN HARD COPY before submitting it to anyone even vaguely affiliated with the publishing industry. It’s much, much easier to catch typos and logic problems that way.

In case anyone has missed the last two weeks’ worth of posts,manuscripts should also be typed (don’t laugh; it’s not unheard-of for diagrams to be hand-drawn in submissions, or for late-caught typos to be corrected in pen), double-spaced, and have 1-inch margins all the way around.

Time to see why, from an editing point of view. To call upon our old friend Dickens again, a page of a manuscript should look like this:

To give you some idea of just how difficult — or even impossible — it would be to hand-edit a manuscript that was NOT double-spaced or had smaller margins, take a gander at this little monstrosity:

Reader-hostile, isn’t it? Millicent would reject a submission like this immediately, without reading so much as a word.

Why? Well, even with nice, empty page backs upon which to scrawl copy edits, trying to cram spelling or grammatical changes between those lines would be well-nigh impossible. Knowing that, Millicent would never dream of passing such a manuscript along to the agent who employs her; to do so would be to invite a stern and probably lengthy lecture on the vicissitudes of the editorial life.

Don’t tempt her just to reject it unread — and don’t, I beg you, provide the same temptation to a contest judge. Given the sheer volume of submissions they read, they’re not all that likely to resist.

Even if the sum total of the provocation consists of a manuscript that’s shrunk to, say, 95% of the usual size.

You know what I’m talking about, don’t you, past contest entrants and submitters who wanted to squeeze in a particularly exciting scene before the end of those requested 50 pages? Faced with a hard-and-fast page limit for submission, some wily writers will shrink the font or the margins, to shoehorn a few more words onto each page. After all, who is going to notice a tenth of an inch sliced off a left or right margin, or notice that the typeface is a trifle smaller than usual?

Millicent will notice, that’s who, and practically instantly. As will any reasonably experienced contest judge; after hours on end of reading 12-point type within 1-inch margins, a reader develops a visceral sense of when something is off.

Don’t believe me? Go back and study today’s first example, the correctly formatted average page. Then take a look at this:

I shaved only one-tenth of an inch off each margin and shrunk the text by 5% — far less than most fudgers attempt. Yet admit it — you can tell it’s different, can’t you, even without whipping out a ruler?

So could a professional reader. And let me tell you, neither the Millicents of this world nor the contest judges tend to appreciate attempts to trick them into extraneous reading. Next!

The same principle applies, incidentally, to query letters: often, aspiring writers, despairing of fitting a coherent summary of their books within the standard single page, will shrink the margins or typeface.

Trust me, someone who reads queries all day, every day, will be able to tell.

The other commonly-fudged spacing technique involves skipping only one space after periods and colons, rather than the grammatically-requisite two spaces. Frequently, writers won’t even realize that this IS fudging: ever since published books began omitting these spaces in order to save paper, I’ve seen a theory propounded all over the Internet (and sometimes even in writing classes, where the teachers should know better) claiming that skipping the extra space is obsolete. Frequently, the proponents will insist that manuscripts that include the space look old-fashioned to agents and editors.

Well, guess what: standard manuscript format IS old-fashioned, by definition; that fact doesn’t seem to stop anyone in the industry for using it. In fact, in all of my years writing and editing, I have never — not once — seen a manuscript rejected or even criticized for including the two spaces that English prose requires after a period or colon.

I have, however, heard endless complaint from professional readers — myself included — about those second spaces being omitted. Care to guess why?

Reward yourself with a virtual candy cane if you said that cutting those spaces throws off word count estimation; the industry estimates assume those doubled spaces. And give yourself twelve reindeer if you also suggested that omitting them renders a manuscript harder to hand-edit.

We all know the lecture Millicent is likely to get if she forgets about that, right?

Again, a pro isn’t going to have to look very hard at a space-deprived page to catch on that there’s something fishy going on. Since Dickens was so fond of half-page sentences, the examples I’ve been using above won’t illustrate this point very well, so (reaching blindly into the depths of the bookshelf next to my computer), let’s take a random page out of Elizabeth Von Arnim’s VERA:

There are 310 words on this page; I wasn’t kidding the other day about how far off the standard word count estimations were, obviously. Now cast your eye over the same text improperly formatted:

Doesn’t look much different to the naked eye, does it? The word count is only slightly lower on this version of this page — 295 words — but enough to make quite a difference over the course of an entire manuscript.

So I see some hands shooting up out there? “But Anne,” I hear some sharp-eyed readers cry, “wasn’t the word count lower because there was an entire line missing from the second version?”

Well spotted, criers-out: the natural tendency of omitting the second spaces would be to include MORE words per page, not less. But not spacing properly between sentences was not the only deviation from standard format here; Millicent, I assure you, would have caught two others.

I tossed a curve ball in here, to make sure you were reading as closely as she was. Wild guesses? Anyone? Anyone?

The error that chopped the word count was a pretty innocent one, almost always done unconsciously: the writer did not turn off the widow/orphan control, found in Word under FORMAT/PARAGRAPH/LINE AND PAGE BREAKS. This insidious little function, the default unless one changes it, prevents single lines of multi-line paragraphs from getting stranded on either the bottom of one page of the top of the next.

As you may see, keeping this function operational results in an uneven number of lines per page. Which, over the course of an entire manuscript, is going to do some serious damage to the word count.

The other problem — and frankly, the one that would have irritated a contest judge far more, but probably Millicent slightly less — was on the last line of the page: using an emdash (“But—“) instead of a doubled dash. Here again, we see that the standards that apply to printed books are not proper for manuscripts.

Which brings me back to today’s moral: just because a particular piece of formatting looks right to those of us who have been reading books since we were three doesn’t mean that it is correct in a MANUSCRIPT.

Millicent reads manuscripts all day; contest judges read entries for hours at a time. After a while, a formatting issue that might well not even catch a lay reader’s attention can begin to seem gargantuan.

As I pointed out yesterday, if the writing is good, it deserves to be free of distracting formatting choices. You want agents, editors, and contest judges to be muttering, “Wow, this is good,” over your manuscript, not “Oh, God, he doesn’t know the rules about dashes,” don’t you?

Spare Millicent the chagrin, please; both you and she will be the happier for it. Keep up the good work!

The single most important thing you can do to get your manuscript taken seriously, part II, or, do I have your attention yet?

Hello again, campers –

Welcome back to my series on standard format for manuscripts. If you were previously unaware that there IS a professional standard for presenting a book, well. now you know. Kindly raise your right hand (if you have one) and repeat after me: from this day forth, as long as I shall live, I will submit my writing ONLY in standard format.

Yes, it really is that important — and that simple. If you want your submission treated professionally, it needs to look like the manuscripts already-published authors produce.

And yes, yes, I know: I harp on this quite a lot on Author! Author!, but honestly, it breaks my heart to see good writers, even great ones, making the same formatting mistakes year in and year out, getting rejected for reasons that are apparent to professional readers from halfway across the room. Obviously, competition to land an agent and get published is very intense, but I say, if you’re going to get rejected, let it be because an agent or editor legitimately disagreed with your writing choices, not because you didn’t follow the rules.

So there.

Frankly, it’s bad for writers everywhere that these rules are not more widely known. Okay, so it keeps freelance editors like me in business, but it has created a submission environment where poor formatting is generally considered a warning sign of poor WRITING to come.

By Millicent and her ilk, in any case.

And that drives conscientious aspiring writers, the ones who — like you, perhaps — have invested considerable time and sweat in learning something about the trade, completely batty. Because, like so much generalized criticism, the fine folks who take the advice most seriously tend to be the ones who need it least, I know that there are thousands of you out there who stay up nights, compulsively going over their manuscripts for the 147th time, trying to ferret out that one last bit of less-than-professional presentation.

Bless your heart, if you’re one of those. You’re helping raise aspiring writers’ collective reputation within the industry.

One quick caveat before we get started today: the standard format restrictions I’m listing here are for BOOK submissions, not for short stories, poetry, journalistic articles, academic articles, or indeed any other form of writing. For the guidelines for these, you may — and should — seek elsewhere.

Which is a gentle way of saying that the formatting and grammatical choices you see in newspapers will not necessarily work in manuscripts. AP style is different from standard format in several important respects, not the least being that in standard format (as in other formal presentations in the English language), the first letter of the first word after a colon should NOT be capitalized, since technically, it’s not the beginning of a new sentence.

I don’t know who introduced the convention of post-colon capitalization, but believe me, those of us who read the submissions of aspiring book writers for a living have mentally consigned that language subversive to a pit of hell that would make even Dante avert his eyes.

But enough about my fevered fantasies. Let’s get down to the proverbial brass tacks, shall we?

Yesterday, while scores of my long-time readers flung their hands over their eyes and screamed, “No! Not again!”, I started going over the rigors of standard formatting for manuscripts again. Please, even if you are morally certain that you know what you’re doing, take a few minutes for a refresher course.

Why? Because while submitting pages that deviate from standard format MIGHT not result in automatic rejection of otherwise fine writing, it does indeed happen – and often. And not just because our old friend Millicent the agency screener is having a bad day.

Professional-level critique is HARSH; it’s like having your unmade-up face examined under a very, very bright light by someone who isn’t afraid to hurt your feelings by pointing out flaws. In the industry, this level of scrutiny is not considered even remotely mean.

Actually, if your work generates tell-it-like-it-is feedback from a pro, you should be a bit flattered – it’s how they habitually treat professional authors.

Yet the vast majority of submitting writers seem to assume that agents and their staffs will be hugely sympathetic readers of their submissions, willing to overlook technical problems because of the quality of the writing or the strength of the story. Every so often, there is the odd exception that justifies this belief. If the writing is absolutely beautiful, or the story is drool-worthy, but the formatting is all akimbo and the spelling is lousy, there’s an outside chance that someone at an agency might be in a saintly enough mood to overlook the problems and take a chance on the writer.

You could also have a Horatio Alger moment where you find a billionaire’s wallet, return it to him still stuffed with thousand-dollar bills, and he adopts you as his new-found son or daughter.

Anything is possible, of course. But it’s probably prudent to assume, when your writing’s at stake, that yours is not going to be the one in 10,000,000 exception.

Virtually all of the time, an agent, editor, contest judge, or screener’s first reaction to an improperly-formatted manuscript is the same as to one that is dull but technically perfect: speedy rejection.

The trouble is, submitters rejected for this reason are almost never aware of it. With few exceptions, the rejecters will not even take the time to scrawl, “Take a formatting class!” or “Next time, spell-check!” on the returned manuscript. If a writer is truly talented, they figure, she’ll mend her ways and try again.

Call me zany, but I think that the way-mending might go a TRIFLE faster if the writer knew that the manuscript was broken.

I’d like to speed up that learning curve. It’s not as though the strictures of standard format are state secrets, after all. To recap from yesterday:

(1) All manuscripts should be printed or typed in black ink and double-spaced, with one-inch margins around all edges of the page, on 20-lb or better white paper.

(2) All manuscripts should be printed on ONE side of the page and unbound in any way.

(3) The text should be left-justified, NOT block-justified. By definition, manuscripts should NOT resemble published books in this respect.

(4) The preferred typefaces are 12-point Times, Times New Roman, Courier, or Courier New — unless you’re writing screenplays, in which case you may only use Courier.

One last word on point #4 before I move on: if you want a specific font for your finished book that ISN’T one of these, you should NOT use it in your manuscript. No, not even if you found a very cool way to make your Elvin characters’ dialogue show up in Runic.

Like choices about italicization, bolding, and whether to use a medieval-style fancy first letter at the beginning of each chapter, the typeface ultimately used in the published book is a matter of discussion between you and your future editor — or, even more frequently, a decision made by the publishing house without any authorial input at all.

Oops, I guess I didn’t need to leap on this point yesterday. Oh, well, it bears repeating, since so few aspiring writers seem to be aware of it.

If you try to illustrate the fabulousness of your desired typeface now, you run the risk of your manuscript being dismissed as unprofessional. Don’t. Save it for later discussion.

(5) No matter how cool your desired typeface looks, or how great the title page looks with 14-point type, keep the ENTIRE manuscript in the same font and size.

Industry standard is 12-point. Again, no exceptions, INCLUDING YOUR TITLE PAGE, where almost everyone gets a little wacky the first time out. No pictures or symbols here, either, please. Just the facts.

I hate to be the one to break it to you, but there’s a term in the industry for title pages with 24-point fonts, fancy typefaces, and illustrations.

It’s “high school book report.”

(6) Do NOT use boldface anywhere in the manuscript BUT on the title page — and not even there, necessarily.

Yes, you read that correctly: you may place your title in boldface on the title page, if you like, but that’s it. Nothing else in the manuscript should be in bold.

This is a throwback to the old typewriter days, where only very fancy machines indeed could darken selected type. Historically, using bold in-text is considered a bit tacky for the same reason that wearing white shoes before Memorial Day is in certain circles: it’s a subtle display of wealth.

(You didn’t think all of those white shoes the Victorians wore cleaned themselves, did you? Shiny white shoes equaled scads of busily-polishing staff.)

(7) EVERY page in the manuscript should be numbered EXCEPT the title page.

Violating of this rule will result in instantaneous rejection virtually everywhere. Number those pages if it’s the last thing you do.

Few non-felonious offenses irk the professional manuscript reader (including yours truly, if I’m honest about it) more than an unnumbered submission — it ranks right up there on their rudeness scale with assault, arson, and beginning a query letter with, “Dear Agent.”

Why? Gravity, my friends, gravity. What goes up tends to come down — and if the object in question happens to be an unbound stack of paper…

Picture, if you will, two manuscript-bearing interns colliding in an agency hallway. (You may giggle, but anyone who has ever worked with submissions has first-hand experience of this.) After the blizzard of flying papers dies down, and the two combatants rehash that old Reese’s Peanut Butter Cup commercial’s dialogue (“You got romance novel in my literary fiction!” “You got literary fiction in my romance novel!”), what needs to happen?

Yup. Some luckless soul has to put all of those pages back in the proper order. Just how much more irksome is that task going to be if the pages are not numbered?

Trust me, it is far, far, FAR easier to toss the entire thing into the reject pile than to spend the hours required to guess which bite-sized piece of storyline belongs before which. Number your pages.

The first page of the text proper, incidentally, is page 1 of the text, not the title page, and should be numbered as such. If your opus has an introduction or preface, the first page of THAT is page 1, not the first page of chapter 1.

Why, you ask? Long-time readers, chant it with me now, please: BECAUSE A MANUSCRIPT SHOULD NOT LOOK IDENTICAL TO A PUBLISHED BOOK.

To run over the other most popular choices for pages to mislabel as page 1: manuscripts do not contain tables of contents, so there should be no question of pagination for that. Also, epigraphs — those quotations from other authors’ books so dear to the hearts of writers everywhere — should not appear on their own page in a manuscript, as they sometimes do in published books; if you feel you must include one (considering that 99.9999% of the time, Millicent will just skip over it), include it between the chapter title and text on page 1.

If that last sentence left your head in a whirl, don’t worry — I’ll show you how to format epigraphs properly later in this series. Yes, including some discussion of that cryptic comment about Millicent.

(8) Each page of the manuscript (other than the title page) should have a standard slug line in the header. The page number should appear in the slug line, not anywhere else on the page.

Most writing handbooks and courses tend to be a trifle vague about this particular requirement, so allow me to clarify: a well-constructed slug line includes the author’s last name, book title, and page number, to deal with that intern-collision problem I mentioned earlier. And the header, for those of you who have not yet surrendered to Microsoft Word’s lexicon, is the 1-inch margin at the top of each page.

This means, in effect, that every page of the manuscript has the author’s name on it — a great idea, should you, say, want an agent or editor to be able to contact you after s/he’s fallen in love with it.

The slug line should appear in the upper left-hand margin (although no one will sue you if you put it in the upper right-hand margin, left is the time-honored location) of every page of the text EXCEPT the title page (which should have nothing in the header or footer at all).

Traditionally, the slug line appears all in capital letters, but it’s not strictly necessary. Being something of a traditionalist, the third page of my memoir has a slug line that looks like this:

MINI/A FAMILY DARKLY/3

Since the ONLY place a page number should appear on a page of text is in the slug line, if you are in the habit of placing numbers wacky places like the middle of the footer, do be aware that it does not look strictly professional to, well, professionals. Double-check that your word processing program is not automatically adding extraneous page markers.

Do not, I beg of you, yield like so many aspiring writers to the insidious temptation add little stylistic bells and whistles to the slug line, to tart it up. Page numbers should not have dashes on either side of them, be in italics or bold, or be preceded by the word “page.” The point here is not to make your slug line stand out for its innovative style, but for your manuscript’s pages to look exactly like every other professional writer’s.

If you have a very long title, feel free to abbreviate, to keep the slug line from running all the way across the top of the page. (Technically, a slug line should be 30 spaces or less, but there’s no need to stress about that in the computer age. A slug, you see, is the old-fashioned printer’s term for a pre-set chunk of, you guessed it, 30 spaces of type.) For example, my agent is currently circulating a novel of mine entitled THE BUDDHA IN THE HOT TUB — 26 characters, counting spaces. Since my last name is quite short, I could get away with putting it all in the slug line, to look like this:

MINI/THE BUDDHA IN THE HOT TUB/1

If, however, my last name were something more complicated, such as Montenegro-Copperfield — 22 characters all by itself, including dash — I might well feel compelled to abbreviate:

MONTENEGRO-COPPERFIELD/BUDDHA/1

(9) The first page of each chapter should begin a third of the way down the page, with the chapter title appearing on the FIRST line of the page, NOT on the line immediately above where the text begins.

That’s twelve single-spaced lines, incidentally. The chapter name (or merely “Chapter One”) may appear on the FIRST line of the first page — not on the last line before the text, as so many writers mistakenly do. The chapter title or number should be centered, and it should NOT be in boldface or underlined. Don’t panic if you’re having trouble visualizing this — I’ll be giving concrete examples of what the first page of a chapter should look like later in this series.

Why shouldn’t the title appear immediately above the text, as one so often sees? Because that’s where the title of a SHORT STORY lives. I’ve literally never seen a professional book manuscript formatted this way.

Very frequently, agents, editors and contest judges are presented with improperly-formatted first pages that include the title of the book, “by Author’s Name,” and/or the writer’s contact information in the space above the text. This is classic rookie mistake. To professional eyes, a manuscript that includes any of this information on the first page of the manuscript (other than in the slug line, of course) seems term paper-is.

So where does all of that necessary contact information go, you ask? Read on.

(10) Contact information for the author belongs on the title page, NOT on page 1.

This is one of the main differences between a short story submission (say, to a literary journal) and a novel submission. To submit a manuscript — or contest entry, for that matter — with this information on page 1 is roughly the equivalent of taking a great big red marker and scrawling, “I don’t know much about the business of publishing,” across it. Just don’t do it.

“But wait,” I hear some of you out there murmuring, “I need a title page? Since when?”

Funny you should mention that, because…

(11) Every submission should include a title page, even partial manuscripts.

This one seems to come as a surprise to a LOT of aspiring writers. You should ALWAYS include a title page with ANY submission of ANY length, including contest entries and the chapters you send after the agent has fallen in love with your first 50 pages.

It is genuinely unheard-of for a professional manuscript not to have a title page: literally every manuscript that any agent in North America sends to any editor will include one. Yet, astonishingly, 95% of writers submitting to agencies seem to be unaware that including it is industry standard.

On the bright side, this means that if you are industry-savvy enough to include a professionally-formatted title page with your work, your submission automatically looks like a top percentile ranker to professional eyes from the moment it’s pulled out of the envelope. It’s never too early to make a good first impression, right?

Before anyone says it: omitting a title page is too common a mistake to be an automatic deal-breaker — and yes, one does occasionally meet an agent at a conference or one blogging online who says she doesn’t care one way or the other about whether a submission has a title page resting on top. Bully for them for being so open-minded, but even these are not going to toss out a submission BECAUSE it has a properly-formatted title page.

As I point out roughly 127,342 times per year in this forum, how can you be sure that the person deciding whether to pass your submission upstairs or reject it ISN’T a stickler for professionalism?

I’m going to sign off for today, but I hope to finish up the rules of standard format next time, so we may move on to practical examples of what a professional manuscript looks like. Believe me, as tedious as it is to change these things in your manuscript now, by the time you’re on your third or fourth book, it will be second nature to you.

Why, I’ll bet that the next time you sit down to begin a new project, you will automatically format it correctly.

And, more importantly, any submissions you might happen to send out in the near future will look like the work of a pro. Again, call me zany, but I would rather see an agent or editor evaluate your book on the basis of your writing and your story, not your formatting knowledge.

A topic that just can’t wait, or, I can’t believe that it’s been almost a year since I last went over this

Hello, campers –

Thanks to everyone who wrote in with good wishes after my last post — I’m feeling a touch better, thanks. I’m still coughing up a storm, but I couldn’t stand another minute of not filling you in on standard format. Because — and I can hardly believe this myself — it’s been ALMOST A YEAR since I last went over the rules point by point.

I know: time flies when you’re having fun, eh?

Admittedly, my nearest and dearest/medical practitioners/pretty much everyone sane to whom I have spoken about it have suggested that I might want to wait until my temperature normalizes a bit more before I get back to full-tilt blogging again. They are probably right. They also probably didn’t realize that having suggested this renders them prime candidates for being dictation victims indentured servants unpaid labor kind volunteers until my chipper fingers are up to speed again.

In order to render surrogate blogger duty as painless as possible, I’m going to be re-running some older posts on standard format with (I hope) italicized new comments interspersed. Today, I’m starting with a post that not only goes over the hows and whys of professional manuscript format, but does so in a context that illustrates why people like me professional readers tend to focus so very much on technical details when scanning the work of a new writer: evidently, our brains are wired differently than other people’s.

This is a really, really good thing to know BEFORE you submit to an agent or editor: 99.9% of the format isn’t right, it WILL distract any professional reader from even the most beautiful writing.

And that’s not merely a matter of being obsessive-compulsive (although truth compels me to say that in this line of work, OCD is hardly an occupational drawback) — as I shall be showing you later on in this series, to someone who reads manuscripts for a living, deviations from standard format might as well be printed in blood-red ink. Because all professional manuscripts are formatted identically, it’s INCREDIBLY obvious when one isn’t.

So while it may seem tedious, annoying, or just a whole lot of work to go through your submissions with the proverbial fine-toothed comb in order to weed out this kind of distraction.

Remember, too, that IF AN AGENT OR EDITOR REQUESTED YOU TO SEND PAGES, S/HE IS EXPECTING THEM TO BE IN STANDARD FORMAT, unless s/he SPECIFICALLY tells you otherwise.

Indeed, it’s so much assumed that s/he probably won’t even mention it, because most agents and editors believe that these rules are already part of every serious book-writer’s MO. So much so, in fact, that agents who’ve read my blog sometimes ask me why I go over these rules so often. Doesn’t everyone already know them? Isn’t this information already widely available?

I’ll leave you to answer those for yourselves. Suffice it to say that our old pal Millicent the agency screener believes the answers to be: because I like it, yes, and yes.

And please, those of you who have been through this material with me before: don’t just skip these posts, I beg of you. I see manuscripts all the time by experienced writers that contain standard format violations. Until a writer has worked closely with an editor or agent long enough for these rules to become second nature, it’s just too easy to let an exception or two slip by.

I’ve been typing WAY too much lately — not a particularly good idea, for someone who spent nearly two years of the late 1990s doctor-banned from a keyboard. (And trust me, voice-recognition programs at the time were not designed for first sopranos.) The first sign of overuse: lack of grip strength.

After first a water glass, then a teacup shattered on the floor, I betook myself to the safely unbreakable couch to curl up with the equally shatter-proof new Harry Potter for half a day. I’d been saving my copy until all the hype died down, so I could form an unfettered opinion, but I had made a point of paying full price for it, rather than getting it at Costco, because typically, the author’s royalty percentage is lower in a bulk market.

Call me zany, but even if an author can afford a different tiara for every day of the week (“Should I go with the emerald today? Or the star sapphire with ruby clusters?”), I believe it’s important to buy the works of living writers in order to create a world where — brace yourselves — there’s a market for the work of living writers.

I know in my heart of hearts that it’s wrong to give away a book’s big secret before people have had a chance to read it, but spoiler alert: apparently, no one, but no one, proofed the galleys for this book.

Where are all the commas that should inhabit Harry’s world? Did Voldemort wave a wand and spirit them all away? Did the Ministry of Magic legalize run-on sentences? Are sentences featuring colons the new black? Or does JK Rowling have enough money now to buy off the world’s English professors to the extent of changing the rule about the first word after those ubiquitous colons NOT being capitalized?

Naturally, this didn’t stop me from staying up all night to finish the book; she’s an amazing pacer and plotter. But it’s evil magic, indeed, when Scholastic teaches our children that there are four periods in an ellipse, rather than three.

My editorial peevishness is well-timed, because yesterday, I threatened — no, make that promised — to revisit the rules of standard format for submissions. Because, you see, I am far from the only professional reader who takes umbrage (not Dolores Umbridge-style umbrage, but close), when manuscripts deviate from certain time-honored restrictions.

To put it bluntly, improperly-formatted manuscripts are often shoved into the reject pile on sight.

Which means that while, yes, this may well be most spectacularly unsexy topic of them all, and perhaps the single most necessary for any aspiring writer to know. At least for anyone who ever intends to submit a manuscript — a group that I have some reason to suspect includes one or two of you.

To begin with the basics: for those of you who do not already know. standard format for manuscripts is NOT the same as standard format for published books. I asked to make this sentence bold this time around, because I’m constantly meeting aspiring writers who are not aware of this fact. Heck, my dictation-taker du jour apparently was not aware of this fact until she read this paragraph.

Nor is it identical to what your word processor’s grammar checker will ask you to do – nor, heaven help us, business format. None of these will look correct to an agent or editor.

It is VERY much to your advantage to be aware of this salient fact.

Why? Well, Since standard manuscript format differs in a number of significant ways from ALL of the above, agency screeners, agents, editors, and contest judges tend to regard submissions formatted in any other way as either unpolished (if they’re feeling generous) or unprofessional (if they’re not). And unfortunately for writers unaware of the rules, a non-standard manuscript is child’s play to spot from the moment a professional reader lays eyes upon it.

Spoiler alert: being identified as not professionally formatted renders a submission FAR more likely to be rejected than any writing-related problem.

Why? Long-time readers, shout it with me now: agencies and publishing houses get so many submissions that a screener’s PRIMARY goal is to weed out the one he is reading at the moment. The faster he can do that, the better, to move through that mountain of paper on his desk.

By logical extension, the more professional your manuscript looks, the more likely it is to be read with interest by a screener in a hurry.

Period. And I don’t know about you, but I’m all for anything that helps a good writer’s work get taken more seriously, especially in the current super-tight submission environment, which is more rejection happy than I’ve ever seen it — and I’ve been listening to writers, agents, and editors complain about the state of the literary market since I was in my cradle.

A couple of disclaimers before I begin. I fully realize that many of the tiny-but-pervasive changes I am about to suggest that you make to your manuscript are going to be irksome to implement. Reformatting a manuscript is time-consuming and tedious – and I would be the first to admit that some of these rules are pretty absurd.

At least on their faces, that is. Speaking as someone who reads manuscripts for a living, I can let you in on a little secret: quite a few of these restrictions remain beloved of the industry even in the age of electronic submissions because they render a manuscript a heck of a lot easier to edit in hard copy — still the norm, incidentally. As I will show later in this series, a lot of these rules are designed to maximize white space in which the editor may scrawl trenchant comments like, “Wait, wasn’t the protagonist’s sister named Maeve in the last chapter? Why is she Belinda here?”

As I said above, this is one line of work where a touch of compulsiveness is a positive boon. Treat it with the respect it deserves.

As I believe I may have mentioned once or twice before, I do not run the universe, and thus do not make the rules. Sorry. No matter how much I would like to absolve you from some of them, it is outside my power.

Take it up with the fairy godmother who neglected to endow me with that gift at birth.

Also, every time I run a series of posts on standard format, I am inundated with comments pointing out that website X advises something different, that this agent said at a conference she doesn’t care what typeface you use, or that a certain manual said that standards have changed from the traditional guidelines I set out here.

I have no doubt that all of these comments are indeed pointing out legitimate differences in advice, but it is not my purpose here to police the net for standardization of advice. If you like guidelines you find elsewhere better, by all means follow them.

All I claim for these rules – and it is not an insubstantial claim – is that nothing I advise here will EVER strike an agent or editor as unprofessional. Adhering to them will mean that your writing is going to be judged on your writing, not your formatting.

And that, my friends, is nothing at which to sneeze. Or cough, although I seem to be managing it.

Here are the rules of standard format — and no, NONE of them are negotiable. Harry Houdini himself would have extreme difficulty sneaking a non-standard manuscript past an agency screener, even though he undoubtedly has the world’s best platform to write a book on extricating oneself from tight situations.

If that last quip didn’t make you groan, if not chuckle, it’s time to brush up on your agent-speak. On to the rules:

(1) All manuscripts should be printed or typed in black ink and double-spaced, with one-inch margins around all edges of the page, on 20-lb or better white paper.

No exceptions, unless someone in the industry (or a contest’s rules) SPECIFICALLY asks you to do otherwise.

No ecru paper, no off-white, no Dr. Seuss-type stripes. Yes, buff or parchment can look very nice, but there’s a strategic reason to use bright white paper: very sharp black-white contrast is strongly preferred by virtually every professional reader out there, probably as a legacy of having read so many dim photocopies over the course of their lifetimes.

The ONLY colored paper that should ever go anywhere near a manuscript is the single sheet that separates one copy of a submission or book proposal from the next, so it is easy for an agent to see where to break the stack. (But you don’t need to know about that until your agent asks you to send 15 copies of your book for submitting to editors. Put it out of your mind for now.)

And do spring for a new printer cartridge, and skip the trip to the copy center. Badly-photocopied work is almost never read. Actually, you’d be amazed (at least, I hope you would) at how poor the printing quality is on some submissions; it’s as though the author dunked in a swiftly-flowing river several times before popping it in the mail.

(2) All manuscripts should be printed on ONE side of the page and unbound in any way (again, unless you are specifically asked to do otherwise).

Yes, this IS criminally wasteful of paper, especially when you consider the literally millions of pages of submissions that go flying into the agencies and publishing houses every month. Most agencies do not even recycle; the vast majority of agencies did not even consider accepting e-mailed queries at all until the anthrax-in-envelopes scare. (I swear I’m not making that up.)

I assure you, if I ran the universe, paper conservation would be the norm, and recycling mandatory. Also, writers would all be granted an extra month a year in which to write, excellent and inexpensive child care while writing, a cedar-lined cabin on the shores of Lake Michigan in which to do it, and a pineapple upside-down cake on Kurt Vonnegut’s birthday. Perhaps some hard candies on Agatha Christie’s birthday as well, in affluent years, and dancing on Mme. de Staël’s.

But since the unhappy reality is that I do NOT run the universe (see disclaimer above), we shall all have to live with the status quo.

Which is to say: the publishing industry is one vast paper-wasting enterprise. Sorry.

You’d be surprised at how often writers violate the thou-shalt-not-bind rule, including paper clips, rubber bands, or even binders with their submissions. Since agents always circulate manuscripts without any sort of binding, these doohickies just scream, “I’m unfamiliar with the industry.” SASE, here we come.

The ONLY exception to this rule is a nonfiction book proposal — not the manuscript, just the proposal — which is typically presented UNBOUND in a black folder, the kind with horizontal pockets. (For tips on how a book proposal should be presented, please see the aptly-titled BOOK PROPOSALS category on the list at right.)

To forestall the comment beloved reader Dave usually posts when I bring this up, if you wish to make double-sided, 3-hole-punched, be-bindered drafts for circulating to your first readers for ease of toting around, be my guest. But NEVER submit in that manner to a professional reader.

I’m serious about this. Don’t make me crawl out of this bed to stop you.

(3) The text should be left-justified, NOT block-justified, as published books, e-mails, business letters, and online writing tend to be.

Yes, books feature text that runs in straight vertical lines along both side margins, and yes, your word processing program can replicate that practically effortlessly, if you ask it nicely to do so.

But don’t: the straight margin should be the left one; the right should be ragged, as if you had produced the manuscript on a typewriter.

Many writers find this one nearly impossible to accept, because it is one of the most visually obvious ways in which a professional manuscript differs from a printed book. They believe, wrongly, that anything that makes their submission look more like what’s on the shelves at Barnes & Noble is inherently professional.

Trust me, quite the opposite is true.

And NEVER format a query or cover letter to someone in the industry in business format: indent those paragraphs. More on that later in this series.

(4) The preferred typefaces are 12-point Times, Times New Roman, Courier, or Courier New.

Personally, I would never dream of allowing a client of mine to submit a manuscript in anything but Times New Roman, nor would I ever submit any of my work in anything else. It is the standard typeface of the industry.

It’s one of the bizarre facts of publishing life that manuscripts in these fonts tend to be taken far more seriously, and with good reason: these are the typefaces upon which the most commonly-used word count estimations are based. (Psst: if you don’t know why you should be estimating the length of your manuscript rather than using actual word count, please see the WORD COUNT category at right.)

There are advocates of Courier, too, so you may use it, but I implore you, do not get any wackier than that. If you write screenplays, you may ONLY use Courier. Most screenplay agents will not read even the first page of a script in another typeface — which means that most contest judges will follow suit.

There are a few agents out there who have their own font preferences, so do check their websites and/or listings in the standard agency guides. As ever, the golden rule of dealing with an agent you want to represent you is GIVE ‘EM PRECISELY WHAT THEY ASK TO SEE, not what you would like them to see.

If you are a writer who likes to have different voices presented in different typefaces, or who chooses boldface for emphasis, a submission is not a forum where you can express those preferences freely. Yes, one sees this in a published book occasionally, but I assure you, the choice to indulge in these formatting differences was the editor’s, not the author’s.

Sorry. (See my earlier disclaimer about proprietorship of the universe.)

To forestall the usual question someone brings up at this point: yes, most published books ARE in typefaces other than Times or Courier, but at the risk of repeating myself, MANUSCRIPTS AND PUBLISHED BOOKS AREN’T SUPPOSED TO LOOK THE SAME. Typeface decisions for published books are made by the publishing house, not the author.

Although if you’re very nice, they may listen to your suggestions. They might giggle a little, but they might listen. Ditto with the cover and the title, which are — brace yourselves — almost never under the author’s control.

Why? Good question — because these are considered matters of packaging and marketing, not content.

All of which begs the question, of course: why do they give us so many typefaces from which to choose, if we’re not supposed to use them? Answer: because the people who make word processing programs are not the same people who decide what books get published in North America. Which is why, in case you’re wondering, what Microsoft Word means by word count and what the average agent or editor does are not typically the same thing.

More conference lore: learning the difference between a kind soul, a helping hand, and a career-long commitment

Since most of the faux pas writers tend to make at conferences are simple matters of not being aware of the unwritten rules of the industry, this weekend I have been taking break from my ongoing series on pitching and querying to re-run excerpts from some conference-related older posts on how not to run afoul of agents and editors.

Okay, so I’ve punched them up a little. Also, these little homilies may be a touch on the depressing side, since my fictional exemplars do EVERYTHING wrong, but hey, better them than you, right?

Today’s drama concerns that ubiquitious conference misapprehension: not being versed enough in the ways of publishing folk to tell the difference between a nice conversation at a conference, an offer of help, and the beginning of a beautiful friendship. Sometimes, they can look awfully similar. But as the international relations folks say, where you stand depends on where you sit.

Enjoy! Tomorrow, we’ll dive into the meaty subject of what to do if a real, live agent or editor asks you to send materials — other than celebrate, of course.

Yesterday, as part of my ongoing series on how to recognize and avoid common faux pas writers make in their initial encounters with agents, I introduced exemplar Lorenzo, an intrepid soul who believed that arguing with the agent who rejected him would cause her to change her mind and take him on as a client. Instead, he merely impressed her as an ill-mannered boor and unprofessional writer who could not deal with rejection well.

Um, bad idea.

In an industry where even ultimately very successful books are often rejected dozens of times before being picked up by an editor or publishing house, that latter quality is NOT one any agent is likely to be eager to embrace in a client. Because, contrary to common expectation amongst the pre-agented, those of us lucky enough to have signed with someone terrific tend to spend a LOT of time gnawing on our nails, waiting for the phone to ring.

(Yes, it IS a lot like dating in high school. Sorry to be the one to break that to you.)

A writer does not necessarily need to go over the top to bug an agent with over-persistence. Sometimes, the trick is knowing when to stop following up. Take, for example, the case of Mina:

Blurry boundary scenario 3: After several years of unsuccessful querying, Mina goes to her first writers’ conference. There, her learning curve is sharp: much to her astonishment, she learns that the ostensibly tried-and-true querying and submission techniques she had been using are seriously out of date; as a result, her submissions may not even have been read for more than a paragraph or two before being rejected.

“What?!?” she scrawls all over the conference program. “Why didn’t anyone mention this possibility before? I had thought that they were reading every syllable twice before rejecting me!

Like many writers when first faced with an accurate realization of just how hard it is to land an agent, Mina reacts with depression. Fortunately, she has made friends with a couple of more experienced writers at the conference, one of whom introduces her over drinks to Simon & Schuster editor Maxine.

After having spent many, many years trolling for clients at conferences, Maxine instantly recognizes the source of Mina’s despair, and takes the time to speak to her encouragingly. At the end of their chat, seeing that Mina is still a little blue, Maxine hands her a card and tells her to go ahead and send the first chapter of her novel.

For the rest of the conference, Mina chatters excitedly about her new friend Maxine. (To Lorenzo, as it happens, but he is too busy talking about Loretta to hear her.) Since they clicked so well, Mina reasons, there doesn’t seem to be all that much point in pitching to anyone else, but hey, she paid for those appointments, so she goes ahead and pitches to a couple of agents and an editor. Two of the three ask for pages.

Mina is feeling terrific about herself and her work — but as soon as the conference is over, when she sits down again to pull together her post-pitching packets, her former depression returns, even more strongly. Why even try, she wonders, when she now knows that it’s so easy to get rejected?

So she seeks out the help that worked before: she sends a friendly, chatty e-mail to her new buddy. Maxine never replies. Wondering what went wrong, Mina tries again — and again, no response.

Mina is shattered, deciding that since Maxine’s friendliness had obviously been a sham, she must also have been utterly insincere in her request for pages. But wait — since Maxine was so much nicer than everybody else, and she turned out not to want the pages, doesn’t that mean that the other agents and editors who requested submissions wanted it even less? Why bother?

Having talked herself out of the possibility of ever succeeding, Mina ultimately never sends out any packets at all.

Okay, what did Mina do wrong?

She made that oh-so-common conference mistake: like Lauren and Lorenzo, she did not understand that a nice conversation at a conference is just a nice conversation at a conference, not necessarily the beginning of a lifelong friendship.

Nor was a lack of effusiveness an indication that the other agents were not going to read her work carefully — the behavior of one person, however well connected in the industry, is just the behavior of one person.

Yet, like about 40% of writers asked at conferences to submit materials, Mina managed to convince herself that she shouldn’t bother to place her ego on the line further: it was easier to decide instead that all of these people were too mean, too self-centered, too hostile to writers, etc.

But this train of thought (which is a common one, unfortunately) followed Maxine’s non-response, rather than prompted it. So what was Mina’s INITIAL mistake?

If you shouted out that it was not knowing Simon & Schuster’s policy on picking up unagented authors, give yourself partial marks: being aware of that would have helped her here. But Mina’s primary mistake was not so much a professional lapse in judgment as an interpersonal one: she mistook someone in the industry’s being nice to her as an invitation to take advantage of similar kindness in the future.

This, I assure you, happens ALL the time, not only to agents and editors, but to anyone who speaks at conferences, teaches writing classes, publishes a book, or even — I must say it — writes a reasonably informative blog.

Doubt this? Okay, the next time you’re at a conference, wander into the bar that’s never more than 100 yards away, stand on a chair, and offer to buy a drink for anyone in the industry who will tell you about the time that some aspiring writer mistook friendliness for a commitment. You may well go bankrupt before you run out of takers.

The sad part is, from the writer’s perspective, it almost always begins fairly innocuously: after an initial contact, a writer will e-mail or call with a question. Then e-mail or call again — and again, and again, until soon, it starts to look to the industry professional as though the writer is inventing excuses for contact, for precisely the same reason Mina did: to try to evoke a human response from an industry that from the outside appears monolithic, cold, and hostile to new writers.

That’s nonsense, of course: the industy’s not monolithic; it’s polychromatically cold and hostile.

From the encroaching writer’s POV, of course, the progression of contact doesn’t look out of line at all, right? Mina just thinks that she has a friend on the inside who can help her retain hope; most of the time, writers who e-mail or call speakers at conferences have legitimate questions.

But it’s a slippery slope: there’s a big difference between calling on a resource person who is happy to help out with the occasional quick question, starting to regard that person as one’s FIRST stop for any publishing-related question — and e-mailing four times a day simply because one enjoys having contact with someone in the industry.

All of the above are real examples, by the way, and all have happened many times to every conference speaker I know.

By all means, seek expert advice, but tread lightly: remember, by definition, people involved in the publishing industry are trying to make a living at it — and as my agent keeps hinting, no one has ever made a living dispensing free advice.

Except Dear Abby.

“Wait just a minute!” a protesting cry emerges from cyberspace. “Maxine gave Mina her card! Why would she do that, if not to encourage future contact?”

For precisely the reason Maxine said: so Mina could send the first chapter to her.

While handing over a card may well have seemed like the heavens opening and St. Peter reaching out his staff to a writer who has been buffeted for a long time by rejection, it was actually a fairly low-commitment (and certainly low-effort) thing for Maxine to do. Simon & Schuster, like all of the major US publishers, has an absolute policy against picking up unagented writers: even if Maxine fell in love with Mina’s work at the first paragraph, the best assistance she could have offered would be a recommendation to an agent, not a publication contract.

In that case, what was so wrong with Mina dropping a friendly line?

Well, as I hope any long-time reader of this blog now parrots in her sleep, there is NOTHING that people in the industry hate more than having a nanosecond of their time wasted. So extraneous e-mails, letters (beyond queries, cover letters for requested materials, and perhaps a simple thank-you note), and virtually any phone call that is not initiated by the agent are all regarded as symptoms of unprofessionalism in a writer.

Why is that a bad thing, in a writer marketing a first book? Well, agents are pretty tenacious of their time, and a neophyte, by definition, is going to have a lot of questions to ask.

That’s fine, if they’re intelligent, thoughtful questions — but the next time you’re at a conference, ask any agent you happen to meet for a definition of their nightmare client, and I can assure you that it will include a shuddering reference to someone who contacts them so often that they can’t get on with their work.

Is it unfair for Maxine to assume that Mina is one of these fearsome types based upon a single chatty e-mail? Probably. But Mina made one other mistake: she sent the e-mail INSTEAD of mailing (or e-mailing) off the chapter Maxine requested.

Even if she requested it only to be nice (as seems probable here), a professional request is a professional request; by not complying with it, Mina announced to Maxine as effectively as if she had used it as the subject line of her e-mail that she’s not industry-savvy enough to be likely to break into the industry very soon. So, professionally speaking, Maxine would lose nothing by brushing her off.

Beggars, the old adage goes, can’t be choosers, and aspiring writers, as we all know to our cost, cannot set the terms of engagement with prospective agents. Sometimes, perhaps even most of the time, these terms are unfair; certainly, agents have set the rules to their own advantage.

Which means, perversely, that there is a fail-safe fallback rule governing your interactions with them: let the agent determine the level of intimacy between you.

Within reason, of course. Obviously, it makes sense for you to take the initiative to pitch and query your work; equally obviously, it is to your advantage to send out your work promptly after it is requested.

Perhaps less obviously, it behooves you to follow up if an agent has sat on a project of yours too long without responding.

Beyond that, however, let the agent set the pace of your progressing relationship. Save the chatty e-mails for after she has started to send them to you; call only after she has established that she welcomes your calls. And keep the contact professionally courteous until you have solid, ongoing evidence that your agent regards you as a friend as well.

Trust me on this one: agents are not typically shy people; habitual reticence would be a serious professional impediment. If an agent has decided to make you a lifelong friend, she’s going to let you know about it.

Keep your chins up, everybody, and keep up the good work!

More conference lore: some of the more common faux pas made innocently, or, does this boundary look blurry to you?

As I mentioned earlier in the week, I’m taking this weekend off from posting, partially to gear up for next week’s series on how to pull together a submission packet, partially because the weather is REALLY nice outside at the moment, and partially because I’ve been simply heaping the blog with information over the last few weeks. Thought you might like a bit of a breather.

While we’re on the entrancing subjects of conferences and conference pitching, I thought it might be a good time to re-run a couple of applicable posts from my ever-popular Industry Faux Pas series (collected under the less-judgmentally-titled INDUSTRY ETIQUETTE category on the list at right). The manners expected of an aspiring writer at such events are not always intuitively apparent, after all.

Why darken a perfectly pleasant weekend day with this? Well, most of the faux pas writers tend to make at conferences are simple matters of not being aware of the rules of the game. Better that my fictional exemplars make these mistakes than my readers, I say.

Think of it as educational soap opera.

Today’s little dramas are excerpted from three of my earlier posts, combined because all deal with the differential between what writers often expect to happen at a literary conference (meet the perfect agent instantly, get signed within the hour, sell the book within the week, Oprah and literary luncheons within the year) and what actually occurs.

Our first heroine falls prey to an extremely common impulse amongst pitchers and queriers, to tell the agent or editor all about the difficulties the book has met so far on the road to publication. While the impulse is certainly understandable, to the pros, such a litany tends to make the book seem, at best, less marketable than it would have seemed without such a recital.

But let’s allow her to speak for herself, eh? Enjoy!

Yesterday, I switched gears a little in my ongoing series on common faux pas writers inadvertently commit, infractions of industry etiquette the eager often stumble into without realizing. I had intended, from here on out, to talk about only what you should do, rather than what you shouldn’t. However, since conference season is coming up, with its concomitant pitching opportunities, I thought it would be a good idea to follow Norbert’s example from yesterday with another unfortunately pervasive conference misstep.

This next example is the one that most consistently breaks my heart, because it is almost always merely a side effect of the nervousness most writers feel the first few times they pitch their work — and, as such, seems to me disproportionately frowned-upon in the industry. This is the one that prompted me to establish the Pitch Practicing Palace, actually, because so very many first-time pitchers do it. Case in point.

Misguided approach 2: Olive has been querying her excellent first novel unsuccessfully for some years. Having read that it is easier to make contact with an agent at a literary conference than through cold querying (which is quite true, generally speaking), she plunks down a significant amount of cash to attend a major regional conference.

Once there, however, she becomes intimidated by both the enormity of pitching her beloved novel to a powerful stranger and the sheer number of confident-seeming writers around her, all geared up to pitch successfully. Since she knows no one there, she does not have an opportunity to talk through her fears before her appointment; she walks into her pitch meeting with agent Osprey shaking visibly.

Osprey is a nice enough guy to see that she is nervous, so he does his best not to be any more intimidating than their relative positions dictate. He shakes Olive’s hand, offers her a seat, and asks, not unreasonably, “So, what is your book about?”

His kindness is the last blow to her already tenuous composure. Staring down at the tabletop between her and the agent of her dreams, Olive is horrified to hear herself begin to babble not about the book, but about how difficult it has been to try to find a home for it. About her years of querying. About her frantic total revisions of the book after every 20th rejection or so. About how she has gotten to the submission stage a few times, but was never given any reason why her book was rejected — so when she sat down to revise again, she was doing it essentially in the dark.

She has become, in fact, the complete anti-salesperson for her book. Every so often, Osprey tries to steer her back toward the book’s content and why it would appeal to her target audience, but by now, it feels so good to talk to someone, anyone, in the industry about how hard it’s been for her that she just can’t stop. Her every third sentence seems to begin, “Well, you probably wouldn’t be interested, because…”

After awhile, Osprey stops asking questions, letting her ramble. When she finally works up nerve to glance up at his face, her throat contracts: his eyes are distinctly glazed over, as though he were thinking about something else. At that point, all Olive wants to do is run away.

“So,” Osprey says, making a note on a paper before him behind a defensive arm. “What is your book actually about?”

This situation is so sad that I hesitate to ask this, but what did Olive do wrong? Not from a writer’s point of view, but from Osprey’s?

From a writer’s POV, of course, her problem was lack of confidence that led Olive to go off on a tangent unrelated to her pitch, right? But Osprey is an agent well used to dealing with nervous pitchers: her fear alone would not necessarily have put him off.

Her real mistake was telling him — indirectly, of course — that she would be hard to help.

How? By not telling him what the book was. What book category, at what target market it aimed, who the characters are, what the premise is. What the book is ABOUT. Essentially, by airing her fears of rejection at such great length, Olive turned the pitch meeting into a guessing game for Osprey.

Translation: she made it clear to Osprey that if he wanted to hear about her book project — which is, ostensibly, the primary reason they are having this conversation at all — he was going to have to invest quite a bit of energy in drawing the book out of her. Sad but true. Even sadder, Osprey never got an opportunity to hear about Olive’s book, which is actually very well written.

(Omniscient narrators know hidden facts like this, you see.)

Try not to judge Olive too harshly — she fell into a very common panic spiral. It may seem odd to those of you who have never pitched your work verbally, but in the moment, it’s amazingly common for pitchers to take five or ten minutes to calm down before they are able to talk about the book at all. This is why every conference guide ever printed will tell you to prepare your pitch in advance: so you actually talk about the book.

Advance preparation can substantially reduce the probability of falling into a panic spiral — or into the other form Olive’s faux pas often takes (I am re-using Olive here, to give her a happier lifepath):

Misguided approach 3: Olive has brought her excellent novel to pitch to agent Osprey. He shakes her hand, offers her a seat, and asks, “So,” he checks his schedule here, “Olive, tell me what your book is about?”

Delighted by his interest, Olive tells him her title, then proceeds to tell him the entire plot of the book, beginning on page 1. Ten minutes later, she has reached the end of Chapter 4.

Osprey looks shell-shocked, but that might just be effects of the day’s cumulative pitch fatigue. “Um, that sounds very interesting,” he says, standing to lead her back to the appointment desk, “but a trifle complicated for us.”

This version of Olive reached the same result — convincing Osprey that she would be hard to help — by completely opposite means. By presenting a kitchen-sink pitch, replicating the entire storyline rather than concentrating on the primary themes of the book, Olive told Osprey — again, indirectly — that he would need to put in a lot of effort to make her work market-worthy.

In other words, by prepping your pitch in advance (and don’t worry; I’ll do a nice, juicy series on how to do that between now and conference season), you are telling the agent to whom you pitch, “Here I am, making it as easy as humanly possible to help me. I am more than prepared to meet you halfway, and together, let’s walk the path to publication.”

Anne in the present again here. Sort of disorienting, isn’t it, to think of it that way?

Okay, let’s move on to a couple of other exemplars of misfortune.

I’ve been writing for the last couple of weeks about the ways in which writers often overstep the bounds of what the publishing industry considers courtesy, and for the most part, I’ve been concentrating on simple differentials of expectation: the pro expects one standard of behavior, and the hopeful petitioner another. Sometimes, though, the depth of the writer’s desire to be published leads to a total disregard of boundaries — which, in turn, leads the industry professional the writer is pursuing to back away quickly.

Much of the time, the boundary-blurred writer does not overstep; she merely assumes that her project is of greater importance to the pro than is actually the case. If she doesn’t transgress the expected norms of behavior, this mistaken belief will harms the writer only emotionally, not professionally, as in the case of Lauren:

Blurry boundary scenario 1: After working tirelessly on her novel to make sure it was ready for conference season, Lauren lugs it to a conference. During the agents’ forum, she is delighted to hear Loretta, the agent to whom she has been assigned for a pitch appointment, wax poetic about her great love of writers and good writing. In fact, of the agents on the panel, she sounds like the only one who regards her job as the promotion of art, rather than finding marketable work and selling it. This, Lauren decides, is the perfect agent for her book.

Since she has only pitched a couple of times before, Lauren takes advantage of the Pitch Practicing Palace, where she works on her pitch with someone who looks suspiciously like yours truly. After having worked the major kinks out of her pitch, my doppelganger asks to whom Lauren intends to pitch it.

“Oh,” Lauren says happily, “I have an appointment with Loretta.”

My apparent twin frowns briefly. “Are you planning to pitch to anyone else? As far as I know, she has not picked up any clients at this conference in years, and she very seldom represents first-time writers. She writes really supportive rejection letters, though.”

Lauren shrugs and walks off to her appointment with Loretta. Her pitch goes well; the agent seems genuinely interested in her work, saying many encouraging things about the novel. Even better, she seems genuinely interested in Lauren as a writer and as a person; they seem to click, and are soon chatting away like old friends. Loretta asks to see the first 50 pages of the novel.

Walking on air, Lauren decides that since she’s made such a good personal connection with Loretta, she does not need to pitch to anyone else. Obviously, she thinks, the agent would not have been so encouraging unless she were already more or less decided to take on the book.

The second she returns home, Lauren prints up and ships off her first 50, along with an effusively thankful cover letter. Three weeks later, her SASE returns in the mail, accompanied by a very supportive rejection letter from Loretta.

What did Lauren do wrong?

Actually, not much: she merely responded to her meeting with Loretta based upon her hopes, not upon solid research. Lauren should have checked before making the appointment (or asked Loretta during the agents’ forum) how many debut novels she had sold lately (in this case, none), and how recently she had picked up a new writer at a conference. Even if she did not have the time to do the necessary background research, since the Pitch Practicing Palace lady had raised the issue, Lauren should have asked around at the conference.

If she had, she might have learned that Loretta had been attending the conference for years without picking up any new clients at all. Unfortunately, there are agents — and prominent ones — who attend conferences regularly, being charming and supportive to every writer they meet, but without seriously intending to sign anyone at all.

Unless, of course, the next DA VINCI CODE falls into their laps. Then, they might make an exception.

While this attitude is not in itself an actionable offense — I would be the last to decry any agent’s being nice to any aspiring writer — it has roughly the same effect on the hooking-up expectations of conference attendees as a mysterious young man’s walking into a Jane Austen novel without mentioning that he is secretly engaged: the local maidens may well fall in love with him without knowing that he is attached.

And who can blame Lauren for falling in love with Loretta, professionally speaking? The absolute demands of the industry can be so overwhelming at the agent-seeking stage that when that slammed door opens even a chink, it is tempting to fling oneself bodily at it, clinging to any agent, editor, or author who so much as tosses a kindly smile in the direction of the struggling.

That being said, though, a nice conversation at a conference does NOT a commitment make. A writer is a free agent until a representation contract is signed, and there are agents out there who feel it’s their duty to be nice to aspiring writers. It’s very, very common for writers to interpret this as something more than it is.

So what should Lauren have done differently? Even if she hadn’t done her background research, she should have kept on pitching her book to others. Even if Loretta HAD actually wanted to sign her on the spot, no reputable agent is going to made a decision about representation without reading the book in question. Lauren should not have relied so heavily upon her — as it turned out, false — first impressions of her. Nice interpersonal contact may help nudge an agent toward offering a likeable writer a contract, but ultimately, no experienced agent would make such an offer upon a conversation, or even a verbal pitch, alone.

I’ve said it before, and I’ll no doubt say it again: no matter what pitching experts, including myself, tell you, a pitch alone is NEVER enough to sell a book to an agent or editor, no matter how good it is. The writing always needs to fulfill the promise of the pitch; the pitch merely opens the door to a favorable reading.

And, realistically, Loretta did not expect exclusivity from Lauren, so there is no chance whatsoever that she would have been offended had Lauren pitched to every agent at the conference. Long-time readers, chant with me now: if an agent wants an exclusive, she will ask for it.

Learn from Lauren’s example: it should take more than a few kind words to make you lose your heart — and your valuable pitching opportunities — to an agent. Don’t act as if you are going steady until your signature has dried upon a representation contract.

To give Lauren her props: she was awfully well-behaved about it all, and thus did not offend agent Loretta with her misconceptions. For the sake of argument, let’s meet another of Loretta’s pitch appointments, Lauren’s twin brother Lorenzo, to see how someone less knowledgeable about industry norms might have responded to the same situation:

Blurry boundary scenario 2: Lorenzo attends the same conference as his sister, and like Lauren, has an almost unbelievably positive pitch meeting with agent Loretta. Pleased, he too stops pitching, boasting in the bar that is inevitably located no more than 100 yards from ground zero at any writers’ conference that he has found the agent of his dreams. From here on in, he has it made.

So, naturally, Lorenzo goes home, spends the usual panicked week or two frantically revising his novel, and sends it off to Loretta. Like Lauren, he too receives a beautifully sympathetic rejection letter a few weeks later, detailing what Loretta feels are the weaknesses of the manuscript.

Unlike Lauren, however, Lorenzo unwisely picked conference week in order to go off his anti-anxiety medication. His self-confidence suffers a serious meltdown, and in order to save his ego from sinking altogether, he is inspired to fight back. So he sits down and writes Loretta a lengthy e-mail, arguing with her about the merits of his manuscript.

Much to his surprise, she does not respond.

He sends it again, suitably embellished with reproaches for not having replied to his last, and attaching an article about how the publishing industry rejected some major bestseller 27 times before it was picked up.

Still no answer.

Perplexed and angry, Lorenzo alters his first 50 pages as Loretta advised, scrawls REQUESTED MATERIALS on the outside of the envelope, as he had the first time, and sends it off.

Within days, the manuscript is returned to him, accompanied by a curt note stating that it is the practice of Loretta’s agency not to accept unrequested submissions from previously unpublished authors. If Lorenzo would like to query…

Okay, what did Lorenzo do wrong? Where do we even start?

Let’s run through this chronologically, shall we? First, he made all of the same mistakes as Lauren did: he did not check Loretta’s track record for taking on previously unpublished writers, assumed that a nice conference conversation automatically meant a lasting connection, and did not keep pitching. Had he stopped there, he would have been a much happier camper.

But no, our Lorenzo pressed ahead: he decided to contest with Loretta’s decision, adopting the always people-pleasing strategy of questioning her literary judgment. In order to insult her knowledge of the book-buying public more thoroughly, his follow-up included an article implying that no one in the industry knew a book from the proverbial hole in the ground.

Bad move, L. Arguing with an agent’s decision, unless you are already signed with that agent, is always a bad idea. Even if you’re right. Perhaps even especially if you’re right, because agents’ egos tend to get bruised easily.

More to the point, arguing with rejection is not going to turn it into acceptance. Ever. At the agent-seeking stage, this strategy has literally never worked. All it does is impress the agent (or, more likely, her screeners) with the fact that the writer in question is not professional enough to handle rejection well.

And that, my friends, is not an impression at all likely to engender a sympathetic re-read.

I’m sure, however, that you’re all too savvy to follow in Lorenzo’s footsteps, aren’t you? You would never be so blunt, I’m sure, nor would you ever be so dishonest as to write REQUESTED MATERIALS on materials that had not, in fact, been requested. (Since Loretta had not asked Lorenzo to revise and resubmit, her request ended when she stuffed his initial 50 pages into his SASE.)

However, a writer does not necessarily need to go over the top right away to bug an agent with over-persistence. Give some thought to how you can present yourself as easy for an agent to help.

Anne in the present again. The moral, if you’ll forgive my pounding it with a hammer: it is ALWAYS in a writer’s best interest to pitch or query to more than one agent at a time. Always, always, always.

Building block of the pitch #9: stacking all of those pieces together to construct the pitch proper

Yesterday, perhaps unwisely, I introduced those of you new to pitching appointments to the unique joys and stresses of a garden-variety pitching room. Why did I do such a thing? Well, I think it’s important that first-time pitchers are aware what the environment into which they will be stepping is like.

Why, you ask again? Because we writers — c’mon, admit it — have an unparalleled gift for freaking ourselves out by imagining all kinds of strange things waiting for us on the other side of the pitching table. Like, for instance, a pitch meeting’s rocketing us to instant fame within the week, or an agent who says, “I hate your plot AND your tie!”

Please believe me when I say that in years and years and years of attending conferences as both would-be pitcher and presenter, I have not even heard of either of these extremes coming true in real life. Honest.

As I MAY have hinted a few times over the last couple of weeks, adhering to the common fantasies about what can happen in such meetings both raise expectations and increase fright. Knowledge really is power, at least in this instance. By learning what to expect, you can prepare more effectively — and psych yourself out less in the process.

All of which is to say: if the prospect of pitch preparation appalls you, take heart, my friends — if you have been following this series step by step and doing your homework, you already have almost all of the constituent parts of a persuasive formal pitch constructed.

How is that possible, you cry? Well, for starters, you’ve already wrestled some of the most basic fears most writers harbor about pitching until they lay panting (June 20, 21, 24l July 6 and 9), gone over how to narrow down your book’s category (June 26-27), figured out who your target market is (June 27-28), brainstormed selling points for your book (June 29-July 1) and a platform for you (June 19, July 1, July 6), and constructed a snappy keynote statement (July 1-2). We’ve seen how to introduce ourselves and our work with the magic first 100 words (July 2), to keep it pithy with the elevator speech (July 3-6), and to take advantage of the happy accidents chance may provide with a hallway pitch (July 7-8).

Today, with all that under your proverbial belt, we’re going to begin to pull it all together into a two-pronged strategy for a stellar formal pitch: first, you’re going to impress ’em by your professionalism, then you’re gonna wow ’em with your storytelling ability.

Piece o’ cake, right?

Actually, it’s a heck of a lot easier than it sounds, once you understand what a formal pitch is and what you’re trying to achieve with it. To that end, I’m going to let you in on a little trade secret that almost always seems to get lost in discussions of how to pitch: contrary to popular opinion, a formal pitch is NOT just a few sentences about the premise of a book, nor is it a summary of the plot, or even a statement of what the platform is for a NF books.

A formal book pitch is A MARKETING SPEECH, designed not only to show what your book is about, but also precisely how and why it is MARKETABLE.

Once you understand this — and once you accept that, within a publishing context, your book is not merely your baby or a work of art, but a PRODUCT that you are asking people who SELL THINGS FOR A LIVING to MARKET FOR YOU — an agent or editor’s response to your pitch is a much, much less frightening moment to contemplate. It’s not an all-or-nothing referendum on your worth as a writer or as a human being, but a PROFESSIONAL SELLER OF WRITING’s response to a proposed BOOK CONCEPT.

Regardless of whether the agent liked your tie or not.

What a formal pitch can and should be, then, is the extraordinary opportunity of having an agent or editor’s undivided attention for ten minutes in order to discuss how best to market your work. For this discussion to be fruitful, it is very helpful if you can describe your work in the same terms the industry would.

Why, what a coincidence: if you will be so kind as to cast your eye back over my breakdown of this series above, you will see that you have already defined your work in those terms.

Really, you’re almost there. If it came right down to it, you could construct a quite professional short pitch from these elements alone.

Oh, wait, here is another remarkable coincidence: you already have. It’s called your hallway pitch (July 7-8), which I sincerely hope that those of you who are imminently conference-bound have already begun practicing on everyone you meet.

Out comes the broken record again: it takes lots of repetition to get used to hearing yourself talking about your work like a pro, rather than like a writer talking to other writers. When we’re in creative mode, we speak amongst ourselves about our hopes, fears, and difficulties — entirely appropriate, because who else is going to understand your travails better than another writer?

But when we’re in marketing mode, as in a formal pitch meeting, it’s time to put aside those complicated and fascinating aspects of the creative process, and talk about the book in terms the non-creative business side of the industry can understand.

It’s time, to put it bluntly, to speak of your book as a commodity that you might conceivably want someone to buy.

Recognizing that is not the first sign of selling out, as so many aspiring writers seem to believe: it’s a necessary step along the undiscovered (and unpaid) artist’s road to fame, fortune, and large readerships. Or even small ones.

My point is, walking into a conference believing that agencies and publishing houses are primarily institutions devoted to the charitable promotion of good art tends to lead to poor pitching. A savvy pitcher understands that good marketing and good art can are not natural enemies.

How might one go about satisfying the demands of both in a formal pitch meeting? I’m so glad you asked. I feel a theoretical structure about to emerge.

Step I: First, you would begin with the magic first hundred words:

“Hi, I’m (YOUR NAME), and I write (BOOK CATEGORY). My latest project, (TITLE), is geared toward (TARGET MARKET). See how it grabs you: (KEYNOTE).”

As in a query letter, if you can work in a flattering reference to a specific past project upon which the agent or editor has labored, even if it’s not in your genre, just after your name is a great place to do it. As in,

“Hi, my name is J.K. Rowling, and I got so excited when you said on the agents’ panel earlier that you are looking for YA books where children solve their problems without adult information! That sounds like a jacket blurb for my novel. My latest project, HARRY POTTER AND THE SORCERER’S STONE is middle-grade fiction aimed at kids who feel like outsiders. See how it grabs you…”

If you are pitching nonfiction, this is the step where you will want to mention your platform. For example,

“Hi, my name is Bill Clinton, and I used to be President of the United States. I write political books, buidling upon that expertise. My latest project…”

Step II: After you finish Step I, with nary a pause for breath, you would launch into an extended version of your elevator speech, one that introduces the protagonist, shows the essential conflict, and gives a sense of the dramatic arc. The resulting equation would look like this:

“(Protagonist) is in (interesting situation).” + about a 1-minute overview of the book’s primary conflicts or focus, using vivid and memorable imagery.

Again, do NOT tell the entire plot: your goal here, remember, is to get your hearer to ask to read the book you’re pitching, not to convey the plot in such detail that your hearer feels he’s already read it.

Remember, make sure to identify your protagonist — by name, never as “my protagonist” — in the first line. It’s substantially easier for a hearer to identify with a named character than an amorphous one. Introduce her as an active struggler in the conflict, rather than a passive victim of it.

Step III: Then, to tie it all together, you would give the agent or editor a brief explanation of why this book will sell to your intended readership.

If you have demographic information about that target market, or a comparison to a similar book released within the last five years that has sold very well, this is the time to mention it:

“I’m excited about this project, because of its (SELLING POINTS). Currently, there are # (TARGET MARKET members) in the United States, and this book will appeal to them because (more SELLING POINTS).”

And that, my friends, is how I like to give a pitch. Again, my method is a trifle unusual, a little offbeat structurally, but in my experience, it works. It sounds professional, while at the same time conveying both your enthusiasm for the project and a sense of how precisely the worldview of your book is unique.

Now, you could manage those three steps in two minutes, right?

Of course you could: with aplomb, with dignity. Because, really, all you are doing here is talking about the work you love, telling your favorite story, in the language that agents and editors speak.

It’s perfectly all right to walk into a meeting with these steps written on an index card or piece of paper; if you remember to look up occasionally, no one will fault you for reading your pitch, rather than blurting it out from memory. That way, you will be sure to hit all of those important points.

And to include each and every memorable detail.

One last thing, then I shall let you run off to ponder what details you would like to append to your elevator speech to render it even more memorable:

Step IV: once you have gone through all of the steps above, SHUT UP and let your hearer get a word in edgewise.

Most pitchers forget this important rule, rambling on and on, even after they have reached the end of their prepared material. Or even after the agent or editor has said, “Great; send me the first chapter.”

Don’t keep trying to sell your book; it won’t help your case. It’s only polite to allow the agent to respond, to be enthusiastic.

It’s in your self-interest, you know. If even you’re going to hand your listener a cliffhanger worthy of the old Flash Gordon radio serials, it is likely to fall flat if you don’t leave time for your listener to cry, “But what happened NEXT?”

A good storyteller always leaves her audience wanting more — and a good salesperson knows when to take yes for an answer.

Most of us have been turned off by a too-hard sell in other contexts, right? If your primary concern in choosing a vehicle is the gas mileage, you’re going to start to feel impatient if the car dealer keeps rattling off details about how many bags of groceries you could fit in the trunk.

Besides, by rambling, you’ll be missing out on a golden opportunity to demonstrate what a good listener you are. Remember, you’re not only trying to convince the agent or editor that your book is well-written and interesting — you’re also, if you’re smart (and I know you are), attempting to convey that you’d be an absolute dream to work with if they signed you.

I don’t know why this point so seldom comes up in pitching classes or in agent and editor Q&As at conferences, but being a considerate, careful listener is a definite selling point for a writer. So is the ability to ask thoughtful questions and an understanding that agents and editors in fact have jobs that are extraordinarily difficult to do well.

Treating them with respect during your pitch session will go a long way toward demonstrating that you have been working those delightful skills.

Why, there’s yet another coincidence: if you’ve been following this series from the very beginning, you have been building the knowledge base to handle your pitch encounters as professional meetings, not as Hail Mary shots at a nearly impossible target to hit. You’ve done your homework about the people to whom you are intending to pitch (or query), so you may speak to them intelligently about their work; you have performed a little market research, so you may discuss your target market and sales trends for your type of book; you have figured out why people out there will want to buy your book and no other.

Okay, you’ve caught me: I’ve been pursuing a dual agenda here. I’ve not only been helping you prepare to pitch, but I’ve been pushing you to develop the skills that will make you a great client for an agency and a wonderful writer for a publishing house.

Call me zany, but I like win-win outcomes.

Building block of the pitch #5: the magic first hundred words, or, as I like to think of it, the formula for urbanity

Okay, today is where this series starts to get exciting: if you’ve been following my lightning-fast posts for the past couple of weeks, and doing your homework, you have already constructed several significant building blocks of your pitch. (You’ve constructed quite a bit of a good query letter, too, but I’ll come back to that after I’ve run all the way through the pitching cycle.)

Really, you’re to be congratulated; you’re already far more prepared to market your work than 90% of the writers who slink into pitch meetings.

I’m quite serious about this. By now, you have faced some of the most basic fears most writers harbor about pitching (June 20, 21, 24), determined your book’s category (June 26-27), identified your target market and figured out how to describe it to folks in the industry (June 27-28), figured out what about it is fresh (June 19, July 1), come up with a few strong selling points (June 29-30), and developed a snappy keynote statement (July 1).

To put all that in terms of gaining fluency in a foreign language, you’ve already learned enough to order a meal in a fancy restaurant in Publishingland. By the end of the next couple of posts, you’re going to be able to chat with the waiter.

Impossible, you say? Read on.

Today, I’m going to show you how to pull all of the elements you’ve already constructed together into the first hundred words you say to anyone you meet at a writer’s conference. With these first hundred words, even the shyest, most reclusive writer can launch into a professional-sounding discussion with anyone in the publishing industry.

And I do mean ANYONE, be it an agent or editor to whom you are pitching, a writer who is sitting next to you in a class, or the person standing next to you while you are dunking your teabag in hot water, trying to wake up before the 8 a.m. agent and editor forum.

Nifty trick, eh?

Once again, I must add a disclaimer about my own tendency toward iconoclastism: this strategy is an invention of my own, because I flatly hate the fact that the rise of pitching has made it necessary for people whose best talent is expressing themselves at length and in writing to sell their work in short, verbal bursts. I feel that pitching unfairly penalizes the shy and the complex-minded, in addition to tending to sidestep the question that agents and editors most need to know about a brand-new writer: not can she speak, but can she write?

However, since we’re stuck with pitching and querying as our two means of landing agents, we need to make the best of it. But — as some of you MAY have figured out by now — I don’t believe that just telling writers to compress their lives’ work into three sentences is sufficient preparation for doing it successfully.

In fact, I think that encouraging writers to think that those three sentences are all that is needed to sell a book is short-sighted, inaccurate — and is an almost sure-fire recipe for ending up feeling tongue-tied and helpless in a pitching situation.

Over the years, I’ve watched hundreds and hundreds of stammering writers struggle to express themselves at conferences all over the country. Not just because pitching is genuinely hard, but also because they had blindly followed the pervasive pitching advice and prepared only three sentences — no more, no less — about their books.

Which left them with precisely nothing else to say about it, or at least nothing else that they had polished enough to roll smoothly off their tongues.

Seriously, this species of brain freeze happens all the time to good writers, squelching their big chance to make a connection with the right person to help their book to publication. Frequently, these poor souls forget even to introduce themselves prior to giving their official 3-line pitch; most of the time, they walk out of the pitch without having told the agent what kind of book it is.

Leaving the agent or editor understandably confused and frustrated, as you may well imagine.

The results, I’m afraid, are relatively predictable: a meeting that neither party can feel good about, and one that ends without a request to submit pages.

Frankly, I think it’s rather cruel to put well-meaning people in this position. There is certainly a place in the publishing industry for the three-sentence pitch — quite a significant place, about which I will tell you over the next few days — but there is information about you and your book that should logically be mentioned BEFORE those three sentences, so the agent or editor to whom you are pitching knows what the heck you are talking about.

In answer to that gigantic unspoken cry of, “What do you mean, I have to say something to an agent or editor BEFORE I pitch! I was told I had to prepare only three sentences, total, and I would be home free!” we all just heard, I can only reply: yes, yes, I know. But I have literally never seen a conference brochure that gave advice on what to say BEFORE a pitch.

The fact is, simple etiquette forbids charging up to a total stranger, even if you have an appointment with her, and blurting, “There’s this good actor who can’t get a job, so he puts on women’s clothing and auditions. Once he’s a popular actress, he falls in love with a woman who doesn’t know he’s a man.”

That’s a Hollywood-style pitch for Tootsie, by the way, a great story. But even if you run up to an agent and shout out the best pitch for the best story that ever dropped from human lips, the agent is going to wonder who the heck you are and why you have no manners.

Mastering the magic first hundred words will transform you from the Jerry Lewis of pitchers into the Cary Grant of same. Urbanity is key here, people: ideally, both pitcher and pitchee should feel at ease; observing the niceties is conducive to that.

And not just for reasons of style; I’m being practical. Trust me, in the many, many different social situations where a writer is expected to be able to speak coherently about her work, very few are conducive to coughing up three sentences completely out of context. There are social graces to be observed.

So take it away, Cary.

The goal of my first hundred words formula is to give you a lead-in to any conversation that you will have at a writer’s conference, or indeed, anywhere within the profession. Equipped with these magic words, you can feel confident introducing yourself to anyone, no matter how important or intimidating, because you will know that you are talking about your work in a professional manner.

Whetted your appetite yet? Ready to learn what they are? Here goes:

”Hi, I’m (YOUR NAME), and I write (BOOK CATEGORY). My latest project, (TITLE), is geared toward (TARGET MARKET). See how it grabs you: (KEYNOTE).”

Voilà! You are now equipped to start a conversation with anybody at any writing event in the English-speaking world.

These magic words — which, you will note, are NOT generic, but personalized for YOUR book — will introduce you and your work in the language used by the industry, establishing you right off the bat as someone to take seriously.

You’re welcome.

The beauty of the first hundred words formula (if I do say so myself) is its versatility. If you learn them by heart, you can walk into any pitching situation — be it a formal, 15-minute meeting with the agent of your dreams or a chance meeting at the dessert bar when you and an editor are reaching for the same miniature éclair — confident that you can comport yourself with ease and grace.

Why is so important to introduce yourself gracefully — and get to your point quickly? Well, agents and editors are (as I believe I may have mentioned seven or eight hundred times before) MAGNIFICENTLY busy people; they honestly do prefer to work with writers to whom they will not have to explain each and every nuance of the road to publication.

(That’s my job, right?)

It’s natural to be hesitant when approaching someone who could conceivably change your life. But think about what even a brief flare-up of shyness, modesty, or just plain insecurity at the moment of approach can look like from their perspective. By the time the average pitcher has gotten around to mentioning her book after several minutes of shilly-shallying, the agent in front of her has usually already mentally stamped her foreheads with “TIME-CONSUMING” in bright red letters.

Which means, in practical terms, that in any subsequent pitch, her book is going to have to sound amazing, rather than just good, for the agent to want to see it. And in a hallway encounter, she might not get to pitch at all.

By introducing yourself and your work in the lingua franca of the industry, however, you will immediately establish yourself as someone who has taken the time to learn the ropes. Believe me, they will appreciate it.

I’m sensing some insecurity out there, amn’t I? “But Anne,” I hear some of the more modest amongst you protest, “I DON’T know much about how publishing works. They’ll see through my false mask of confidence right away. And look — that agent has a knife! AHHHHHH!” (Sound of talented body thudding onto the ground.)

Would this be a good time to point out that the vast majority of aspiring writers radically overestimate how scary interacting with an agent or editor will be, building it up in their minds until it can seem downright life-threatening?

Which is, of course, ridiculous: in my experience, very few agents come to conferences armed. In their natural habitat, they will only attack writers if provoked, wounded, or very, very hungry.

Seriously, most genuinely like good writing and good writers; apart from a few sadists who get their jollies bullying the innocent, they’re not there to pick fights. A pitch, either in a formal or an informal context, is not an exercise in an agent or editor’s trying to trick an aspiring writer into making a career-destroying mistake. They come to these conferences to find talent.

They want to like you, honest.

But they will like you better if you meet them halfway. Let’s take another gander at those magic first hundred words, to see precisely how far they can bridge that gap:

”Hi, I’m (YOUR NAME), and I write (BOOK CATEGORY). My latest project, (TITLE), is geared toward (TARGET MARKET). See how it grabs you: (KEYNOTE).”

Believe me, to an agent or editor who has been listening to writers stammer helplessly all day, this simple speech will be downright refreshing. Quite apart from the content conveying what they actually want to KNOW — again, something of a rarity in a three-line pitch — the magic first hundred words also say:

”Hi, I’m a polite and professional writer who has taken the time to learn how you and your ilk describe books. I understand that in order to make a living, you need to be able to pitch good books to others, so I have been considerate enough to figure out both the BOOK CATEGORY and TARGET MARKET. Rather than assuming that you have no individual tastes, I am now going to run the premise by you: (KEYNOTE).”

What’s to see through? Over the past couple of weeks, you HAVE done all these things, right?

Practice your magic first hundred words until they flow out of your smoothly, without an initial pause. And not just in your mind: OUT LOUD, so you get used to hearing yourself say them. Only repetition will make them feel natural.

Which is a perfectly lovely reason not to save the magic first hundred words for the important folks at a conference, but to use them to introduce yourself to the writer standing ahead of you in the registration line. And the one behind you, as well as the people sitting around you at the first seminar on the first day.

In fact, it would be perfectly accurate to say that any writers’ conference anywhere in the world will be stuffed to capacity with people upon whom to practice this speech. Knock yourself out.

One caveat about using these words to meet other writers at a conference: they’re a great introduction, but do give the other party a chance to speak as well. It is accepted conference etiquette to ask the other party what HE writes before you start going on at too great length about your own work. So if you find that you have been speaking for more than a couple of minutes to a fellow writer, without hearing anyone’s voice but your own, make sure to stop yourself and ask what the other writer writes.

In this context, the very brevity of the first 100 words will ensure that you are being polite; if your new acquaintance is interested, he will ask for more details about your book.

I mention this, because it’s been my experience that writers, especially those attending their first conferences, tend to underestimate how much they will enjoy talking to another sympathetic soul about their work. It’s not at all unusual for a writer to realize with a shock that he’s been talking non-stop for twenty minutes.

Completely understandable, of course. We writers are, by definition, rather isolated creatures: we spend much of our time by ourselves, tapping away at a keyboard. Ours is one of the few professions where a touch of agoraphobia is actually a professional advantage, after all.

It can be very lonely — which is precisely why you’re going to want to use the magic first hundred words to introduce yourself to as many kindred souls as you possibly can at a conference. What better place to meet buddies to e-mail when you feel yourself starting to lose momentum? Where else are you more likely to find talented people eager to form a critique group?

Not to mention the distinct possibility that some of those people sitting next to you in seminars are going to be household names someday.

This is, in fact, an excellent place for a writer to find new friends who GET what it’s like to be a writer. And at that, let no one sneeze.

Let’s face it, most of our non-writing friends’ curiosity about what we’re DOING for all that time we’re shut up in our studios is limited to the occasional, “So, finished the novel yet?” and the extortion of a vague promise to sign a copy for them when it eventually comes out.

(Word to the wise: get out of the habit NOW of promising these people free copies of your future books: nowadays, authors get comparatively few free copies; you don’t want to end up paying for dozens of extra copies to fulfill all those vague past promises, do you?)

Back to my original point: at a writers’ conference, or even at a pitch meeting, the euphoria of meeting another human being who actually WANTS to hear about what you are writing, who is THRILLED to discuss the significant difficulties involved in finding time to write when you have a couple of small children scurrying around the house, who says fabulously encouraging things like, “Gee, that’s a great title!”

Well, let’s just say it’s easy to get carried away.

For the sake of the long-term friendships you can make at a conference, make sure you listen as much as you talk. For your conversational convenience, the magic first hundred words transform readily into questions about what concerns writers:

”Hi, what’s your name? What do you write? Who is your target audience? What’s your premise?

Senseing a theme here?

By all means, though, use your fellow conference attendees to get used to speaking your first hundred words — and your pitch, while you’re at it. It’s great practice, and it’s a good way to meet other writers working in your genre. Most writers are genuinely nice people — and wouldn’t it be great if, on the day your agent calls you to say she’s received a stellar offer for your first book, if you knew a dozen writers that you could call immediately, people who would UNDERSTAND what an achievement it was?

Trust me on this one: you don’t want to have to wonder whom to call when that happy day comes.

Practice, practice, practice those first hundred words, my friends, until they roll off your tongue with the ease of saying good morning to your co-workers. They’re going to be your security blanket when you’re nervous, and your calling card when you are not.

Starting tomorrow, we’ll be moving to the elevator speech (that’s those pesky three sentences we’ve all heard so much about), so do plan to take some time off from barbequing and watching fireworks to join us here.

Building Block of the Pitch #3, in which we begin to figure out PRECISELY why the world not only wants your book, but needs it

Welcome back to my series on building the toolkit to construct a stellar pitch — or a brilliant query letter, for that matter. As I may PERHAPS have intimated before, the essential skills a writer uses for creating each are, if not the same, at least closely related. Note that I called them skills, and not talents. Contrary to popular belief, success in marketing one’s work is not entirely reliant upon the quality of the writing; it’s also about professional presentation.

Which is, in fact, learned. As in any other business, there are ropes to learn.

I cannot stress this enough: pitching and querying well require skills that have little to do with talent. No baby, no matter how inherently gifted in finding la mot juste, has ever crawled out of the womb already informed by the celestial talent-handlers how to make her work appealing to the publishing industry, I assure you.

I wish this were a more widely-accepted truth on the conference circuit. Writers so often plunge into pitching or querying with sky-high hopes, only to have them dashed. But an unprofessional pitch or query letter is generally rejected on that basis, not necessarily upon the book concept or the quality of the writing. Until a book has been marketed properly, it’s virtually impossible to glean writing-related feedback from rejections at all.

So, onerous as it is, it truly behooves writers to start to think like marketers, at least for the few weeks immediately prior to attending a literary conference or sending out a flotilla of queries.

Today, I am — surprise, surprise — going to talk about something pitching classes very seldom address, identifying a book’s selling points. Over the next couple of days, we’re going to work on developing a list of selling points for the book to be pitched or queried.

Specifically, I’m going to ask you to prepare a page’s worth of single-sentence summaries of attributes (the book’s or yours personally) that make the book the best thing since the proverbial sliced bread.

And why bullet-pointed, rather than paragraphs? So you can retrieve precisely the piece of information you need at any given moment, without fumbling for it. Even if sweat is pouring down your face into your eyes and your heart is palpitating, you will be able to sound professional.

And that, my friends, is nothing at which to be sneezing.

Why am I encouraging you to do this? Because a really well-prepared list of selling points is like a really, really tiny press agent that can travel everywhere your manuscript goes. And whose book couldn’t benefit from that?

To be clear: this is not something you absolutely NEED to prepare before you pitch or query, but I think it’s a really, really good idea. But unless you happen to be pitching to my agent after having identified yourself as one of my blog’s readers, it’s unlikely to the point of hilarity that an agent is going to look at you expectantly as soon as you walk into the meeting and say, “Well? Where’s your list.

Even if you are not planning to pitch anytime soon, it is still worth constructing your list of selling points. Pulling together such a document forces you to come up with SPECIFIC reasons that an agent or editor should be interested in your book.

Other than, of course, the fact that you wrote it.

I’m only partially kidding about this last point. Nonfiction writers accept it as a matter of course that they are going to need to explain explicitly why the book is marketable and why precisely they are the best people in the known universe to write it — that mysterious entity called platform. These are specific elements in a standard NF book proposal, even.

Yet ask a fiction writer why his book will interest readers, let alone the publishing industry, and 9 times out of 10, he will be insulted.

Why the differential? Well, as I mentioned earlier in this series, a lot of writers, perhaps even the majority, do not seem to give a great deal of thought to why the publishing industry might be excited about THIS book, as opposed to any other.

Interestingly, though, many do seem to have thought long and hard about why the industry might NOT want to pick up a book. As a long-time pitching coach, I cannot even begin to tote up how many pitches I’ve heard that began with a three-minute description of every rejection the book has ever received.

Not only will constructing a list help you avoid this very common pitfall — it will also aid you in steering clear of the sweeping generalizations writers tend to pull out of their back pockets when agents and editors ask follow-up questions.

Did that gigantic gulping sound I just heard ripping across the cosmos emit from you, dear readers? “Follow-up questions?” the timorous quaver. “You mean that in addition to gasping out a pitch, I have to have enough brain power handy to answer FOLLOW-UP QUESTIONS? I always thought that the agent or editor just listened to the pitch, said yes or no, and that was that.”

Um, no — at least, not if the agent or editor likes what s/he heard you say. As in ordinary conversation, follow-up questions after a pitch are a common indicator of the hearer’s interest in what’s being discussed. One very, very common follow-up question, as it happens, is “Okay, why do you think this story will appeal to readers?”

Stop hyperventilating. It’s a perfectly reasonable question.

What most pitchers do when caught off-guard by such a question is EITHER to start making wild assertions like, “This book will appeal to everyone who’s ever had a mother!” or “Every reader of horror will find this a page-turner!” OR to hear the question as a critique of the book they’re pitching. “Oh, I guess you’re right — no one will be interested,” these poor souls mutter, backing away from the bewildered agent.

Neither course will serve you. As I mentioned the other day, agents and editors tend to zone out on inflated claims about a novel’s utility to humanity in general — although if your book actually CAN achieve world peace, by all means mention it — or boasts that it will appeal to every literate person in America (a more common book proposal claim than one might imagine). They also tend, like most people, to equate a writer’s apparent lack of faith in her own work with its not being ready for the slings and arrows of the marketplace.

A writer’s having thought in advance about what REALISTIC claims s/he can legitimately make about why readers might like the book thus enjoys a significant advantage on the pitching floor.

In short, the selling point sheet prevents you from panicking in the moment; think of it as pitch insurance. Even if you draw a blank three sentences into your pitch, all you will have to do is look down, and presto! There is a list of concrete facts about you and your book.

”Yeah, right,” I hear the more cynical out there thinking. “What is this list, a Ginzu knife? Can it rip apart a cardboard box, too, and still remain sharp enough to slice a mushy tomato?”

Doubt if you like, oh scoffers, but his handy little document has more uses than duct tape — which, I’m told, is not particularly good at mending ducts.

How handy, you ask? Well, for starters:

1. You can have it by your side during a pitch, to remind yourself why your book will appeal to its target market. (Hey, even the best of us are prone to last-minute qualms about our own excellence.)

2. You can use it as a guideline for the “Why I am uniquely qualified to write this book” section of your query letter. (If you don’t know why you might want to include this section, please see the HOW TO WRITE A QUERY LETTER category on the list at right before you write your next.)

3. You can add it to a book proposal, to recap its most important elements at a glance. (My memoir agent liked the one I included in my proposal so much that she now has her other clients add them to their packets, too.)

4. You can tuck it into a submission packet, as a door prize for the agency screener charged with the merry task of reading your entire book and figuring it out whether it is marketable.

5. Your agent can have it in her hot little hand when pitching your book on the phone to editors.

6. An editor who wants to acquire your book can use the information on it both to fill out the publishing house’s Title Information Sheet and to present your book’s strengths in editorial meetings.

Okay, let’s assume that I’ve convinced you that pulling together this list is a good idea. (Just ignore the muffled screams in the background. People who can’t wait until the end of a post to register objections deserve to be gagged, don’t you find?) What might you include on it?

Well, for starters, the names of similar books that have sold well (along with some indication of why your book is different, better, and will appeal to the same demographic), your past publications, credentials, trends, statistics, high points in your background — anything that will make it easier to market your book.

Why are you the best person in the universe to tell this story (or to put it another way: what’s your platform?), and why will people want to read it?

Those of you wise to the ways of the industry are probably already thinking: oh, she means the items on my writing résumé. (And for those of you who do not know, a writing résumé is the list of professional credentials — publications, speaking experience, relevant degrees, etc. — that career-minded writers carefully accrue over the years in order to make their work more marketable. For tips on how to build one from scratch, please see the aptly named BUILDING YOUR WRITING RESUME category at right.)

Yes, list these points, by all means, but I would like to see your list be broader still.

Include any fact that will tend to boost confidence in your ability to write and market this book successfully — and that includes references to major bestsellers on similar topics, to show that there is already public interest in your subject matter.

So it’s time for a good, old-fashioned brainstorming session. Think back to your target market (see the posts of the last two days). Why will your book appeal to that market better than other books? Why does the world NEED this book?

Other than, obviously, the great beauty of the writing.

And yes, literary fiction writers, it would be in your best interest to give some thought to this point, too. As I’ve said before and will doubtless say again, even the most abstruse literary fiction is about something other than just the writing.

So why will the subject matter appeal to readers? How large is the book’s target demographic? And if you were the publicity person assigned to promote the book, what would you tell the producer of an NPR show in order to convince him to book the author?

No need to write pages and pages of justification on each point — a single sentence on each will serve you best here. Remember, the function of this list is ease of use, both for you and for those who will deal with your book in future. Keep it brief, but do make sure that you make it clear why each point is important.

Possible bullet points include (and please note, none of my examples are true; I feel a little silly pointing that out, but I don’t want to find these little tidbits being reported as scandalous factoids in the years to come):

(1) Experience that makes you an expert on the subject matter of your book. This is the crux of a NF platform, of course, but it’s worth considering for fiction, too. If you have spent years on activities relating to your topic, that is definitely a selling point.

Some possible examples: Marcello Mastroianni has been a student of Zen Buddhism for thirty-seven years, and brings a wealth of meditative experience to this book; Clark Gable has been Atlanta’s leading florist for fifteen years, and is famous state-wide for his Scarlett O’Hara wedding bouquets; Tammy Faye Baker originally came to public attention by performing in a show featuring sock puppets, so she is well identified in the public mind with puppetry.

(Actually, I think this last one is at least partially true. But I should probably state up front that otherwise, my examples will have no existence outside my pretty little head, and should accordingly remain unquoted forever after.)

(2) Educational credentials. Another favorite from the platform hit parade. Even if your degrees do not relate directly to your topic, any degrees (earned or honorary), certificates, or years of study add to your credibility.

Yes, even if you are a fiction writer: a demonstrated ability to fulfill the requirements of an academic program is, from an agent or editor’s point of view, a pretty clear indicator that you can follow complex sets of directions. (Believe me, the usefulness of a writer’s ability to follow directions well will become abundantly apparent before the ink is dry on the agency contract: deadlines are often too tight for multiple drafts.)

Some possible examples: Audrey Hepburn has a doctorate in particle physics from the University of Bonn, and thus is eminently qualified to write on atomic bombs; Charlton Heston holds an honorary degree in criminology from the University of Texas, in recognition of his important work in furthering gun usage; Jane Russell completed a certificate program in neurosurgery at Bellevue Community College, and thus is well equipped to field questions on the subject.

(3) Honors. If you have been recognized for your work (or volunteer efforts), this is the time to mention it. (Finalist in a major contest, in this or any other year, anybody?)

Some possible examples: Myrna Loy was named Teacher of the Year four years running by the schools of Peoria, Kansas; Keanu Reeves won the Nobel Prize in Chemistry in 1990 for his research on THE MATRIX; Fatty Arbuckle was named Citizen of the Year of Fairbanks, Alaska. As a result, newspapers in Fairbanks are demonstrably eager to run articles on his work.

(4) Your former publications and public speaking experience. Another good one from the standard platform list. If you have any previous publication whatsoever, list it, EVEN IF IT IS OFF-TOPIC. If your last book in another genre sold well, or if you were affiliated somehow with a book that sold well, mention it.

If you have ever done any public speaking, mention it, too: it makes you a better bet for book signings and interviews. If you have done a public reading of your work, definitely mention it, because very few first-time authors have any public reading experience at all.

Some possible examples: Diana Ross writes a regular column on hair care for Sassy magazine; Twiggy has published over 120 articles on a variety of topics, ranging from deforestation to the rise of hemlines; Marcel Marceau has a wealth of public speaking experience. His lecture series, “Speak Up!” has drawn crowds for years on eight continents.

I feel some of you tensing up out there, but never fear: if you have few or no previous publications, awards, writing degrees, etc. to your credit, do not panic, even for an instance. There are plenty of other possible selling points for your book — but of that array, more follows next time.

Anne here. In writing yesterday’s post, I think I strained something while stretching to make yesterday’s analogies work. My credulity perhaps, or yours. That will teach me not to rush off and write a post the instant after I receive bad news, eh?

The timing couldn’t be better for me to take a day off, though — FAAB (Friend of Author! Author! Blog) Joel Derfner, better known to us here as witty commenter and fabulous blogger Faustus, MD has graciously written us a guest post for today.

And on a lulu of a topic I seldom address, too: getting permission to quote songs in your book.

Was that giant sucking nose I just heard your collective gasp at the realization that you might conceivably need such permission — and that obtaining it might be the author’s responsibility? Read on, MacDuff.

You know how you open a book and there are quotes from song lyrics all over the place? And how you figure the author just sent the manuscript in and somebody at the publishing company took care of getting permission to quote those lyrics?

You’re wrong.

I mean, you may not be wrong as far as, say, Stephen King is concerned. I don’t know. But excepting extraordinary cases the author is usually contractually obligated to get licenses for anything s/he quotes. (S/he is also contractually obligated, by the way, to pay for licenses for anything he quotes.)

Okay, I thought when I discovered this as I was finishing my book, that’s a hideous miscarriage of justice, but worse things have happened in the world. I mean, it’s not like I have to go camping or anything. It was in this frame of mind that I submitted my manuscript, which quoted lyrics from nine songs. I’d even taken the time to footnote songwriters and publication dates, just so Random House would see how diligent I was being.

But when my editor gave me his feedback, one of the things he said was, “Getting permissions can sometimes be tricky, so you might want to cut some of these. Actually, you might want to cut all of them.”

To appease him I went through the manuscript and cut as many of the lyrics as I could, replacing them with non-copyright-infringing prose references to the songs in question. Of course I knew he was worrying needlessly, but I am nothing if not accommodating (okay that’s totally a lie I’m not accommodating at all but I worry that if I don’t obey him he’ll stop giving me chocolate every time I show up at his office), so I didn’t have a problem doing this. In the end there was only one lyric I felt couldn’t be cut without doing real damage, “Without You” on pages 115-6.

THANK ^%$*ING GOD.

I tell you, I might as well have been trying to get my hands on the Hope Diamond.

At first it wasn’t so difficult. After a half hour or so with the Internet I figured out that the copyright was owned by a company (we’ll call it Company A) in Britain. My editor’s assistant called them (because I live in the ghetto and have a ghetto phone plan that would sooner let me destroy its headquarters in a rain of fire than allow me to call a country in Europe) and got the name of the guy I needed to talk to about permissions.

So far, so good.

I e-mailed the guy— I’ll call him Guy A, though over the course of time I would find many more names for him—asking him what I needed to do. He e-mailed back the next day and said I needed to get in touch with Company B, which managed Company A’s licensing in the U.S. I went to Company B’s website and put in a licensing request on their convenient licensing request page.

A week later I’d heard nothing. I was not particularly concerned; I assumed that the workings of Company B, like the workings of most companies, functioned at the speed of stalactite creation. But since I hadn’t even gotten an automated response I figured I might as well check in. “Oh, you’ll hear back a week or two from now,” said Guy B when I called.

Three weeks later I’d heard nothing. “You’ll hear back soon,” said Guy B. When I asked whether I could speak to the person in charge of licensing just in case, he said, “Okay, I’ll transfer you to Gal C.” I ended up leaving a very friendly message on Gal C’s voice mail asking her to call or e-mail me.

Two weeks later, no word.

I e-mailed Gal C again.

Nothing.

I cced Guy A at Company A asking him whether he had any suggestions. His response was, “I’m sorry, I have no ideas for you.”

Guy A can go jump in a lake, I thought.

Finally I e-mailed Gal C and cced Guy A, hoping that he was in some nebulous position of authority over her and that this move would inspire her to action. Whether because of my e-mail or not, she wrote back and asked for a few pieces of information, which I sent immediately.

I e-mailed again a month later.

And again a week and a half later.

I called again a week after that but when Guy B answered the phone he said, “We’re moving offices, so she doesn’t have a phone now.”

“Well,” I said, “can I just leave her a voice mail?”

“She doesn’t have voice mail either. Can I take a message for her?”

I left one, not believing for a moment it would do any good.

A few weeks later, I was visiting friends in Los Angeles and had the brilliant idea of actually going to the physical headquarters of Company B and asking to speak with Gal C. She wouldn’t be able to ignore me if I was standing in front of her.

So of course the office was closed. Nobody was there. At 11:00 a.m. on a Tuesday.

I e-mailed Gal C again a week later (ccing Guy A again)—oh, God, you know what? This is so incredibly tedious I can’t even bring myself to go on. Suffice it to say that I finally got permission from Gal C at Company B to use the lyrics (for $300).

Then like two months before publication I got an e-mail from my editor’s assistant saying that so-and-so in the legal department wanted to know whether this permission applied to Canada as well or just the United States. Company B said no, it was just for the U.S., and they had no idea who I should talk to for Canada. Company A said the same thing.

In the end I had to call Guy D and Gal E at Companies C and D in the U.S. (neither of them knew the answer to my question, and Gal E actually began explaining the basics of copyright law to me as if I were twelve, except she kept getting things wrong). Then I called Guys F, G, and H at Companies E, F, and G in Canada.

By this point it was too late to make any changes to the book, so all I could do was show that I was making a good-faith effort to secure permission, so I asked Gal I from Company G to have Gal J e-mail me saying that they’d received my request. Gal J did so and I forwarded the e-mail to my editor’s assistant.

To get permission to quote twelve lines of one lyric has taken me six months, countless phone calls, and probably two years of my lifespan. And $300 plus whatever Company G says I owe them.

I am never, ever, ever going to quote any copyrighted material in anything I write ever, ever again.

Addendum:

I just got an e-mail from Gal J at Company G. I have permission to use the lyrics in Canada.

Once I send them $755.

Remember that I had to pay Company B $300.

Right now I have $34.62 in my bank account.

On the one hand, I believe that Company G is much, much better at its job than Company B.

On the other hand, Company G’s superiority obviously consists not only in communicating much more responsibly but also in getting its clients much more money.

I am never, ever, ever going to quote any copyrighted material in anything I write ever, ever again.

  

Swish: My Quest to Become the Gayest Person Ever and Gay Haiku author Joel Derfner is from South Carolina, where his great-grandmother had an affair with George Gershwin. After fleeing the south as soon as he possibly could, he got a B.A. in linguistics from Harvard. Getting good at incorporating feedback, one last time: my eyes! My eyes!

This may be a short post today, I’m afraid: my blogging program just upgraded to new software, and every single page of the administrative side of this site is now blindingly, glaringly, is-that-my-composition-page-or-have-I-died-and-am-approaching-heaven white, with rather pale blue type. A pale yellow background in parts varies the page where one reviews comments, but overall, the effect is like trying to write at high noon in the middle of Death Valley without a hat.

Oh, the new software has benefits, too. But seriously, I may have to don sunglasses to use it.

So let’s proceed quickly to today’s lesson, before I give in to the urge to run straight toward that bright light to embrace my long-gone loved ones and run smack into my monitor.

Back when I was teaching at a big university (I would give you the hint that it was a big football school whose mascot was a vicious carnivore, but that would hardly narrow it down, would it?), I had a policy that my students could always rewrite their term papers with an eye to improving their grades, even if the class was not a writing class per se.

Why did I allow and even encourage this? Three reasons: first, few students who were not taking writing classes had much opportunity to revise their work — and thus kept making the same kinds of argumentative mistakes without learning how to correct them. Since I required that they submit the revision within a couple of weeks, in theory they would be better equipped to argue by the time the next term paper was due.

Second, as anyone whose pages have passed under my editorial pen can tell you (sometimes shaking with shock), I’m an inveterate asker of follow-up questions. By revising the paper, the student could address these questions and end up with a better understanding of the essay topic.

(Or a related one. Because I had occasionally been known to throw an argumentative curveball — thank goodness I grew out of THAT — I would routinely ask my students to turn in the original, commented-upon paper along with the revision, so I wouldn’t scrawl in the margins of the new, “Why on earth have you gone of on THIS tangent?”)

Third — are you sitting down? — many of my students were turning up at college apparently without having ever been taught some of the basic rules of grammar.

If my marginalia on his papers was the first time a college sophomore had had the rule governing there, their, and they’re explained to him — a real-life example, by the way — well, I felt the least I could do was give the guy the opportunity to put that new-found knowledge into practical application toute suite.

Did I hear some of my readers who graduated from high school before 1969 choke a little during those last couple of paragraphs? “What do you mean?” some of you demand, clutching your chests. “Why didn’t he learn the rules in high school?”

Oh, you’ve stumbled into a contentious subject: when I was teaching in the 1990s, my colleagues at the university asked that particular question all the time. As did I. But when I asked high school teachers about it, they said that in our state, at least, high school composition lesson plans were predicated on the assumption that the students would learn the specific rules in college. And when I asked junior high teachers, they said the students would be taught that material in high school.

Thus the sophomore in my class who had spent years just guessing which one was right.

Is this still the case? I honestly don’t know; I hope not. But at the time, I certainly was not the only teacher who routinely passed out lists of grammatical rules when the lecture was on, say, Confucius.

One term, I had a student who was struggling with the material — let’s call him Lance Corporal, because he was in ROTC. Lance was a bright enough kid, if not particularly motivated. Not all that unusual in that particular class, admittedly, as it was a common distribution requirement, but still, most of the students seemed to manage to do enough of the reading to get by, or at any rate to fake it during discussion sections.

Not so Lance: he invariably sat silent throughout every class. Again, not a terrific surprise: ROTC students, in addition to promising to serve in the military after graduation, typically carry a pretty heavy course load over and above their army-navy-air force classes, so I didn’t begrudge ‘em the odd snooze in class, as long as they kept up with the work.

On the day before the final, Lance appeared in my office, bearing revisions of both of the papers assigned so far in the class — and this time, he did surprise me. Tears in his eyes, he confessed that if he did not raise his grades, he was going to be thrown out of ROTC.

Since I had barely heard his voice in the past nine weeks and the first versions of his term papers revealed that he hadn’t done much of the reading, I suppose I should have been a bit sterner with him — technically, the deadline for submitting either revision was long past. But heck, I didn’t want the kid to lose his scholarship just because he couldn’t read a calendar very well.

Even then, I thought of deadlines more like a writer than a professor, obviously.

So I pocketed his revisions for later grading, giving them back to him at the next day’s final. “Are you sure you want me to grade these, Lance?” I asked him after he’d turned in his bluebook. “It looks as though all you did was make the grammatical and spelling corrections I hand-wrote on your original paper.”

He stared at me blankly. “Yeah? Wasn’t that what I was supposed to do?”

“Well, not only that. I had expected you to answer at least some of the questions I wrote in the margins.” In the face of his incredulity, I figured trying to get him to understand that he should have answered ALL of them was a lost cause.

Confusion was the most socially-acceptable expression of the many on his face. “I thought you just wanted me to think about those questions before the final.” And then he started explaining to me all over again — unnecessarily, I felt — that he was dangerously close to being thrown out of ROTC because of his grades.

Evidently, Lance felt that I had filled the margins and in some cases the back of his pages with commentary because I was just feeling chatty.

Why am I telling you this story at the end of a series on how writers can learn to take feedback well, you ask? Well, Lance made a couple of errors of judgment common amongst writers dealing with agents and editors for the first time.

First — and I’m sure that you’ve figured this one out already — he was too literal in incorporating feedback. Surprisingly, writers will often make the editorial changes scrawled on the manuscript without a murmur, yet neglect to address the larger issues the agent or editor may have suggested in, say, the cover letter that accompanied the marked-up pages.

Remember couple of weeks ago, when I mentioned that hell hath no fury like a critiquer who feels she has expended her feedback-giving time in vain? Well, the overly-literal reviser tends to elicit a similar reaction.

Why? Professional feedback is usually more concerned with identifying manuscript problems than with micro-managing how the writer should solve them.

Or, to quote my excellent agent: “You’re the writer; you figure out how to fix the manuscript.”

Actually, I have always found this rather empowering — it certainly raises the reviser’s ability to negotiate compromises over contested revision points if the critiquer is not married to the details of a suggested change. But when a revising writer is thinking super-literally, he’s implicitly expecting, like Lance, to be told precisely how to change the manuscript in every particular.

I can certainly understand why someone new to the biz would want guidance — but frankly, the mere idea of a writer’s abdicating control of a manuscript to the extent that he would even consider making ALL requested changes blindly simply because he was told to do so…well, I can’t imagine doing that myself.

I was going to say that it made me feel slightly faint, but I believe the ambient glare is responsible for that. Perhaps it is just a heat-induced illusion, but my cat just staggered across my desk, meowing, “Water…water!” like a refugee from a remake of BEAU GESTE.

But I digress. Let me lead the cat to the nearest oasis, then I’ll get back to the topic at hand.

Being reasonable about incorporating feedback does not mean rolling over and playing dead. It means being a good listener, a thoughtful considerer, and a grateful acceptor of critique, no matter who gives it. But ultimately, you are responsible for what you submit.

Lance’s second tactical error was also one aspiring writers frequently stumble upon: he gave his feedback-giver reason to regret having tried to help him in the first place. Not only did he wait until the last possible second to ask me to regrade his papers, but he was astonished that merely incorporating what was after all my revision work into his text wasn’t sufficient to raise his grade. By not thinking through his request for help thoroughly before he made it, he made the issue whether I liked him enough to bend the rules for him.

Long-time readers of this blog, chant the rule along with me now: if you want people in the industry to help you, it’s your job to make yourself as easy to help as humanly possible. And if someone does take the time to give you a hand, you should never leave him or her in any doubt of your abiding gratitude.

So did I allow Lance to rework his papers again during finals week? Well, let me put it this way: I’ve been worrying about him since the war began. But the last time I saw him, his officer’s uniform looked very nice on him.

But if I’d been an agent or editor who had asked writer Lance for changes in a manuscript, would I have been that kind? Maybe, maybe not. But is it really in a writer’s interest to take that gamble?

Getting good at incorporating feedback: oh, dear

Today, thank goodness, is the last installment of my series on how to deal with revision requests — and buckle your seatbelts, everybody; it’s going to be a bumpy night.

I have been dealing with this topic at length, because for all of the complaints one hears amongst writers about unreasonable editorial demands, writers actually do not tend to talk much amongst themselves about practical means of accommodating or rejecting requested changes.

Yet another area, I suspect, where fear of appearing less accomplished than other writers (“Of course, I can make those changes! In my sleep! Hanging upside-down from my toes like a bat!”) keeps us from sharing common experiences.

Also, most published writers are too nice (or too reputation-savvy) to discuss the problems their books have encountered on the way to publication, even in the relative safety of a writing class or literary contest. So their published comments on the subject tend to sound as though they’ve just joined a major sports franchise: “Everyone here has been wonderfully supportive. I’m just trying to do my best for the team.”

Understandable, of course, but not as helpful to constructing aspiring writers’ expectations of the publishing process as it might be.

Especially for a first book. If you are new to the writing game, you are, unfortunately, far more susceptible to micro-editing than a better-established author; from the editor’s prospective, you have fewer bargaining chips, and from yours, you do not yet have the market experience to be able to put your foot down with credibility.

To put it bluntly, you do not yet have a comeback to that all-too-common editorial comment, “Look, I know what sells, and you don’t.”

While it definitely behooves a new author to recognize that this statement is usually true, today, we’re going to tackle the worst-case scenario for when it isn’t: what do you do if your agent or, still worse, your editor has asked you to make a major textual change that you genuinely feel would be harmful to the book AND every polite, professional means of demurring has failed?

Before I move on to the final steps of the process, I want to repeat my earlier disclaimer: please do NOT take the steps advised below before taking the ones described in my last post — or, indeed, the ones from throughout this entire series. Starting the delicate negotiation process in the middle will not speed your efforts; it will, however, greatly increase the probability of insulting your editor and/or agent, upon whose good opinion your work is largely dependent.

Take it slowly, and remember to be polite at all times.

If you have taken the steps in order, by the time you are ready to proceed to the more serious argumentative steps below, you will have learned enough about your critiquer to be able to avoid his pet peeves in argument. You also will already have taken the minor points off the table, in order to concentrate on the primary issues; Steps 1 — 10 (explained in my last posts) will achieve that.

Even if you cannot resolve all of your contested points, you will at least have learned a great deal about WHY the editor wants the changes — and how flexible he is. If he’s a my-way-or-the-highway kind of guy, or if he is terrified of symbolism, or if he’s a point-of-view Nazi, you’re MUCH better off knowing that early in the editing process.

This may not, in short, be someone accustomed to compromise.

From here on out, I am going to assume that you have been a model of restraint and courtesy throughout your dealings with the poor advice-giver. Let’s move on to what you do when your editor or agent has refused to fall in with your first genteel indications of displeasure.

(11) Make the changes you have already agreed to make — then reassess.

It’s a good idea to wait a few days, deadlines permitting, before implementing ANY changes you conceded in your earlier discussions. It’s been my experience that my clients tend to feel rather let down if they make the changes right away, as though they had lost the fight entirely. Taking some time to let the intense feelings subside permits you to reassess the text calmly.

Then take a look at the remaining contested points: is there any way at all that you could make those changes, now that you have won some of the concessions that you wanted? In other words, are you sure that you want to push this fight to the next level?

(12) Make your case — but do not, under any circumstances, resort to ultimatum.

I know, I know: so far, this has been a list of dos, rather than don’ts. I mention this because it’s almost always the first thing a writer wants to do at this juncture.

Heck, for many writers, it’s the first thing they want to do when any conflict arises with their agents or editors; I’ve known writers who have threatened to dump agents who went three days without answering an e-mail.

I can’t imagine how writers gained a reputation for being a hypersensitive bunch.

I’m not bringing up our collective reputation flippantly — it does affect how folks in the industry respond to our e-mails when we’re angry. It’s not all that uncommon for an agent to hold off on answering a writer’s anguished outcry for a few days or even a week, waiting for this author to calm down.

Unfortunately, many writers interpret silence as rejection. (Can’t imagine why they would leap to that conclusion, can you, when some agencies now no longer bother to inform submitters that their manuscripts have been rejected?) After a few such missives, upping the ante to an ultimatum may well appear to be the only means to get an agent or editor’s attention.

Don’t do it.

Even if you are 100% right, engaging in a pitched battle with your editor after the book is often like a Mini Cooper’s contesting the right of way with a Mac truck: legally, the truck may have to yield to the Mini, but if it does not, the Mini is going to be far more damaged than the truck, right?

As I MAY have mentioned before, the steps to come are to be reserved for ONLY those situations where you have tried several rounds of tactful, non-confrontational approaches to ironing out your differences with your editor or agent FIRST. If you escalate the conflict too early in the discussion process — as, alas, too many writers do — before you have tried the preliminary steps, you run the risk of being dismissed as unable to take criticism.

At worst, your passion in defense of your book may come across to your editor as an ultimatum: take my book as is or not at all. Or, in the case of a revision request impasse with an agent, as an implied threat: stop asking me to change my manuscript and start sending it out to editors, or I’ll take it to another agency.

Bad, bad, BAD idea. This is not an industry that takes well to ultimata. They’re far too likely to say, in the words of the immortal Noël Coward, “Pack up your talent; there’s always plenty more.”

Yes, even with the author of a book they love. Most standard publishing and agency contracts are specifically written to make it far from difficult for an editor to dump an uncooperative writer.

So do try your utmost not to allow the situation to degenerate into ultimatum-flinging. You may be hopping mad, and thus have to do violence to your emotions in order to take the early non-confrontational steps I advised earlier, but trust me, it’s honestly in your best interest to be as sweet as pie socially while you are raising hell textually.

(13) Separate the fact-based issues from the opinion-based issues, and demonstrate that you are correct about the facts.

This may seem as though you should have done it at the beginning of the process, but providing someone who regards himself as an authority on a book with evidence that he is flat-out wrong is actually a fairly confrontational move. Few of us like admitting that we are wrong, and occasionally, one does meet an editor or agent who is on, as we say on this coast, his own little power trip. Even if you absolutely have to prove your contentions, it’s best not to humiliate your opponent.

Be very clear about whether it is the fact in your book your critiquer is contesting or your interpretation of them — an issue very likely to be muddied in a memoir or other nonfiction book. If you have done your homework and can back up your claims, the should be non-negotiable; if it is the facts, quietly provide photocopies of reputable print sources for your contentions. (Print sources are better than electronic ones in this instance, as the printed word has greater power in the publishing industry than does electronica.)

On questions of grammar, for instance, simply photocopy the page in one of the standard editing guides — you own a copy of Strunk & White, right? — and mail it to your critiquer. Write a nice cover letter, of course, saying, “Hey, after our discussion about this, I thought I should double-check my facts, and…”

Don’t gloat, and don’t negotiate: you are sending this corroboration as a courtesy, not as persuasion. This evidence is merely your way of explaining why you will NOT be making the requested factual or grammatical changes. Do it politely, and finish your cover letter with an assurance that you’re already busily working on the OTHER changes he’s requested.

At the end of this step, you should have a list of all of the remaining contested issues that are purely matters of opinion. Again, reassess: are the remaining points worth a fight?

(14) Bring in outside help, if appropriate.

If you have an agent, this is a great time to turn the matter over to her — the situation has gone beyond your ability to negotiate. Your agent may well know more about this editor than you do, or about editorial imperatives within the publishing house. There may be more going on here than you realize — such as, for instance, the hiring of a new senior editor who has just declared strong opposition to the kind of argument you are making in your book.

If you do turn the issue over to your agent, you must recognize that you are no longer one of the negotiators. As such, you must accept the outcome.

Think of it like the electoral college: technically, you are not voting for a presidential candidate, but for an elector who has PLEDGED to vote for that candidate. Like delegates taking the primary and/or caucus results from their states to the national elections (who are bound to vote for particular candidates only on the first ballot, FYI; the media seem a little fuzzy about how that fact might conceivably affect the Democratic nomination this year), electors can in fact change their votes in a pinch.

In other words, your agent may come back with a compromise that does not please you.

If the agent is the one making the suggestions, however, or if you do not have an agent and are in dispute with an editor at a small press, you may need to explore other options for outside help.

Running the remaining suggestions past your first readers, for instance. Your bargaining position will be marginally stronger if you can legitimately go back to your critiquer and say,

Hey, I know that you are pretty firmly committed to my removing the Ellen character, but none of my 15 first readers drew the same conclusion you did about her. Your concern was about male readers, and half of mine were men. Would you be open to reading a revised manuscript that did retain Ellen, to see if any of the compensatory changes I made alters your dislike of her?

If you are writing nonfiction, consider calling in an expert in the field to back you up. Having spent many years teaching in a university, I can tell you that most academics will very happily devote half an hour to talking to any writer who is interested in their life’s work.

You may have trouble tracking down a famous professor to corroborate your points, but it is often surprisingly easy to get to one of the top people in the field. Offer to add a footnote or a line in your acknowledgments in exchange.

If the expert supports your view, resist the urge to gloat. Call your agent or editor and say, “Hey, I’ve been thinking a lot about what you said about point X, and you raised an excellent point.” (Even if he didn’t.) “I thought I should double-check, so I contacted…” (Refer to your expert by every title she has ever held.) “And SHE says…”

Few editors or agents would continue to argue with you at this point. You will have given them a piece of proof that they can use if higher-ups at the publishing house raise the concern.

(15) For the opinion-based suggestions, recognize that you are dealing with someone else’s OPINION, not fact, and you may not be able to change his mind.

If the editor/agent categorically refused to negotiate certain points (or all of them), you may have found yourself reduced to steps #13 and #14 rather quickly. Once you have winnowed out all of the fact-based objections and tried to prove that you are not alone in believing as you do, you just have to face that your critiquer may not actually have any rational reasons for certain of his objections. Something in your book may have rubbed him the wrong way, and he wants it out.

“In all matters of opinion,” Mark Twain wrote, “our adversaries are insane.”

It is seldom worth the energy to debate the merits of a personal dislike, but if you try, keep your tone respectful. Frequent use of such phrases as, “I respect your opinion, but…” and “I can see what you mean, but I think…” will go a long way toward keeping the conversation civil.

In an extremity, you can always go the Gaslight route — implying gently that the fault is not in the text, but in the beholder — but I warn you, it can provoke anger. Tread carefully as you say: “I’ve been over all of Ellen’s dialogue several times now, and I’m afraid I still don’t see where it is overtly political. If you can identify it, I’d be happy to take out any particular phrase that strikes you as untoward.”

You can fight the good fight for only so long, though, so do not allow this kind discussion to go for many rounds. Try to keep the squabbles brief, so that they do not come to dominate your relationship with your editor or agent.

(16) Know when to stop arguing. Either walk away or give in — but either way, keep a copy of your original version.

Ultimately, you cannot move forward in the publication process unless your agent and editor approve of your work. Period. If you have done everything possible to make sure that you understand how and why your agent or editor thinks they are necessary, and you still genuinely feel that incorporating the last of the requested revisions will ruin the book, take your book and go home.

Or — and once most authors ponder it a little, they tend to prefer this route — go ahead and make the changes. If your agent is indeed right about the book’s being more marketable that way, it may well be worth trying. (You can always discuss the possibility of changing it back with the acquiring editor after she picks it up, after all.)

What you should NOT do is allow the conflict to drag on for months or even weeks after both sides have made their positions clear. It’s not in your interest, and it’s almost impossible not to sound whiny at that juncture.

Nor should you try the surprisingly common reviser’s trick of just skipping certain parts of the requested revisions. Once you have discussed it and lost your appeal, you do need to keep up your end of the deal. Trust me, although you can sometime get away with not making minor changes that were not the bones of contention, I can assure you that your critiquer WILL notice if you do not make the major ones.

If, after you make your case as persuasively as you can while still remaining polite, and you have exhausted your other options for proving your point, prove that the book, and not the passage, is most important to you. Make the changes.

Yes, I know it’s awful, but your only other viable option remaining would be to produce precisely the ultimatum I advised you above to avoid at all costs: take my book as is or forget it. Strategically, it’s always a poor idea to offer a this-or-that choice unless you are comfortable with BOTH of the options you are presenting.

With an agent, this may well be a choice you are willing to offer — although it is not one that you should consider lightly, in light of how hard it is to land an agent these days. If you have another book in the drawer that your agent might interested in representing, this might be a good time to pull it out.

With an editor who has already bought your book, however, you have considerably less leeway. Given how VERY likely it is that an affronted editor will drop the book, and how very much harder it will be for your agent to re-sell it, now that it has a history of conflict, do make very sure that you’re willing for the answer to be, “Fine — go ahead and take the book away.”

Many unpublished writers have romantic conceptions about the purity of their visions, but honestly, I have seen very few books where the entire point of the book was lost due to a stupid editorial decision. Consider this: you need to get your book published before you can make a name for yourself as an author.

If the disagreement between you becomes a pitched battle, you are inevitably the loser in the end. Do not allow the argument to go on long enough or become vicious enough that the editor considers dropping the book — or your agent considers dropping you.

Just get on with it — and move as swiftly as possible from revision to working on your next book.

(17) Be proud that you handled it professionally, regardless of the outcome — and move on with your life.

After you decide to play ball, get the manuscript off your desk as soon as humanly possible; don’t give yourself time to continue to agonize. No need to send a cover letter admitting that you’ve thrown in the towel — a polite note accompanying the manuscript, saying that you have revised it, along with a numbered list of major changes, will suffice.

I know this all sounds like a nightmare for your reputation, but often, poor editorial choices harm the author less than you’d think within the industry. Forced editorial changes that are bad ideas are a well-recognized phenomenon, after all: most reasonable folks in the publishing industry will merely shrug sympathetically and believe you when you mention in later years that your did not want to make the changes in question.

If you make sure to keep a copy of the original version of the book, the one before any of the hateful changes, you can always reinstate your vision in future editions — or, and this actually isn’t terribly far-fetched, if the editor is replaced anytime in the near future. Editors move around a great deal these days, you know.

In the shorter term, notice what has happened here: although it may not feel like it at the time, you are actually better off than you were at the beginning of the revision process. By being polite and professional, you will have established yourself as being reliably pleasant under pressure, a trait publishing house like to know that their authors have before sending them on publicity tours. By going through the steps methodically, you probably will have gained at least a few concessions, so you will be better off than you would have been if you had just kept quiet and made them all.

You will definitely be better off than the many, many writers who, upon being faced with nasty editorial demands, just throw up their hands and hide for months on end, procrastinating about dealing with the book at all. I can’t even begin to count the number of times I have heard agents and editors complain bitterly about writers who do that.

Instead, you kept your dignity and worked through the problem like a professional. Bravo! (Or brava, as the case may be.)

I hope that you will never be in a position to need this advice, of course — but now you are prepared if you ever should. Starting next week, I shall be moving on from this ultra-depressing topic to lighter, more congenial matters, such as increasing conflict in a storyline and how to kill off your characters with aplomb. A relief for everyone, I expect, including your humble correspondent.

Getting good at incorporating feedback: tiptoeing through the tulips…and land mines

For those of you joining us mid-series, I have been writing for the last couple of days about the unfortunately not unheard-of dilemma of a writer’s being asked by an agent or editor to make changes that the writer not only does not want to make, but believes might do serious harm to the book. Again, I sincerely hope that none of you find yourselves in this situation, but it happens to enough writers — especially first-time ones — that anyone currently on an agent hunt or with a book in editorial circulation should be aware of the possibility.

Why? Well, are you familiar with the old truism about a camel’s being a horse put together by a committee?

As I pointed out earlier in this series, a LOT of people are going to have an opportunity to comment upon a book between the time a publishing house acquires it and when it actually comes out. The editor who acquires it, for instance. Her assistants, who will probably read it before the editor does. Other editors on the committee that approves the acquisition. Their bosses. The marketing department. Advance reviewers.

And, increasingly, agents. Now that agents are expected to have books and book proposals all but print-ready by the time editors see them, they are starting to get the reputation for being rather nit-picky readers, too.

With all of these individuals with widely divergent personal tastes making suggestions on how to make a book more marketable, no wonder authors often become confused — and begin to feel downright embattled.

If this happens to you, take a great deep breath. This is not a situation with which you should be dealing in the heat of anger, which will only render misunderstandings more likely.

And there’s a LOT of room for misunderstanding in any feedback situation — as clever and insightful reader Faustus, MD pointed out yesterday, when first confronted with a list of requested changes, the writer may not necessarily know just how or why the agent or editor is asking for any given revision point.

One reason to go through ALL of the steps we’ve been discussing over the last couple of days is to maximize the probability of any honest-to-goodness misunderstandings coming to light — which I can virtually guarantee you that they will not if the writer storms into a meeting with an agent or editor in a rage.

Hey, let’s take another look at those steps, shall we?

(1) Go through the requested changes one more time, and make sure that you understand what you are being asked to do.

(1a) Print up the editorial memo or letter from your agent and go through the requested changes one by one, highlighting those that seem reasonable enough to make without further discussion.

(1b) Go back through the revision request document again and highlight the requests about which your considered reaction is merely tepid, rather than raising your blood pressure to dangerous levels.

(2) Go through the manuscript and make every change you highlighted. Right away.

(3) Go through the suggestions you have not yet highlighted and ranked them in order of distastefulness.

(3a) Write down a few specific arguments for and against doing each of the suggestions on the I Don’t Wanna list — text-based arguments, rather than merely the fact that you hate the suggestion in question. Be as specific as you can.

(3b) Go through the I Don’t Wanna list, concentrating particularly on the suggestions that you ranked low in noxiousness and the ones that you have determined would not require major manuscript overhauls. Could you see your way clear to making those changes now?

(3c) Make as many of the changes on the list as you can bear, reserving a couple of particular bugbears for further discussion, if you must.

(4) CALMLY and PROFESSIONALLY, ask your editor or agent for clarification of the contested points, mentioning first that you have already made the bulk of the requested changes.

(5) After politely soliciting this further feedback, reassess.

(6) If suggestions remain that you feel you cannot in good faith implement, THEN prepare to negotiate by selecting the 1-3 points you feel are most important.

A necessary disclaimer before I launch into point 7: Before taking ANY of the further steps I am about to discuss, I would STRONGLY suggest going back and read my last two postings in their entirety, because today’s advice is to be reserved for ONLY those situations where you have tried tactful, non-confrontational approaches to ironing out your differences with your editor or agent FIRST.

If you leap to these later steps — as, alas, too many writers do — before you have tried the preliminary ones, you run the risk of being dismissed as unable to take criticism. Trust me, you don’t want that.

If your objections to the advice you’ve been given are justified (and you will have to judge for yourself whether they are), the book will be best served by your clearing the discussion of all extraneous elements; Steps 1 — 5 (explained in my last two posts) will achieve that for you. From here on out, I am going to assume that you have already done that, and have been a model of restraint and courtesy throughout your dealings with the poor advice-giver.

Okay, so now you have been so reasonable that you feel as though your head is going to burst if you have to be polite for a single additional second. What do you do if all of this has not been enough to get your powerful critiquer to drop his most ill-conceived demands?

(7) Present your case for a couple of points — calmly, politely, and in a tone that implies that you are consulting a trusted authority figure for much-appreciated advice.

Please note that I have NOT advised your arguing the point until this step. Up until now, you have been as cooperative as humanly possible, right? All you did before was ask for clarification, thus leaving your critiquer a face-saving way to back down from the advice you consider silly. Since that did not work to your satisfaction, you are well within your rights to make a sane, well-organized argument in favor of your position.

PROVIDED that you pick only a couple of points to argue. I’m quite serious about this — more, and you’re going to sound as though you’re rejecting the whole shebang out of hand.

Be polite in your discussion, and reiterate up front (and without whining) that you have already made the bulk of the requested changes. Identify each change that you have already made in the text (aren’t you glad now that you took my advice and generated a revision list?), then explain precisely what it is you think you have been asked to alter, and give your reason for believing each will not help the book.

Even if you think the effort is going to kill you, it’s IMPERATIVE that you state our case without making your critiquer seem stupid for having suggesting such a ludicrous thing. Try, for instance, to avoid using words like disembowel, destroy, or decimate; they inflame tempers on both sides of the discussion.

Instead, state your fears about what such a change will do to the integrity of the book.

Let’s say you’ve been asked to remove a strong secondary character, Ellen, because twice in the course of the plot, she makes feminist statements (yes, it happens). When you asked your editor to explain why in Step 4, he said that the character was too political, and that male readers would not like her. He advised, instead, that your 40-year-old protagonist, Natasha, should have an extremely non-threatening teenage sister who resembles Natalie Portman in many significant physical respects, in order to make your novel more filmic.

Your original instinct, I’m guessing, might have been to frame your answer rather like this:

You sexist idiot, you have missed the entire point of my novel! What are you going to suggest next, that the courtroom scene take place in the middle of a Girls Gone Wild video taping?

While undeniably emotionally satisfying in the moment, such a response is unlikely to elicit the kind of let’s-work-together vibe conducive to long-term problem-solving.

It would serve both you and the book better if your answer went something like this:

I’ve finished almost all of the revision that you asked me to do, but I am still having difficulty conceiving how I can remove Ellen from the plot entirely. She is the voice of ethics in the plot, and as a neurosurgeon, she is able to speak with authority about their mother’s dementia. If Ellen were a high school senior, I fear that her statements about brain chemistry might lack credibility. I would welcome any bright ideas you may have for getting around this problem.

BE BRIEF, refrain from invective, and ALWAYS end with a request for advice.

Why that last bit? Asking shows respect, and even if you don’t understand how your editor could possibly have graduated from a decent elementary school, given his language skills, you need to maintain professional respect.

Unless you already have a well-established working relationship with the agent or editor requesting the changes, it is almost always easier to make these points in writing, rather than on the phone or in person. Most of the writers I know prefer expressing themselves in writing, anyway, and it permits you to state your case in its entirety before your agent or editor has a chance to interrupt you.

(8) Suggest alternatives.

For each requested change, offer to make a DIFFERENT change that you think will better achieve the goal. If you are presenting your arguments in writing, it would make tremendous sense to incorporate this step with the previous one.

Be practical, and offer your editor a smorgasbord of appetizing choices, so he can feel good about changing his mind. Could a scene that was not cut go instead of the cut one, for instance? Could your book’s argument be made stronger if you simply added another example, instead of deleting a point?

Do be up front about any plot or argumentative problems these changes will cause — and never, ever, EVER suggest any change that you are not willing to make. (Yes, Virginia, writers occasionally do.)

In the case of the novel about Ellen’s sister, you could simply add a paragraph to the previous one:

I have been considering giving Ellen a husband and a couple of children, to make her more sympathetic to the male readers you mentioned. This would require substantial revision of the timeline of the flashback sequence, where Natasha and Ellen are children together, which I am not sure I can complete by our two-week deadline. (Were you anticipating the flashback being cut entirely if I incorporated a teenage sister? If Ellen is 25 years younger than Natasha, they could not have been children together.)

Alternatively, if the deadline is indeed firm, I could give Ellen a wacky hobby, such as beekeeping in her attic, to make her bon mots come across more as a general sense of humor, rather than political commentary. Do you think this is a good idea? I am not convinced that the head of neurosurgery at Manhattan General would have the time (or the attic space) for such a hobby, but that could be part of the humor.

If you cannot come up with alternatives that please you, offer trade-offs from the lower rungs of your I Don’t Wanna list. If you make a less detestable change, can you retain a plot element that your heart is set on keeping? If length is the issue, is there something else you could cut that would allow you to keep your favorite scene?

What you’re trying to do here, of course, is to see the book from the editor’s perspective: is the change he is suggesting at all likely to make it impossible to keep a part he particularly liked? Is there a compromise you can suggest that would allow both of you to be partially pleased with the outcome?

Here’s a strategic solution to the Ellen problem that would make everybody happy:

Since Ellen’s medical expertise saves much exposition in the book, I am reluctant to remove her entirely. If I don’t have a fairly significant character working at the hospital, I don’t know how I can justify keeping that scene in the nurses’ locker room; as we both agreed, it is a highlight of the book, but for the joke to work, a female doctor has to walk into the room. However, I have had a bright idea that would allow keeping that scene and give the book a teenage girl character without eliminating Ellen: what if I gave Ellen a Portman-esque teenage daughter who is a candy striper?

(9) Be receptive to — and grateful for — suggestions for resolving the contested issues.

Listen carefully to your editor or agent’s response. If you are contesting a major point in the critique, you probably will not gain a total victory, but you will probably pick up some minor concessions along the way. Don’t turn your nose up at these; they add up.

Make absolutely sure to express gratitude for any concessions you do win. This may not seem necessary in the moment, but trust me, your agent or editor will remember it the next time s/he’s warming up to giving you feedback again.

(10) Document your agreement.

If the previous steps involved verbal discussion, it’s a good idea to send an e-mail the next day, recapping what you believe the mutual decisions to have been. It’s not a bad idea to do this even if the back-and-forth was in writing.

That way, you minimize the possibility of — chant it with me now, everybody — misunderstandings about what you have been asked to do.

Keep it brief — you really do not need to present more than a numbered list, accompanied by a preamble about wanting to double-check that you have understood correctly — and again, be as polite as humanly possible. Thank your agent or editor profusely for taking the time to discuss these points.

In the vast majority of cases, following these will get an author to a point where she can live with the suggested revisions, without engaging in bloody battles for dominance. In my next post, I shall discuss the hair-raising possibility of dealing with an editor or agent who — sacre bleu! — refuses to negotiate.

So may sleep tonight: rest assured, those cases are exceedingly rare; everyone concerned is ostensibly on the same side here, right?

Becoming a good acceptor of feedback: hello? Hel-lo?

Sometimes, the universe just rushes to provide material for this blog. Who am I to stop the flow?

After yesterday’s impassioned (but unillustrated by examples) argument against giving in to the urge to argue with someone who has just given you a slew of written feedback on your manuscript, I received a telemarketing call from PRECISELY the type of knee-jerk disputer I’d been talking about, the sort who acts as though a kindly-put no is tantamount to a yes.

Or, at the very least, that it’s an indicator that the person saying no couldn’t possibly be qualified to express an opinion on the subject.

To add SOME enjoyment to what was actually rather an unpleasant exchange, I’ve spiced up the dialogue a little — because, as long-time readers of this blog know, dialogue lifted directly from real life tends to come across as deadly dull, vague, and prolix on the page. I’ve also changed various names, to protect the guilty. (They already know who they are, after all.)

(Phone rings upstage left. Seated at her desk deleting the day’s crop of 250 spam would-be comments on her blog, ANNE tries to ignore it. As it keeps ringing insistently, she trips over three cats, several stacks of unbound manuscripts waiting to be read, and a small mountain of as-yet-to-be-recycled junk mail to answer it.)

ANNE (breathlessly): Hello?

BOB (in the tone one typically uses for chats amongst intimate friends): Hi. Is George there?

ANNE: No, I’m afraid he’s at work. May I take a message?

BOB: You must be his wife.

ANNE (considering then discounting the possibility that this is an old friend of George’s who has somehow missed all news of him over the past 14 years): I mustn’t, actually.

BOB (talking over her): I’ve got a great deal on heating vents for the two of you. Why don’t I swing by and…

ANNE: Why are you talking in such a familiar tone, when it’s perfectly obvious this is a telemarketing call? Please take us off your…

BOB (feigning surprise marginally well): But you’re on my list.

ANNE: The only list we’re on is the National Do Not Call Registry.

BOB: That’s impossible.

ANNE: I can report your company for calling us.

BOB: We vet our lists against theirs. Your husband must have…

ANNE: Are you seriously suggesting that George snuck behind my back and removed our number from the National Do Not Call Registry?

BOB: He might have called us for information about heating vents.

ANNE: I can assure you that he’s not interested. Nor am I. Go away.

BOB: I’ll call back later; he might get mad if we take him off our list.

ANNE: Break up many relationships with that line?

BOB (evidently taking this as encouragement): If you’ll just let me send him some information…

PHONE: Click. Buzz.

(Curtain.)

Some of you recognize Bob in his writerly form from conferences, critique groups, and pretty much everywhere else writers gather, right? He’s easy to spot in the wild: his constant cry is, “Oh, they just don’t understand my work.” It’s invariably the same excuse, whether they refers to other group members, agents who have rejected him, or editors who spurn his agent’s advances.

Rather than, say, “Oh, maybe I should check my work for typos or continuity problems before showing it to other people” or “You know, my agent may have a point there.”

As I mentioned yesterday, unfortunately for the collective reputation of writers everywhere, the Bobs of the literary world are also the ones who respond to form rejection letters with phone calls and e-mails to agents, explaining PRECISELY why the agency was wrong to reject their work.

Which, in case you’re pondering adopting it as a means of winning friends, influencing people, and/or selling heating vents, has never, ever worked. Unless, of course, Bob’s true goal is to give the target of the argument yet another anecdote about someone who just wouldn’t take no for an answer.

In which case, I must say he’s succeeding brilliantly.

Yes, an aspiring writer DOES need to be persistent — but in a strategic manner, in ways that don’t result in slamming doors through which a writer might want to slip someday.

Remember, when a writer approaches an agent or editor, she’s not merely offering a book — she’s offering herself as the author of it. Since it’s practically unheard-of for a manuscript to undergo NO revisions between first submission to final publication, both agents and editors are going to expect an author — ANY author, even Bob — to be able to incorporate their feedback quickly, creatively, and with a minimum of drama.

In that spirit, let’s recap yesterday’s first couple of suggestions on how to respond to written feedback gracefully:

1. Don’t argue

2. Read, reread — and get a second opinion.

Got those firmly ensconced in your brain, because you are better, more talented, and smarter in every way than Bob? Good. Let’s move on.

3. Don’t decide right away how you’re going to handle the critique — or how you’re going to apply its suggestions to your work.

In a way, this is the first cousin to #2: as I argued yesterday, the first flush of shocked emotion is not particularly conducive to long-term planning. All too often, normally perfectly reasonable writers will overreact in the heat of the moment, lashing back at the critiquer. (Which, as we have seen throughout this series, can have some pretty unpleasant consequences for everyone concerned.)

Others will rush to embrace the opposite extreme, deciding in a flash that such a barrage of feedback must mean that the book is not salvageable. Into the trash it goes, if not actually out the window.

Neither course is likely to do either your writing career or the manuscript any good. In the cooler light of subsequent reflection, it’s a heck of a lot easier to see that.

I know, I know — when the adrenaline is flowing fast, every fiber of your being wants to spring into action right away. But revision is a painstaking process; you’re going to need a carefully thought-out plan. That’s going to take some time and mature reflection to produce.

Give yourself permission to stew for a while — privately, where no one even vaguely affiliated with the publication of your book can see or hear you. Get all of that resentment out of your system. Journal. Join a kickboxing class. Frighten the pigeons in the nearest park with your guttural roars.

THEN, when your blood pressure is once again low and your hopes high, go back to the project. You may be surprised at just how much more reasonable that page of critique has become in the interim.

4. Remember that you and the critiquer are on the same side.

Hoo boy, do a lot of writers seem to find this hard to remember immediately after receiving feedback! To hear ‘em talk about (or heaven help us, to) the folks who wrote up that editorial memo, agent’s critique, freelance editorial report, etc., you’d think that expressing opinions about how to improve a manuscript and/or render it more marketable was an act of outright aggression.

But think about it: these people aren’t the enemy; it just feels that way in the moment. In fact, in the vast majority of instances, they’re trying to HELP the writer.

Okay, to the Bobs of this world, it can feel like a sneak attack by an enemy pretty much all the time, as well as for the hypersensitive. To the fellow who won’t hear no, anything but an instantaneous and unqualified YES represents a barrier to be overcome through persistence; for those who have trouble differentiating between their egos and their manuscripts — a very, very common conflation — every rejection, however minor, feels like a referendum upon their very worth as human beings.

I want to talk to the vast majority of writers who fall into neither camp — or who at least pay only short visits to either extreme.

Listen: professional readers are trained not to mince words — as those of you who have queried or submitted may have noticed, rejection letters are TERSE, typically. So is most professional feedback — so much so, in fact, that agents and editors tend not to give any feedback at all unless they think the submission is pretty good.

So when a pro takes the time and trouble to give substantive feedback on a manuscript, as opposed to a form-letter rejection, it’s almost always in the hope of assisting its writer to improve it. That’s almost always the ostensible goal of critique groups as well, and even of those generous first readers who take the time to read your works-in-progress.

When a writer responds to such efforts as though any desire to change the book must stem from an unadmitted and nefarious source — jealousy of talent is a popular choice in such accusations, as is lack of familiarity with what makes literature readable and just plain shallowness — the kindly-motivated feedback-giver feels burned.

Unfortunately for us all, it typically doesn’t take all that many outraged reactions before a feedback-giver starts to feel that it’s not worth it. Why expend the energy, she thinks, to try to help someone who blames the messenger?

Multiply that burned feeling by tens of thousands, and you can start to understand why most agencies choose not to give individualized feedback in rejection letters.

I can hear the better-behaved among you getting restless. “But Anne,” these models of propriety cry, “I am nothing but restrained in my dealings with professional readers. I treat them with respect: I approach them as they wish to be approached, wait patiently for them to read my work, and don’t lash out at them when they reject me. So why treat ME as though I’m as volatile as folks you’ve described?”

Good point, angelic ones. One simple reason: time.

Yes, it would be dandy if they could respond to each and every query as if no angry writer had ever sent them a flame-mail response to a rejection letter. But — and I think it’s been a while since I’ve pointed this out — the average agency receives upwards of 800 queries a week. Plowing through them all is very time-consuming…and form rejection letters save valuable minutes in fresh composition.

Open SASE, slip in pre-prepared photocopy, and whoosh — the response is on its way back to the writer.

In a way, obviously pre-packaged form rejections are kinder to writers than the same boilerplate pasted into return e-mails — since rejections tend to be so short, it’s tempting for the writer to conclude that those words AREN’T what that particular agency sends to everyone. It almost always is — why, from an agency screener’s point of view, should they expend the time personalizing each? — but every agent in the biz has received flame-mail from outraged Bobs who want to know EXACTLY how that generic critique applies to THEIR queries or submissions.

Which brings me to to the reason OTHER than time-savings that agencies are so fond of form-letter rejections. As annoying as those blandly identical form letters are to their recipients, the very fact that they are generic means — or so the logic goes — that they are less likely to provoke an angry response than a letter geared more to actual problems in the query or submission.

Okay, they’re less likely to provoke an angry response that makes it all the way back to the agency. As most of us know from personal experience, they cause plenty of storms in writers’ living rooms across the world.

Which sets up something of a vicious circle, doesn’t it? A few hotheaded writers excoriate their rejecters, causing the denizens of agencies to fear writerly backlash — so they produce maddening generic rejections that, over time, have led many aspiring writers to conclude that the industry is hostile to new talent. Every so often, some frustrated soul just can’t take it anymore — and shoots off a missive that confirms every fear the agency workers had about writerly response to rejection.

Let’s agree here and now that we here at Author! Author! are going to do our part to try to stop that unproductive and soul-curdling cycle. Let’s commit to being the writers that agents dream about representing, the ones who can and do take feedback professionally, incorporate it well, and use critique to make our manuscripts into the best books they can possibly be.

A bit ambitious, true. But someone’s got to start the counter-movement.

Whew, that was a lot of advice to absorb in one sitting, wasn’t it? Rest assured, it’s not my final word on the subject — we’ve barely scratched the surface of techniques for handling feedback. If today’s array doesn’t work for you, relax: one of the subsequent suggestions probably will.

Becoming a good acceptor of feedback: the written rules

Welcome back to my series on developing that most essential of professional writer skills, taking critique well. As I’ve been explaining in various ways for the past week or so, the oh-so-common aspiring writer’s fantasy that a manuscript — any manuscript — will require no further changes once the author declares it finished is very much at odds with the way the path to publication is actually constructed. Many, many other parties have a right to stick in an oar and start rowing.

Contrary to the horror stories with which we writers like to scare one another around literary conference campfires — okay, around the bar that is never more than a hundred yards from any such conference — the overall result of outside feedback is generally GOOD for the book in question. Not every suggestion will be stellar, of course, but every manuscript in existence could use a second opinion.

Yes, I’m aware that last statement made half of you squirm. Nevertheless, it’s true.

After I completed yesterday’s post on what can happen when writers respond poorly to written feedback, I realized that logically, it would have made a dandy lead-in to the first strategy on this week’s list. I also realized that, due to a slight brain malfunction on my end, I neglected to mention why you might want to be preparing yourself for WRITTEN feedback in particular.

Most of the major decision-makers in the U.S. publishing industry are concentrated in a very few places in the country: New York, Los Angeles, to a lesser extent the San Francisco Bay Area, Chicago, and Minneapolis. Apart from a few scattered presses elsewhere, that’s about it.

Most of the writers whose books they produce do not live in one of these places.

As a result, the common aspiring writer expectation that signing with an agent or selling a book to an editor means copious in-person contact is seldom accurate. These days, communication between author and agent or editor is usually by e-mail, supplemented by telephone conversations.

In fact, it’s actually not unheard-of for an author never to meet her agent in the flesh at all.

Manuscript critique is still usually performed in the margins of the manuscript, with larger-scale requests conveyed via editorial memo or in the body of an e-mail. Obviously, then, most of the feedback a writer could expect to receive from her agent and editor, not to mention the publishing house’s marketing department, PR people, etc. would be in writing.

Before the shy among you breathe too great a sigh of relief at the prospect of being able to receive necessary change requests at an emotionally safe remove, cast your mind back over yesterday’s examples. Responding to written feedback is not necessarily easier than face-to-face; it merely requires a different set of coping mechanisms.

This is not to say that you should throw last week’s set of guidelines out the window the moment you receive an e-mailed critique; you shouldn’t. In many instances, those strategies will also be helpful for written feedback.

This week, however, I’m going to be tackling some of the more virulent knee-jerk responses to written critique, and giving you some tips on heading them off at the past.

Ready? Here goes:

1. Don’t argue.

Oh, I know: it’s tempting to tell off the agent who’s asked you to kill off your favorite secondary character or the editor that is apparently allergic to words of more than two syllables, but trust me on this one — it’s a waste of energy AND it won’t help preserve your artistic vision.

That last bit made some of you trouble heaven with your bootless cries, didn’t it? “In heaven’s name,” anguished voices moan, “why?”

Well, several reasons. First, as we discussed last week, generally speaking, feedback-givers offer critique with an eye to improving the book in question, not as the initial salvos in an ongoing debate. The critiqued writer may take the advice or leave it, but from the point of view of a reader concentrated on the quality of the end product, what’s said ABOUT the book doesn’t really matter, except insofar as it helps make the book better.

The important thing is what ends up on the PAGE.

The closer one’s manuscript gets to publication, the more likely this is to be the critiquer’s expectation — and, like so much else in this wacky industry, that’s partially a function of time. Agents and editors are busy, busy people, often working on rather short and overlapping deadlines: they don’t really have time to mince words. (That’s the official reason that professional feedback tends to be so terse, anyway.)

Because they feel rushed pretty much all the time, they tend to prefer to hand a list of suggested changes to the author and walk away, secure in the expectation that the writer will weigh each point carefully, make appropriate changes to the text, and return with a much-improved manuscript.

When a writer gives in to that initial urge to argue about the changes — and for those of you who have not yet experienced the receipt of professional-level feedback, the desire to respond can feel as imperative as a sneeze — a debate is inevitable. And debate, my friends, is a great eater of time.

This is not to say that you should not be willing to fight for the integrity of your work — you should. Later in this series, I shall talk at length about what to do if, upon mature consideration, a PARTICULAR piece of feedback seems impossible or inadvisable to incorporate.

In practice, however, writers who accede to the temptation to snipe back are seldom responding to a single questionable suggestion — they’re usually lashing back at the very notion of changing the book at all. Sound familiar?

Honestly, I’ve seen quite a few of these diatribes (usually when a sobbing author is seeking help in appeasing a much-offended agent or editor), and they tend to make it quite apparent that the writer is rejecting the proffered advice in toto. Generally, these missives are phrased in such a way as to render future compromise on the most important change requests significantly more difficult than if the author had just kept mum.

If your first impulse is to come up with 47 reasons that the suggested changes could never work, fine: write it all down. But don’t do it as an e-mail, and don’t send it to your critiquer.

Some of you out there just HATE this advice, don’t you? “But Anne,” I hear the rambunctious mutter, “you seem to expect us just to roll over and play dead.”

As a matter of fact, I don’t. What I DO expect you to do is be strategic in how you make your case, picking your battles, and proceeding in a way that protects the best interests of the book, not authorial ego — and certainly not in a manner that achieves nothing but venting at precisely the wrong people.

How might one go about this? The next tip is a good place to start.

2. Read, reread — and get a second opinion.

Not to cast aspersions on anyone’s reading comprehension skills, but it’s been my experience that writers’ first reads of critique tend to be just a touch inaccurate. Completely understandable, of course: at first blush, it’s very, very easy to be angered by certain trigger words and phrases — and once the kettle of the brain is already boiling, it’s hard to consider further suggestions with anything remotely resembling detachment.

Read it once, then run off and punch a pillow. Repeatedly. Stomp. Scream. Christen the closest stuffed animal within reach with the name of your feedback giver and read it the riot act. Just do not, whatever you do, respond directly to the critiquer. (See rule #1.)

After you’ve had a chance to calm down — and whether that will take an hour, a week, or a month varies wildly from writer to writer — go back and print the critique. Read it again; you will probably be surprised at how many fewer changes it’s requesting than you initially thought.

Set it aside again, returning to it at a point of blessed calm, when you will not be interrupted. Go through the feedback line by line, making a list of what it is actually asking you to do. Then take the initial missive, fold it twice, and stash it away somewhere, safe from human eyes.

Or, if you’re still boiling, hand the list to a good reader whom you trust implicitly and as HIM to make out a list.

When you first approach the manuscript, have the list by your side, not the critique in its original form. (I know it sounds wacky, but seeing the change suggestions in one’s own handwriting often seems less threatening.) Read through the ENTIRE manuscript, noting on the list where the pages and chapters where the requested changes would be applied.

Note, please, that I have not yet said anything about deciding whether to APPLY the feedback or not. At this juncture, you’re merely gathering information. Be as impartial as you can.

Call it a fact-finding tour of the manuscript.

Those of you reading this while facing tight deadlines can probably feel your blood pressure rising at this juncture, can’t you? “But Anne,” I hear these stressed-out souls cry, “this will take FOREVER. I need to make these changes NOW, don’t I?”

Not necessarily — writers almost always underestimate how much time they have to respond to revision requests, assuming imminence simply because they haven’t asked point-blank for a due date. (Don’t worry, stress-mongers: I shall be discussing the ticklish business of deadline-setting later in the week.)

The simple fact is, though, that no matter how tight the actual deadline may be, a writer in the throes of critique shock is in no shape to make critical decisions affecting his manuscript. He needs to calm down first — and calming down takes time.

No, seriously. Ask a doctor: once the body is revved up, those weirded-out stress hormones don’t just vanish in a puff of smoke merely because the brain decides it has work to do.

Wait.

If, after a week or two, you still aren’t calm enough to be able to approach the suggestions or your manuscript in a constructive frame of mind, consider asking a writer friend (other friends probably will have a hard time understanding the power dynamics between critiquer and reviser) to read over the feedback and summarize it for you.

Ideally, this would be someone who has already read the manuscript, but who isn’t, say, sharing your bed or workplace on a regular basis. Or who didn’t give birth to you. You want someone who cares about you, but who can be impartial when you cannot.

(Spoiler alert: once you’ve established a good working relationship with your agent, s/he is going to be a great person to ask for perspective when you receive upsetting critique from your editor. But part of setting up that rapport and trust involves the writer’s demonstrating a willingness to respond professionally to feedback.)

Why is finding an impartial second opinion important? Because — and I’m sticking this bug in your ear now, because you may not be able to feel it kicking around your brain immediately in the wake of receiving a raft of feedback — there’s probably some good advice lurking in that morass of critique. You wouldn’t want to reject it wholesale, would you?

Well, actually, in the first moment of receiving it, you almost certainly would. May I suggest that wouldn’t be the most appropriate instant to weigh the quality of the critique, let alone make career-shaking decisions?
